Foreword OnApril11,2002,Celebrate!WaterConservationwasheldatRaymondJamesStadiuminTampa,Florida.TheSouthwestFloridaWaterManagementDistrict(District)hostedtheevent,whichwasdesignedtoprovideinteractive,hands-oninvestigationsandactivitiesthathighlightedwaterconservation.Approximately300fourth-gradestudentsfromTampaBay-areaschoolsparticipatedinthecelebration.Activitiesincludedinteractivewaterconservationeducationbooths,music,gamesandprizes,lunchandanawardsceremony.Toreinforcethewaterconservationmessage,eachstudentcreatedapersonalizedpuzzlepiecethatcontributedtotheconstructionofa72-by82-footpuzzlespreadoutacrossthestadium’sfootballfield.PuttingonCelebrate!wasalearningexperienceforDistrictstaff—anexperiencethatwewantedtosharewithothers.Thismanualwasdevelopedsothatotherschools,citizengroupsandcommunityorganizationscouldlearnhowtoplantheirownwatercelebrationeventsthroughouttheDistrict.
Watercelebrationeventsmaytakeonmanyforms.Theycanbelargeorsmall,andcanincludepresentations,clubactivities,neighborhoodpicnics,communityfestivals,fairs,workshops,andclassroomorschoolwideactivities.Regardlessofthetypeofcelebrationthatisorganized,thewatereventscanprovideparticipantswithanopportunitytolearnmoreabouttheimportantroletheyplayinwaterconservation.Remember,it’suptoallofustoprotectourlimitedwaterresourcesnowandforourfuture.Havingawatercelebrationeventinyourareawillalsopromoteenvironmentalcitizenshipwithinyourcommunity.

Introduction Pathways for Planning a Successful Water Festivalisamanualthathasbeendesignedtoprovideenoughinformationtohelpyoueasilyplanyourownuniquewatercelebrationevent.Itisunlikelythatanytwoeventswillbethesame.Justasariverencountersmanyroutesasitmovestowardopenwaters,whileplanningandpreparingforafestivalyoumayalsoexperiencetwistsandturnsasyoumovealongthepathwaysleadingtothefinalevent.Wethinkyouwillfindthejourneyworththecommitmentandeffort.Bythetimeyoureachthefinaldestination,everyonewhohasbeeninvolvedintheplanningandpreparationfortheeventwillhavesomethingtocelebrate!

Gettingstartedmayseemabitoverwhelminguntilyouhaveahandleonthegeneralthemeandsizeoftheeventthatistotakeplace.Tomakethiseasier,beginbyaskingyourselfwhytheeventisgoingtobeheldandwhothetargetaudiencewillbe.Itisimportantthatyouareabletodescribethepurposeoftheeventandthegoalsthatyouhopetoaccomplishbyhavingtheevent.Byhavingaclearunderstandingofthepurposeandgoals,youwillfinditmucheasiertoassembleacommitteeforplanningtheactualevent.UsethePreliminaryPlanningWorksheetonpage9tofillinyourownanswerstothefollowingquestions.

Who is the target audience? How many people are expected to attend? Theeventmaybedesignedtoincludeonlyaclassofstudentsorafewneighborhoodfamilies.Oritcouldbeplannedtoattracthundredsofpeople.Thenumberofpeopleyouexpecttoincludeintheeventwillgreatlyaffecthowmuchplanningandmoneywillbeneededtomakeitasuccessfulexperienceforeveryoneinvolved.Ifyouhaven’tplannedalargeeventbefore,youmaywanttothinksmallforyourfirstwaterevent.Then,afterhavingasuccessfulevent,doitagainandthinkbigger!
How should a committee be assembled? Thenumberofpeoplewhoshouldserveonyourcommitteewilldependonhowbigandelaborateyouwanttheeventtobe.Carefullyselectpeopleforthecommitteebecausetheyareveryimportantforthesuccessoftheevent.Theyshouldbewillingtoservethroughoutallphasesoftheplanning.Afteryouhaveassembledthecommittee,makesureallthemembersunderstandthepurpose,goalsandthemeoftheevent,aswellasthetargetaudienceandnumberofpeoplewhoareexpectedtoattend.Usethepreliminaryworksheettomakeanymodificationsbasedongroupdiscussionsandbrainstorming.Oncethedecisionshavebeenmade,makesureeveryoneisinagreementandcommittedtowhathasbeenestablishedonthepreliminaryworksheet.Thiswillhelpeveryonestayontrackasyoubegintheseriousworkofplanningtheevent!

Selectingavarietyofinterestingpresentersfortheeventwillrequirealotofcarefulthoughtandpatience.Somepeoplemaybeextremelyknowledgeableabouttopicsrelatedtowater,butmustalsobeabletopresenttheinformationinamannerthatiseasytounderstandbytheintendedaudience.Youshouldprovideadditionalcoachingandsuggestionswhennecessary.Also,trytoencouragepresenterstointeractalotwiththeaudience,particularlyifyoungchildrenarepresent.Hands-onexperiencesshouldalsobesuggestedtopresentersasaneffectivewaytoteachimportantconceptsaboutwater.Eachpresenterwillmostlikelyhaveadifferentstyleofinteractingwithchildrenofdifferentages.Bydescribingthecharacteristicsoftheaudiencethatisexpectedtoattend,presenterscangainabetterunderstandingofhowtheywanttoconstructtheirpresentationsothatitwillbearewardingexperienceforboththepresenterandtheaudience.
Should I create a matrix of activities? Ifyouplantohaveseveralactivitiesoccurringsimultaneously,youwillprobablywanttosetupamatrixtokeeptrackofallofthem.Thematrixcanalsobeusedfororganizinggroupsofactivitiesintosequencesortracksformovingpeoplethroughtheevent.Iftheeventconsistsofseveraldifferentclassesofstudents,eachclassmaybeidentifiedasatracksothattheycanmovefromoneactivitytothenextasagroup.Creatingsometypeoforganizationalstructureforyoureventwillbeaneffectivewayofcontrollingthecrowdsandmanagingthenumberofpeopleparticipatingineachoftheactivities.

What about volunteers? Thenumberofvolunteersyouwillneedtomakesureeverythingrunssmoothlywilldependonthesizeandscopeofyourevent.Thebestvolunteerswillbepeoplewhosupportwaterconservationandwanttoprotectournaturalresources.Theywillbeparticularlyenthusiasticaboutsharingimportantwatermessageswiththeparticipants.Fortheevent,thevolunteersshouldbeeasytoidentifyinacrowd.Theymaywearspecialhats,T-shirts,buttons,etc.,sothatparticipantscanfindthemeasilywhennecessary.Remember,volunteersareveryspecialpeoplewhowanttobeattheevent.Hereareafewwaysvolunteerscancontributetothesuccessofanevent:

Thank you for volunteering for the Celebrate! Water Conservation Event to be held on Insert Date at Insert Location. We are all getting very excited about the event as the day approaches.
I am attaching a list of volunteers and assignments for the event, as well as some other information that you will find helpful. Please be aware that some changes to the assignment list may be necessary as the event approaches.
I included approximate times on the attachment. Please be at the Insert Location in plenty of time to report for your assignment. If you wish to arrive early, there will be a brief orientation at Insert Time. In case of rain, we will hold the event Insert Rain Site.
Lunch will be provided and water will be available all day. We advise you to wear a hat and sunscreen, as most of the assignments require being on the field all morning. Insert Name can also provide directions to Location, if you need them.
