The following is intended to guide you and answer any queries that you may have whilst your child is with us. The annotation to the right of each section determines with whom general contact should be made in the first instance.

After school care: Foundation Stage & Key Stage 1After school care is available after school hours up to 6:00 p.m. each weekday evening during term time. The cost of after school care is charged at £14.60 per day ad hoc.

Bedrooms - additional equipmentStudents may not bring toasters, kettles, coffee makers, lamps, all portable cookers, portable heaters, diffusers, WiFi routers or music centres for use in their personal living area. All of these items are provided or available close by. If any of the above appliances are found to be within boarders’ possessions they will be confiscated by a member of house staff due to the potential fire risk posed. All other electrical appliances brought onto our Collegiate site must comply with current Health, Safety and Environmental standards. Boarders can tell if their appliance meets these standards if the appliance has a CE mark.

Boarding - visitorsBoarders are reminded that all areas of boarding houses, with the exception of their bedroom or en-suite facilities, are public areas, in the sense that visitors may be present at any time. Parents, senior staff or workmen may need to visit boarding houses for a variety of reasons and at a range of different times, especially if there is some sort of emergency. Although they are likely to be accompanied by a member of house staff, embarrassment will be caused if students are not appropriately dressed. For this reason, we ask students in boarding areas to be suitably dressed whenever they are out of the privacy of their own rooms. Any work which needs doing within the houses will generally be done during the academic day, when the houses are locked, to minimise any disruption to the students.

Parents / visitors are also asked to be mindful of students’ need for privacy. If you wish to enter a boarding house, even with your child, you must first make your intention and presence known to a member of staff. Please do not be upset if you are challenged as to who you are and why you are here. The safety of our students is paramount.

CalendarDay students, weekly and full boarders are all expected to make a contribution to enrichment and wider Collegiate life, including special occasions such as drama productions, house competitions, open days, social functions and sports fixtures.

Car parkingDay & Boarding parents / visitors / students – Car Park entrance F.

We respectfully remind parents that we have been asked by the emergency services that no cars should go beyond the barriers and in no circumstances be parked close to the entrances in particular of Abbey Chambers or further into the campus near the Phoenix Centre. Cars parking in these areas can block access by fire engines / ambulances and can make the areas dangerous for children. We need to ensure that the central core of the campus, as used by pedestrian children, remains as free from moving vehicles as possible. Even though it may be raining or you may have heavy luggage or small children, PLEASE obey this safety code.

Cars - studentsSixth Form day students who have passed their driving test may drive a car to and from school and park it in the main car park, provided that proof of driving licence and insurance details, have been produced. Annex I must also have been completed and submitted electronically. Day student drivers are NOT allowed to leave school during the academic day without express permission. Sixth Form boarders may drive to and from school on Sunday and Friday evenings, provided they have a full driving licence and have produced the above documents.

Sixth Form boarding students may not drive locally during the week, but may drive at weekends with all the relevant permissions. No liability can be accepted by the Collegiate for loss or damage however caused. If you wish your child to drive a car at school please complete Annex I. Should students, day or boarding, wish to carry passengers, then Annex J MUST be completed by parents of all passengers. All drivers will be issued with a permit that must be displayed in their windscreen and will be allocated a parking bay. Any students caught breaking these rules, or driving without due care and attention will have their permit withdrawn.

CCTVAll the Collegiate grounds, and other appropriate areas, including classrooms, are covered 24 hours by CCTV for the safety and protection of our students, staff and visitors. The Collegiate subscribes to the standard nationally agreed Code of Practice relating to CCTV usage in such circumstances. There are no CCTV cameras in boarding areas, changing rooms, etc, where this would be inappropriate.

Cigarettes, e-cigarettes, alcohol & drugsIt is against Collegiate rules for any student to bring cigarettes, or any other smoking paraphernalia, to school or smoke on campus. We ask boarding parents to ensure that their children are not bringing any banned substances to school at the beginning of term, after half-term or after weekends at home.

No student is allowed to bring alcohol onto the Collegiate premises or be found under the influence. The Collegiate reserves the right to breathalise any student about whom they are concerned. There are social events at which Sixth Form students may be served alcohol, but no spirits.If a student is found under the influence of mind altering substances, they are breaking the Collegiate rules. The drugs do not have to be taken on site, or in term time, and drugs cannot be brought onto site. The Collegiate operates a drug testing system and reserves the right to test any student at any time, if there are any concerns about their welfare and the use of substances. If you suspect your child may be using drugs, or would like any supportive information, please tell us. Together we can work together and offer support.

Failure to complete a sanction requires the student to complete the level above. High level sanctions can also be enforced for an accumulation of lower level sanctions.

School trips: if a student receives a Red Gating, once consent has been received and a place confirmed, the student will not be allowed to attend the trip and no refund will be possible.

CommunicationWhile we offer a huge amount of education in the safe use of the internet, the Collegiate has strict rules regarding computers, laptops, tablets and any other device which is (a) capable of either communicating with the internet and / or other equipment / devices / systems, (b) capable of storing and sending text, personal data or images. This is to safeguard the students and to ensure they stay safe online and have a positive digital footprint. Parents must ensure such equipment has adequate software safeguards wherever possible, to prevent access to, or storage of, offensive or unacceptable content. Students who break the conditions of the Student Acceptable Use Policy may face any of the following: confiscation of any electronic devices, close monitoring of the their network activity, investigatio n of the their past network activity, withdrawal of the their access and, in some cases, permanent removal from the Collegiate and even criminal prosecution. The Collegiate also offers assistance for students to support the safe use of social media. Please note that the Collegiate has the right to confiscate and search any mobile electronic device if it suspects that a student or staff member is in danger or has misused a device. This will be done in accordance with the Collegiate’s policy on searching and confiscation, as set out in the Behaviour and Discipline Policy. Parents are responsible for ensuring any such equipment is insured. We cannot be responsible for any loss or damage howsoever caused.

Contacting your childShould you wish to telephone your son or daughter in the boarding house, or should they wish to telephone you, there are a number of methods which can be used:Every boarding bedroom has a telephone and can receive calls. Your child will be able to tell you his / her telephone number. You can ring in direct to their bedroom. If they are not there you can leave a message on their room voice mail box. Note: At the time we would expect a boarder to be in bed the telephone in their bedroom will cease to function and all incoming calls will be automatically redirected to their voice mail box – this avoids telephones ringing after lights out. The house office is accessible to your child for emergencies when this function is activated.

Parents may ring the boarding house office or emergency house mobile. The emergency house mobile is only available between the house of 22:00 and 07:00. This will connect you with a member of staff who can then help you with any query or help to find your child. If you are unsure what your child’s direct dial telephone number is, or they have moved rooms, a member of staff

should be able to tell you the correct telephone number. Parents are please asked not to make calls during prep or after your child’s bedtime.

Mobile Phones

To ensure that students are accessing only age appropriate material we block access to platforms which should not be accessed by students under 13 years of age. We also operate a Smoothwall filtering system which immediately flags any inappropriate use to the Safeguarding Team. The Collegiate can not be responsible for any inappropriate access to material using their own private 3 and 4G data. Parents and guardians are expected to apply settings which restrict access and support safe use on the internet and social media. Please note that any access to inappropriate material on any device is the responsibility of the person whose name the contract is in. Guidance and support can be found on the pastoral care website, the details of which are sent to all parents and guardians at the start of the year.

E-MailStudents are encouraged to use emails to communicate with home where possible. If your child does not have an email address, our IT staff can best advise on how to open a school email address and give training if required. Students are encouraged to use a school email address, as this is checked for viruses and other types of malware. A student using a school email address can utilize this address anywhere in the world, not just while on campus. If your child wants to use their own existing email address, please be aware the school system will screen any “unpalatable” emails which might prevent reliable communication. If you need help and advice on how to send / receive an email, we will gladly help you.

PostalDependent on which House your child is living in, the postal address is:

(Child’s Name), (Student Number), (Boarding House), Queen Ethelburga’s Collegiate, Thorpe Underwood Estate, York. Y026 9SS, England.

It is very important to remember this because we receive in excess of 3,000 letters per week, and to ensure that personal mail is not opened in error, it is essential that it is addressed as above. When a student leaves, post will be forwarded to the last known address. All children of any age look forward to receiving a letter or a package. Why not post a small package containing a few little “goodies”? The arrival of your package will bring delight

and happiness and it is helpful to clearly label the package of its contents.

The Collegiate has steps in place to detect any contraband items within all incoming post. Contraband items found in post will be confiscated. Items that are banned from being posted to the Collegiate are all perishable food products such as fish, meat and poultry; all UK Supermarket deliveries such as Morrisons, Asda, Waitrose and other national supermarket chains along with all local and international food supplier deliveries such as Amazon Pantry.

Conducting or involvement with...No student may be involved with: a business, company, website, betting, trading, gambling, publication, exhibition, demonstration, or the like, on or off the campus, without the permission of the Principal.

DamageStudents will be charged for damage and breakages in their accommodation; if an individual’s responsibility cannot be established, the reparation costs will be shared jointly

Day activity centre - MugglesThis is available to day and boarding students from Year 6 up to Year 13 subject to conditions.

Energy drinks & protein supplementsHigh energy drinks such as “Red Bull”, “Relentless”, “Rockstar”, “Monster” and “Blue Charge” are banned from campus due to the high sugar content and energy contained within them. Protein shakes, whey protein powder, supplements and bars are also not allowed on site.

ExtrasAll examination fees (eg GCSE, A-Level, BTEC, IELTS etc.,) are recharged to parents, as also are the costs of Awards, Badges, Insignia, Trips etc. For a full

list of possible “extras” please speak to the Bursar’s Office.

Extra meals - Day StudentsDay students who stay on for supper in the evening or lunches at weekends will be charged an extra £10.75 per meal. If you wish your child to take advantage of the facility, please inform their School by mid-morning of the day concerned. Prior notice must be given to the relevant school.

Fire alarmsStudents will be fined £300 and issued with a sanction if they irresponsibly cause a fire alarm and thus mass evacuation of a building. Parents should note the Fire

Service now has the ability to charge £600 for a call out resulting in Fire Engine attendance due to irresponsible actions. It is very serious to tamper with any of the Fire Protection Fire Fighting equipment.

Due to the risk of fire, please note that the possession of matches, lighters, candles or incense sticks is forbidden.

Our Fire Sensors that are located in the boarding houses are very sensitive . The use of all aerosols, such as deodorant sprays or hairspray, is forbidden. We recommend roll-on deodorant for use at school.

GlassesStudents who wear glasses for sports must have a pair with unbreakable, safety lenses.

Going to friends’ houses, parties & staying off-campusParents are reminded that we need to receive written permission from them (or guardians) for a boarding student to be absent from school (e.g. going to a friend’s house for the weekend) by the previous Wednesday. Experience has shown us that what we, or parents, are told about the nature of a stay at a friend’s house is not always accurate. Therefore, it is the responsibility of the parent (or guardian) to personally satisfy themselves as to the nature of any stay away from school and that

there is a responsible adult present: this should be done by the parents (or guardians) personally speaking to the other adult(s), where the stay will take place, before giving their permission to school. We cannot be responsible for what may or may not happen when a student is temporarily out of our care. If a “party” is involved, you may wish to decide whether the person in charge is fully in control and would exercise the same level of care and supervision as you would. Likewise, what precautions are in place to avoid inappropriate use of alcohol, drugs or inappropriate behaviour, and who else may be invited or may attend. It is Collegiate policy that no student may stay at the home of another student of the opposite sex. Students may not stay at hotels, guest houses, or the like unless they are accompanied by a parent or a guardian.

GuardiansStudents of parents who are resident overseas are reminded that a guardian must be appointed for emergency purposes and for visits at Half Term. All Guardians must be on the AEGIS “Permitted Guardian List”.

SEE FORM ~ ANNEX A. Without this form completed no student whose parents are overseas may be admitted to the Collegiate.

Gum shieldsAll students participating in sports must have their own gum shield / mouth guard and wear it when participating. No responsibility can be taken for a student who ignores this requirement. A simple mouth guard can be purchased from the School Shop although much more preferable is a mouth guard made specifically for your child’s mouth / teeth by your own dentist. Although this is more expensive, it does provide a greater level of protection. The school therefore strongly recommends that you ask your own dentist to make a fully fitted mouthguard for your child.

Hoverboards, bicycles & skateboardsHoverboards and bicycles - Hoverboards and bicycles are NOT permitted on site, for safety reasons.

Skateboards, Scooters and Roller Skates - Students are

allowed to bring skateboards, scooters and roller skates onto site. Helmets MUST be worn, and knee/elbow pads are strongly recommended. These are not provided by the Collegiate.

Incidental boardingThere is no extra charge for changing from weekly boarding to full boarding. There are no reductions for missed school, early leaving etc. The Bursar can supply details of school insurance to cover incidents such as these. For temporary boarders, there is a charge each

night of £52.75 inclusive of supper and breakfast, or if students are attending an event the charge is £31.25. Weekend boarding (Friday, Saturday and Sunday nights) would be charged at £31.25 per night and for fourteen consecutive nights the charge is £52.75 per night.

LaundryAll laundry is washed on site for all boarders, although many sixth formers opt to launder their own and have the facilities to do so. Students from Year 10 normally iron their own uniform and clothes. Although considerable efforts are made to monitor students’ laundry, the Collegiate is not liable for lost items.

LockersAll Day Students from Year 4 upwards may have their own locker in school. There are also lockers available for any boarders who want one. Any damage to, or misuse of, lockers will be charged to the person concerned. Lost locker keys will be recharged at £10 for each key replaced. All boarders, regardless of age, have their own personal lockable cash box in their bedroom. However, cash in excess of £5 should be handed to a Houseparent for safe keeping.

Lost propertyAll Day Students from Year 4 upwards may have their own locker in school. There are also lockers available for any boarders who want one. Any damage to, or misuse of, lockers will be charged to the person concerned. Lost locker keys will be recharged at £10 for each key replaced. All boarders, regardless of age, have their own

personal lockable cash box in their bedroom. However, cash in excess of £5 should be handed to a Houseparent for safe keeping.

Medical servicesThe Collegiate employs its own qualified nurses who run the Medical Centre full time. Any parent or guardian is most welcome to ring the Medical Centre to discuss any problems. Tel: 01423 333314. Our school nurses are in daily charge of the Medical Centre and provide immediate care for all students, as well as deal with administration. All boarding students are registered with a local NHS doctors’ practice (Priory Medical Practice) to whom students will be referred by the nurse if the need arises.

MedicationStudents are not permitted to hold any type of medication in their possession or within their bedrooms. All medications must be handed in to the House Staff at the beginning of Term. Any medication found in rooms that has not been authorised by the Medical Centre will be confiscated.

Naming of personal itemsAll articles of uniform and personal clothes / possessions brought to school must be clearly marked with the student’s name. We have teamed up with a company called Identitags, who manufacture laser printed plastic tags that easily attach to clothing. The tags are slightly bigger than the size of a shirt button and completely smooth. A special tool is required for attaching them to clothing, be it on the wash-care label, or concealed in some way i.e. a pocket or fold. The tool is made available in the boarding houses, so if you pass your bought tags to the boarding house staff on your child’s return to school we will attach them. Alternatively, the tool is also available for parents to purchase. https://www.identitags.com/. The tags are also reusable, so they can easily be removed and attached to other garments.

Notification of extra chargesIt costs the School/Collegiate in time and administration to write to seek parents’ permission for an extra charge to go on the bill. For this reason we automatically bill parents for items of lower value and will only write to you where the charge would be £30 or over.

Permission for tripsThe Collegiate will inform parents ahead of the date and time of any off-site visit their child could be involved in and explain the nature of the activities to be undertaken and the educational and enrichment benefits of the trip. Government guidance does not require schools to request consent for all off-site visits, however the Collegiate will respect any parents’ decision to withdraw

their child from a trip. For any visit enquiries, contact [email protected]

The Collegiate will share its vast Weekend Activities programme with parents via email. This programme includes cultural, historical and recreational off-site visits and will highlight any activity of a higher risk nature or involving water. For any Weekend Activities

enquiries, contact [email protected]

The Collegiate will always require explicit written consent from parents of any day or weekend visit involving activities of higher risk and / or water, and for all overnight visits.

Pocket money for boardersWe recommend the following guidelines for appropriate amounts of pocket money which should be transferred either via BACS, cash, or a cheque with reference of your child’s name. All cash must be handed in a sealed envelope to your child’s Houseparent on arrival each term at the boarding house.

A) Juniors: approx. £130 per term. B) Years 6~9 inclusive: approx. £175 per term.

C) Years 10~11: approx. £265 per term. D) Years 12~13: approx. £415 per term.

Posters, magazines, books & DVDsStudents are welcome to decorate their rooms with posters – however, if unsuitable they will be removed. There is a similar situation with magazines / books / DVDs. If common sense would tell a student that staff or parents would be embarrassed by the content of a poster, a magazine, or a book / DVD with strong content, then it must not be brought to school. Only DVDs and other media material of the correct age category for the student and / or friends can be brought to school.

RelationshipsWe encourage friendship but not public displays of affection. Sexual impropriety or “inappropriate behaviour”, regardless of where occurring, may result in suspension or expulsion from the Collegiate.

SearchesUnder the DfE guidance, the Collegiate has the right to search students or their possessions if they have reason to believe they may have prohibited items. The procedure for searching and confiscating are in Appendix 5 of the Behaviour and Discipline Policy.

Shopping, cash, change & phone top-upsThere are shopping trips to local supermarkets for Sixth Form students. The School Shop is open regularly for many essential school items. At two locations on the campus there are “Link” ATM cash machines which accept all the usual bank / building society credit / debit cards, plus change machines, coin + prepay / credit card payphones, and vending machines providing a variety of drinks and snacks, school essentials, postage stamps and pre-pay phone cards. Pre-pay mobile phone top ups are available from the Finance Office.

TakeawayTakeaways are usually permitted for Year 12 and 13 students only, however, from September, they are not permitted for any year groups until further notice. Alternative provision will be offered on site at weekends.

Student CharterChapter House, King’s MagnaQueen Ethelburga’s College & Faculty

This is for all students regardless of age, boy or girl, day or boarder. It explains what you can do, should you feel worried about something and what you may do if you wish to comment about how you are treated. It is important that you read through this charter and keep it somewhere safe. If you lose it, or want a separate copy, or there is something you need to talk about, you can obtain a further copy from your Houseparent, Form Tutor, Pastoral or from the Collegiate Office.

There are two things to remember: You may wish to talk to someone, or b) you may wish to make a point about something.

Either way this Student Charter will help you decide what to do. What to do if you just want to talk to someone Remember you have close friends who may be able to help, or an older student, such as a Peer Mentor or Prefect. If you wish to speak to an adult or professional, your Form Tutor or Houseparent is always ready to help, or any other member of staff you trust. Sometimes you might feel you can’t talk with a member of staff. Then you can talk to, telephone or write to any of the following: • Your Parents • Collegiate Counsellor • Independent Listener• School Doctor (or any of the medical staff ) • Spiritual Lead

In trouble It is particularly important for you to realise that if you are in trouble over something, you can have any member of staff or a friend with you when you are talking with a senior member of staff.

Bullying We are very proud of our reputation as a caring, family community and we do not tolerate bullying in any form. If bullying does occur, you should be able to tell someone and know that incidents will be dealt with promptly and effectively, and you should feel supported. There is a “virtual” bully box on the student intranet where victims, their friends or any observer can inform the Pastoral Team.

What happens if you want to make a comment or complaint about something?

Sometimes you may feel that you would like to make a comment or complaint on something that is worrying you. The first thing you should do is to speak to any member of staff you trust (e.g. Houseparent or Form Tutor); you can have a friend with you if you wish – another student, an older student, Peer Mentor or another member of staff.

If the matter cannot be easily settled, then you can make a formal representation. You can write to your Head of Boarding, Year Head, Head of School or the Principal. You will get a note back saying that your comments have been received within two school days. You will then be asked to talk to a senior member of staff and you can have a friend with you who may be another student, a Peer Mentor, your Form Tutor or any member of staff. A written answer stating what will be done about your complaint will follow.

If within two more days you are not happy that the matter has been resolved, there are a number of possible ways forward: Contact Childline or the Children’s Commissioner for England for further advice. If this leads to somebody speaking to you at school, again you can have a friend or member of staff with you. Involve your parents, if you have not already done so, and they can make a formal complaint under the Collegiate’s Parental Complaints Procedure. Contact the regulatory authorities for independent schools, the Independent Schools Inspectorate or OFSTED.You can find out more about your rights on www.rights4me.org.

Terms and Conditions (revised May 2019): In all terms hereafter:(i) “Collegiate” shall include Queen Ethelburga’s College/Faculty, Queen Ethelburga’s Collegiate Ltd, Chapter House Preparatory School Ltd, King’s Magna School, Faculty of Queen Ethelburga’s Ltd, Thorpe Underwood Services Ltd, The Collegiate Charitable Foundation Ltd, Queens Kindergarten, The Collegiate Formation Ltd and all other associated companies, organisations or partnerships together with the Collegiate Board, Trustees, Principal, Headteachers, staff and professional advisors thereof; (ii) “Parent(s)” shall include natural, adoptive, step and foster parents, guardians together with any other person(s) be they individually or collectively responsible for the physical, emotional or financial wellbeing of the Pupil; (iii) “Pupil” shall include all persons enrolled at the Collegiate such enrolment occurring upon receipt by the Collegiate Registrar of an Application for Registration & Enrolment signed by the Parent(s) - enrolment is subject to acceptance by the Collegiate of the Pupil’s previous educational history and confirmation that all previous financial obligations were met. iv) “International Pupil” as (iii) above and the Pupil’s Parent(s) work or reside outside of the UK for in excess of 26 weeks a year or the Pupil is normally resident outside the UK or the Pupil or Parent(s) do not hold a British passport [excluding members of HM Forces, Foreign Office and Diplomatic staff ] These terms and conditions may by varied by the Collegiate Board at their sole discretion or by the Parent(s) upon written request to and receipt of written confirmation from the Collegiate Board.The Parent(s) accept that commencement or continuation of a Pupil at the Collegiate or settlement of an account in whole or in part is deemed acceptance of these terms and conditions. Where a Pupil’s sibling (be they natural, half, step, adoptive, fostered, or the like) is enrolled at the Collegiate, the Collegiate reserves the right to apply any or all of these terms and conditions to one or all of the siblings as the Collegiate deems appropriate.1) a) the Collegiate account must be settled in full by the Invoice Due Date; b) leaving accounts and all other monies owing must be settled in full no later than 7 days from the Invoice Date thereon.2) Failure to settle the Collegiate account in full by the Invoice Due Date permits the Collegiate to: - a) disallow the Pupil’s bursary/remission/award; b) disclose any or all information concerning the Pupil or the Parent(s) to a third party; c) not enter or withdraw the Pupil from any external examination; d) Parents shall indemnify the Collegiate against all costs and expenses (including any legal costs and expenses on a full indemnity basis) incurred or sustained by the Collegiate in recovering sums due in each case without prejudice to any other rights or remedies available to the Collegiate. Cheques delivered at any time after the first day of term will be presented immediately and will not be considered as payment until cleared. Any sum tendered that is less than the sum due and owing may in any event be accepted by the Collegiate on account only. e) execute a lien over all property belonging to the Parent(s) / Pupil or in the possession of the same whilst at the Collegiate; f ) suspend the pupil from attending / boarding at Collegiate.3) International Pupil(s) must provide an additional enrolment

deposit of up to one terms fees as set by the Collegiate Board. The Collegiate will repay this money on completion of the Pupil’s education at the conclusion of Year 13 or on departure if earlier, provided that the pupil remained at the Collegiate for 3 full terms, (following deduction of any monies due and owing) subject to the Parent and the Pupil’s strict compliance with these terms and conditions.4) The Pupil must follow an Educational Pathway or a course of study and enter examinations as directed by the Headteacher . In the event of dispute between the Pupil or the Parent(s) and the Headteacher or Principal, the Headteacher’s /Principal’s decision is final.5) The Pupil must: a) work diligently and conform to the standards required by the Collegiate; b) attend and participate in Collegiate functions and enrichment activities, courses or functions (which may occur at evenings or weekends); c) attend Collegiate during the standard published term dates. Term time holidays are at the sole discretion of the Headteacher / Principal and are rarely approved.6) The Parent(s) consent to the Pupil’s participation in all Collegiate games, Enrichment Activities sports and activities whether or not they occur upon Collegiate premises.7) The Collegiate does not accept liability for:- a) any property, personal possessions, vehicles, cash, credit cards or the like owned or in the possession of the Pupil, the Parent(s) or any associated person; b) any accident, loss or damage (including sickness and disease) howsoever caused; c) consequential losses.8) The Collegiate operates anti-drugs and smoking policies and reserves the right to test any Pupil at any time.9) In sensitive matters pertaining to the disclosure of the Pupil’s emotional, physical, psychological or moral welfare the Collegiate will, if appropriate, respect the Pupil’s right to confidentiality.10) The Collegiate will take all reasonable steps to ensure the emotional and physical health, safety, moral welfare and reasonable educational progress of the Pupil but will not be held legally, financially or consequently liable for:- a) the Pupil’s unwillingness, failure or inability to study or achieve academic expectations or examination results whatsoever the cause; b) the Pupil’s incorrect, inappropriate or illegal actions/behaviour or interaction/behaviour with other Pupils, anyone or anything else whether occurring on the Collegiate premises or not; c) the Collegiate’s failure to react appropriately to the Pupil’s medical, educational, psychological or emotional needs unless the same has been previously disclosed in writing to the Headteacher / Principal by the Parent(s) and thereafter receipt by the Parent(s) of an agreed designated plan of action from the Headteacher / Principal.11) The Parent(s) must provide to the Headteacher / Principal one full terms’ notice in writing and receive a written acknowledgement therefrom to:-a) discontinue charges for additional tuition or facilities (i.e. music, riding, activities, transport etc); b) withdraw the Pupil from the Collegiate for whatever reason (including the non-return of the Pupil following suspension or exclusion and / or a Pupil not progressing from Chapter House to King’s Magna or from King’s Magna to Queen Ethelburga’s College/Faculty of Queen Ethelburga’s, c) to change from boarding to day status.

Failure to provide such notice entitles the Collegiate to make a charge of one terms’ fees and/or charges in lieu thereof.12) The Collegiate reserves the right, at any time and without prior notice or reason (if appropriate), to:- a) suspend, exclude, expel or remove the Pupil; b) change the basis (be it financial or otherwise) on which the Pupil commences or continues education; c) vary or cease the provision of educational or boarding practices, d) cease providing education and/or welfare where the Pupil fails to conform or adhere to the expected standards including (but not limited to) behaviour, moral welfare, dress/appearance, education, health, Collegiate rules, codes of practice or conduct regardless of whether the failure occurs during term time or upon the Collegiate premises.13) The Collegiate / Charity may, without notice or liability and at its own discretion, introduce, vary, cease or withdraw any bursary/remission/award or the like, courses, facilities or educational or boarding practices, staff or the like or for any reason to vary or cease providing educational or related services as it deems necessary.14) (a) The Collegiate may withhold, disallow or cease any bursary/remission/award and/or receive full repayment of all bursary/remission/awards previously settled where:- (i) the Parent(s) and/or the Pupil act in breach of any of these terms and conditions; (ii) the Parent(s) and/or Pupil fail to adhere to any terms and conditions relating specifically to a bursary/remission/award, be they express or implied; (iii) the Pupil shall fail for any reason, including exclusion and expulsion, to complete his or her education until the conclusion of Year 13.15) Parent(s) agree and accept a bursary/remission/award will not be granted where a Pupil’s IQ is below 90; if any such bursary/remission/award is granted in error all assistance received is repayable to the Collegiate immediately.16) The Collegiate does not accept any liability for loss, injury, damage, illness, death or legal liability, directly or indirectly, caused by, happening through, in consequence of or contributed to by war, invasion, act of foreign enemy or hostilities (whether war is declared or not), civil war, rebellion, revolution or insurrection, military or usurped power or confiscation or nationalisation or requisition or destruction of or damage to property by or under the order of any government or public or local authority, riot, civil commotion, looting in connection with any of the above, strikes or lock outs, nuclear or radioactive escape, accident, explosion, waste or contamination, aircraft or other aerial devices, Influenza or any pandemic or derivation or variant thereof, arising from any fear or threat (whether actual or perceived) of such Influenza, any action taken in controlling, preventing, suppressing or in any way relating to any outbreak of Influenza.17) On occasion of an occurrence expressed in clause 16 above and/or any Authority or Government advice/recommendation/instruction suspending or closing the Collegiate, the Collegiate will not reduce/refund/waive fees or additional charges, except at the discretion of the Collegiate and in exceptional circumstances.18) The Parents(s) agree and accept they must comply with the Collegiate’s rules on quarantine of Pupil(s) and the disclosure of medical information.19) The Collegiate does not accept any liability for be it

financially, consequentially or otherwise for any acts or omissions of the Pupil nor will it reduce/refund/waive fees or additional charges where the Pupil does not attend, participate in or otherwise make use of the service provided due to sickness, accident, loss, damage, suspension, exclusion, expulsion, withdrawal (be it temporary or permanent) or study leave.20) The Collegiate will from time to time make use of CCTV, photographic, video images, sound or digital files or biometric data, of Pupils in; the running of the Collegiate, Collegiate publications, its website, marketing, advertising, films, video, DVD or electronic distribution system or the like. Please see the Collegiate’s Privacy Policy (a copy of which is available on the homepage of the Collegiate website www.qe.org by clicking on Collegiate Policies or otherwise on request).21) The Collegiate will at all times comply with The General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) or any other relevant data protection legislation from time to time in force and effect, when processing your personal information, including financial information relating to the Parents and/or fee payer, and sensitive personal information relating to the Parents and/or the Pupil, as the Collegiate may deem necessary, but always in line with the Collegiate’s Privacy Policy (a copy of which is available on the homepage of the Collegiate website www.qe.org by clicking on Collegiate Policies or otherwise on request) or as is permitted under any applicable law or regulation.22) a) The Parent(s) agree to provide the Collegiate with their full support and cooperation in all matters relating to the Pupil, particularly to ensure the Pupil’s adherence to these terms and conditions; b) If the Parent(s) or Pupil has cause for concern s/he should address them in writing for the attention of the Headteacher / Principal; c) If the Parent or the Pupil feels his/her concerns have not been adequately addressed s/he should address them in writing to the Collegiate Board and ensure the same is delivered by recorded post. If theParent or the Pupil is not satisfied with the response of the Collegiate Board s/he may bring the matter to the attention of a specially convened meeting of the Collegiate Board.23) The Collegiate reserves the rights and interest in any intellectual property rights (IPR) arising as a result of the actions of a Pupil in conjunction with any member of Collegiate staff and/or other Pupils for a purpose associated with the Collegiate. Any use of IPR by a Pupil is subject to the terms of a licence to be agreed prior to use by the Pupil or Parent(s).24) The proper law of these terms and conditions shall be the law of England and the terms and conditions are subject to English Law and Practice and English Law of Jurisdiction.25) A person who is not a party to this contract has no rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of this contract but this does not affect any right or remedy or a third party which exists or is available apart from that Act.26) Bona fide errors and omissions shall not prejudice the rights of either party to this contract but shall be rectified as soon as possible.

Toys & gamesStudents may bring some inexpensive toys to school, for example when there is a craze. The children can play with them at break times or leisure times, but they would not be allowed to have them out during lessons. Hoverboards or Segways are not allowed, and it is advised that students do not bring valuable possessions.

Transport chargesTo save parents the cost of taxi fares to and from airports and railway stations, the Collegiate can sometimes provide a mini-bus with an Estate member of staff to escort students, if there are not less than 10 students travelling to the same place at the same time. However, it is sometimes not practical to provide Collegiate transport. In such circumstances parents will have to pay for the cost of the taxi fare for their child (shared if more than one child is involved). See table below. Escorted short duration trips to doctors, dentists & opticians cost about £22.

TravelIt is vitally important that all travel requests are received through the Parent Portal prior to the relevant deadline that is normally two weeks prior to the travel day. This is to provide the travel department with sufficient time to organise travel requirements, and ensure that the correct arrangements are in place. The Collegiate reserves the right to request for travel arrangements to be independently arranged for requests that are submitted after the Parent Portal closes due to insufficient times for our systems to be implemented thoroughly. Any arrangements that are independently arranged must be lodged with the house staff prior to the student’s departure.

Late Return / Early Departure - Students who depart early or return late back to school after a holiday will be marked with unauthorised absence, which will have an impact on their school attendance record.  The Collegiate has legal obligations to report poor absence

to the Local Authority, as directed by the Department for Education, and UK Visas and Immigration. This can lead to a student being taken off the school roll and the Collegiate withdrawing sponsorship of Tier 4 Visas.  It is imperative that your son/daughter’s travel dates abide by our term dates.

International Students - Due to new government policies, we now recommend that any international student under the age of 16 travels with a letter giving permission for them to travel unaccompanied which has been signed by the parent. This letter will help to reassure the Border Force officer when a child arrives in the UK, that suitable arrangements have been made.

Valuables, cash and personal possessionsValuables and cash must be handed to a Houseparent for safe keeping. There is a lockable facility in each bedroom but this offers only limited security. Please note: Using the school’s security measures is essential as the Collegiate does not accept liability for any loss or damage to property or personal possessions ‘owned or in the possession of the pupil, the parent(s), or any associated person’.

The Collegiate has no insurance policy to cover articles of value against damage, theft or loss: separate insurance should be made for the insurance of any articles of value brought to the Collegiate.

Vehicle trafficOver the years our Campus has seen a marked increase in vehicle traffic. For the safety of our day and boarding children, staff and to create order, there is now a system of strictly enforced Entrances and Exits. Vehicles not adhering to the rules WILL be wheel clamped.

Entrance F / Exit E This is the Main Car Park. Parents are to use ONLY this car park please. On “travel days” luggage should be unloaded in this car park. Estate Staff will be available on travel days between 12noon and 6.30pm to assist with transportation of luggage to the relevant boarding house.

We respectfully remind parents that to use any other entrance, to park in an unauthorised area or to park on a roadway, not only causes a nuisance but may impede the progress of EMERGENCY VEHICLES or other legitimate estate traffic. With so many children on site we ask for your strict adherence to this procedure.

Weekend excursionsBoarders and day students have the opportunity to participate in a variety of activities on and off site on a voluntary basis which broaden their horizons. A list of weekend activities with details of how to sign up for them is sent to parents at the beginning of each term.

Welfare & pastoral support

Whether the parent or guardian of a day student, or of a boarder, there will be times when you may have concerns or worries. You may believe something is not going well for your child and that they need someone to talk to. Students are encouraged to speak to any member of staff they trust, who will guide them towards any necessary support. Our dedicated pastoral team has

overall responsibility for pastoral care across both school and boarding, and are always on hand to offer specialist, tailored support and students all have a copy of the Student Charter which guides them towards support when they encounter problems.THRIVE@QE runs across the Collegiate and offers a huge amount of support for our students. Our pastoral staff, Peer Mentors, Peer Leaders and Buddies are trained to support in areas including Forces, international support, building self-esteem, exam stress, transition, home sickness, bereavement, esafety support, resilience and a huge range of other areas. This helps students to [email protected] Pastoral team also support with behaviour modification and support. Students are encouraged to speak to any staff member they trust and the appropriate support is then offered to help the student. The school employs an Independent Listener who comes in once a week to talk to students, who may want to talk to someone they don’t see every day. We also have a School Counsellor, who comes in four times a week to provide more specialist support to students. We will always inform Chapter House parents if their son / daughter wishes to see either the counsellor or the Independent Listener. With students in King’s Magna, we strongly encourage them to inform their parents if they wish to have this support but, if they are deemed to be “Gillick Competent”, they have the right to attend sessions with the Counsellor / Independent Listener confidentially. Our preferred option is to work with parents / guardians, but there are circumstances where older children have a statutory right to deal with issues confidentially.

Parental Complaints Procedure

IntroductionThis policy applies to Queen Ethelburga’s Collegiate - Queen’s Kindergarten, Chapter House Preparatory School, King’s Magna Middle School, Queen Ethelburga’s College and The Faculty of Queen Ethelburga’s - hereafter referred to as “the Collegiate”. The Collegiate aims to ensure that any complaint is managed sympathetically, efficiently, quickly and at the appropriate level and resolved as soon as possible. We will try to resolve every complaint in a positive way with the aim of putting right a matter which may have gone wrong and, where necessary, we will review our systems and procedures in light of the circumstances of the complaint. Any matter about which a parent or a student is unhappy and seeks action by the Collegiate will be considered to be a complaint and subject to this procedure. The Collegiate’s Parental Complaints Procedure applies to complaints from parents of current students and to parents of former students if the complaint was raised when the student was registered at the Collegiate. We aim to resolve any complaints in a timely manner. Timescales for each stage are set out below in the relevant paragraphs. When we refer to working days, we mean Monday to Friday, when school is open during term time. The dates of terms are published on the Collegiate’s website.

Management of complaints. The Collegiate’s Complaints Procedure has three stages: Stage 1: informal raising of a complaint with the Head of School orally or in writing - further details of this procedure are set out below.Stage 2: a formal complaint in writing to the Principal - further details of this procedure are set out below.Stage 3: reference to the Complaints Panel - further details of this procedure are set out below. Separate procedures apply in the event of a child protection issue, or if the Principal expels or requires the removal of a student from the Collegiate and the parents seek a review of that decision. See the Child Protection Policy and the policy for Expulsion, Removal and Review, available on request from the Collegiate Office and on the Parent Portal.

Record keeping and confidentiality. An electronic record will be kept of all complaints requiring action from the Collegiate. A written record will be kept of all complaints which cannot be resolved informally, and of whether they were resolved at Stage 2 or proceeded to a Complaints Panel Hearing, including the action taken by the Collegiate as a result of the complaints (regardless

of whether they are upheld). The number of formal complaints registered during the preceding academic year will be supplied to parents on request (via the Collegiate Office). Correspondence, statements and records relating to individual complaints will be kept confidential except where access is requested by the Secretary of State or where disclosure is required in the course of an inspection or under other legal authority. A complaint about the fulfilment of the Collegiate’s EYFS requirements will be made available to Ofsted and the Independent Schools Inspectorate on request. In accordance with data protection principles, details of individual complaints will be kept only for as long as is considered to be reasonably necessary in the circumstances.

Complaints to Ofsted and the Independent Schools Inspectorate. Although the Collegiate is inspected by Independent Schools Inspectorate (ISI), an independent organisation which reports to the Government on schools, parents of children in Queen’s Kindergarten and the Reception Year of Chapter House Preparatory School have the right to contact Ofsted if they have a complaint that has not concluded to their satisfaction through the Collegiate’s procedure. Such parents can report their concerns to Ofsted on 0300 123 4666. All other parents have the right to contact the ISI if they have a complaint that has not concluded to their satisfaction through the Collegiate’s Complaints Procedure. ISI can be contacted at [email protected] or at the following address: Independent Schools Inspectorate, CAP House, 9 - 12 Long Lane, London, EC1A 9HA. It is expected that complaints made under this policy will go through the Collegiate’s Complaints Procedure before Ofsted or ISI is contacted. Stage 1 - Informal resolutionWe expect that most complaints can be resolved informally. For example, dissatisfaction about some aspect of teaching or pastoral care or a billing error should be able to be resolved by the relevant member of staff.

Who to contact. Where parents have a concern, are not happy with an aspect of school life or consider that the school needs to take some action, an informal complaint can be made verbally or in writing to the Head of their child’s school. A complaint against the Principal should be put in writing to the Chair of the Collegiate Board, who will follow the procedure set out in Stage 2. A complaint about the Chair of the Collegiate Board should be reported to the Principal and an appropriate person will

be appointed to follow the procedure set out in Stage 2. If, however, it is a safeguarding issue, it should be reported to the member of the Board with responsibility for safeguarding, in line with the Child Protection Policy. Should an informal complaint not be resolved to the satisfaction of the parents within seven working days, or the parent is not satisfied with the response to the complaint, the matter should be notified in writing as a formal Stage 2 complaint using the procedure set out in Stage 2.

Stage 2 - Formal complaintIf a parent is dissatisfied with the response to the complaint under Stage 1, or the complaint requires investigation or involves dissatisfaction with some aspect of the Collegiate’s policies or management, the complaint should be made under Stage 2. The full details of the complaint should be set out in writing and sent with all relevant documents and full contact details to the Principal. The complaint will be acknowledged by letter within three working days, indicating the action that is being taken and the likely time scale.

Investigation The Principal will ask a senior member of staff to act as Investigator and may involve one or more members of the Collegiate Board. The Investigator[s] may request additional information from the complainant and may wish to speak to him/her personally and to others who have knowledge of the circumstances. Written records will be kept of all meetings and interviews held in relation to the complaint. The Investigator[s] will prepare a report on the investigation, which will be considered by the Principal.

Decision The Principal will then notify the complainant in writing of his decision and the reasons for it within 10 working days from the receipt of the formal complaint. Where there are exceptional circumstances resulting in a delay, the parents will be notified of this within 10 working days and informed of the new timescales as soon as possible. Please note that any complaint received within two weeks of the end of a term or half term is likely to take longer to resolve owing to the presence of Collegiate holidays and the unavailability of personnel required for the investigation to be undertaken properly. In this case, in term time, parents will be notified, within three working days, of the delay, the reason for the delay, and when it will be possible to investigate the complaint. If a parent is dissatisfied with the Principal’s decision, the parent can request that the complaint be referred to the Complaints Panel under Stage 3 using the procedure set out below. Early Years

Foundation Stage: Any complaints relating to EYFS requirements and their fulfilment will be investigated and the complainant notified of the outcome within 28 days of the complaint being received.

Stage 3 - Complaints PanelA Complaints Panel Hearing (Hearing) is a review of the decisions taken at Stage 2 by the Principal (or in circumstances where the formal complaint concerns (i) the Principal, the Chair of the Collegiate Board appointed to act in the Principal’s place; or (ii) the Chair of the Collegiate Board, the person appointed to act in the Chair’s place). The Panel will not consider any new areas of complaint which have not been previously raised as part of the complaints procedure. The role of the Complaints Panel is to establish the facts surrounding the complaints that have been made by considering: the documents provided by both parties and any representations made by the Parents and the Principal; and to reach a decision, on the balance of probabilities, as to whether to uphold each complaint in whole or in part. It is not within the powers of the Complaints Panel to make any financial award, nor to impose sanctions on staff, students or parents. The Complaints Panel may make recommendations to the Collegiate on these matters or any other issues as appropriate.

How to request a Hearing. A request for a Hearing must be put in writing to the Chair of the Collegiate Board within five working days of the decision complained of. If the complaint is about the Chair of the Collegiate Board, the request for a Hearing must be put in writing to the Principal. The request will usually only be considered if the procedures at Stages 1 and 2 have been completed. The written request should include: a copy of all relevant documents and full contact details; details of all the grounds of the complaint and the outcome desired; a list of the documents which the parents believe to be in the Collegiate’s possession and wish the Complaints Panel to see. One of the members of the Collegiate Board will be appointed to convene the Complaints Panel and will acknowledge the request for a Hearing within two working days of receipt. If assistance with the request is required, for example because of a disability, this Collegiate Board member should be informed and will be happy to make appropriate arrangements. Every effort will be made to enable the Hearing to take place within 15 working days of receipt of the request. However, parents should note that the Complaints Panel will not normally sit during half terms or Collegiate holidays.

Planning the Hearing. As soon as reasonably practicable, and in any event at least ten working days before the Hearing, the appointed member of the Collegiate Board will send written notification to each party of the date, time and place of the hearing. Copies of any additional documents for the Complaints Panel to consider should be sent to the appointed member of the Collegiate Board to be received at least five working days prior to the Hearing. The complainant may be accompanied to the Hearing by another person, for example a relative or friend. The Hearing is not a legal proceeding and so legal representation is not necessary. If the complainant wishes to be accompanied by someone who is legally qualified, the appointed member of the Collegiate Board must be informed of this at least five working days prior to the Hearing. Parents should note that the Complaints Panel will wish to speak to the parents directly and this person will not be permitted to act as an advocate or to address the Hearing unless invited to do so by the Chair of the Panel. The appointed member of the Collegiate Board will circulate a copy of the bundle of documents to be considered by the Complaints Panel to all parties at least three working days prior to the Hearing.Composition of the Complaints Panel. The Complaints Panel will normally comprise three individuals who have no detailed prior knowledge of the circumstances of the complaint, including at least one independent member who has no connection with the governance, management or running of the Collegiate. The Complaints Panel members will appoint one of themselves to be the Chair of the Panel throughout the proceedings.

The Hearing. The Hearing will be conducted in an informal manner. The parties shall have the opportunity to ask questions and make comments in an appropriate manner. The Hearing is not a legal proceeding and the Complaints Panel shall be under no obligation to hear oral evidence from witnesses but may do so and / or may take written statements into account. All statements made at the Hearing will be unsworn. All present will be entitled, should they wish, to write their own notes for reference purposes. A clerk appointed by the Complaints Panel will take a handwritten minute of the proceedings. All those attending the Hearing are expected to show courtesy, restraint and good manners or, after due warning, the Hearing may be adjourned or terminated at the discretion of the Chair. If terminated, the original decision will stand. Any person who is dissatisfied with any aspect of the way the Hearing is conducted must say so before the proceedings go any further and his / her comment will be minuted. The Chair may, at his / her

discretion, adjourn the Hearing for further investigation of any relevant issue. This may include an adjournment to take legal advice. A Hearing before the Complaints Panel is a private proceeding. No notes or other records or oral statements about any matter discussed in or arising from the proceeding shall be made available directly or indirectly to the press or other media. When the Chair of the Panel considers that all the issues have been sufficiently discussed, he / she will conclude the Hearing.

The Decision. The Complaints Panel will reach a decision on a balance of probabilities unless there is an agreed position. The decision, findings and any recommendations will be confirmed in writing to the complainant and, where relevant, any person complained about, within five working days of the Hearing. The decisions, findings and any recommendations will also be available for inspection on the Collegiate premises by the Collegiate Board and the Principal. The completion of Stage 3 represents the conclusion of the Collegiate’s Complaints Procedure.

It is Collegiate Policy that ALL students, including Sixth Form, whose immediate parents do not live in the United Kingdom, must have a UK based Guardian. This is mandatory to comply with the United Kingdom’s ~ “Young Persons Protection Guidelines”.

A guardian should live in the UK, be a responsible, trusted, “safe” relation or friend of the family, be over the age of 30 years, able to converse fully in English and be capable of exercising proper and adequate supervision. If you are using a “family friend” as a guardian they must not be acting as a guardian for any other student, whether with us or any other educational establishment, and they must not make any financial charge for their services in any way. If they are acting for others or making a charge they are classed as “Professional Guardians” and must be members of AEGIS. Only one guardian is permitted per residential address. Your family member or friend will be required to submit proof of residency and proof of age. Suitable documents are passport, driving licence, utility bill etc.

It is Collegiate policy to decline the appointment of former or current staff members or anyone associated with, or related thereto, as guardians, unless in exceptional circumstances and with the direct approval of the Principal. The Collegiate reserves the right to reassess a student's guardian at any time. It is Collegiate Policy that students do NOT live in rented, or any accommodation, during UK holidays, or at other times during term time when not at the Collegiate, without their responsible adult guardian or parent being present for the whole duration of the stay. Students without a Collegiate recognised guardian will NOT be admitted. Similarly, students {or parents} who discharge guardians or who do not comply with Collegiate Policy in this regard, will have to leave the Collegiate until matters are satisfactorily resolved. Guardians may NOT be discharged without the prior consent of the Collegiate.

Guardians are required to agree to all of the following:To arrange transport to and from the Collegiate where these have not been arranged by the parents and to exercise safe, proper and adequate supervision of the student. To be available within the UK for emergencies and where a student may need to go back to the guardians UK home address at short notice. safety and moral, ethical and physical well being of the student in holidays, or at other times, if the student is away from Collegiate. I understand that sexual harassment is not acceptable and will never be tolerated. Facebook, social media and email use. I will not publish my own and others’ personal details, information or location over any social networking site. I am aware that email is not guaranteed to be private. Messages or any

communication via social media or email supporting illegal activities will be reported to the authorities. I will only create and use an account on the social media platforms that I meet the age requirements for.

Exercise caution when downloading material. I understand that the illegal download and / or copyright of any material, including receiving, sending or publishing, is forbidden and may be passed to the relevant authorities.

I will not download any unapproved software, system utilities or resources from the internet.

Turn off mobile hot spots and not use the network in any way that will disrupt its use for other people. This includes any attempt to harm, destroy or remove any equipment, work of another user, or website connected to

the system. The use of VPN’s (Virtual Private Networks) are not allowed under any circumstances.

Your device, your responsibility. I understand that the Collegiate has the right to confiscate and search any device if it suspects that a student is in danger or has misused a device or the school network. I understand

that any activity from a device I own is my responsibility, including all portable devices and their content or viruses. Devices which have detected viruses on them will have to be handed over to the IT department to have the virus cleared.

All students must follow the rules outlined in this policy when using Collegiate ICT resources and equipment, including all internet access and the Virtual Learning Environment (VLE), accessed from both inside and outside school, and their own mobile devices and electronic equipment. Breaking these conditions may lead to: confiscation of any electronic devices, close monitoring of the student’s network activity, investigation of the student’s past network activity, withdrawal of the student’s access and, in some cases, permanent removal from the Collegiate and even criminal prosecution.   Misuse of the internet will be dealt with in accordance with the Collegiate's Behaviour and Discipline Policy and, where there is a safeguarding risk, the Child Protection and Safeguarding Policy.

The Collegiate is not responsible for any loss of data on the network, computers connected to the network or data storage used on the network. Also, it is not responsible for personal identifying information stored or used by the student in breach of data protection regulations. Data held on the network will be backed up for a limited period. Students are responsible for backups of any other data held. Use of any information obtained via the network is at the student’s own risk.

The Collegiate complies with the Data Protection Act 2018 and General Data Protection (GDPR), when processing your personal information to safeguard your Personal Data. The Collegiate is the Data Controller of Personal Data about students and their parents and/or guardians and is responsible for compliance with the relevant legislation. Further information about how The Collegiate acquires and collects Personal Data can be found in the Privacy Notice for Parents and Students. Instrumental and Vocal tuition at Queen Ethelburga’s Collegiate is provided by one of our highly skilled, well qualified and experienced tutors, on a range of musical instruments. Currently, tuition is available on the following instruments:

 

Please note that it is expected that students bring their own instrument to their lesson, except for piano where they are able to access and make use of a school instrument. Tuition on other instruments may also be available, upon request.Tuition is typically delivered on the basis of 10 lessons each term and our tutors aim to deliver a series of 30 lessons across the three terms of the academic year. Lesson duration is 30 minutes and lessons are delivered on a 1 to 1 basis. In the event that lessons cannot be delivered in school, instrumental or vocal tutors will endeavour to continue to provide tuition through the Video Conferencing feature of Microsoft Teams.Payment and CancellationThe cost of a term of 10 lessons is £271 per student, where the duration of each lesson is 30 minutes. All payment for tuition is added to the students’ school account. ALL LESSONS ARE PAID TERMLY IN ADVANCE. Lessons are delivered throughout the year and run continuously from term to term and from year to year, until such time as a minimum of ONE FULL TERM’s notice is received, through the completion of the INSTRUMENTAL/VOCAL TUITION CANCELLATION FORM on the Parent Portal. We regret that NO REFUND WILL BE GIVEN FOR MISSED LESSONS. PLEASE NOTE: UNLESS CANCELLED, LESSONS ROLL FROM ACADEMIC YEAR TO YEAR. Lesson SchedulingWhere possible, lessons will be delivered to students in key stages 3, 4 and 5 outside of academic lesson time, but where this is not possible, they will be placed onto a rota system, in order to minimise the impact on their academic studies. Students are expected to check the timetable for their lesson on the notice board in music on

a weekly basis. It is important that they are punctual and arrive a few minutes before their scheduled lesson time in order to maximise their learning opportunity. Attendance at all lessons is essential. Students from Chapter House will be collected for their lessons by their tutor.ExpectationsLearning to play a musical instrument is incredibly rewarding and it requires resilience, perseverance, dedication and commitment from students, who must undertake regular practise in order to consolidate the learning from their lessons, improve their skills, develop technique and make progress. The Practice rooms in the music area offer students an ideal environment to focus on this aspect of their learning and these can be accessed both after school and during weekends. It may be necessary for tutors to recommend specific resources, such as reeds, or specialist music books, scores, lyric sheets, etc… to support students with their learning and where the cost for these items does not exceed £30, they will be added to your child’s school account.

Music ExaminationsAll students work with their tutors to develop their performance skills and broaden their repertoire. Some students may have the opportunity to work toward LCM or ABRSM graded examinations, whilst others may progress further to take musical diplomas, such as the LTCL or dipABRSM. Any charges for these examinations will be added to your child’s school account. Entry to these examinations remains at the discretion of the tutor.Musical EnrichmentStudents in receipt of instrumental or vocal tuition are encouraged to take part in a range of musical enrichment opportunities offered at Queen Ethelburga’s Collegiate. Musical enrichment is an excellent way for our students to supplement their academic learning and they can take part in activities such as bands, string groups, choirs and competitions, both at school and within the wider community, which enable our students to further develop and enhance their music journey, whilst also contributing to the wider wife of the Collegiate.

The vehicle should be comprehensively insured, safe and complying with all Road Traffic Act legal requirements.4. The School Office will require an up-to-date photocopy of:a) full driving licenceb) valid insurance details5. No responsibility can be accepted for any loss or damage to the vehicle while it is on the premises.6. The vehicle may only be used for journeys to and from home / Collegiate. Vehicles may not be used to leave the campus during the school day between 8.30am and 4.00pm or for journeys within the school boundary. Boarding students may not use their vehicles for trips during the week, or at lunchtimes / after school. Permission must be obtained for occasional visits during the week from the Head of Key Stage 5 or a member of the Boarding Management Team.  Their decision will be final.  Written permission from the Parent / Guardian for such visits will be sought before any journey is granted.  Estimated timings for the journey must be submitted to the Head of Key Stage 5 or a member of the Boarding Management Team along with a valid mobile ‘phone number and planned route before any keys are released.  It is expected that the Collegiate Reception or house telephone number is added as a contact for at least the duration of the journey and students will be asked to show that this has taken place. 7. Upon arrival at the Collegiate boarding students’ car keys must remain in the safe keeping of the Houseparents.8. No lifts may be given to Sixth Form students without permission from the Head of Key Stage 5 or a member of the Boarding Management Team. permission.  Sixth formers can only carry their siblings if we have parental permission.9. COVID-19 precautions:

The school bus service at QE now covers even more surrounding areas, across eight routes, for the 2020/21 school year.

Safety notice

The safety of QE students is our priority. If there is no one to collect your child at the designated stop, or if we have not been notified of a change to the person there to collect your child, they will be taken back to QE where they can be collected. Should an emergency arise, and you are unable to collect your child until a later time, we can arrange for them to have supper at the school and they will be cared for until you are able to collect them.

All buses are fitted with seatbelts, which must always be worn by students whilst using the service. Failure to do so will result in them being excluded from using the service.
