2019-2020 GME Leadership Development Certificate Program: Action Learning Project Toolkit

Overview of Action Learning Project (ALP)The Action Learning Project (ALP) provides you with an opportunity to apply new skills and integrate resources and support from the GME Leadership Development Certificate Program into a visible leadership contribution to your institution. By selecting, designing and implementing your project, you will have the opportunity to interact with key stakeholders across your institution by applying key learnings from the program and obtaining feedback from your faculty project mentor and peers to help you identify and shape your project. Over the course of the next 11-12 months, you will execute your project with the feedback from your faculty mentor and peers. It is critical to select a project that can be successfully achieved during the timeframe of the program and is endorsed by key stakeholders within your institution.

In order to complete the program and receive a certificate, you are expected to identify and actively engage in a project for the entire duration of the program. Additionally, you are required to attend the 2021 Group on Resident Affairs (GRA) and Organization of Resident Representatives (ORR) Joint Spring Meeting from April 28-30, 2021 at the Hilton in Columbus, Ohio.

Present a poster on your project at the poster session and reception

Attend a graduation luncheon and participate in GME program related activities

By attending the 2021 GRA Spring Meeting, you will be able to showcase your project accomplishments at a national forum as well as network with other GME leaders!

Action Learning Project ToolkitThis toolkit provides you with the information, guidance, and templates needed to successfully identify and execute an Action Learning Project (ALP), which is a required core component of the AAMC GME Leadership Development Certificate Program.

Selecting Your ALPDuring the months between being notified of your acceptance into the program and the April 2020 module of the program is the time to begin exploring possible ideas for an ALP that you will work on for the duration of the program. As these projects are important to your institution, it is critical to engage your supervisor for consultation and input. In preparation of Module 1 in April 2020 module, you must develop three potential ideas to present to your group for feedback. Consider three potential ideas for the ALP that are:

Related to the program content; aligned with one or more of the Institutional Competencies for GME Leaders

Aligned with an organizational and/or personal development needs; examples include: your Annual Institutional Review and/or Annual Program Evaluation associated projects

Aligned with your interests or passions

“In scope” - can be completed by the spring of 2021. We suggest a project or initiative you’re currently, or will soon be, responsible for implementing, that is aligned with the stated criteria for the ALP project.

Approved and routinely reviewed by your sponsor

A project worthy of presenting at your institution upon completion

Examples of Possible Projects

1. Addressing problem learners – this could take several forms:

a. An institutional policy for developing a process for residents with academic and/or professional deficiencies.

b. A standardized form for all performance improvement plans (PIP) for learners with deficiencies.

2. Rethinking Intern and Fellow Orientations:

a. Developing separate orientations for interns and fellows that are done taking into account levels of learning/experience.

b. Integrating hands on activities rather than exclusive talking heads.3. Integrating residents and fellows in the CLER process

a. Creating a Resident/Fellow Quality Improvement Patient Safety council.b. Creating resident champions from each program to address areas identified in the

institution’s CLER report.4. Incorporating faculty development or implementing a faculty development blueprint

a. Designing faculty development sessions that span programs with basic information such as CCC and Program Evaluation Committee (PEC) as well as milestones etc.

b. For a blueprint – list type of faculty i.e. PD, APD, member of CCC or PEC, core faculty, etc. and then list topics all should have completed in faculty development based on their role(s).

Achieving SuccessAs the participant, you are in the driver’s seat for the ALP! Look ahead and visualize results you would like to see.

What will it take to get there? How do you feel as your efforts come to fruition? What noticeable positive impact have you had on your institution? How are others feeling about the implementation of your project?

It is important for you to select a project that you are invested in that will benefit your sponsoring institution, one that you will not have trouble staying committed to throughout the duration of the program, and a project that’s attainable in a 12-month timeframe.

In order to be successful, you will undoubtedly need support from key project stakeholders at your home institution, including but not limited to, your supervisor/sponsor as well as other colleagues who can assist in providing support and resources the implementation of the project. You will initiate a relationship with a Sponsor who will serve as a valued advocate, resource, and guide in the development and implementation of your project.

During the April 2020 module, you will be introduced to your assigned faculty project mentor and the other participants who will be in your faculty project mentor’s ALP group. While you will be selecting a project to work on individually, you will have the benefit of getting input and guidance from your faculty project mentor and other participants on your project. The faculty project mentor will provide bi-monthly feedback and will serve an informal consultant when you hit speed bumps that need outside eyes.

Templates to Help You Stay on TrackThroughout the 12 months you are working on the project, there are a variety of tasks and deadlines. It is important for you to stay on top of them using the hyperlinked templates listed below.

ChecklistUse this template to help you stay organized and on track. The checklist includes all of the tasks needed to complete the Action Learning Project, along with the start dates and the deadlines.

Potential Ideas for your ALPThis template provides probing questions to help you think through three potential ideas for your project, along with space to enter your answers. It also includes an example of a project, which serves as a guide as you begin thinking through the possibilities.

Scoping Document for your Chosen ALPOnce you’ve selected your Action Learning Project, use this template to provide further details. The deadline and the email address for submitting your project plan are included.

Status UpdatesIn June, August, and October 2020; and February 2021, you will use this template to submit a project status update to the AAMC Leadership Development team at: [email protected]. The AAMC Leadership team will provide your updates to your assigned faculty mentor for review and feedback. A conference call will be scheduled by AAMC in September 2020 with your faculty project mentor and peers for the purpose of garnering necessary peer and faculty feedback and recommendations for helping you move your project initiatives forward.

* Please refer to the Project due dates in the Action Learning Project Checklist below. In order to successfully meet the project goals, you must submit your project tasks on-time.

Preparing for the 2021 GRA-ORR Joint Spring MeetingAs mentioned earlier, you are expected to attend the 2021 GRA-ORR Joint Meeting to:

Further defining the scope of your selected Action Learning Project (ALP) is critical to its success. Since projects are being done in addition to one’s regular work, but anticipated to address an active GME related issue, they must be limited to ensure that they are achievable.

Submit your abstract and upload your poster via Cadmium: A link will be provided to you during the second module in January 2021. When you receive the link, please bookmark the website for ease of reference and remember to save your password.

Abstract RequirementsBecause your abstract will be shared with all conference attendees, provide enough information to spark interest and a dialogue during the poster presentation. The minimum word count for your abstract is 350 words, and the maximum is 1000 words.

Please upload your abstract to the Cadmium site by March 16, 2021. It should be a brief, succinct description of your poster that includes the project background, the problem and the approach you are taking to address it, and the outcome or the progress you’ve made thus far.

Poster RequirementsPlease include the following minimum information about your poster, and upload the PDF version to the Cadmium site by April 6, 2021:

Title (NOTE: you must use the prefix: GME Action Learning: as part of your title, and place it at the top of your poster)

The size of your poster must be a minimum of 36” X 48” and a maximum of 48” X 48.” Font size should be at least 20 points and readable from five feet away.

Tips and SuggestionsOverall

Keep in mind that the purpose of a poster is to graphically represent your project in such a way that it generates active discussion.

Simplicity is the key – keep to the point, and don't try to cover too many things.

Design and Layout

Limit text to approximately one-fourth of the poster space, and use visuals such as photos, graphs and charts, and schematics to tell your story.

Use landscape orientation. Poster Title: “GME Action Learning: Poster Title” should be placed at the top of the poster. Font should

be larger than the text in the body of the poster.

AAMC GME Leadership Development Certificate Program Poster should be read left to right. Assist your viewers by using either numbering or arrows as shown in

the graphic below. (These are suggestions only. Use the format you believe will be easy for your readers to follow.)

Allow for white space to avoid clutter. Sometimes less is more.

Visuals

Keep them simple – eliminate unnecessary details, but do:o Include a brief title.o Add labels where necessary, to make the visual self-explanatory.

Number your visuals consecutively according to the order in which they are first mentioned in the text.

Text

Limit the number of paragraphs in a block of text to three or less. Highlight key or summary information in bullet points. If appropriate to your project, include a section on future plans, or potential questions for discussion

with your viewers. Cite and reference any sources of information other than your own.

Poster Presentation

Before the poster session, rehearse a brief summary of your project. Think of it as an elevator speech, something you can deliver in a couple of minutes.

Prepare a longer version of your summary for viewers who are interested in learning more. Consider preparing a short handout summarizing your key points for people who express an interest in

your project.

Cadmium Website

There are three steps to completing information regarding your poster: o Enter your profile (any co-authors)o Enter your poster title and abstracto Upload a PDF of your poster

As you finish each step, a green checkmark appears and your work has been saved. You will be able to make edits to your profile information and abstract until you click Save Submission. When you have completed all steps, including uploading the poster, click the Save Submission button.

Please “withdraw” old versions of your submissions – Under ALP Submissions, click on the old version’s project title, and click the project title again (in blue under ALP Submission ID), then change to “withdraw” status and click “Update ALP Submission.”
