STEP BY STEP GUIDE TO FORMAT A DOCUMENT IN WORD

STEP 1: Copying the File from Floppy to Hard Drive

· Open “Windows Explorer” from “Start” menu:

· In Windows Explorer, click “New > Folder” on “File” menu:

STEP 2: Opening the Text File in Word

· Start Word:

· Once in Word, Click “Open” in “File” menu:

· Choose Hard Drive (C:) in “Look In” box:

· Choose your new folder:

STEP 3: Saving the File as a Word Document File

· Click “Save As” in “File” menu:

· Choose “Word Document” in “Save as Type” box:

· Click on “Save” button:

· Your document is now saved as a Word Document. Any formatting you will do after this will be stored when you save your document again. Do not forget to save it frequently, in order not to lose your work. To do that, simply click on the “Save” button (with a floppy icon on it), or click “Save” in “File” menu:

· First, choose “Page Layout View” by clicking on the “Page Layout View” button at the bottom of the screen. This will make seeing the changes you make easier:

· To delete a certain portion of the text, drag the cursor over the part you want to delete by pressing the left mouse button, then press “Delete” key on the keyboard:

· To format a portion of the text (e.g. to make it bold, italic, or underlined) drag the cursor over the part you want to delete by pressing the left mouse button, then click the appropriate button (e.g. “Bold” button):

· Use “Alignment” buttons in order to set your text Right, Left, Center aligned or Justified.

· To get the text to line up at the right margin, use the horizontal ruler. Click on the “Horizontal Ruler” button until you get the right aligned ruler figure ( û ), then select the portion of the text you want to have right aligned; finally click on the ruler above your page where you want your

text to be aligned. Entering a tab character (by hitting the “Tab” key at top left of the keyboard, under “1” key will align the text to where the horizontal ruler figure is.):

· To give a hanging indent to your text, select the portion of the text you want to format, click “Paragraph” in “Format” menu, then chose “Hanging” in “Special” box under “Indentation”:

· To have larger line spacing between paragraphs then between lines within a paragraph, select the portion of the text you want to format, click “Paragraph” in “Format” menu, then increase “Before” box under “Spacing”. (It is set to 6 points in the example text):

STEP 5: Start a New Document and ….

· After finishing your work on “example.doc”, you may wish to start working on a new document. To do that, simply click on the “New” button (with a blank page icon on it), or click “New” in “File” menu:

· Word, like all other word processing programs, is a very complicated software that lets advanced users do innumerable types of operations on their documents. It is impossible to cover all that can be done by using this software within the scope of an introductory session.

· We recommend you to read related documents and ‘play around’ with the program as much as possible in order to master it.

· Whenever you get stuck, or need to learn how to do some certain formatting operation, refer to the “Help” menu:

· Most important of all, remember to save your work frequently!
