Introduction

This report provides an overview of the work carried out in the Operations Room, Applied

Sciences Department, Higher College of Technology for the academic year 2014-2015.

The operations room is responsible for providing assistance and support related to

advising, admission, timetabling, registration and OJT. The major areas of the duties

handled by operation room members are as follows:

Diploma Level Coordinator: Deals with new intake students from, assignment

of advisors, orientation and allocation of specialization. Conducts workshops for

new advisors and students.

Registrar: Contributes by supporting in advising process via workshops and

monitoring of advising, supervises registration, maintains updated and correct

records of students

Time Tabling Coordinator: Prepares a time-table based on projections received

from advisors, allotting appropriate venues, etc.

On-the-Job Training Coordinator: Arranges for training for all exiting students is

organized in industry by liaising with industry representatives. Also, monitors and

assesses the training.

NOTE: Raw data for the statistics presented here is retained with the respective

coordinators to save space.

DIPLOMA LEVEL COORDINATION

Diploma Level Coordination: The Diploma level Coordinator provides a guiding hand to new students as they enter the department by carrying out the following activities:

Assignment & training of advisors: Advisors are assigned for the new intake. These

advisors are provided with a training session before they tackle their

responsibilities.

Orientation of new students: New students are given an orientation to welcome

them to the Applied Sciences Department at the beginning of every regular semester

and apprise them of the rules and regulations governing them. Student orientation

was conducted on 19th October 2014 in Sem-1 and 21st January 2015 in Sem-2 of AY

2014-2015.

Allocation of specialization: At the end of Diploma Year 1, students are given a

choice of specialization between Applied Chemistry, Applied Biology and

Environmental Sciences. This process is organized by the Diploma Level

Coordinator

Number & Distribution of First Year Diploma Students Gender wise

SPECIALIZING STUDENTS

Students in Applied Sciences Department were specializing in Applied Biology or Applied

Chemistry. In Sem-2, 2013-2014, the department introduced the third specialization that is

Environmental Sciences.

It was a big task for the advisors to communicate with their advisees and get their choice of

specialization on time. To overcome this difficulty from semester-2, 2014-2015, the

submission of specialization choice by students was done online with a set deadline.

ACADEMIC ADVISING

Academic Advising: Responsibilities pertaining to academic advising are as follows:

Allotment of advisees: (along with the Diploma level coordinator) - Ensuring

equitable distribution that accounts for other responsibilities of the advisor.

Transfer of advisees: Ensuring smooth handover of advising responsibilities in cases

of staff leaving the college or going on leave.

Maintenance of records: Records pertaining to number of advisees per advisor, their

intakes and their academic progression are maintained.

Conduction of workshops: At least three workshops are conducted each academic

year to provide training in various aspects of academic advising.

Dissemination of relevant information in a timely fashion to advisors so that they

are kept aware of the changes in rules and regulations.

Registration: Incorporates a number of responsibilities as follows.

Organization and supervision of registration, including liaison with other

department registrars.

Trouble-shooting, particularly in the registration process.

Maintaining updated and correct records corresponding to the registration process.

Maintaining and updating student records and data sheets in the Student

Monitoring System.

Monitoring student attendance, probation and student honor lists.

Follow-up and monitoring of student appeals through the STAAC.

REPORT OF CHECKING OF ACADEMIC ADVISING

AY 2014-2015

Dates: Oct 4, 2014; Feb 6, 2015

STAFF INVOLVED: Ms Hafidha Hattali, Ms. Sajitha Biju Kumar & Ms Geetha Pradeep

SUMMARY

The projections submitted by the academic advisors were viewed against our estimated

TC-3. The advisors concerned were called if major discrepancies were noted in order to

affect the corrections before planning is carried out. The TC1 form and transcripts of

students were collected from academic advisors in the following cases:

1. Probation 3 and 4

2. Critical cases

3. Any confusing or doubtful cases

Some general observations common over the semesters were:

Not considering minimum courses: Probation students were found to be given 5

courses as they were finishing the level.

Not giving priority to pre-requisite courses: Courses that are pre-requisites

should be advised in time to prevent students from getting delayed.

Not giving priority to failed courses: Making the student repeat a failed course in

the following semester increases their chance of passing the course. Students were

advised new courses without considering the failed courses.

Not advising courses to repeat: Students can repeat courses with C, C- or D.

Repeating passed courses helps students to come out of probationary status. Often

advisors fail to consider.

Wrong Projections: Not considering the progression of advisees over the next few

semesters and advising courses in a pattern that delays the students progress.

The workshop was organized by the Diploma coordinator. This workshop is normally held

at the beginning of every semester. It was conducted by Ms Sajitha Bijukumar. The

Briefing the role of an advisor.

Documents to be given to new advisee.

New rules in advising

Induction on use of academic module for advising [ for first time advisors]

Date: Feb 12, 2015 VENUE: Auditorium TIME 1.00 pm -2.00 pm

SUMMARY

The workshop was organized by the staff activity coordinator. This workshop is normally

held at the beginning of every semester to cover issues raised in the previous semester. It

was conducted by Ms Geetha Pradeep. The following topics were covered:

A brief session on advising and registration

Registration related issues and common mistakes in advising

Comments & Feedback: The feedback and other details are retained with the staff activity

coordinator.

In the academic year 2014-2015 APS received a total of 332 students. Semester 1, 2014 -

2015 received the maximum number of students as compared to the other semesters.

Utilization of resources for the AY 2014-2015

The APS has a total of 11 classrooms, 8 small classrooms which has a maximum capacity of

30 students and 3 big classrooms (caravans) with a maximum capacity of 50 students.

The classrooms allotted to APS are M307, M308, M309, M311, M312, M314, M315, M320,

Caravan 8, Caravan 9, Caravan 10,

The APS has 14 laboratories, 5 labs for chemistry section, 3 for biology section, 5 for

physics, 2 for environmental section and 1 Project lab.

Labs M108, M106, M104, NL144, and NL142 belong to the chemistry section.

Labs M303, M305 and M102 belong to the biology section.

Labs M206, M204, M209, SP18 and SP20 belong to the physics section.

Labs M113 and M111 (Project lab) belong to environmental section.

LabM146 is a project lab shared by the chemistry and biology section

Total number of students – Engineering Department

The APS offers three courses at Diploma Year-1for Engineering students. The courses are

Fund of Chem (Engg), Physics 1 and 2.

The department also offers the course Anatomy and Physiology and Biochemistry,

Hematology and Microbiology for Biomedical Specialization. Organic Chemistry, General

Chemistry 1 , General Chemistry 2 and Fundamentals of Physical chemistry are offered for

Chemical Engineering Specialization. The course Pollution and Environmental Control is

being offered to Civil Engineering since Sem-3, 2015.

The number of students taking these courses per semester is as follows. Only 298 critical

students could be accommodated for the course Fund of Chem. (Engg.) – in Semester 3 due

to lack of resources.
