Policy Type: Governance Process Policy Name: Marketing & Communications Support (Project Team)

Position: Marketing & Communications Support Officer Time commitment: Five hours per month (meetings, preparation, execution, review) Term: Project start to finish

Description: The Marketing & Communications Support Officer works with their project team to initiate, plan, execute, monitor & control, and close an oikos Edmonton project

Qualifications: The following are considered key job qualifications:

● Knowledge of the community ● Commitment to organization’s mission and strategic directions ● A commitment of time

● Openness to learning Responsibility: Marketing & Communications support officers are responsible for supporting project managers in the following areas:

● Planning and defining scope ● Activity planning and sequencing

● Developing marketing materials ● Strategic influencing ● Business partnering

● Working with vendors ● Communications management

Principle Duties: Every member of a project team is expected to do the following:

● Prepare for and participate in project team meetings

● Listen to others’ views, advocate their own, identify common interests and alternatives, and be open to compromise ● Provide feedback and recommendations on responsibilities l isted above ● Support project decisions once they are finalized ● Volunteer at project event if needed

● Participate in the project’s initiation, planning, execution, monitoring & controlling, and close phases

● Help the project team to monitor the performance of the project in relation to oikos Edmonton’s overall mission, vision,

goals, core values, and reputation ● Abide by the best practices, Code of Conduct, and other existing oikos Edmonton policies

Other Duties: Recognizing that the supporting officer is a voluntary one, the project manager may authorize officers to take on additional duties i f they do not interfere with any of the above. Accountability: The Marketing & Communications Support Officer is accountable to their project manager. Authority: A supporting officer has no formal authority to direct the Board or the affairs of the organization, unless otherwise authorized. Like other project team members, the Marketing & Communications Support Officer is entitled to make motions and vote on matters

before their project teams. A supporting officer may not, on behalf of the organization, enter into contracts without the knowledge and approval of the Board. Evaluation: The performance of support officers is evaluated at project end in the context of the evaluation of the whole project team and is

based on the carrying out of duties and responsibilities as outlined above & in their job descriptions. Removal of a Supporting Officer: A supporting officer may be removed by a project manager after written consent from the Director of Operations.
