Introduction

Welcome to the Clientside Oceanwide Marine Suite.

This User Guide contains step-by-step instructions on how to perform tasks and use the features in the system.

Note: Access to certain menus, options, and features may be restricted by the rights assigned to a user's account. For moreinformation on available rights, contact your insurance representative.

How To Log OnThe secure login system ensures that only authorized users have access. It is recommended that accounts not be shared, and someinsuring companies prohibit the sharing of accounts. Contact your insurance representative for more information.

Notes:When logging on for the first time, or after the password has been reset, the password will need to be changed uponlogging in. An email should have been received containing a link to the system. Click here for instructions on using the accessemail.

It is possible to verify a shipment certificate, report a loss, and view the status of a claim without having to log on first.

1. Open a browser and enter the web site address in the address bar. The Login page will open.

Note: Creating a shortcut to the site or adding it to the Favorites should be done before logging in. Using the Historyor a shortcut created after login could make it difficult to access the system.

2. Enter the user name and password. Note that passwords are case sensitive.

Note: If the user name is entered and a password automatically appears, then the Windows Autocomplete feature isenabled. This feature is not part of the system, and will not be updated if the password changes within the system. If thepassword has changed recently, the password that appeared should be deleted and the new password entered manu-ally. See Windows Autocomplete in the FAQs for more information.

3. Click OK. If the login was successful, the Status page opens.

Changing the PasswordTo maintain a secure password, it should be changed on a regular basis. The password can be changed at any time through the Pro-file page.

The password will also need to be changed immediately when accessing the system using an access email. An access email will besent to new users, and to users who have requested a password reset through an administrator or using the Forgot Your Passwordfeature.

1. In the main menu, click Tools then click Profile. The profile information can be edited in this page. See the Managing the userprofile section for more information.

2. At the bottom of the page, click Change Password. The Change Password page opens.

3. Enter the Old Password.

4. Enter a New Password. Passwords are case-sensitive, and may be composed of letters, numbers, and special characters.

5. Enter the same password in the Confirm New Password field.

6. Click Change to change the password, or click Edit Profile to return to the profile page without changing the password.

How to use an Access Email

Steps

1. The email will contain a link to the system. Click the link, or copy and paste the entire link into the browser address bar. TheChange Password page will open.

2. The User ID field will already be filled. Enter a New Password. Passwords are case-sensitive, and may be composed of let-ters, numbers, and special characters.

3. Enter the same password in the Confirm New Password field.

4. Click Change Password. The password is changed and the Status Page loads.

Note:Guidelines for new passwords:

l The password should be entirely new. The system will not accept a password that has already been usedrecently.

l The new password may not contain your User Name.l A character may not be repeated three times in a row.l If other rules apply, a message will appear when you try to change the password. The message will detail whatmust be changed in the new password.

Using the Forgot Your Password OptionIf a password is forgotten, the Forgot Your Password link on the logon page can be used to reset the password and allow access.

How to Reset a Forgotten Password

Steps

1. In the Log On window, click Forgot your Password to open the User Validation window.

2. Enter your User ID and Email Address and click Submit. If you have more than one email address or if your email address

has changed, you will need to enter the email address that is registered in your account.

3. A message will appear confirming that an email has been sent to your email address. See the section on Using an AccessEmail for further instructions.

Note: If the Autocomplete feature is being used to remember passwords, it must be updated manually. See the FAQsection for more information on the Autocomplete feature.

If there are any difficulties with using the Forgot Your Password feature, the password may need to be reset by anadministrator. Contact your insurance representative for assistance.

Minimum System RequirementsThe application requires the following hardware and software at a minimum to run the program successfully.

Hardware:

l A computer which supports internet connectivity and a browser (Microsoft Internet Explorer).

l 1024x768 minimum resolution monitor with 16bit color or better.

l An internet connection with a minimum upload and download speed of 56.6K or better.  For optimal response time, an Inter-net connection of 1.0Mbit or better, typical DSL, T1, Cable, or other high-speed connection is recommended.

l Internet outbound connectivity on ports 443 (SSL) permitted on your network infrastructure or firewalls.

Operating system:

The application depends on minimum browser requirements (see below) and not the operating system, so the operating system isnot a stated minimum requirement. However, we suggest using one of the following setups:

l Apple Mac OS X (10.3) or better with all updates (Microsoft Internet Explorer required)

Software:

l Microsoft Internet Explorer version 6.0 or higher.  Versions 7.0 or 8.0 (with compatibility mode turned on) are recommended.

l Browser must have JavaScript enabled and support 128-bit SSLv3 or TLSv1 encryption.

l Adobe Acrobat Reader version 6.x through 9.x.

Using the SystemAccess to all data and features in the system are controlled by each user account.  The type of account you have, and the securityrights and roles assigned to it, will affect the following:

l The ability to see and use certain features and system modules. The ability to view, create, edit, or delete data.

l The ability to see and use data created by other users.  You should always be able to use data you created yourself, unlessyour account has been changed to remove access.

This section describes the following common controls:

Include/Exclude Controls Selecting options between included and excluded lists.

Calendar Lookups Selecting precise dates from the built-in calendars.

Using GridsWhile some screens include simple tables of data that can be sorted by clicking the header, other screens may have multiple pagesof detailed information that requires specific control. This is achieved using the advanced filter and sorting options of the grid.

Note: Not all features are enabled for all grids

Filtering DataThe filter option can be used to filter the data in a column, displaying entries that match or do not match a specified option or text.

Tip: If the filter options are not shown, right click any column header and select Filter Bar from the menu.

1. Click the filter icon to open the filter menu. The available options depend on the type of data in the column you selected.

Not Set No filter is applied to the column.

Greater Than For dates and numerical values, displays entries that exceed the filter value.

Greater Than or Equal To For dates and numerical values, displays entries that match or exceed the filtervalue.

Less Than or Equal To For dates and numerical values, displays entries that match or are less than the fil-ter value.

Less Than For dates and numerical values, displays entries that are less than the filter value.

Equals To Only displays entries that match the filter text exactly.

Does Not Equal To Only displays entries that do not match the filter text exactly.

Like Displays all entries that start with the filter text.

Does Not Like Displays all entries that do not start with the filter text.

Contains Displays all entries that contain the filter text.

Does Not Contain Displays all entries that do not contain the filter text.

Is Null Displays entries that do not include the field being filtered.

Is Not Null Displays entries that include the field being filtered, even if that field is empty.

Is Empty Displays entries that include the field being filtered, but the field is empty.

Is Not Empty Displays entries that contain any value in this column.

Apply All Filters If the data has been changed, this option refreshes the filters.

Clear This Filter Clears the filter text and sets the filter type to Not Set.

Clear All Filters Clears all filter text on the current page and sets all filter types to Not Set.

2. Click in the space to the left of the filter icon to enter the filter text. Results are displayed based on the chosen filter type in rela-tion to this text.If no filter has been selected, a default filter is applied, suitable to the type of data in the column. If the column is for dates, thena calendar lookup can be opened using the down arrow icon .

3. Press Enter after you enter the filter text and the filter is applied. You can modify the filter text and filter type as needed to loc-ate the required entries.

Sorting Data

You can click the header of a column once to sort the data in ascending order, marked by an up arrow . If you click the column again,the system sorts by descending order, marked by a down arrow . If you click the column header a third time, the system removes thesorting, restoring the data to its default order.

You can also right-click any column header to access the sorting options.

Sort A to Z Sorts the column in ascending order.

Sort Z to A Sorts the column in descending order.

Navigating Multiple Pages of Data

If the data in a grid extends to multiple pages, the navigation buttons in the bottom right of the table can be used to move from page topage.

1. Go to the beginning or end of the list using the First Page or Last Page buttons. 

2. Move forward or backward one page at a time using the Previous Page or Next Page buttons. 

3. Click the down arrow next to the page number to jump directly to a specific page.

Customizing the Grid

You can adjust the grids to suit your personal preferences.  You can set the width of the columns, the order of the columns, and evenwhich columns to include.

l To manually adjust the width of the columns: click on a dividing line between the column headers and drag it left or right to thedesired width.

l To automatically widen a column: right-click on the column header and select Best Fit. The column widens to fit the longestentry in that column.

l To change the order of the columns: click the column header you wish to move and drag it to the preferred location within thegrid.

l To quickly remove a column: right-click on the column header and select Remove This Column.

l To choose which columns to include or exclude (There are sometimes additional columns of data you can include in the gridthat do not appear by default):

1. Right-click on any column header and choose Select Columns.  A list of available columns expands.

2. Select or de-select any columns, then choose Apply Changes. The grid is refreshed with the chosen columns.

3. Choose Restore Default View to return the grid to its default configuration.

Saving Custom Grid Configurations

Once you have customized the grid, the changes will persist until you close the browser session.

l To save your custom configuration so that it is applied each time the system displays that grid:

1. Right-click on any column header.

2. Click Save Custom View to save your configuration.

l If you have the appropriate rights and access, you can save the current configuration for all the users of your site:

1. Right-click on any column header.

2. Click Save Site Custom View to save the configuration. Any users who do not have a custom view or session view con-figured will see the grid with the site view you defined. All users can still change the grid themselves and save their per-sonal configuration instead.

3. Click Delete Site Custom View to remove the saved site custom view settings.

l To delete your custom view and return to the saved site custom view, or return to the default system configuration if no site cus-tom view exists:

1. Right-click on any column header.

2. Choose Restore Default View.

Notes: You can save or reset custom configurations for one grid without affecting the other grids within the system. The set-tings for each grid are maintained separately. However, the settings are applied for the same grids accessed through differentportals.

Some grids within the system cannot be customized. Right-clicking the header does not open the configuration menu.

Deleting a site custom view or restoring the default view will not take effect until you refresh the grid. If a session view exists,the changes will take effect the next time you login.

Deleting Multiple Grid Rows in Batch

You can delete one or more entries from the grid at the same time, without having to manage each item separately.

1. Check the selector checkbox (in the grid’s first column) for each list item you wish to delete.

2. Click Delete.

Result

The system deletes the selected items from the policy and removes them from the list. 

Note:When deleting multiple items from a list, if one or more items cannot be deleted (due to data constraints or because ithas been used elsewhere in the system), the system deletes the items it can and notifies you about the specific items it can-not.

You can export the content of a grid in a variety of formats. The content of the grid is exported as it appears, so columns can beadded, removed, and reorganized, and all data can be filtered and sorted before you export the data. The export includes the inform-ation as it is displayed. If there is more than one page of data, the data from all pages is included.

Once the data is ready for export:

1. Click the Export Grid button in the bottom right of the grid to view the export options.

Export root table This option is selected by default and cannot be changed.

Export selected child This option is unavailable.

Table Options

HTML Exports the data into a new browser window.

PDF Exports the data as a PDF file that opens in a new browser window.

XML Exports the data in XML format into a new browser window.

EXCEL Generates an Excel file that can be saved or opened.

TIFF Generates a graphic file in TIFF format that can be saved or opened.

RTF Generates an RTF file that can be saved or opened.

TEXT Exports the data in Txt format into a new browser window.

Portrait / Landscape If the selected export format supports page formatting, this option defines if the output shouldbe in portrait or landscape orientation.

2. Click Export Now to export the grid data with the selected settings. For formats that generate a file, a standard Save/Open dia-logue box appears.  

3. Select if you want to Open the file in a suitable program, Save the file to your computer, or Cancel the export.

Using a Calendar LookupThe Calendar feature appears throughout the system, marked with the icon. You can manually type the corresponding text box orselect it by using the Calendar lookup.

1. Click the lookup icon to open the calendar.

2. Go forward or back one month at a time using the arrows in the top right and left corners.

3. To select a specific month, click the month and year at the top of the window. The Month Selection opens.

4. Go forward or back one year at a time using the arrows in the top right and left, then click the month to select it.

5. To select a specific year, click the year at the top of the window. The Year Selection opens.

6. Go forward or back ten years at a time using the arrows in the top right and left, then click the year to select it.

7. At any time, the Today link at the bottom of the window returns to the current date.

8. Click the day in the calendar to close the window and insert that date in the field.

Tip: Due to differences in international date formats, entering a date manually in the wrong format could result in an incorrectdate. Using the calendar lookup ensures that the correct date is being entered.

Using Include/Exclude ControlsThe Include/Exclude control is made up of two windows. The left window is the Exclude window, and all options within that windoware not selected. The right window is the Include window, and all options within that window are selected.

Options are transferred from left to right or right to left by highlighting them and clicking the arrows between the boxes.

Moves the highlighted options from Excluded to Included.

Moves the highlighted options from Included to Excluded.

Moves all Excluded items to Included.

Moves all Included items to Excluded.

Selecting Multiple Options Using Keyboard Shortcuts

To highlight multiple options which do not appear consecutively within the list:

l Hold the Ctrl key and click each option within the list you wish to select.

To highlight a range of options:

l Click one option then hold the Shift key and click the option at the other end of the range. All options in between will be high-lighted.

l To select or deselect individual options, hold the Ctrl key and click each option.

If you do not want pop-up blockers enabled, you will need to manually disable them.

1. In the Internet Explorer menu bar, go to Tools, the cog icon . If you have a menu option called Pop-Up Blockers, then youhave the Windows XP Service Pack 2 Internet Explorer Browser.

2. Click Turn Off Pop-up Blocker.

Note: If an option to turn off the pop-up blocker is not available, but an option to turn on the pop-up blocker is availableinstead, this means that the pop-up blocker has already been deactivated.

Adjusting the Pop-up Blocker Settings

To use the system, you will need to adjust the pop-up blocker settings to allow pop-ups from our website.

Steps

1. In the Internet Explorer menu bar, go to Tools and then Pop-up Blocker Settings.

2. Type our Web site address in the Address of Web site to allow box and click Add. This means that all pop-ups will beblocked, except pop-ups from our site.

3. Click Close.

Downloading Items with Pop-up Blockers Enabled

Steps

1. In the Internet Explorer menu bar, go to Tools and then Internet Options.

2. Click the Security tab.

3. Click Custom Level. The Security Settings window appears.

4. Scroll down the list of options to a section called Downloads.

5. Select Enable for following three options: Automatic prompting for file downloads, File download, and Font download.

6. Click OK.

Disabling Unidentified Pop-up Blockers Temporarily

If you suspect that an unidentified program is blocking pop-ups, you can disable this program temporarily.

You can disable most unidentified programs by following the steps below.

1. Press and hold the Ctrl button on your keyboard while clicking the Print button.

2. Hold the Ctrl button until the certificate opens completely. If you release the Ctrl button before the certificate has time to open,the program will prevent the certificate from opening.

Using the System

About the Home pageWhen you log on to the application, the Status window appears. Depending on your user rights and configuration, the main menu atthe top of the page contains a maximum of 13 menus.

Menus

The following is a description of each menu option on screen when logging into the system. Note that some options may not be dis-played depending on your administrative rights.

Policy You can search and select a policy in which you want to create shipments or storage declarations for.

Assured You can manage named assureds.

Shipment You can view, modify or cancel shipments, print certificates, and confirm or reject referrals.

Storage You can view, modify, or post storage declarations.

Claim You can view, modify, acknowledge, or reject claims. You can also make claim payments and close aclaim.

Analysis You can generate and review various analysis reports.

Billing You can enter and view miscellaneous charges, payments, and invoices.

Glossary

Additional Charges

Additional charges include taxes, fees, and premiums which are all system-calculated based on pre-defined formulas, configuredin the Administration module. Once linked to the policy the system will apply these additional charges whenever calculatingpremium according to the "triggers" and parameters defined in Administration and at the policy-level.

Annual Minimum Premium Amount

When the system generates the bill to party’s final invoice for the policy term, the system calculates all premium invoiced for thebill to party plus the uninvoiced premium included on the final invoice and compares that to the annual minimum premium per termconfigured. If the total premium for the bill to party is less than the minimum, the system charges a minimum premium adjustment.

Assured portal

The branded client side the assureds will access in order to create and manage shipments, report on system activity and toexecute other system functions for which they have been granted rights.

Billing Period

The time period from which the system selects premium and transactions to include on each invoice. Configuring billing perioddata for the policy (and its bill to parties) determines the billing periods the system uses when it generates an invoice.

Client Side

The branded client side the assureds will access in order to create and manage shipments, report on system activity and toexecute other system functions for which they have been granted rights.

Co-Licensee

A company that is a licensee of the system, that works with another system licensee on a policy. Both licensees can access thesame policy from their respective portals.

Compound Additional Charge

A compound charge is a tax, fee, charge or premium calculated on an amount which already includes another calculated tax, fee,charge or premium amount.

Control

Also known as a user interface control. A user interface control is any element of the graphical user interface (GUI) such as a but-ton or a textbox that a user interacts with directly, to read or edit the system data. Each of the screens in the system is built with vari-ous types of controls.

Country Restriction

Using the Country Restrictions screens you can restrict certain countries for the policy so that when booking shipments throughthese countries the system adds an additional risk premium.

Extended Data Fields

Also known as EDFs. Custom fields each licensee company can create and make available to other companies in the organ-ization (via the Administration module) to capture additional information within the various system modules.

Policy Default Additional Charge

Policy default additional charges apply to every available bill to party included in the policy as of today or any bill to parties addedto the policy in the future. Any additional charge configured as a policy default will be applied to every bill to party associated tothe policy whenever the additional charge is triggered. You can override the default setup for a particular additional charge for aspecific bill to party if required by adding a Bill to Party specific additional charge.  Configuring policy default additional chargesreduces the setup and maintenance when a single additional charge applies to every bill to party on the policy (when there aremultiple bill- to-parties for the policy).

Policy Participants

Brokers, insurers and assured participants linked to the policy.

Policy Template

A policy that can be reused as the basis for other policies that share common details, and require a similar setup.

Policy's Owner Company

The broker or insurer licensee office of record

Proprietary Company

A partner company that works on one or more policies with a system licensee but does not license the system directly. A pro-prietary company’s users can be granted access to the system (via the licensee company’s portal) and can be granted specificrights to view and interact with the policies, shipments, storage declarations and claims they have scope to. 

Rating Dimensions

The variables that rating is based on in the system. For standard policy rating the system uses a five variable matrix of: Route, Con-veyance, Insured Interest, Coverage Option and Packing Method to determine rates and conditions. For special rating the systemstill uses the five variables above but also differentiates based on the Primary and Named Assured.

A grouping of one or more security rights within the system that can be assigned to companies or users depending on the securityrole's setup. Security roles are used to grant system users access to the various system modules and features, on a per policybasis.

Special Rate

A special rate overrides the standard policy rates set in the policy, specifically for one or more primary assureds and namedassureds. With a special rate you can introduce a preferential rate for clients who insure all their goods with you, because of thelarge amount of business they bring. Conversely, you can set a higher (special) rate for clients who make numerous claims, due toof the losses they incur.
