1. To use a handheld device, download the Observation 360 application for the iPad, iPhone ,or iPod

Touch through the Apple App Store.

2. Use your PD 360 log-in name and password to access Observation 360 on your handheld device.

3. To access Observation 360 on a computer connected to the internet, no additional software is

required.

4. Administrators must have access to PD 360 Admin Tools prior to creating templates and accessing

reports.

5. To access the Observation 360 Administrator Tools click on the Admin Tools Application Icon in

PD 360.

6. All users with PD 360 licenses have access to view and manage their own observation feedback.

The Username and Password are the same as those used to access PD 360.

Select the new icon at the top right of the screen.

Upon selecting a template, an organization window drops down to allow you to choose the school.

A window drops down displaying a list of available templates. Select a template.

Select "Observations” to get started.

With the school selected, the list of users available for observation drops down.

Select the target (teacher) to observe. The previously selected template will now open.

Double click on the current title to change the title of the observation (see Object A). click the calendar fields to change the start and end times (see Object B).

Answer each question by selecting a response or by typing to fill in a blank.

Select the edit icon to open the window with options for uploading or deleting observations. Once an Observation is complete, it will appear when the Observations window is opened.

Click Save when the observation is completed. The title and date will show up under the “Observations” tab.

When the upload button is pressed, an email will alert the target teacher, who will then be able to see it in her or his PD 360 focus folder.

The screen will look similar to this (depending on chosen template style):

Use a Pc or a Mac to perform an observation when connected to PD 360

To access Observation 360: Click on the Admin icon.Select Observation 360 Tools from the App Menu.Click on the Observation 360 Web button.

A window opens listing all observations you have completed, including those accomplished on hand-held devices. Use the fields to change your viewing options.

Use a Pc or a Mac to perform an observation when connected to PD 360

1. To view a walkthrough, click on the Walk-through Name.2. To open a printable version of a walkthrough, click on the printer icon next to the walkthrough name.3. To edit a walkthrough, click on the pen icon next to the walkthrough name.

To start a new walkthrough, click on the New Walk icon in the top navigation bar.

A new window will open. Complete the fields in the General Information.1. Name the walkthrough. (Usually the name of the person being observed.)2. Select Category where your template resides. The drop-down will only be populated if you have previously created categories.3. Select Template.4. Select Board/School (district or school).5. Select Teacher.6. Click Next

Access your walkthrough on the next screen that displays general information. Make sure the Send to PD360 icon is visible. This is an indicater that the template has been set up correctly.

Use the arrows to scroll through the pages of your walkthrough. Click on the arrows or the drop-down between the arrows to access the template pages.

In the window next to #1, click to access the drop-down answers. Add feedback notes in the boxes provided. Click Save when completed.

The icons in the top navigation bar give you the options to Cancel, Save, Spell Check, or Send to PD360.

Important directions when setting up templates for use on the Internet:

When using the web-based application, set the form to PD360 to build the template. (Forms set to "Media-x standard or Media-x Long Format" will function on hand-held devices, but will not work with the web-based Observation 360.)

To change the form used for a template: 1. Open Observation 360 Templates through the Observation 360 Tools found in the Admin section of PD 360.2. Select the Templates tab.3. Select the template you wish to change. (If the pen icon is visible, you have access to edit the template.)

4. Set Select Form to PD360. 5. Click Save.

Note: Clicking on the Send to PD360 icon more than once will send multiple copies of the walkthrough to PD 360, including multiple emails to the observed educator.

• Go to PD 360 to view observation notes made of others (or that others have made of you). • Click the Focus Application Icon. • Select Personal in the Apps Menu. • Click on Observation folder under your name.

Observations of you or that you have made using the handheld application can be found under the Focus application in PD 360. Click to expand the folder to find these observations.

Viewing your Observations• Click on the desired Observation to open it.• Assessor is the person who completed the observation.• Target is the person who was observed.

TabsObservation Questions Tab – Response and Notes completed by the Assessor (observer) will show up on this tab. The play icon will link to PD 360 content related to the question.

• Feedback/Comments Tab - Notes can be added by the assessor or the target after the observation has been completed.

• Both parties can use this tab to communicate with each other. • When a comment is made, an email notification will be sent to both parties.

Reports can also be accessed by clicking “Reports” on the iPad (not available in the iPhone/iPod applications). The Real-Time Dashboard feature,

available only on the iPad application, allows the user to quickly view aggregate results for any of the templates.

The controls allow users to choose which template to view, set the time period, and scroll through the elements.

All reports have a version of this screen in common.

1. Select a template for walkthrough summary.

2. choose whether to display only selected walkthroughs (unchecked will include all walkthroughs). Expand the district and select the relevant schools, or, Select All Sites.

3. Adjust the reporting period. Two calendars are provided, showing the beginning and the ending dates of the period for observation (click on the respective dates but select the year and month from drop-down lists).

4. click Submit Report. This opens a new window that can be closed once the report has been viewed and/ or printed. The report options are similar to the those shown below.

Overall Template Report

The Overall Template Report is a graphical representation of each element and checklist within the selected template. Filters may be used to refine the report and/or view comments attached to each element. Depending on the report, different options will be available:

Graph Output Type – allows you to select animated or static image.Report Type – gives you the option of pulling the complete report, or drop-down elements only.Display Value – include or exclude null values.Select Site – for users with access to more than one site. This report can be run for a specific site or for all sites.Subjects – If a filter is applied, the report can be organized by subject.This icon allows the user to click on an element, view comments, and print them.

Note: Elements with drop-down lists are better than elements with open comments for most reporting purposes.

Cross-Tabulation Reports

cross-Tabulation Reports are helpful in analyzing the results from two elements within the walkthrough. For example, if an administrator wants to know whether classroom rituals and traditions have an effect on how actively students participated in the class lesson, he or she can run the following report by selecting two comparison elements as row and column headings.

The Overall Walkthrough Report reports on the number of walkthroughs per school within the district (referred to as “board”).

The Overall Comparison Report compares results from a chosen school with either the district as a whole or another school within the district.

The Overall Element Report allows you to pull individual element responses from all templates. You can choose one or multiple elements for your report.

You will be given a list of all of your elements for selection to be included in the report. click on the down arrow next to an element to add it to the report. click on the up arrow next to an element to deselect it for the report.

An example is shown below:

Clicking on this icon pulls all of the comments that have been submitted in connection with this element.

The Observer Report exhibits total observations made by an observer. Select a name from the top left of the screen; the default is all users. You can view a more detailed report on the observer (this includes dates when the observation was performed) by changing the report type on the top right of the report. Below those options, you can print, save the report, or close it.

This report allows you to view the usage of each template. By default it displays the top 20 templates used. They will be listed from most used to least used by template name. In the third column you will see the number of times the template has been used. The next two columns state the creator of the template and the author’s website.

The Progress Report will give you the name, date, start/finish time of an observation, the person who was observed, and how many elements were used in the observation.
