2 Overview Workforce management solutions are designed to track employee time and attendance. However, with
any time tracking system, human error may occur. An employee, in a rush, may forget to punch in for the
day or forget to punch out for lunch. Missed punches are typically flagged in the system as exceptions
and handled by the employee’s supervisor, requiring them to connect with the employee and manually
enter in the time. How can the NOVAtime solution streamline this process?
The NOVAtime solution provides workflow to assist with missed punches. The Missed Punch Entry feature
enables employees with missed punches to be notified via a time clock, Employee Web Services login
page (EWSlogin), within Employee Web Services (EWS) itself, and/or the mobile app (NOVAmobile). This
feature allows employees to enter in their own missed punches, which are then routed to the supervisor
as an “Unconfirmed Punch” for approval.

3 Configuration The following procedure will demonstrate how to set up the Missed Punch Entry feature.
1. Log in to Administrator Web Services (AWS).
2. For employees using web punch via EWSlogin or the Dashboard Clock gadget, navigate to the
Access > Advanced > Timesheet page. Open the Timesheet Preference section and enable the
feature, “Allow missed punch entry from timesheet” for the selected web punch employee
access group(s).
3. For employees using time clocks, navigate to the HW Devices > Push Clocks > Clock page.
Open the Device Details section for the selected NT7000 time clock and check the option,
“Enable missing punch detection (single-clock - offline).” If employees utilize multiple NT7000
time clocks at the same location, turn on the feature “Enable missing punch detection (multi-
clock - always checks online).”
Note: If the multi-clock feature is enabled, it may slow down the punch process due to an
additional process that validates punches in the server and other time clocks.
4. To restrict employees, supervisors, and/or payroll administrators from submitting or approving
timesheets with unconfirmed punches, navigate to the Access > Advanced > Timesheet page
and open the Timesheet Approval section. Select the applicable employee access group(s) to
add “Unconfirmed Punch.”

5. To track Unconfirmed Punch exceptions in the Dashboard, navigate to the Access > Advanced
> Exceptions page and Preference page to add the Unconfirmed Punch exception.

4 Employee Usage
4.1 EWSlogin
1. When an employee clocks in from the Employee Web Services login page (EWSlogin) and a
missed punch is detected, a missed punch message appears. The employee must log in to EWS
to input the missed punch(es).

2. Navigate to the Attendance > Timesheet page. Select the More Functions button, followed by
Missed Punch option.
3. The Missed Punch window appears for the employee to input missed punches. Click on the OK
button when done.

4. The Timesheet page will appear. The missed punches are processed in the background and
may take a few minutes to appear on the employee’s timesheet.
5. Unconfirmed punches require the employee’s supervisor to either approve or decline
(unconfirm) them. If your NOVAtime system is configured to restrict timesheets with unconfirmed
punches from being submitted, this message box will appear when trying to submit a timesheet.

4.2 Employee Dashboard Clock Gadget
Employees that utilize single sign-on (SSO) to access NOVAtime to punch typically use the Dashboard
Clock gadget to punch and transfer.
1. When an employee clocks in from the Employee Web Services (EWS) > Dashboard > Clock
gadget and a missed punch is detected, a missed punch message appears. Click on the OK
button to navigate to the Timesheet page.

2. The Attendance > Timesheet page appears. Select the More Functions button, followed by
Missed Punch option.
3. The Missed Punch window appears for the employee to input missed punches. Click on the OK
button when done.

4. The Timesheet page will appear. The missed punches are processed in the background and
may take a few minutes to appear on the employee’s timesheet.
5. Unconfirmed punches require the employee’s supervisor to either approve or decline
(unconfirm) them. If your NOVAtime system is configured to restrict timesheets with unconfirmed
punches from being submitted, this message box will appear when trying to submit a timesheet.

4.3 NT7000 Time Clock
1. When an employee clocks in from an NT7000 time clock and a missed punch is detected, a
missed punch message appears.
2. A new window will appear displaying all time punches for the day with a missing punch
occurrence and allow the employee to input the missed punch. Tap on the Submit button when
done.

3. A confirmation message will appear as follows. Tap on the Yes button to complete the
transaction.
4. Unconfirmed punches require the employee’s supervisor to either approve or decline
(unconfirm) them.

4.4 NOVAmobile Mobile App
1. Upon navigating to the Myself page in NOVAmobile, a missed punch message appears when
missed punches are detected. Tap on Yes to navigate to the Missed Punch page.

2. The Missed Punch page will appear. Select the Edit option next to the missed punch to input the
missed punch. Tap on the OK button followed by Done button.
3. The Missed Punch page displays the missed punch data entered by the employee. Tap on the
Submit button when done and a confirmation message will appear. Tap on the OK button.

5 Supervisor/Manager Usage
5.1 – Review/Approve Unconfirmed Punches
1. Log into Supervisor Web Services (SWS).
2. Navigate to the Attendance > Timesheet page either from the Dashboard > Exception panel or
using the hamburger menu icon located at the upper left corner.
3. Select the More Functions button, followed by the Unconfirmed Punch option.
4. The Unconfirmed Punch window appears as follows:

5. To confirm/approve each punch, click on the red checkmark and it will turn green indicating
your approval. To confirm or unconfirm all punches at once, click on the Confirm All or
Unconfirm All button. Click OK to exit the window.
6. The Timesheet page appears accordingly.

6 Conclusion The NOVAtime solution effectively tracks employee exceptions, such as missed punches, providing
organizations with valuable information about their workforce. However, the handling of such exceptions
is also a priority. Streamlined workflows such as the Missed Punch Entry feature expedite time and
attendance processes, saving valuable time and resources that can be allocated to other initiatives.
