Minutes – Board of Directors’ Meeting North Bay Pickleball Club Minutes of the North Bay Pickleball Club Director Meeting held on Monday, September 16, 2019 at Canadore Commerce Court Cafeteria following pickleball play. The five directors were present - Brian Batchelor (President), Dan Burke (Vice President), Tom Cook (Treasurer), Patty Gysel (Secretary), Holly Cangiano (Director at Large – Membership). Membership Report – Director Holly As of today: 35 club members have paid the annual fee of $120 15 club members have paid semester fee of $50 8 club members have paid monthly fee of $20 Holly to send club email with following information: -Reminder playing fees are due now -Added club venue - Widdifield play times 6:30 to 8:30 Fridays -AGM date reminder Monday September 23, 2019 – please read AGM package -Reminder that Monday’s are not available at Canadore Commerce court – Sept 30 final Monday play -email list maintenance – name removal requests Treasurer’s Report Current account balance $9,863. Canadore rental fee for fall semester is owing. Tom will accept e-transfer payments by members at [email protected] only. Tom presented his draft budget that will be presented to club members at 2019 AGM. He will make a few minor revisions. The club is in a good financial position. Playing fees to be adjusted as required for each semester. Note: See draft budget below. 1

Minutes – Board of Directors’ Meeting

North Bay Pickleball Club

Minutes of the North Bay Pickleball Club Director Meeting held on Monday, September 16, 2019 at Canadore Commerce Court Cafeteria following pickleball play.

The five directors were present - Brian Batchelor (President), Dan Burke (Vice President), Tom Cook (Treasurer), Patty Gysel (Secretary), Holly Cangiano (Director at Large – Membership).

Insurance Waiver for club members It was decided that sign-in books will no longer be maintained. Instead a signed waiver will be required from club members. A sample waiver is available on the Pickleball Ontario website and was shared with board members. V.P. Dan to prepare a waiver for club use. Holly to maintain waiver file as part of membership record keeping. Post waiver on club website.

Widdifield Secondary School – new playing venueClub member Clem Eggart took the initiative to find a Friday night play venue for the club. Near North District School Board confirmed Friday nights up until June 14, 2019. The permit is in Clem’s name and he is listed as the contact person. Although the NNDSB did not request an insurance certificate, President Brian will request one from Pickleball Ontario insurers in case one is required.

Widdifield becomes the third indoor playing venue for the NBPC. Play is open to all club members. Play rotation will mirror ESA and incorporate A, B, C courts. NBPC will purchase 3 new nets. Tom to research and order. In the meantime, borrow club member nets until new ones arrive. Holly to arrange.

Clem to request two lockers for net storage. Tom has provided Clem with 6 new Onix Fuse balls (orange).

City Authorized Parking Passes – Pete Palangio Arena Parking passes will be available to club members (Canadore Commerce Court play) again, and will be available beginning Wednesday September 19, 2019. V.P. Dan to coordinate.

Pickleball drills/play at Ecole HeritageJohn Halliday is running a drills/play clinic at Ecole Heritage. His Invitation to participate was distributed via NBPB club email. Participation was limited to 12 people – first come first served basis. This is not a NBPC venue, it was booked by John under Pickleball Ontario auspices.

City of North Bay – NBPC to lobby On Thursday, Director Holly is meeting with Ian Kilgour - Director Community Development and Growth – City of North Bay to provide input on the new ice/sports complex at Omischl Park and the need for a multi-purpose gym that can accommodate pickleball.

Canadore College - New Horizons Seniors Program Canadore College has received nearly $2 million dollars in funding through the federal government’s New Horizons for Seniors Program. The New Horizons Seniors Program is aimed at helping seniors stay active, healthy, well informed and fully engaged in all aspects of their lives.

The college will work collaboratively with community organizations and agencies on the Village Collective Impact Project, with a focus on developing services, programs, and activities to encourage social inclusion and healthy living for seniors in northern Ontario.

NBPC to send letter of interest. V.P. Dan to draft.

2019 AGM PlanningTwo club members have been nominated to fill the two upcoming NBPC board vacancy. Those individuals will be acclaimed at the AGM.

No further policy amendments were received from club members. There were no objections to the amendments that the board prepared and distributed in the AGM package. These are considered to be “house keeping” items for acceptance at the AGM.
