WELCOME

The Division for Interactive Telematic Services provides a variety of services to lecturers and students in order to realize its vision to widen the participation of all communities in the quality postgraduate education programmes of Stellenbosch University by enhancing the virtual mobility of dispersed student populations.

iTS, in collaboration with Faculties and other service Divisions of the University, has established a strategy to support off-campus postgraduate students and lecturers on the iTS platform. These services include the development, management and administration of an integrated technology-based interactive learning system.

The Division of Academic Administration assists students with services such as application and registration procedures, supplying directions to the nearest learning centre, issuing student cards to log in at the learning centres, the dissemination of learning resources, setting up examination centres and appointing invigilators, and making the exam results electronically available. These services are aimed at supporting students to complete their academic programmes successfully.

BLENDED LEARNING APPROACH

The Stellenbosch University model for the presentation of many post-graduate academic programmes is based on a blended learning model which integrates thoughtfully selected complementary face-to-face and online approaches and technologies. Instead of using technology as an add-on, an effective blended learning model requires the intelligent combination of physical and virtual learning spaces that will support the successful realisation of programme goals. In this regard, Stellenbosch University has always attempted to avoid a distinction between “learning with technology” and “learning without technology”.

Lecturers are encouraged to complement face-to-face methodologies with the University’s interactive telematic education platform (iTE) that consists of a continuum of learning opportunities that range from synchronous interaction (satellite-based technology) to asynchronous interaction via the LMS (WebStudies) discussion groups and the student portal. In this way lecturers can improve connectivity with students through broadcasts but at the same time provide continued support and tracking via web-based interaction. Contextual factors determine the blend of activities selected by the academic departments.

APPLICATION AND REGISTRATION OF STUDENTS (DIVISION OF ACADEMIC ADMINISTRATION)

APPLICATION

Students can apply online at www.maties.com by clicking on e-Application. Select ITE (Interactive Telematic Education) if that option is specified in your Faculty’s Prospectus.

Applications are processed by the University’s Admissions office that ensures that incomplete applications and outstanding documents are rectified. Complete applications are sent for approval to the relevant academic departments. Once the student’s application has been approved, the student will receive an information packet including all the information necessary to enroll for a post-graduate programme as well as a username and password to log on to www.mymaties.com.

REGISTRATION

Students register by submitting a registration form electronically and paying registration fees. A proof of registration and other relevant documents (broadcasting schedule, orientation details) are then sent to students.

STUDENT CARDS

All students are issued with Student Cards to enter the learning / examination centres and library as well as to register their presence during a broadcast. Applications for student cards are included in all correspondence from the Division of Academic Administration or iTE students can apply for student cards at http://academic.sun.ac.za/ite/servstud.asp.

INTERACTIVE TELEMATIC BROADCASTS

FACILITIES AVAILABLE IN THE ITS STUDIO

• Standard television cameras for the recording of the presenter and panel guests. A maximum of four panel guests can be accommodated. The presenter and guests are equipped with the necessary microphones and earphones to answer questions posed by students.

• An informal set with a couch and two chairs

• Overhead camera and writing board. This allows the presenter to write with a marker (Koki) on the writing board during the broadcast. Notes, illustrations, books and small objects can also be placed on the writing board and displayed by the camera. The camera is not suited for the display of transparencies. Photocopies of these transparencies can however be used. The camera has a zoom lens for the display of small objects.

• Multimedia computer for the display of PowerPoint slides etc. (CD & DVD)

• Computer monitor and mouse to control interaction with students as well as displaying student’s names and their responses to questions.

• The Chroma key facility makes it possible to create appropriate topic related backdrops to enhance the visual effects during the broadcasts.

• Television monitor displays the final picture, which is broadcast to the classrooms.

• Video machines and basic editing equipment for recording and editing, as well as for the display of pre-recorded material during the broadcasts.

All transmissions are recorded and placed in an archive. Copies of the transmissions are for sale to students who were unable to attend a broadcast and can be ordered on the website at http://academic.sun.ac.za/ite/DVD_order.htm.

INTERACTIVITY DURING THE BROADCAST: THE LECTURER’S MANAGEMENT CONSOLE

Based on information automatically extracted from the University’s student information system, lecturers can view important information on a PC screen in the studio about the students and their participation. This section gives you as lecturer more information on the management console in the studio including:

• Viewing your class list with contact details and photos (if available) • Managing and responding to help requests and questions from students • Sending multiple sms’s to your class • Allowing your students to vote on specific issues

A management console (figure 1), on which the lecturer can monitor and manage student participation during the presentation, is provided on a personal computer monitor in the studio at the lecturer’s desk. The iTS staff in the control room will assist the lecturer with the management of the console by alerting the lecturer when help requests and text messages from the students are received. The iTS staff, in collaboration with the lecturer, will also make the required cellphone calls to allow students to participate in the session.

1. On the second ribbon a drop-down menu (SUN module) allows the lecturer to select from a list the module that is to be broadcasted.

2. The name of the module appears next to active module at the top of the screen.

a) Click show all button to view a complete class list of all students registered for the module; their contact (cellphone) numbers, location, time of help request received and participation in polls are viewed in the first column. b) A green bullet next to a student’s name indicates that the student is logged in for the session while an orange bullet indicates that the student has entered a help request. c) Click on the show hands button to view a list of students who have entered a request for help (all orange bullets). d) Click on the show logins button to view a list of students who have already logged in for the session (all green bullets). e) Click on the clear hands button to cancel all help requests. f) Click on a student’s name to retrieve a photo of the student, which will appear in the third column (provided that a photo of the student is already captured in the University’s student information system). g) Click on the sms all users button to send a text message (sms) to all the students whose names appear on the class list. The text box and send button appear in the third column. Likewise messages can be sent to any individual or groups of students by ticking the corresponding box(es) next to the student(s) name(s).

This detailed contact information of each student can be used for voice calls and/or SMS messaging through click-and-call and click-and-send facilities.

5. Second column

a) All the received text messages (sms) appear in the second column. b) Lecturers can respond by sending an sms back to the student during or after the session or by making a verbal comment via the satellite system. c) The messages can be deleted by clicking on the hide button.

6. Third column

The third column serves as a display area for sending text messages and for retrieving photos from the University’s student information system.

7. Top Ribbon

a) Click the Active module button to view a class list, cellphone number and the location of all the students who have registered for the specific module. All the detail of first column in console view will be displayed. b) Click the votes button to view a summary of student responses to a solicited multiple choice question. c) Click the logs button to view the log files of the last 20 text (sms) messages received and/or the last 20 mifare (student card) transactions. From this page a report can also be generated and sent to the lecturer’s e-mail address by clicking on the drop-down menus and completing the report request form. d) Click on the logout admin button to logout after the session. e) Click on the clear all button to delete all student logins, help requests and received text (sms) messages.

INTERACTIVITY DURING THE BROADCAST: STUDENT LOGIN

To login and communicate with the lecturer students can use all/any of the following:

• their own cellphones; • the University cellphones provided at each of the learning centres; • their student cards; • Web interface.

To login, submit a help request, send a text message or respond to multiple choice questions students use only the sms

protocols of their cellphones or of the provided University cellphones. All text messages are sent to 31498. Most cellphones

require the following procedure to send an sms:

• Select the CREATE MESSAGE feature; • Type the appropriate character (L, H or R) as requested (see later); • Select the SEND option; • The number to which the SMS is to be sent will be requested; • Type in the number 31498 and send the SMS.

LOGIN WITH STUDENT CARD (PREFERRED METHOD)

Students may login free of charge by scanning their mifare student cards with the card reader unit in the learning centres.

The unit consists of two devices – at the top is a card reader for the scanning of the information on mifare cards and at the bottom is GSM/GPRS equipment to send the information to the studio.

LOGIN WITH OWN REGISTERED CELLPHONE

SMS the letter L to 31498 The following will happen next:

• The character L will be sent to the studio. • The system will automatically identify the student number from the registered cellphone number and

will record that student as being present by adding a green bullet in front of the student’s name.

LOGIN WITH UNIVERSITY CELLPHONE

SMS the letter L followed by the students number to 31498 The following will happen next:

• The student number together with the message L will be sent to the studio. • The system will automatically identify the student number in the message that was sent and will record

that student as being present by adding a green bullet in front of the student’s name.

After login the lecturer will be able to see on the console in the studio which students are present at each of the learning centres. Based on the student number the lecturer will have access to the profile information of the student.

Students with Internet access can go to http://ite.sun.ac.za and log on by entering their names and clicking on the send button.

INTERACTIVITY DURING THE BROADCAST: STUDENT HELP REQUEST

Students who wish to ask a question during the presentation may use one of the following options:

HELP REQUEST WITH HELP CARD

Each of the University cellphones is linked to a Help Card that is in the possession of the facilitator. If a student wishes to ask a question during the session the facilitator can be requested to scan a Help Card on the Card Reader. This action will alert the lecturer that a help request is activated from that specific cellphone which is linked to the scanned card. The following will happen next:

• The facilitator will give the cellphone to the student and ask him or her to wait for the phone to ring. A call will be made from the studio to the specific cellphone.

• When the cellphone rings the student may answer the call and ask the question. All the students in the different learning centres will hear the question.

• The response of the lecturer will be transmitted via the satellite link to the learning centre.

HELP REQUEST WITH CELLPHONE

SMS the letter H to 31498

The following will happen next:

• The message H will be sent to the studio. • These attention requests are registered on the lecturer’s console by changing the green bullet into an

orange bullet next to the student’s name. • The system will automatically identify the cell number from which the message was sent and the lecturer

will decide when to call back the sender of the message. • When the sender of the message answers the cellphone in the learning centre, the studio will request the

student’s name and will put the call through to the lecturer. • The lecturer will talk to the student and allow the student to ask a question or make a comment, which will

be heard by all participating students in the different learning centres. • The lecturer terminates the call when the student has asked the question. • The lecturer’s response is transmitted over the satellite system to all participating students in the different

learning centres.

Students can interact with a lecturer by sending text messages to 31498 from any cellphone. The messages will appear on the lecturer’s console to be dealt with at an appropriate time during the lecture.

• The message you have entered is sent to the studio. • The system will automatically identify the cell number from which the message was sent. • The lecturer will decide what action is required after reading the SMS-message.

VOTING / RESPONDING TO A MULTIPLE CHOICE QUESTION WITH CELLPHONE

The cellphones may also be used as remote clickers to respond to solicited multiple-choice questions. Illustrations (e.g. histograms or pie charts) of the outcome of the collective student responses are immediately available to the students on the television screens in the learning centres.

SMS the letter R followed by the option selected (e.g. a, b or c) to 31498 The following will happen next:

• The response will be sent to the studio and because the keyword R was used, will automatically be identified by the system as the answer to a multiple-choice question.

• This will be processed by the system and recorded to your student number as the answer to the multiple-choice question.

• The system records the student numbers and associated answers for later display via satellite to all students attending the session, in a format as decided upon by the lecturer, e.g. a pie chart.

Go to the Stellenbosch University web page at http://www.sun.ac.za. If you prefer the English version of the web page click on the English button in the right upper corner and then select “Current students”.

The browser will open the MyMaties.com web page. Enter your student number (username) and your personal password that was provided to you by the University.

Enter the information by clicking on the button next to Password.

On the next web page click My Profile then Personal Details to proceed.

All your personal details will be displayed on the next page. If you want to change or register your cellphone number click on Change Information

IMPORTANT GUIDELINES

ARRANGEMENTS FOR BROADCASTS AND PRE-RECORDINGS

The studio must be booked well in advance – preferably in the last semester for the following year.

The following arrangements must please be made 1 week in advance.

• Names and contact numbers of presenters.

• Arrange for training and dry runs in the case of first time presenters.

• If necessary, arrange for pre-recordings in the studio.

• Arrange for the use of any pre-recorded video material during the broadcast.

• Arrange for panel discussions during the broadcast.

• Arrange for use of informal set during the broadcast.

• Arrange for the display of models / objects during the broadcast.

The following must be handed in at the studio 3 days prior to the broadcast:

• A layout of the presentation (agenda).

• PowerPoint slides (presentation) which are to be used during the presentation.

DRESS CODE

Certain colours and patterns do not appear well on television. Avoid clothes with prominent blocks or striped patterns as well as bright colours such as neon pink, neon blue, red or black and white.

POWERPOINT GUIDELINES

• Choose a dark background e.g. Blue, Purple, Green etc. but not Red.

• Preferred font: Arial or Tahoma. Serif type fonts e.g. Times Roman and Courier are not suitable.

• Minimum font size 32 Arial or Tahoma Bold. Avoid placing too much information on a slide; the text will be illegible on a television screen.

• Text colour should be white or yellow. Please do not use Red

• Allow for a margin of 1cm all round.

• Computer slides with a high contrast between text and background are best suited for display on TV screens.

ITS has a mobile camera unit that can be booked for the recording of any event that a lecturer would like to use within the teaching and learning environment – whether it be as a clip during a satellite broadcast, in a WebStudies module or during a face-to-face session with students. Examples include medical procedures, laboratory (chemistry, physics) procedures, agricultural procedures and role play within a business environment.

The process includes three phases: Pre-production, production and post-production and the clients should be available throughout the process for requisite meetings. It is very important to book a recording well in advance and to schedule a pre-production meeting to plan the production phase that includes an on-site visit of where the recordings will take place.

PRE-PRODUCTION

This is the planning phase where the necessary information about the recording/production is gathered. During the initial meeting with the client the following aspects are discussed:

• Dates and times of recording

• Length of final programme

• D-date for delivery of final product

• Type of recording (lecture, demonstration, role-play, sport, instrumental/song)

• Desired outcomes of the programme

• Target group

• Physical place (on- /off-campus, inside/outside, lighting, day/night, big/small, noise level)

• Number of participants (single presenter, group discussion, “actors”)

• Sound requirements (live sound during recording, voice artist, music)

• Responsibilities of each team member

• Editing

• Duplicates

• Costs

The information above is used to prepare a quote and if the client is satisfied, production starts.

PRODUCTION

We visit the venue before the recording to prepare for the recording. The recording is then made. The information gleaned at the pre-production meeting is used to determine the equipment needed for the recording, e.g. the type and number of lights, microphones, props, etc.

POST-PRODUCTION

The editing, voice recordings and music are done and compiled to complete the production. The client remains involved in the process, gives input and articulates his/her needs to ensure that the outcomes of the production are reached.

After completion of the production the client receives the master copy as final product and additional copies can be ordered.

DUPLICATION OF DVD’S

The increase in requests for copies of DVD’s made it essential for iTS to invest in a high speed DVD duplicator.

The new duplicator can burn and colour print on as many as 100 DVD’s without someone changing DVD’s.

This investment will definitely contribute to more efficient and professional service by Telematic Services.

The multimedia advisor provides support to lecturers who wish to enhance the richness of the virtual off-campus component of their postgraduate programmes by creating effective virtual learning spaces.

VIDEO CONFERENCE FACILITIES

HOW DOES IT WORK?

From 2009 the Division for Telematic Services is responsible for the University’s video conferencing units. The system enables audio-visual person-to-person communication for meetings/interviews. The video conference facility was upgraded in 2010 with cutting edge technology with the acquisition of a new Polycom HDX 8000 video conference unit (codec), an HD camera and 2 50” HD screens. The unit’s content capability includes both people and content (send and receive).

The protocols supported are:

• ISDN via H.320 (includes "bonding").

Line speed: 3 x 128kbps = 384kBps

• IP via H.323

Line speed: 384kBps (Please note that a variety of factors can influence the line speed)

The booking of the facility is not only necessary to ensure that the facility and support personnel are available, but a trial run can also be organized to ensure that the video conference is successful.

DISTRIBUTION OF LEARNING MATERIAL

COURIER OF LEARNING MATERIAL

ITS provides a service whereby learning materials can be couriered to students. Once registered, a picklist of learning materials can be generated for every student registered on the ITS platform. The picklist is created by linking the correct learning material to each module. This information must be supplied by the relevant academic department to the Division of Academic Administration at the end of each year or at the beginning of the year before registration takes place. iTS can then courier the relevant material to the student.

Departments are requested to provide iTS with the correct material per module at least 5 working days (national) and 2 weeks (international) before the material should be couriered to allow for the preparation of the courier parcels. Please note that the courier delivery can take between 1 and 5 working days (national) and between 5 and 8 working days (International). The ideal is therefore that the learning material is already available at least one month before the first broadcast to ensure that all students have the material before their first broadcast.

Academic departments may also choose to include dvd’s of broadcasts as part of the learning material to students who are too far away from learning centres. iTS can also courier these dvd’s to students.

Students can order dvd’s of the broadcasts via a web-form available at http://academic.sun.ac.za/ite/DVD_order.htm if they could not attend a specific broadcast or if they want to use the dvd as revision material.

EXAMS FOR OFF-CAMPUS STUDENTS

HOW DO STUDENTS GET ASSIGNED TO EXAM VENUES?

Students choose a learning/ exam center on the registration form when they register for a program at the beginning of each year. See http://academic.sun.ac.za/ite/centres.asp for all the exam venues. Normally students who are further than 200 km from the nearest learning / exam centre and students from outside South African borders submit a request in writing to the Division of Academic Administration to take exams at alternative venues.

ITE students are examined in June (first semester modules) and in November (second semester and year modules). Second opportunities take place in December (first semester modules) and in January (second semester and year modules).
