NJTL Tracking System Reference Guide

1. Getting Started

A. NJTL Tracking System Link

B. Registration – for new users ONLY

If you have not participated in the National Student Athlete Competition before, you

will need to register. On the first screen, locate the “Create Chapter” button on the

upper-right hand side.

Click here and fill out the information on the next screen (see Appendix 4 for a view

of this screen.) You are required to fill out your first and last name, email, section,

phone number and provide a password. Additionally, it would be helpful if you

could complete information on your program contacts as well. There are tabs for up

to 3 contacts to be listed in association with your NJTL. Once you submit this

information, it will be sent to us for approval and you will receive an email

confirmation once your request is processed.

C. Compatibility View

2. Monthly Activities

A. Monthly Attendance

i. Click on Attendance from the menu on the left of the Chapter Dashboard

ii. Click on Copy Previous Month and “Yes” when prompted

iii. Click Submit

B. Add Participant

i. Click “Add Participant”

ii. Fill out information in Participant Profile (see Appendix 3)

a. You must enter First Name, Last Name, Gender, and Grade Level

b. Remember to enter the USTA ID Number in order to track tennis

points for NSAC

c. Check boxes for programs child is participating in—First Serve Life

Skills Curriculum and/or National Student Athlete Competition

d. Click Ok

iii. Click Submit

C. Remove Participant

i. Participants are never removed from the system; they are simply removed

from your roster list.

ii. Uncheck boxes for both programs (see Appendix 3)

D. Export Data

i. Click the Export button at the top of your Chapter Dashboard (see Appendix

1)

ii. This provides you with a raw data export, with all information from grades

to tennis points, which can be useful to create graphs for grant requests, etc.

iii. Additionally, there is an Export Previous Year button to generate all data

from the 2013-2014 competition year.

3. National Student Athlete Competition

A. Enter Report Card Grades

i. Click on Report Cards from the menu on your Chapter Dashboard

ii. Enter letter grades for all four subject areas for each participant

iii. The system will automatically generate points

iv. You can add and edit grades as many times as you want throughout the

quarter, however, once you click Submit, you will not be able to make

changes

B. Upload Report Card i. Click Report Card Upload

ii. Upload report cards just as you would any other document

iii. You can upload report cards as many times as you want throughout the

quarter, however, once you click Submit, you will not be able to make

changes

iv. We ask that if possible, please alphabetize by last name

C. View Rankings

i. Click Ranking from the menu on your Chapter Dashboard

ii. Click Show Verbose Rankings for more information

a. Remember to use the compatibility view if this option does not

appear automatically

iii. View breakdown of points for all your chapter’s participants separated by

gender and school level

D. View TennisLink

i. Click on participant’s name to pull up his/her profile

ii. Choose the TennisLink Data tab (see Appendix 3)

iii. View singles tournaments played and JTTs entered

E. Arthur Ashe Essay & Art Contest Participation

i. Click Contest from the menu on your Chapter Dashboard

ii. The third column is “Submitted,” click in the box and you will see two radio

buttons—if the participant submitted an entry for the Arthur Ashe Essay &

Art Contest, select Yes

iii. The system will automatically add the points

4. Life Skills Curriculum

A. Copy of Life Skills Curriculum

i. You can find a PDF version on your Chapter Dashboard (see Appendix 1)

B. Start Curriculum

i. Click on Curriculum from the menu on your Chapter Dashboard

a. If you don’t see a participant’s name, go back to Attendance and

make sure the box is checked on his/her name in the Participant

Profile for the First Serve Life Skills Curriculum program box

ii. Click the box for the appropriate LSC level (Game, Set, Match) and choose

Started

iii. This will generate an order for Playbooks that you will receive by mail

C. Graduate Curriculum

i. Click the box for the appropriate LSC level and choose Graduated

ii. This will generate an order for Graduation Certificates that you will receive

by mail

NJTL National Student Athlete Competition

I: General Information

A. About the NJTL National Student Athlete Competition

The NJTL National Student Athlete Competition (NSAC) is a 12 month, point-based competition

whereby children (“Student Athletes”) earn points from School Report Cards, AAEC entries, tennis

tournaments, and Jr. Team Tennis participation and performance. College scholarships are awarded

to the winners nationally and locally.

B. 2014-2015 Competition Calendar Student Athletes (i.e. youth participants) compete for a 12 month period. NJTL Chapters indicate any

changes on the 15th of each month and collect/submit Report Cards 4 times during the Competition

Year. All reporting take place via NJTL’s Online Reporting System:

- August 16, 2014 – August 10, 2015:

Competition Start and End Date

- 15th

Monthly:

Indicate “No Change” or changes; beginning Nov. 30, 2014 and ending Aug. 10, 2015

- July 10, 2015:

A. How Student Athletes Earn Points

Earning points is simple and tracked automatically via the NJTL Online System:

1. Participation/Duration: children indicate to their NJTL Chapter that they would like to

compete for one year and the NJTL Chapter lists the child on their Roster. Children can be

added and/or removed throughout the entire competition.

2. School Report Cards: children provide their NJTL Chapter with copies of their school report

cards and the NJTL Chapter enters the grades at any time during the year. Copies of report

cards are uploaded once per year.

3. Arthur Ashe Essay Contest: children are allowed 1 entry per year to count towards their

NJTL NSAC ranking points

4. Tournaments and JTT: children provide their NJTL Chapter with their USTA # and the

National Junior Tennis & Learning (NJTL) automatically tracks and reports all Singles

Matches (tournaments) and Jr. Team Tennis (per day of play) that appears on

TennisLink

III: Monthly Reporting and Report Cards

A. Monthly Reporting via NJTL Online System

Monthly Reporting is a simple yet extremely important system which tracks the Student Athlete’s

participation and performance. The data is also a valuable tool for NJTL Chapters as the

academic, tennis, and demographic information can be leveraged to encourage additional support,

funding, and serve as a quality indicator.

As a new NJTL Chapter competing in the NJTL NSAC, complete:

1. Internally with your team, create a “Roster” of Student Athletes who will compete in the

2014-2015 NJTL NSAC and include:

a. First Name

b. Last Name

c. School Grade Level

d. Gender

e. Ethnicity

f. USTA #

2. On the 15th

of each month, log onto the NJTL Online System and indicate “no change” or

changes. Webinar training will be scheduled over the next month.

B. Report Cards Entry via the NJTL Online System

At the start of the Competition Year, inform parents, guardians, families, and Student Athletes

that they must provide the NJTL Chapter with copies of School Report Cards for the entire

Competition Year.

1. Report Cards will be submitted via the NJTL Online System once per year: any time before

July 10th, 2015 at 11:59pm EST.

Report Cards can always be entered before the deadline, but not after.

V: Official Rules of Play

A. 2014 – 2015 Competition Year:

- Overall Competition:

Start: August 16, 2014 at 12:00 am EST

End: August 10, 2015 at 11:59 pm EST

- Report Card Deadlines (entered via the NJTL Online System):

Final Report Card Equivalent: July 10th, 2015 at 11:59 pm EST

- School Report Card Periods:

Trimester system: 2nd

trimester counts as Q2 and Q3

Semester system: 1st semester counts as Q1&Q2 and 2

nd semester counts as Q3&Q4

5 or More: NJTL identifies 4 grading periods for those with 5+ reporting periods

- Arthur Ashe Essay Contest Entries:

Only 1 entry per competition year allowed

B. Competitor (i.e. Student Athlete) Qualifications:

1.1. Competitor must be entering 1st grade – 12

th grade

1.2. Competitor must be deemed by NJTL Chapter as “underserved”

1.2.1. NJTL Chapter should exercise sound moral judgment as to the admittance of Competitors

into the NJTL NSAC. We have a responsibility to our donors and local community to truly

serve those who are underserved and to those who have limited opportunities in the areas of

education, life skills and tennis development to the best of our ability

1.3. Competitor must be an active participant of an NJTL Chapter during Competition Year

1.3.1. Competitor’s name must be on the Monthly Reporting for each month of active

participation during Competition Year

1.3.2. Competitor’s name and Student Athlete designation (SA) must be on the Monthly

Reporting PRIOR TO accepting the Competitor’s report card.

1.3.2.1. It is the responsibility of the NJTL Chapter to ensure Monthly Reporting is

accurate, complete, and timely

1.4. Monthly Reporting must be submitted via the NJTL Online System no later than the 15th day of

the subsequent month

1.4.1. Duration for participants will NOT be counted for any month that Monthly Reporting is

received after the 15th day of the subsequent month

1.5. Competitor’s report cards entered on or before the Report Card Deadlines above

1.5.1. Report Card Quarter Equivalents received after the respective deadline will result in zero

points awarded for each deadline missed

1.5.2. Only third party (i.e. report card or computer print out from the Competitor’s school)

evidence of grades will be accepted

1.6. The USTA/NJTL will only track Competitors who have USTA Membership #s and will award

points only for Junior Singles Tournaments and Jr. Team Tennis results that appear on

TennisLink during Competition Year (See Section 2.3.2 for qualified tournament points and

Section 2.3.3 for USTA Jr. Team Tennis (JTT) participation points)

1.7. No points will be awarded for report cards, tournament results, or JTT participation, reported

after the Competition Year End date and time.

1.8. Competitors who play two events in the same tournament will receive points for the highest of

two events. For example, if a competitor plays 16 singles (loses in a round) and 18 singles (wins

the 18s) in the same tournament, will earn 120 points (not 40 points and 120 points).

2. Ranking System and Points Earned:

2.1. The NJTL NSAC Ranking is the national computer ranking for the NJTL National Student

Athlete Competition

2.2. Competitors earn points based primarily on academic results (grades) and secondarily on junior

singles Tournaments and JTT matches and finally on Arthur Ashe Essay Contest entries

2.2.1. SEE Point System (below)

2.2.2. USTA/NJTL determines points earned

2.3. Point System:

2.3.1. Academic Points:

2.3.1.1. A+/A/A- = 400

2.3.1.2. B+/B/B- = 300

2.3.1.3. C+/C/C- = 50

2.3.1.4. D+ or lower = 0

2.3.1.5. Only 4 letter grades are counted per report card in the following Qualified

Subject Areas:

Mathematics

Sciences

English/Literary Arts/Reading

History/Social Studies

2.3.1.6. If Competitor receives two grades for Similar Qualified Subject Area (i.e.

Biology and Chemistry) in the same grading period(s), the USTA/NJTL will apply the

higher of the two grades towards Academic Points for that Subject Area when a letter

grade is applied in each of the other three Qualified Subject Areas

2.3.1.7. In the High School Divisions only – If the Competitor does not have a letter

grade in ONE of the 4 Qualified Subject Areas, in any given Quarter Equivalent,

AND does have more than one grade of a Qualified Subject Area, the USTA/NJTL

will apply ONE (maximum) of the additional Qualified Subject letter grade to replace

ONE (maximum) missing Qualified Subject

2.3.2. Tournament Points for singles tournaments that appear on TennisLink:

2.3.2.1. Each junior singles tournament won = 120

2.3.2.2. Each junior singles tournament (not each match) played (must play min. 1 match)

= 40

2.3.3. Jr. Team Tennis (JTT) Points for matches that appear on TennisLink:

2.3.3.1. Each JTT day of play (must play a minimum of 1 match – singles, doubles or

mixed doubles) = 15

2.3.3.1.1. JTT wins and losses will not count towards tie-breakers (Section 2.4)

2.3.4. It is the responsibility of the NJTL Chapter to submit to the USTA/NJTL all documentation

that the USTA/NJTL is unable to obtain independently prior to the Competition Year End

date (See Competition Year below)

2.3.5. Competitors start each Competition Year with zero points. Points are accumulated

throughout the Competition Year, resulting in a final National Ranking at each Competition

Year End

2.3.6. Points are only recognized for results occurring during the Competition Year

2.4. Tie-breakers (used in order as outlined below):

2.4.1. # of months Competitor’s name has been on Monthly Reporting to the USTA/NJTL

2.4.2. Arthur Ashe Essay Contest entry

2.4.3. Tournament W-L

2.4.4. Tournament matches won

3. The Competition Year:

3.1. The official start and end of each Competition Year is determined in accordance with the

timepiece on www.ustafoundation.com/njtl.

3.2. Qualified Competitors can enter the Competition at any time during the Competition Year

4. The Scholarships:

4.1. At the Conclusion of the Competition Year, a #1, #2, and #3 place will be determined for both

boys and girls in all three Divisions.

4.1.1. As such, there are 2 Competitions within a Competition Year eligible for college

scholarship dollars; 10 and Under Divisions and Lower/Middle school Divisions are not

eligible for college scholarship dollars.

4.1.2. It is the responsibility of the NJTL Chapter to confirm and attest to the completeness,

reliability, validity, and accuracy of points recorded by the USTA/NJTL PRIOR TO the

determination of scholarship recipients

4.1.3. Scholarship winners may win no more than a combined total of $11,000 over the entire

lifetime of the competition.

4.2. Girls and Boys High School Competition (9th – 12

th grade):

4.2.1. #1’s: $5,000 educational scholarship fund

4.2.2. #2’s: $3,000 educational scholarship fund

4.2.3. #3’s: $2,000 educational scholarship fund

4.2.4. #4’s: $1,000 educational scholarship fund

4.2.5. #5’s: $1,000 educational scholarship fund

4.2.6. #6’s: $1,000 educational scholarship fund

4.2.7. #7’s: $1,000 educational scholarship fund

4.2.8. #8’s: $1,000 educational scholarship fund
