Other Admin Modules

5.1.1.6. Edit Employee Record

As part of day-to-day administration and changes in the service such as

promotion, Increment, leave, deputation etc frequent editing of the registered

employee data in the system would become necessary.

Enter the code of the employee to modify the data. The details of the

employee will be displayed in different screens which are same as in the case of

initial data entry screen. Here the modification of the data can be done.



There is provision to upload photo and signature of the employee in this

screen, which is required for generating employee ID card through this system.

The procedure is given below.

Click on the Upload photo link, it will open another screen.

Click on Browse button locate the photo.

Click on Save button to finish uploading the photo.

To go back to the Personal details form, click the link “Back to personal

details”



To upload the signature, click on the “Upload signature ” link





5.1.1.7. Lock Employee Record

This module is given to Department Management User (DMU) or

Establishment access staff to lock a particular employee‟s record after making data

verification. The data once lock can only be edited from the menu options. Make the

employee record error free before locking. Once locked, it cannot be modified.

However you can update the details through appropriate menu options.

Establishment user can only lock employee record.



5.1.1.8. Unlock Employee Record

This module is used for unlocking the employee record for editing. This can

only be done by DMU.This option can be used to unlock the locked employee record

for further modification.



5.1.1.9. Administrative Tools

This is for Administrators purpose like resetting those employees whose

session is locked and other Administrative purpose tools.

a.1 Maximum windows process initialization

This form is used for changing the number of simultaneous jobs in windows

service. It will display the current number of simultaneous jobs in windows service.

We can enter new number of simultaneous jobs and change.



a.2 Process Request state

We can view the salary processing job status including waiting bills and Bills

being processed.



a.3 View AG slip details

This form display the AG slips details for self drawing officers.‟C‟ authorized

persons can only view this details.



a.4 Employee marked for retirement

While entering department, district and office the list of employees marked

as retired will list here. The employees revoked from service matters are listed

here.



a.5 Revoke hidden bills

Bills which are processed long back will be transferred to history backups.

This may not list for cancellation. Using this option these bills can be revoked.

However encashed bills cannot be revoked/cancelled. Through this from we can

revoke the hidden bills.



a.6 Authorization details

All the employee details under each office coming under each department are

listed here based on authorization.



a.7 Duplicate employee search

This module is created for the Administrator to delete the duplicate Employee

created and to delete the same.





a.8 Notice management

This facility is for the System Administrator (SPARK) to communicate general

information, notices on changes, guidelines etc to the users. The notices will appear

in the home page www.spark.gov.in

a.9 Complaints/Suggestions

This facility is for the users to post complaints and suggestions to the System

Administrator (SPARK).



a.10 Help Desk information

Help desk information are entered here.



a.11 Cancel Encashment details

If any mistake in already entered encashment details, we can cancel through

this „C‟ privileged employee can only cancel encashment details.



5.1.1.10. Generate Data Sheet

This menu is used to generate copy of the service records of the employees.

The data which has been entered for an employee can be generated for printing

through this screen. All the reports generated by SPARK are in PDF format. There

are two options available under this, Individual data sheet and Designation wise

data sheet.

5.1.1.10.1. Individual Data Sheet

Data sheet of individual employees can be generated through this option by

inputting the employee code. Input department, district, office, Employee and click

on the „Generate Report‟ to produce the data sheet of the particular employee.



You will be prompted with a new screen asking whether to save the report in

your local folder or open the report directly as given blow.



By clicking on „open‟, the report will directly open in the acrobat pdf reader

as shown below.

5.1.1.10.2. Designation wise Data Sheet

Data sheet can be generated under a designation group together by

providing the designation code. Input department, district, office, designation and

click on the „Generate Report‟.



While clicking the Generate Report button you will be prompted with a new

screen asking whether to save the report in your local folder or open the report

directly as given blow.



By clicking on „open‟, the report will directly open in the acrobat pdf reader

as shown below.

5.1.1.11. Health Transfer Request Admin

This is used for setting on-line transfer request .In this has entered the

transfer request period.



5.1.1.12. Property Returns

This menu facilitates online submission of yearly property returns by the

employees. Property returns filing for the year 2011 has been enabled for GAD,

Law, Finance and Motor Vehicles departments.

5.1.1.12.1 Filing Authority

This is an administrative module for initializing the property return filing

authority. Here different filing authorities will be initialized along with the

department and designation coming under a filing authority.



5.1.1.12.2 Filing Dates

The property return filing dates can be initialized here for a year under a

filing authority. Employees can file property returns during these period only.



5.1.1.12.3 View Filed Details -GOK

The filing authority can search the filed data by an employee under a filing

authority here. Search can be done by entering year, PEN or part of a name.



5.1.1.12.4 View Filed Details (Before 2011) –GOK

Since property returns filing format has been changed on 2011, the filing

authority can search the filed data before 2011 by an employee under a filing

authority here. Search can be done by entering year, PEN or part of a name.



5.1.1.12.5 Filed List

The list of employee filed their property returns for an year under a filing

authority can be generated in alphabetic order, date of filing, designation or date of

joining in Govt.



5.1.1.12.6 Defaulters List

The list of employee not filed their property returns for an year under a filing

authority can be generated either in alphabetic order or designation order.



5.1.1.13. Change Password

This menu is for the users to manage their passwords. The user can change

his password through this screen.

Enter old Password: the password which you used to login

Enter new password: the new password

Confirm new Password: Repeat the new password

Click on Confirm button

The password must have 8 characters

(Word +numbers)
