• Bidding cities are free to propose new ideas for the Gay Bowl, but all aspects of the tournament including playing schedule are to be approved by the Board
• Board will solicit bids to host the Gay Bowl • Board will call for an official bid on a timeframe established by the Board• Multiple bids will be facilitated by a question and answer process for voting members• Bid that secures a majority of votes will win and officially be deemed Gay Bowl host for the
proposed bid
• Any proposal by a bidding organization that might result in major changes to the timing or format of Gay Bowl shall be brought to the Board no less than 45 days prior to the date the Board has established as the due date for official bids from Member Organizations to host the Gay Bowl
• The Board shall review and approve or deny the proposed change by a simple majority • To give the Bidding Organization ample time to adjust their bids accordingly, the Board must
deliver its decision back to the bidding city in question no less than 30 days prior to the date the Board has established as the due date for official bids from Bidding Organizations

• Target Columbus Day Weekend – traditional date of the tournament• Don’t be afraid to create a theme if so desired. For NGFFL milestones (e.g. 15th), incorporate the

• Establish an overall plan, projected budget (e.g. Houston, $44K; Denver $72K) and determine registration cost per city (e.g. Houston, $500)
• Establish a fundraising goal and engage community early for support; steward results following
• Most important element of the tournament – quality, number of and distance to/from host hotel. Hold/lock down a soon as possible
• Target fields for a minimum of 26 to 28 teams. As leagues expand, the ability to accommodate additional teams will not be an issue
• Referees -plan on national city league volunteers, plus any refs available for participation• Include social events that build team camaraderie and community of players attending. City
should plan to host events from arrival to closing• Distance to/from field – consider shorter distances for the benefit of host city and players, but
quality of fields supersede distance
• Select hotels that provide discounts, support LGBT community, can accommodate additional events if desired (e.g. opening ceremony, captain’s meeting, on-site social events)
• Consider locations that are in close proximity to fields and/or social events• Secure, agree to a blocks of rooms (cities traditionally block between 150-200 rooms) and rates
(historical costs: $109 - $149+ based on geography)
Host Agreement
• Assigned point of contact for board NGFFL • Monthly attendance/updates on NGFFL Board
calls• Inclusion of opening ceremony• Captain’s and ref meeting room• Board huddle room
• On-site concessions or close by lunch options, beverages(water, sports drinks)
• On-site emergency care, sports trainers• Awards Ceremony• NGFFL Hall of Fame – Induction• Alternate plan for fields or events in
event of rainout
