Essential Duties include, but are not limited to:

Troubleshooting ILS hardware and software problems

Administer and configure Polaris ILS

Administer Envisionware security system and Self Checkout Stations

Maintain the software for the TechLogic Automated Materials Handling System

Maintain patron notifications, via print/email/text/telephony systems

Resolve issues with Remote Patron Authentication via Polaris

Oversee the serials module

Load and delete bibliographic records for print, audio, visual and electronic materials

Provide technical support for OCLC, electronic ordering, INN-Reach, Unique (materials recovery system), MeLCat

Prepare reports on Library collections, both regularly scheduled and as needed

Conduct year end processing; produces necessary data for State Aid report annually

Provide quick and accurate reference service to all ages, using print and electronic resources

Assist patrons and staff in learning to use the ILS; provide technical assistance as needed

May serve as the person in charge of the building when assigned; be knowledgeable about and make decisions in line with the Library’s policies and procedures

Serve on applicable working committees, internally and externally

May serve as backup to IT specialists, train backup staff for Automation tasks

Shared system training for acquisitions, circulation, linking and serials is now available. The schedule and registration form is at https://tln.lib.mi.us/sastraining/. Reports training should be available sometime this fall.

Hold cancellation issue: when a staff member cancels a hold for a patron, the box that asks if the patron should be notified was previously automatically checked. Currently the box is unchecked. Having this box checked or unchecked is a system wide decision so discussion will continue at the next SASUG meeting

TLN Board/Ex-comm discussed what level of access Gibraltar will have to the shared system via the contract they have with Flat Rock. More information on this to follow. Ex-comm developed a document with suggested points for members returning to SAS

Inkster re-opened on August 20th at a temporary location. They plan to be in their new permanent location in May, 2019. Inkster items will not be available to fill holds because much of their collection is in storage. This also prevents them from participating in Melcat

Acquisitions and vendors is almost ready

Collection agency is currently in the works

Carl plans to provide the FRBR catalog on the training server in mid-September The FRBR (Functional Requirements for Bibliographic Records) catalog puts all formats of an

item under the same “umbrella “ title record so patrons can easily see all the different formats available

Melcat went live on September 5. Documentation on how to process Melcat items is available at https://tln.lib.mi.us/dept/shared-automation. A password is required to access this document.

The next project Carl will work on is E-resources.

If your library adds something that touches SAS they should let TLN staff know

Carl renews items from the due date and gives the extension from that date. Symphony renewed items from the date of the renewal. SASUG decided to give libraries some time to see how the Carl renewal process works. Motions regarding renewal parameters were tabled until the September SASUG meeting

Ex-comm recommended that both the STS and BDBS budgets be approved. Both were approved unanimously.

Claims Returned/Never Had Terri Lancaster (CHEL) reports that the history tab for claims returned and never had isn’t displaying properly and that claims returned items are removed from the history once they’re returned. Also, the “never had” items aren’t appearing in the history tab. Items which are claimed “never had” are automatically being changed to lost. Terri says that since Carl doesn’t have a counter to keep track of how many items are claimed returned, it makes the history more important. Carl doesn’t allow any backdating on claims returned. Although Carl does waive any fines, the item still remains “overdue” on the patron record. Items claimed returned at other libraries should show up somewhere on the router list at that library – maybe in the item router portion? Router List There was concern expressed regarding the uneven distribution of the router list. However, this problem has been fixed. Only 5 libraries are reporting that their list has increased. The list should be evenly distributed now. Items are re-distributed every time the list is run. If you are running it in the afternoon, it is recommended you wait until after 2:30. It was also reported that occasionally media codes are missing. If a patron hangs up before the automated message is completed, the system sees this as an incomplete call and will, therefore, call again

Be sure to put parent information in the note field on minors’ cards. Sponsor information supersedes primary contact information so notices will try to send notices using information in that field even if that information is incomplete

Renewals on “New” items still a problem (the system may deny a renewal on a new item if there are other holds on that title even if your new item would not be sent to fill holds at other libraries)

Chronology and enumeration: when dealing with an item that could either by circulated as a single item or could be broken into parts, be sure you are linking it to the proper record – parts for parts and single item for single item. If you are the first library to enter an item as a single item and nobody else has (or as a parts item and nobody else has), contact TLN

The Sladen Library of Henry Ford Hospital is seeking a customer-service oriented full-time librarian to join our collaborative team of information professionals.

General Responsibilities

Under limited supervision, performs a variety of advanced and complex professional library services including mediated searching, bibliographic instruction, and collection development. Analyzes and answers information requests and reference questions. Provides computerized literatures searches to library users, including analysis of topic and search strategy formulation.

Specific Duties and Responsibilities

Serves as serials librarian.

Responsible for system-wide electronic journal management, including journal administration account and link resolver system maintenance.

Works with journal vendors on access issues and troubleshoots complex linking issues and patron connection problems.

Tracks usage metrics.

Coordinates the libraries tracking and reporting of system-wide scholarly activity.

Will lead the input of content to the institutional repository.

Minimum Requirements

Master’s Degree in Library or Information Science from an A.L.A. accredited program. Membership in the Academy of Health Information Professionals is required (within one year) to obtain professional knowledge required for the position. A minimum of one year's experience is required in order to acquire necessary knowledge and skills.

PreferredQualifications Minimum of two years of professional experience in a health science library and at least one year working with electronic resources.

Expert skills in searching major medical databases including PubMed and CINHAL.

Experience working with electronic serials and link resolver maintenance, e.g. SFX.

Experience working with the EndNote citation management program.

Knowledge of industry standards related to serials and electronic resources, e.g. MARC, Open URL, and COUNTER.

Experience with providing access to electronic resources and authentication methods, e.g. EZProxy.

BUILDING MONITOR/CUSTODIAN works 40 hours/week divided as needed by YDL between the two sets of duties below. Position expected to become full-time Building Monitor without Custodial duties when new branch library opens in 2020. NATURE OF BUILDING MONITOR WORK: Under the supervision of the Facilities Manager, monitors buildings, grounds, and parking lots of YDL facilities to maintain a safe and secure environment for patrons and staff. Typical duties include:

Continually patrols the Library building, parking lot, grounds, entrances, public restrooms

Explains to the public and enforces the YDL Patron Behavior Policy and other policies

Routinely interacts with library patrons and staff to promote a safe and welcoming environment

Properly handles accidents, injuries, and other emergencies as they arise

Monitors staff areas and accompanies staff to parking lot at end of shift

Utilizes video surveillance software to monitor, review, and capture images when necessary

Reports damage to the building, furnishings, or equipment

Completes detailed incident reports using custom software

Manages crowd control at larger events

Communicates with Full-Time Building Monitor regularly and works with law enforcement when warranted

Reports

Budget:

Neville distributed the October 2018 – October 2018 budget. As this is the first month of the

fiscal year a number of expense lines seem high but it is due to contract expenditures that

cover coming months or the year. Earned income is high because of annual billing also.

No October 2017 – September 2018 budget was distributed, and may not be available until

after the audit.

TLN Board Meeting:

McCann reported it was Joseph Rozell’s first meeting. Celia’s contract extension was approved.

The TLN Board approved Jim Flury's recommendation that it award the contract for

Subscription Management Services to WT Cox for the period January 1, 2019 through

December 31, 2021. The board also engaged Publishing Consultants, LLC to broker discounted

tickets to Red Wings games and Little Caesar’s Arena tours to member libraries patrons.

Neville reported there was an upgrade just after Thanksgiving and another upgrade that will

address dynamic router issues should take place just prior to or after the new year. Reports

training for libraries has started.

Technology Services Update:

Unfinished Business

A. TLC/CARL post-migration A. Neville

An updated progress/priorities document was reviewed. The major focus right now is Overdrive records

and syncing and development of FRBR in the catalog.

The email account used to send patron notices will change from X-Mission to a Google account. It is

anticipated the switch will occur mid-December.

B. SAS By-Laws Committee L. Coryell Coryell shared drafts of a SASUG mission statement and bylaws edits. A vote on whether to

include remote voting will take place before adopting changes to the bylaws.

C. Gibraltar/Flat Rock service contract P. McCann

The contract was reviewed by Ex-Comm. Of Gibraltar residents registered at FLAT, 236 have a

municipality code of Gibraltar and 176 have a municipality code of Flat Rock.

It may be worth noting at SASUG and elsewhere to have potential agreements made in

consultation with TLN. Broad language that contract residents have identical privileges as

residents is not necessarily true. SAS member libraries not part of the contract are encouraged,

but not obligated, to treat contract cards equally. Also, purchased databases may exclude use

by non-residents.

D. ISP Diverse Circuit Proposal A. Michelini

Michelini distributed updated options for a diverse circuit, with a recommendation to keep connectivity

as is until the next bid process in Fall 2020. After discussion Rutkowski motioned “In regard to a diverse

circuit, keep connectivity as is until the next bid process in Fall 2020.” Motion seconded by Lenze.

Neville reported that she and Morse met with product specialists about the catalog and other

parts of Carl. They also started making contact with other Carl customers. Though CarlX is

comprised of only multi-site customers, we are a little different as we don’t have a centrally

headed consortia and allow a lot of freedom at individual sites.

B. X-Mission – e-mail notification/service P. McCann

Michelini reported there are too many ongoing issues with X-Mission and she is determined to

move to another email provider. She is investigating spam filters as a temporary fix while also

evaluating different providers. She acknowledged the importance of moving to a reliable

service as quickly as possible but advised it will take several months at least to identify an

adequate provider and perform the migration.

Director, White Pine Library Cooperative, Saginaw (MI)

Lead and Support Libraries of the White Pine Library Cooperative! The White Pine Library Cooperative is seeking a uniquely qualified leader to create vision, provide direction, and promote library services for the community while promoting the library as an employer-of-choice. White Pine Library Cooperative is funded by state aid through membership dues with an annual budget of $335,000, governed by a ten-member Board of Trustees with offices in Saginaw, Michigan. The Cooperative staff consists of the Director and two support team members who serve 400,000 citizens, and 49 member libraries across 14 counties. While the majority of members are public libraries, the Cooperative also serves high school, academic, and correctional libraries, each with their unique setting, programs, and services supported by excellent staff. 1. Serves as a non-voting member of the Board of Trustees. Prepares and distributes the agenda and related materials. Makes a detailed report of the Cooperative activities at Board meetings. Submits recommendations to the Board on policies, services, and budget. Keeps the Board informed of special problems that might affect the Cooperative. Presents reports including monthly financial and statistical reports, the annual report and special reports. Maintains OverDrive Digital Collection and assists in ILL processing for cooperative members.

2. Plans, organizes, and administers the day-to-day operations of the Cooperative. Implements policy decisions as established by the Board of Trustees. Analyzes needs and recommends or implements appropriate methods and procedures for improving services with special attention to current trends in library technologies. Develops, organizes and coordinates existing activities. Reviews and evaluates programs and projects.

3. Develops vision for cooperative’s future with the board, membership and staff. Maintains a strategic plan cycle and monitors progress.

4. Administers personnel policy. Recruits, hires, trains, places, directs, motivates, develops and evaluates staff in accordance with established procedures. Assigns, schedules, and reviews work of subordinates. Conducts staff conferences and meetings. Communicates effectively with staff.

5. Administers financial policy. Develops a multi-year budget for the Board. Accountable for operating budget and expenditures. Supervises the maintenance of financial records. Arranges for annual audit. Controls costs and meets budgetary objectives by eliminating unnecessary operations and prudent use of resources, to assure greatest benefit from available funds. Works with librarians, trustees, Michigan Library Association and the Library of Michigan to maintain existing funding and to obtain new sources of revenue. Negotiates all Cooperative agreements and contracts.

6. Develops grant ideas with membership as part of cooperative vision. Prepares grant proposals and monitors grant expenditures.

7. Keeps librarians and trustees of member libraries informed of cooperative services, policies, procedures, and plans, library legislation and new library trends. Meets with staff and trustees of member libraries, library boards, and library friends groups. Host and/or facilitate events, conferences, and workshops for member libraries. Fosters and encourages participation in the Cooperative.

8. Ensures the Cooperative is in compliance with local, state, and federal rules, regulations, and procedures in all aspects of the cooperative’s endeavors. Regularly review state legislative activities that affect libraries. Work with Cooperative Directors Association on state-wide issues.

9. Provides consultant service/training to member libraries and visits member libraries as needed. Responds in a timely fashion to inquiries from staff and trustees of member libraries.

10. Supervises the physical plant to ensure safety, efficiency, and usefulness of the facility. 11. Other duties as assigned.

REQUIREMENTS

1. Qualify for the State of Michigan Librarian’s Permanent Professional Certificate. A master’s degree from a library school accredited by the American Library Association and four years of satisfactory professional experience in a library or libraries approved by the Library of Michigan.

2. Four years of progressively responsible administrative experience, with the ability to direct, coordinate, plan, and administer a library cooperative, including the ability to supervise others. Experience working with library systems and networks preferred.

3. Working knowledge of microcomputers, office software, automated library systems, and current trends in library technologies.

4. Extensive knowledge of the methods, policies, practices, principles, and procedures of professional library work.

5. Ability to communicate, effectively and concisely, orally and in writing. 6. Ability to develop and maintain effective working relationships with board members, librarians and

trustees from member libraries, staff, representatives of community and governmental groups and the general public.

7. Ability to mentally and physically perform the essential duties of the position with or without accommodation.

COMPENSATION The salary range for this position is $65,000 - $80,000 (based on experience) and includes an attractive benefits package. WORKING CONDITIONS

Traverse Area District Library

Job Description – Library Director

INTRODUCTION

Located on the north eastern shore of Lake Michigan, Traverse City is a tourist hub bursting with

energy. Traverse City provides a casual sophistication – big city appeal without the big city

hassles. Traverse City is the home to the National Cherry Festival, provides amazing

opportunities to enjoy the outdoors, all while living in an amazing community.

The Traverse Area District Library (TADL), a network of community libraries, is a district

library funded by a dedicated countywide millage. TADL was established by an agreement

between the City of Traverse City and Grand Traverse County and then ratified by a vote of

residents throughout Grand Traverse County. Within the district there are six public library

facilities supported by the district millage. They are the Main Library (Traverse City), East Bay

Branch Library, Kingsley Branch Library, and member libraries Fife Lake Public Library,

Interlochen Public Library, and Peninsula Community Library.

Three of these facilities (Fife Lake, Interlochen, Peninsula) are Member Libraries that receive

most of their support through a contractual agreement with the district. Although Member

libraries have independent elected boards, hire their own library directors and operate

autonomously, they are full partners with TADL in that their collections are shared throughout

the district and they participate in the online public catalog as well as the TADL provided public

computing and wireless access systems.

The Library Director is responsible for planning and administering the provision of library

services throughout the entire library district by performing the duties below, either directly, or

through delegation.

ESSENTIAL FUNCTIONS

1. Responsible for the overall operation of the Traverse Area District Library, including the

delivery of library services throughout the entire district.

2. Develops Library goals and objectives in conjunction with the Board and plans services

designed to meet them.

3. Formulates recommendations on library policies, facilities, and services to the Board and

implements policy decisions.

4. Prepares an annual budget for approval by the Board and administers and monitors

income and expenditures.

5. Develops and administers internal plans and procedures.

6. Supervises the staff of the Library including development of personnel policies,

recruiting, interviewing, hiring, orienting, training, evaluating performance, and

termination decisions.

7. Ensures compliance with pertinent local, state and federal laws, regulations and

ordinances.

12. Manages Union relations including participation in contract negotiations.

13. Works closely with the TADL Friends including attending their board meetings.

14. Represents the Library at meetings and conferences of state and national associations.

15. Participates in the development of, and implements, the district-wide strategic plan as

developed and periodically updated by the Library Board.

16. Coordinates with member and branch libraries to assure efficient delivery of quality

library services throughout the entire district, including serving as liaison to Member

libraries and their directors.

MINIMUM REQUIREMENTS

1. Master's degree in library science or library information science from an ALA-accredited

library school.

2. Seven to ten years of progressive experience which demonstrates continual growth of

duties and responsibilities in a Public Library.

3. Must possess or become eligible for a Librarian’s Permanent Professional Certificate

issued by the Library of Michigan.

4. Supervisory experience in a public library or equivalent work setting required.

5. Demonstrated experience managing budgets.
