Audio Visual Equipment for Renovation Proposals July 2015

Equipment needs for the meeting room, computer lab and library-wide public address system were

described in the attached request and distributed to several local audio-visual service companies. A tour

of the renovation space was scheduled and led by Brad Benton. Three vendors attended and were

shown the areas in question. We discussed our needs, listened to suggestions and reiterated that the

labor would be at prevailing wage.

We received the attached proposals from four vendors:

Fusion Digital $27,757.23

AV Solutions/Toshiba $36,800.00

AA A Sound and Service $20,889.00

Langie AV $24,285.00

Also attached is the chart created to organize all the various components and their associated costs.

We asked for assistance from Chris Webster, the electrical engineer working with Randy Sickler on

interpreting the different components included on each proposal. He focused on the two proposals with

the lowest cost. He was very familiar with AAA as a reputable company they often work with. He

recommended getting clarification in a couple areas. We asked for clarification from Fusion, AAA, and

Langie. Fusion and AAA responded promptly to our satisfaction.

Based on all the proposals we received, we recommend accepting the proposal from AAA Sound and

Service for $20,889.

 REQUEST FOR PROPOSAL OF AUDIO VISUAL EQUIPMENT FOR RENOVATION 

PROJECT AT FAIRPORT PUBLIC LIBRARY  

As part of our renovation project, the library is updating the equipment for workshops and programs in two separate spaces.   

Meeting Room Our meeting room is used for a variety of presentations and workshops. We would like to use a fixed display as an extension of a computer monitor for PowerPoint presentations, streaming video, playing DVDs, etc., eliminating the need for a projector. The room dimensions are approx. 40’ x 35’.  

1. LCD display 80‐90” on the back wall with mall‐mounted HDMI and VGA connections 2. Mobile Podium with microphone and space for laptop 3. Sound system with two lavaliere microphones, speakers and hearing loop functionality  4. Cabinet (wall mounted) to house sound system, and our DVD player—with remote controls if possible. 

  Computer Lab This room will be used for a variety or technology classes and would also need the same functionality to be an extension of a computer monitor. The room dimensions are approx. 22’ x 18’.

1. Microphone accessible at Circulation desk and approximately 20 ceiling mounted speakers throughout library, including 2 for the second floor kitchen and conference room.
