Introduction What’s New in this Release?

The 2012.02 release addresses issues identified in previous releases and adds the ability to edit the support provider contact details used in the EXO Employer Services system.

The purpose of this document is to provide essential information on the installation and use of this release:

• The Installation section provides an overview of the installation process, including pre-installation requirements and post installation steps.

• The New Features section describes all new features introduced in this release. • The Resolved Issues section describes all issues that have been addressed by

this release. • The Known Issues section details any issues in this release that have been

identified as requiring attention.

Installation Pre-Install Requirements System Requirements

Minimum system requirements for PCs running MYOB EXO Employer Services components are detailed below. The performance of the MYOB EXO Employer Services system is not assured if these requirements are not met. Similarly, performance cannot be assured if the EXO Employer Services system is installed on a PC that is already under load from other processes.

Note: See the Minimum System Requirements document, available on the MYOB website, for full details on requirements and supported operating systems.

Workstation requirements Any PC running the MYOB EXO Employer Services application modules should meet the following minimum requirements:

• Windows® Server 2008, Windows Vista or Windows 7 • Intel Pentium® 4 1.3GHz processor (or equivalent) • 1GB RAM • At least 2GB of available hard disk space • DVD-ROM drive • 16-bit colour, 1024×768 screen resolution

Note: MYOB EXO Employer Services supports 32-bit and 64-bit editions of Windows 7. On 64-bit systems, EXO Employer Services uses the WOW64 emulator, which allows 32-bit Windows-based applications to run seamlessly on 64-bit Windows systems. See Microsoft’s website for details.

Other Requirements Certain features of MYOB EXO Employer Services require one or more of the following:

• Internet access • TCP/IP networking • Serial port (required for some features in EXO Time and Attendance) • Microsoft Internet Explorer 8 or later • Adobe® Acrobat Reader 9.0 or later

Supported Web Browsers for MyStaffInfo The MYOB MyStaffInfo website supports the following web browsers:

• Microsoft Windows Internet Explorer 8 and above • Mozilla Firefox 3.0 and above • Safari 3.0 and above • Google Chrome 1.0 and above • Opera 9.0 or above

Installing MYOB EXO Employer Services Before Upgrading

Before installing this upgrade:

• Ensure that there are no open pays within the system (either Current Pays or One Off Pays).

• Ensure that all users have closed their MYOB EXO Employer Services applications.

• Ensure that you are running the upgrade under a Windows account that has administrative privileges.

If you have multiple PCs set up to run MYOB EXO Employer Services across a network, see “Network Setup“ (page 10) for networking upgrade considerations.

Upgrading MYOB EXO Employer Services Online Follow these steps to upgrade an existing installation of MYOB EXO Employer Services from within the application using the Upgrade Software Online function.

Before installing this upgrade, ensure that all users have closed their MYOB EXO Employer Services applications.

To perform the installation: 1. Close all programs running on the computer on which you are installing this

upgrade. Open your MYOB EXO Employer Services application. Log into any one of your payroll companies.

2. Go to the Help menu and select Upgrade Software Online.

3. The Employer Services Update wizard checks for updates, and displays the

Update Available window for this release. Click Next.

4. Follow through the steps in the upgrade wizard, clicking Next when prompted to move to the next window. Note that while the upgrade process only downloads the changed and new files required for this upgrade, the download may still take several minutes to install.

5. When the upgrade is complete, click Finish. MYOB EXO Employer Services is launched, and the Upgrade Software window is displayed.

6. Use the arrow buttons to move companies between the “WILL be backed up”

and “will NOT be backed up” lists. During the upgrade, a backup will be made for each of the companies listed on the right of the screen.

Note: If you did not take a backup before starting the upgrade process, we strongly recommend that you select all payroll companies for backup.

7. Click Upgrade Now. If you chose to back up your companies, the backup will be performed before that company’s data is upgraded. As each company is upgraded, you will see the names of the files being upgraded in the top right hand corner of your screen. Do not interrupt this process. It may take several minutes.

8. You may be prompted to “Convert 3.0 resource file to 6.0 format”. Click Yes.

9. Once the upgrade process has finished, you will be returned to the company selection window. You can now continue using the software in the normal way.

Upgrading MYOB EXO Employer Services Manually If you are unable to download the update using the Upgrade Software Online function, visit the MYOB Enterprise Knowledgebase to download the installer executable, Austupgrades.exe, manually. Contact MYOB Support if you require further assistance.

Once you have downloaded this file:

1. Close all programs running on the computer on which you are installing this upgrade.

2. Start the upgrade wizard. To do this, either:

• Double-click on the Upgrades.exe file, or

• Open MYOB EXO Employer Services and select Upgrade Software from the Help menu. Browse to the location of the Upgrades.exe file and click OK.

3. The upgrade wizard opens. Click Next on the Welcome screen.

4. Read the licence agreement, then select I accept the agreement and click Next.

5. Select the location of your MYOB EXO Employer Services install, then click Next.

Note: When upgrading, make sure to install the upgrade into the existing install location. This location is displayed on the About window in MYOB EXO Employer Services—check the Installed in field. Alternatively, right-click on the MYOB EXO Employer Services icon on your desktop, select Properties and check the Target field to see where the application is installed.

6. Select the MYOB EXO Employer Services components you are licensed for, then click Next.

7. Specify where the MYOB EXO Employer Services shortcuts should be located in

the Windows Start menu, then click Next.

8. The installation is ready to begin. Review the details and click Next to proceed. If you need to change any details, click Back to return to the previous screen and change your selections.

9. The installation progress is displayed.

10. Once the installation is complete, click Finish to close the installation wizard.

11. Open MYOB EXO Employer Services. The Upgrade Software window is

displayed.

14. You may be prompted to “Convert 3.0 resource file to 6.0 format”. Click Yes.

15. Once the upgrade process has finished, you will be returned to the company selection window. You can now continue using the software in the normal way.

Network Setup If you have other workstations set up to run MYOB EXO Employer Services across a network, the system will check to see if the necessary support files are in place and if the version number is up to date. If the system needs these files to be updated then the install program will run automatically. You no longer need to run the Network.exe program manually to install the support files.

If you are installing to a network location, either onto a Windows 2008/Vista/ Windows 7 server or onto a Terminal Services/Citrix server, you must be logged in to the network or computer as a user with administrator rights. If you are unsure, contact your IT administrator.

You will also need to know the location of your current installation on your network. If you are unsure, go to the Help menu and choose About. The location of your installation is displayed near the bottom of the About window.

Terminal Servers When installing MYOB EXO Employer Services on Terminal Services/Citrix Server, you must run the installer from the Add or Remove Programs window, as follows:

1. Insert the MYOB CD. (If you are not using a CD, copy the installer/upgrader executable to the Terminal Server.)

2. From the Windows Start Menu, select Control Panel > Install Application on Remote Desktop Server.

3. Click Add New Programs.

4. Click CD or Floppy.

5. The Install Program From Floppy Disk or CD-ROM wizard starts. Click Next.

6. Click Browse to locate the installer/upgrade executable, which will be called Setup.exe, Upgrades.exe or Austupgrades.exe. If installing from a CD, it should automatically locate it. When clicking Browse, you may need to change the Files of type from “Setup Programs” to “Programs”.

7. Once the installation is complete, click Finish to close the wizard.

Note: When upgrading a Terminal Services/Citrix server, it is possible to use the Upgrade Software Online function to upgrade the installation. However, after the upgrade is complete, Network.exe must be run from the Add or Remove Programs window to complete the upgrade.

New Features Support Contact Details

The support provider contact details that are displayed on the About window and used in support functions and error messages can now be customised to suit a support partner’s contact details.

By default, contact details for MYOB are displayed on About screens in the EXO Employer Services system. To customise these details, a file named Contact.ini can be created and stored in the main EXO Employer Services installation directory. If EXO Employer Services detects the presence of a Contact.ini file, it will use the contact details in the file instead of the default MYOB contact details.

MYOB EXO Employer Services business partners can customise this file with their own contact details, so that the EXO Employer Services interface directs clients to them in the first instance.

Keeping the contact details in an INI file has the following benefits:

• Partners only need to enter their details once per installation. If there are multiple companies, they will all pick up these details from the Contact.ini file, which avoids having to configure each company individually.

• Keeping the configuration of these details out of the EXO Employer Services interface reduces the chance of clients inadvertently changing the details.

Contact.ini File Format The Contact.ini file must be formatted as follows:

The Company Name field is mandatory; all other fields are optional. If Contact.ini does not contain a Company Name field, the default MYOB contact details will be displayed.

A sample INI file called Contact_samplefile.ini is installed into the root payroll directory. This file can be used as a base for creating your own Contact.ini file.

Reports and Error Messages Customised contact details are also displayed on error messages and on the Support Report and Registration Report:

When emailing the Support Report or Registration Report, if a custom Support Email or Registration Email has been entered in the Contacts.ini file, this address will be used; otherwise the reports will be sent to MYOB.

New End User Licence Agreement The MYOB EXO End User Licence Agreement has been updated. The new licence agreement is displayed in the installers (see page 6), and a link to the licence agreement as a separate PDF document is available on the About window.

Maximum Super Contribution Base The Maximum Earnings Base property on the Superannuation Maintenance window is now populated automatically when a new company is created, where previously it had to be entered manually.

For new companies, this value is set to $45,750 (the quarterly amount for the 2012–2013 financial year) for all superannuations with a Contribution Type of “SG”.

Viewing Report PDFs When generating a PDF report, i.e. when the report Destination is set to “File”, a message now appears giving users the option to open the PDF immediately:

MyStaffInfo Leave Requests New settings relating to the import of MyStaffInfo leave requests are available on the Setup Payroll window:

When importing leave requests or timesheet leave requests from MyStaffInfo, it is now possible to specify how the system will behave with regard to reducing salary.

Users can choose to:

• Always reduce salary. • Never reduce salary. • Display a prompt to the user, asking if they want to reduce salary.

Note: These new settings require version 2012.01 of the MyStaffInfo Management Console. If an earlier version of the Management Console is in use, changing these settings will have no effect.

Changes to Rostered Days Off The controls for setting up Rostered Days Off (RDOs) have been updated to make the interface more user friendly.

Employee Maintenance Where Rostered Days Off were previously available on a separate window, accessed from the Other tab of the Employee Maintenance window, they are now available directly on the Other tab:

Note: The Rostered Days Off section is disabled for salaried employees if the Allow OverTime option on the Employee Details tab is unticked. If, after upgrading, you need to edit RDO details for a salaried employee, tick the Allow OverTime option, edit the details, then untick Allow OverTime.

The available settings in the Rostered Days Off section have been updated as follows:

Old Setting New Setting

Track RDO’s for this employee This setting has not changed.

Total RDO hours available Changed to Available hours.

RDO Rate (per hour) Changed to Accrue … hours for each hour worked.

Do not accrue on hours more than (per pay period)

Changed to Cap accrual to … hours per pay.

Standard Hours per Day This setting has been moved to the Employee Details tab—see below.

The Public Holiday Lieu Days/Hours settings have also been renamed to “Time in Lieu”.

In addition, a new Value hours at … pay rate has been added. This setting specifies the rate to value RDO hours at. The combo box contains all hourly rates configured in the system, as well as the option “an average”. When this option is selected, the rate will be calculated by averaging the rate of all pay items on the Wages window that are liable for RDO and that have Hours greater than 0.

The Standard Hours per Day setting has been moved to the Employee Details tab and integrated with the existing Hours Per Pay Period setting:

Note: The Proprietor setting has been removed, as it is not required in the Australian Edition of MYOB EXO Payroll.

The Standard Hours per Day setting was also used to determine the default Hours value when users made leave requests on the MyStaffInfo website, which was not obvious; if an organisation did not use RDOs, they would not know to edit this property if they wanted to change the default. By moving the setting to the Employee Details tab, this release makes it easier to change the default hours for any employee.

Note: If this setting is edited, a Synchronise operation must be performed in the MyStaffInfo Management Console to propagate the changes to the website.

RDO Pay Items RDO pay items have been renamed on the Wages window:

“RDO Hours Paid” pay items have been renamed to “RDO Entitlement”, and “RDO Hours Accrued” pay items have been renamed to “RDO Accrual”.

Both pay items are valued according to the rate selected for the new Value hours at … pay rate setting on the Employee Maintenance window.

Note: Previously, the RDO accrual was always valued at an averaged rate, and the RDO entitlement was always valued at the Ordinary rate; now both items are always valued at the same rate.

RDO Reports The following reports that display RDO amounts have been updated:

Payslip and Payslip – PDF Email The label “Hours” has been changed to “Hours Paid”.

The label “RDO Hours Paid” has been changed to “RDO Entitlement” and “RDO Hours Accrued” has been changed to “RDO Accrual”.

The heading “Total” has been added to the totals column.

When the Show Rostered Days Off option is enabled, RDO values appear in the Leave Entitlements section of the report. In previous versions, only the RDO balance was displayed; the amount of RDO accrued this pay is now displayed as well.

Pay Sheet The label “RDO Hours Paid” has been changed to “RDO Entitlement” and “RDO Hours Accrued” has been changed to “RDO Accrual”.

Rostered Days Off History The label “Hours Worked” has been changed to “RDO Accrued (Hours)” and “Hours Taken has been changed to “RDO Entitlement (Hours)”.

Rostered Days Off Balances A new Rate Description column has been added, which shows the rate valuation selected in each employee’s Standard Pay.

NSW Payroll Tax The threshold amounts for NSW payroll tax have been updated for the 2012–2013 financial year. MYOB EXO Payroll has been updated to apply the new thresholds.

The new thresholds are as follows:

In some cases, the Employer Superannuation Guarantee Contribution (SGC) amount was not being calculated correctly on Termination Pays. Depending on the options selected on the Payment setup > Pay Item Liabilities section of the Setup Payroll window, the Leave Loading figure could be incorrectly subtracted from the amount of pay that is liable for SGC calculations. This could also happen if the Annual Leave Amount, Leave Loading Amount or Long Service Amount fields were overridden in the Termination Wizard itself. These issues have been resolved.

If a user edited the Superannuation details in an employee’s Standard Pay, saved their changes, but then clicked Exit to close the Employee Maintenance window instead of Save, the following errors could occur:

• The Physical Pay Date of an employee’s Standard Pay could be populated with the current date (for Standard Pays, the Physical Pay Date should always be blank). This could cause problems elsewhere in the system, e.g. Standard Pays could be incorrectly included in reports that were run for a specified date range.

• The Time in Lieu Hours value could be set to zero. These issues have been resolved. Physical Pay Dates are no longer populated for Standard Pays, and on upgrading to MYOB EXO Employer Services 2012.02, Physical Pay Dates are made blank for all Standard Pays (if they are not already blank).

The default Hours value for leave requests in MyStaffInfo was set by the Standard Hours per Day setting on the RDO Options window, which was not obvious; if an organisation did not use RDOs, they would not know to change this property if they wanted to alter the default. Known Issues The following Known Issues have been identified in this release.

Administrator profile and mapped network drives Message: “Program Error - UNC Path Network Sharing” or the upgrade process stalling on installation, falling to find the mapped network path.

Program: Setup.exe and Austupgrades.exe

Operating System: Windows Vista

Problem description: When upgrading MYOB EXO Employer Services within a network situation, from a client machine, using a mapped network drive to a source server, the install process will not proceed unless the mapped drive exists under the Administrator profile.

Workaround: As this issue is due to Vista’s need for mapped drives to exist in both the Administrator profile and the standard user profile, the mapped drive that is set for the standard user of MYOB EXO Employer Services must be replicated under the Administrator profile. To do this:

1. From the client machine, within the standard user profile, check and note the mapped drive settings that EXO Payroll is using (including location and drive letter used).

2. Log off as a standard user and log on as an Administrator.

3. Ensure that a mapped drive exists with the same settings as in the standard profile. If this does not exist create this mapped drive, as per the same settings as the Standard User.

4. Install the product as per the instructions in the “Installing MYOB EXO Employer Services” section on page 3.

5. After installation complete, make sure to log off as the administrator (for security purposes only). The upgrade is now complete.

Security settings reset in MyStaffInfo In an upgrade to EXO Employer Services 2009.02 or later, the security settings that control the ability to change and view user-defined information, and the ability to make leave requests have changed—the existing settings have been removed and replaced with new ones. As new settings are always disabled by default, users may no longer have access to these abilities following an upgrade. You must go to the Common Tasks > Security section of the MyStaffInfo Management Console and re-configure the settings for user-defined information and leave requests as necessary.

Printing MyStaffInfo reports from Internet Explorer 6 When MyStaffInfo reports are printed from Internet Explorer 6, they will appear truncated, with the sides and/or bottom of the reports cut off. This is a known issue that affects Internet Explorer 6 only. Upgrading to Internet Explorer 7 or later will fix this issue.

Microsoft XPS Document Writer not supported for reports The system does not support printing reports to the “Microsoft XPS Document Writer” printer.
