Additional information regarding MYOB Essentials for Education Providers

How do I get started after I’ve purchased?Access the Partner Dashboard by logging into my.myob. This is where you will add your students:

1. Click Add a new ‘business’ 2. Enter the name of your students in the Business Name �eld. Remember to enter ‘student’

before your student’s name, so we can identify these students and extend their trial to6 months.

Select the chart of accounts you want to use - we suggest using “I sell Products and Services”. 3. Click Add Business. 4. You now need to transfer ownership of the business you’ve just added to each student. Click

‘transfer ownership’ next to the business name. A con�rmation message will appear.

5. Enter the student’s �rst name, last name and email address. 6. Click Begin transfer. A con�rmation message with the status ‘ownership pending’ will appear. 7. An email will be sent to the student’s email address, informing them of the transfer. You can

then see which students have accepted the invitation, or are yet to accept. You can alsoresend the transfer if required.

8. Repeat the process for the remaining students.

What do teachers and students need to access MYOB Essentials?

Is AccountRight provided on CD or download?

These are o�ered via download only - there is no disk speci�c to Education software. For AccountRightwe can o�er an .msi installer for your IT department to deploy across your network.

Can this be used in di�erent classes? Eg. for classes that run Cert level, Diploma level anddegree. Can a version be installed on a server and be accessed from any class?

For AccountRight we recommend that you set up your ‘master’ �le and activate it - this activation thenapplies the limit of 1,000 transactions to the �le. See setup of the CDF later in the document for furtherinstructions on creating data �les.

For AccountEdge there is no activation and con�rmation - just a limit of 1,000 transactions.

For Payroll, students can simply install the software and setup a �le. They wll be prompted for activationand con�rmation but can choose the ‘activate later’ option and use the �le for 90 days without havingto activate.

Some institutions need each student to have access to their data for 12 weeks - one semester and exam time, can this be done?

As above. Payroll will be active for 90 days, whilst the other software is transaction limited. As mentioned, if (for AccountRight and AccountEdge) you setup a master �le and then copy, the �le will be freshat the beginning of each semester.

Can students access their data �le at home for study purposes?

Yes - they will just need a version of the software installed locally unless they can access the school server.The student can continue to work on their �le in this version but it will still be restricted to 1,000 transactionsso they need to be mindful of this.

Can students access it via iPad in class instead of laptop?

No. The only software that is Mac compatible is the AccountEdge software but this isn’t optimised for iPad.If you want an iPad compatible option you would need to use MYOB Essentials.

Are there any limits to the number of machines AccountRight student edition can be installed on?

There are no restrictions to the number of installations. You just need to make sure you create and activate the one �le and distribute copies of that one �le to all students.

Can I use Bank Feeds in the student edition of AccountRight?

The ability to Import Bank Transactions will be available through the Setup Menu. While your �le won’t be connected to the cloud, we’ve provided you with a dummy �le you can use to mimic the process of importing and matching bank feeds. This �le provides an example of the setup of a bank feeds �le, so you can either use this for your training, or add/delete as many transactions as you like - just make sure that the same transactions have been entered into the AccountRight student �le so that when you import yourBank Feeds �le, the transactions are in AccountRight to match.

• Once your transactions have been setup and you are ready to import your Bank Feeds �le, go

to Setup > import bank transactions

• Select the account you wish to import the transactions to - this should be the same account thatwas used when entering the transactions in AccountRight

• Select the .csv Bank Feeds �le that you have downloaded• Click Import More Data• Navigate to the Banking Command Centre and select Bank Feeds

From here you will be able to match the transactions imported from the Bank Feeds �le with the matching transactions that have previously been entered into the AccountRight �le.

Company File Setup - Master FileThe new version of the AccountRight Education Kit is slightly di�erent to previous versions in that it now requires a one-time activation to limit the �le to 1,000 transactions. If this activation is not done then the �le will be limited to 30 days as per a free trial.

In order to optimise the experience for teachers and students alike, we recommend the following steps when creating a company �le for a speci�c course.

1 . Open AccountRight and create the Company Data File (CDF).2. Select AccountRight Plus as the product level.3. Select New Zealand as the region.4. Enter the Serial Number provided to you upon registration and the Company Information you

wish the �le to hold.5. Once the remaining setup has been complete choose to create the �le Locally.6. Enter the Command Centre.7.8. Ensure the Serial Number is correct and choose Activate.

This will be the one and only time that an activation will be requested, and the limit of 1,000 transactionswill be placed on the �le.

From this point, as the Education Provider you are now able to amend the �le (add transactions/card �les/amend accounts list) as you wish to create the �le you wish to distribute to the students. Once you have the �le ready for distribution, you can create a copy for each of the students that will be taking the course. This will remove the need for the student to carry out any activation and allow them to have a work ready �le.

If you are planning on o�ering more than one course, you can follow the above process for each scenario and adjust the data that you provide to the students dependent on the learning that is taking place. The key thing is by creating one master �le for each course, this reduces the number of �les that we require to be created.

Where can I store data �les when working in class?A library is a location on a computer, where your AccountRight company �le needs to be stored. It needs to be saved to one of the following library locations:

Importing Bank Feeds

When promted for Activation of the �le choose Activate Online.

• My library - This library is located on your computer in My Documents\MYOB\My AccountRight Files folder. If you’ve installed the Server Edition, the location is Public Documents\MYOB\My AccountRight Files.

• Network Library - This library is located on another computer in your network. You might choose to store your company �le in a network library, so others in the network can access it. Note that you can’t store or share your company �le from a NAS drive.

You need to choose to be in your local library rather than a server library as this makes it more individual to your computer. Or you can choose to use the network libraries if that suits them better.

If students install the software onto personal laptops to work from, how do they remove it at the end of the course?They will have to uninstall it from the Program Manager under the Control Panel.
