TheGAIAworkshopsareenabledwithGAIAcollaborationtechnologytoallowactiveparticipationbyworkshopattendees.Moderatorsneedtobeawareoftheavailabletechnologiestoallowfullparticipationincludingmakingcomments,sharingdocumentsandgraphics,andpollingtheattendees.Allofthistechnologyallowsinformation

tobeextractedandrecorded,sothattheworkshopeventsareavailableforfollow‐oneffortslongaftertheconferencehasended.ThisdocumentdescribesthefeaturesoftheGAIAcollaboratoryavailablefromtheGAIA

website,withaparticularfocusonwhatfeatureswillbeusedtosupporttheworkshopduringtheGAIAconference.

ACCOUNTSANDUSERPROFILES

EachworkshopparticipantmustlogintotheGAIAwebpagewiththeiraccountinordertoparticipateinpolls,makecomments,sharefiles,andutilizeotherfeaturesdescribedinthisdocument.

GAIAWEBMEMBERACCOUNTS

Useraccountshavebeenassignedtoallpre‐registeredconferenceparticipantsinadvance.Walk‐inregistrantswillhavetogetanaccountandpasswordfromtheConferenceSupportpersonnel.Generatedusernamesarelistedin

thefollowingformatsothatcontributorstoasessioncanbeeasilyidentified:“Firstname.Lastname”.

USERPROFILES

Contributionsfromregistereduserswillappearonthewebpageswithausernameattribution.OntheGAIAweb

pages,usernamesappearaslinkstotheuserprofiles.Userprofileinformationcancontainbios,abibliographyofpublishedorpresentedpapers,alinktoassociatedGAIAblogs(ifany),affiliation,theURLsforrelevantwebsites,

andanyotherinformationthatausercarestoenter.

Profileshavebeencreatedforconferencemoderatorsandspeakers.Inordertoaccessoredityourprofile,clickon“MyAccount”underUserFunctionsonthelefthandsidebar.Asampleuserprofileisshownbelow.

MAKINGCOMMENTSANDUPLOADINGFILES

Intheprevioussection,itwaspointedoutthatthereisawaytouploadmaterialforusespecificallyforyourworkshopatthebottomofthepage.Uploadingdocumentswillbecoveredinthissection.(Itishighly

recommendedtouploadallpotentiallyneededmaterialbeforetheworkshopbegins.)Preregisteredworkshopparticipantscanalsousetheselinkstoloadfilesbeforetheworkshoptakesplace,duringtheworkshop,orfor

sometimeaftertheworkshophasended.Itisimportanttounderstandthatfilesareuploadedthroughthe“Addnewcomment”featureintheCommentssectionofthecenterpanel.Thisparticularfeatureallowsbothfile

uploadsandcommentingcapabilities.

Participantscanaddcommentsandfilesontheworkshoppagebyclickingonthe“Addnewcomment”link.

Commentsshouldhaveasubject.

Usersarerequiredtoenteradescription.GAIAcommentsuseabuiltineditortoenableformattingofinformation.

Commentsallowforfilestobeattached(describedinthenextsection).

ATTACHINGFILESTOCOMMENTS

Attachingfilesisatwo‐stepprocess.First,filesareuploadedbyfirstaddinganewcomment(describedabove).

Thecommentdescriptionboxwilldescribetherelevanceofanuploadedfiletothetopicathand.Second,clickonthe“Fileattachments”linkatthebottomofthepagetoopenthefileattachmentinterface.

ClickingontheFileAttachmentslinkopensthefileattachmentinterface.UndertheAttachnewfileheading,eitherenterthefilelocation,orclickonthebrowsetabtolocatethefiletobeuploaded.Oncethefileisselected,clickthe“Attach”button.Participantsshouldthenclickthepreviewbuttontochecktheentries.

Oncethefileisuploadedandthecommentispreviewed,usersmustchooseanoptionregardingthelegalrightstodistributethefile–whethertheauthorhasfullrightstoshare,orthatonlylimiteddistributionispermitted.

Thecommentwithattachedfilecanthenbesavedbyclickingthe“Save”button.

Rapporteursornotetakersareassignedtoeachworkshopsession.Theywillnoteanyitemsofsignificance–commentsfromtheaudience,mentionedreferences,issuestabledforlaterfollow‐up,andconsensusopinions.

Theirnotesareenteredintotheworkshoppageinrealtime.Userswishingtoviewthelatestnoteswillneedtorefreshtheirworkshoppageintheirbrowsers.

POLLSANDPOLLCREATION

Duringtheworkshop,Moderatorsmaywanttopolltheparticipants.Mostofthesepollquestionsshouldbesetupbeforetheworkshoptakesplaceandcanbeguidedbyinteractionwithyourassignedfacilitator.Itispreferred

thatpollquestionsandtypesaresetupinadvance,butiftheyarenot,thentheGAIAworkshoptechnologyfacilitatorcansetupapollonthefly.Moderatorsneedtobeawarethatpollscanbecreated,used,andthe

resultscanbeviewedimmediately.ThissectiondescribespolltypesandthebasicadministrationofpollsfortheGAIAwebsite.

TYPESOFPOLLS

Therearethreetypesofpollsthatwillbeused.PollsarebuiltintoDrupal,BinaryPollsandRankingPollsareenabledbytheAdvancedPollsoption.

A“Poll”isamultiplechoicepollwithoneoptionselectedwith‘radio’buttonsA“BinaryPoll”canbeconfiguredtoallowmultipleselections,inwhichcaseradiobuttonsarereplacedwithcheckboxes.Canalsoallowwrite‐ins.

A“RankingPoll”presentsalistofoptionsforranking.Therearetwowaysofscoring.A‘Runoff’gives1pointtothetoprankand0toalltheothers.‘Bordia’assignspointsstartingwith0forthebottom,1fornext‐to‐last,etc.uptothetop.Usersdonothavetorankeveryitem.Write‐inscanbeenabled.Thewrite‐inoptionfortheBinaryorRankingpollscouldbeusedtosupportaudience‐createdlistswithpreferencevoting.

ALTERNATEMEANSOFPUBLISHINGYoucanalsochangethepublishstatusfromthepoll’seditscreen.Scrolldowntothebottomandexpandthe‘Publishingoptions’section,andchecktheboxfor‘Published’.Itshouldnowshowuponeverypagewhereitisenabled.Uncheckingthisboxmakesisdisappear.

REMOVINGPOLLS

Usethesamemethodasabove,butchoose‘unpublish’,oreditthepolldirectlyanddeselect‘published’.

VIEWINGPOLLRESULTS

Publishedpollsshouldappearsimilartothegraphicontheright.Normaluserswillnotseethe‘edit’linkonthebottom;onlyconferenceorganizersandadministrators.Aftertheyvote,eachusershouldseeresultsofthepollsofar.Theymayhavetorefreshtheirscreenasnewresultscomein.Toseewhohasvoted,youcanfollowtheeditlinkandusethe‘Track’tab.
