you need in order to participate in this years show!

Dates and Times: Saturday, May 25th, 2013 and Sunday, May 26th, 2013 Location: Atlanta’s Historical Martin Luther King Jr. Dr (From Joseph E. Lowery to Paschal Dr.) Attendees: We are targeting over 5000+ attendees over the festivals two-day schedule. This is the

first of an annual MLK Renaissance Festival is targeted toward the high population of African-American owned & operated Merchant and College community in the historical West End of Atlanta Ga. area. This is the first year of the festival.

Target Demographics: Our primary demographic targets are African-American, Latino, Hispanic, Caucasian and

Asian males and females 21-54 years old who live, work or own businesses in the Vine City / West End Village Area of Atlanta, Ga.

The attached sheet labeled ‘Important Information for Vendors’ outlines the basic information needed for this year’s event. Please read all of the information provided for you in this packet.

It is important that you and your workers protect your belongings. DO NOT store purses or valuable items in your booth. Show Management is not responsible for lost or stolen items. If you are going to have a sound system at your booth YOU MUST TURN IN YOUR SOUND AGREEMENT WITH YOUR CONTRACT OR WHEN YOU ARRIVE FOR LOAD IN.

The vehicles’ gas tank needs to contain NO MORE than 1/4 of a tank, NO EXCEPTIONS. Gas caps on vehicles must be locked or taped over upon arrival to vendor area. Failure to comply with these rules will result in your vehicle being denied entry to the show without refund.

Attention: **Vendors of Music and Videos** The unauthorized sale of reproduced copyrighted materials including Music, Videos and DVDs is prohibited at the MLK Renaissance Festival. The Show Management reserves the right to ask you to remove all unauthorized merchandise from your booth. If you fail to adhere to this policy, you will be asked to leave the event and no refund of any fees paid will be given.

Vendors must market their company from their assigned booth / table space and location. All other solicitation is prohibited.

MOVE IN & OUT INSTRUCTIONS A. All vehicles’ must report and line up at the entrance of Martin Luther King Jr. Dr. and Paschal Street

during the allotted move-in time TBA.

B. Security will verify you are a MLK Renaissance Festival / ATL Super Fest vendor and then will give you a loading pass that will allow you to access to the loading docks for ONE (1) HOUR ONLY.

C. Please have a copy of your contract or your vendor kit to verify that you are a MLK Renaissance / ATL Super Fest Participant. You will not be granted access to the area for vendor set up without a vendor-loading pass.

D. Attached are directions on how to get to the Entrance on Martin Luther King Jr. Dr. & Paschal Street. (Please see directions page in this kit for map and directions from each area of Atlanta)

E. Each Vendor will be given a loading pass with their booth number and name on it to identify their location. Vendors will have 1 hour from his or her security check in to unload their vehicle. – NO EXCEPTIONS

F. After unloading your vehicle, please park your car in the assigned parking lots so that other cars can enter the loading docks. After relocating your vehicle you will have 2 hours to set up your booth.

Please note – the one (1) hour loading area access policy will be strongly enforced by the MLK Renaissance Festival. Vehicles that do not adhere to this policy will be towed at the owners’ expense. We highly recommend you to upload / set up in pairs to ensure someone is with your items at all times during the set up period.

Parking on Friday for set up is complimentary. You will NOT have access to this same lot complementary on Saturday and Sunday. In & Out parking passes for the yellow, red and green lots may be purchased online for $10 (See Link Below) You must wear your vendor bracelet to regain entry thru vendor entry and exit area. www.atlsuperfest.eventbrite.com

Festival Day Vendor Access – There will be no direct access to the loading area on Saturday and Sunday. Any vendor choosing to move in Saturday morning rather than Friday will have to carry items in from their assigned parking lot. Please bring your own hand trucks and dollies, as none will be available to you. Its highly recommend that you avoid this method. Please make every effort to move in on Friday over night during the allotted time of 12am-6am.

Move Out Instructions – Move out will being at the close of show on Sunday May 26th, 2013 at 9pm. All vehicles must first report to their assigned parking lot area and receive a loading pass for move out. This loading pass will give the vendor access to the Festival area for move out. For security purposes, no one will be allowed to exit through the loading docks with merchandise prior to the close of the show.

Important Information for Exhibitors

Content Guidelines: Please keep in mine that all exhibition content should be suitable for all ages. Show Management has final approval. NO SOLICITING outside of your booth area. DO NOT block the view of your neighbor’s booths. (Signage cannot be higher than 8ft to the rear and 4ft on the sides. If you have a sound system in your booth, the volume will need to be at a reasonable level and respectful to other booths around you. PLEASE DO NOT PLAY LYRICS WITH EXPLICIT LANGUAGE. Show Management reserves the right to ask you to leave, with no refunds for inappropriate content or behavior in your booth.

Exhibitor Wristbands – Exhibitor wristbands will be handed out at Check In / Loading. These bands will allow you to enter and exit the event area thru our vendor exit and entrance to the area, show hours, and move out. The person checking in on Friday will be responsible for distributing the bans to all booth workers. Each 10’ x 10’ booth will receive 4 wristbands.

VENDOR MENU & SALES GUIDELINES:

In order to avoid over-duplication of Vendor Menus, only approved foods listed on the original application may be sold at the Festival. Menu approval will occur after vendor presentation and sampling by the MLK Renaissance Festival management team.

A complete menu of all food and/or drinks, including prices, to be sold during the festival MUST be provided with the application.

Vendors CANNOT exchange money as currency from customer while vending inside of the Festival. Product menu prices must be sold using a ticket with, $1.00 = 1 Ticket.

Vendors in violation of MENU SALES Agreement will be fined $100.00 and risk being eliminated from the Festival and forfeit their deposit. Vendors who violate this rule will be banned from future festivals & events.

Vendors are required to post a printed sign or menu board that clearly offers a listing of all menu items and the prices for each item, as it equals in tickets with, $1.00 = 1 Ticket. Handwritten Signs are not acceptable, unless professionally designed by a calligrapher

Vendors are required to post a list of highly allergenic foods, if used in the preparation of menu items, such as: Peanuts, Shell Fish, Wheat, Soy, and Dairy Products etc.

FOOD VENDOR APPLICATION CHECK LIST

The following items MUST be included with the food vendor application or it will be returned as incomplete:

√ Completed and Signed food Vendor Application received no later than May 1st, 2013 by 5pm.

√ Full Payment by valid Cashiers Check, Money Order or Cash MUST be included with the food vendor application or it will be returned as incomplete. No personal checks.

√ NO booth spaces will be assigned without full payment and participation in TWO mandatory Food Vendor Meetings.

√ Completed Menu and Prices of Items based on our $1.00 = 1 Ticket Currency Guideline.

EXCLUSIVE VENDOR OFFER

In consideration of the rights extended in this Vendor Kit, as an Exclusive Vendor Offer, The MLK Renaissance Festival Management would like to extend your company with these items listed based on our interest in your company becoming a merchant partner of the MLK Renaissance Festival 2013:
