CELEBRATION MINISTRIES GUEST SCHEDULE CO-ORDINATION

Send written invitation/confirmation from Pastor Tom to the guest/s, detailing what Celebration will pay (e.g. airfare, accommodation, transportation etc) and what the guest/s is expected to pay for themselves. (inc tourism levy) Projected deadline: 3 months prior to conference dates.

Book accommodation, confirm booking in writing and advise hotel/lodge what Celebration Ministries is paying for and what the guest/s are paying for themselves. Don’t forget the hidden extras, like tourism levy and get a full quotation in writing from the hotel/s. Projected deadline: 2

and half months prior to conference dates.

If guest is staying in host-home enquire as to whether laundry can be done for guest/s at home? If not then arrange for CCS laundry services to launder garments or arrange for external launderers to do so. If guest paying their own way then they pay for this – if Celebration Ministries paying for accommodation then the cost is borne by Celebration Ministries.

If guest is staying in host home and Celebration Ministries is paying for the accommodation, arrange Zimbabwe Dollars cash in advance of guest/s arrival from Accounts Department for finances towards expenses of guest with regards to accommodation and meals. Length of stay and type of itinerary determines amount that will be requested, and this should be done in consultation with GR Manager. This amount should be regularly reassessed for economic viability and modified accordingly.

If guest is paying his/her own way, then guest needs to be advised that they will need to contribute towards the expenses of the host home family. Recommendation of USD60/per person/per day is budgeted for and paid to host family in foreign currency cash. If staying in a host home advise them that washing of personal “smalls” (underwear) needs to be done by the guest themselves.

Discuss with host-home expectations and requirements and advise them you will be requesting guest complete a Hospitality Questionnaire before departure.

If staying in a host home, enquire if guest will be able to have access to Internet from the house, or make alternative arrangements through Internet café’s or Celebration Ministries offices.

If staying in host-home, ensure that home has been approved by GR department/Department managing guest prior to acceptance.

If guests here for a large conference and staying in host home, arrange for volunteer meals for host home hosts during the conference if being arranged for other volunteers.

If guest staying in host-home and no safe facilities are available, arrange with Celebration Ministries Accounts Department for passports and large amounts of cash and valuables to be kept in Ministry safe.

Ensure that you get written confirmation of this information having been received from the hotel/lodge/host home.

Celebration Ministries has discounted accommodation with Meikles Hotel (through Jacqui Fleming). Remember that foreigners have to pay for their hotel accommodation in forex, unless application has been made to Reserve Bank (by Accounts Dept) for Celebration Ministries to pay in Zimbabwe $ in advance. Refer to the Accounts Manager for details.

Travel agents used for all ticket bookings etc, are Premier Travel (Shirley Pike) or Ruchie Travel (Rumbi Munhuwani) regarding air travel, visas, hotel bookings, safaris, ground transportation etc. Special missionary fares are also available on British Airways through Premier Travel, but arrangements must be done by Guest Relations office in Harare. Discounted air tickets are available on Air Zimbabwe, but not through travel agents, only direct from Air Zimbabwe. See Guest Relations office for further information.

Find out if there any special dietary requirements or likes and dislikes of any guests coming.

Page 5

Enquire as to any special type of equipment they may need to assist them at any speaking engagement – e.g. type of microphone they prefer, will they need a video projector etc. Work through the items on the Events Checklist to see if any are required.

Find out their message titles for speaking sessions and find out bible version/s they use when speaking (if applicable) for multimedia use.

Get them to email and/or send by courier a biography and photograph for advertising purposes. To this end you will need to advise them of Celebration Ministries’s physical address and telephone number/s.

If Celebration Ministries is paying for guest/s airfare/s, get quotations from travel agents, and other airlines and communicate this information to the guests. Request that they obtain comparative quotations from airlines in their country. Celebration Ministries pays for economy (coach) class tickets. Should the local quotation be more favourable (bearing in mind exchange control, forex, etc) then get the ticket/s issued in Zimbabwe and sent to them. Should they prefer to fly another airline (or business class) advise them that Celebration Ministries will pay the cost of the ticket as per our quotation for an economy class ticket and they should be prepared to pay the difference. If they are getting the ticket themselves overseas and we are reimbursing them, have them fax an invoice to our Ministries as soon as possible for the airfare, so that a bank draft can be organised in time for their arrival. Accounts Manager can assist with making application for this bank draft. If we are organising the tickets from here advise the guest where they can collect the ticket. Projected

deadline: 2 months prior to conference.

Enquire if guest will need access to internet or emails whilst here and arrange for IT department if necessary.

If they are making/paying for their own flight arrangements, get the flight details from them as soon as possible. Give these to Pastors Tom and Bonnie’s offices, and include in the itinerary. All flights should be reconfirmed by GR Office 48 hours prior to guest/s departure.

Enquire as to whether the guest needs ground transportation organised whilst he/she is in Zimbabwe and arrange as appropriate – i.e. Either organise a hired vehicle for them if they are paying themselves, or organise a vehicle and driver provided by the ministry. (See detailed drivers protocol for specifications). Projected deadline: 2 months prior to visit to Zimbabwe.

If guest requests a specific driver they may have had before, be careful as often those who volunteer have more of a heart to serve than those who are requested, but were not planning on volunteering.

If a vehicle is going to be borrowed from someone within Celebration Ministries, then liase with gatekeeper in charge of transport.

If guest is driving his/her self during time in Zimbabwe and is VIP or speaker at conference/seminar ensure that a protocol person/s still available to assist guest/s once they arrive at venue.

If guest is driving self and VIP/speaker at seminar or conference ensure that VIP parking is arranged with security and communicated to guest. Projected deadline: 2 weeks prior to Guest/Speakers

arrival.

◊ Should they be doing a Power Point presentation at any of their speaking engagements the following will need to be actioned:

Details of the version of Power Point will be needed ahead of their arrival to ensure

that same version of software is being used. The presentation will need to be tested with our equipment prior to the use of it

at any speaking engagement. Advise them this will need to be available for our Multi

Media team to have access to.

◊ If they will be showing pre-recorded DVD’s or video’s or CD’s these will need to be tested first and should be supplied to the Guest Relations Manager/Seminar Coordinator Technical Director at least 12 hours before the seminar.

◊ If they will be handing out workbooks or handouts, advise them that the master of these should be forwarded to us by email or courier to arrive in Zimbabwe no later than 2 weeks before the speaking engagement to ensure adequate time for printing and collating of said materials. Advise them that unfortunately, if we do not get this information in advance we may be unable to organise the printing in time.

◊ Enquire if guest speaker would like the use of time-cards in ministry opportunities, to ensure they comply with allocated speaking times.

◊ Enquire if speaker has any other props or stage requirements, and organise in advance.

◊ As a complimentary gesture CDs of all their personal speaking sessions should be organized prior to their departure from Zimbabwe for them to take with them. This should be arranged directly with the Duplication Department. Reconfirm with each department that their departments are agreeable to carrying the costs for these tapes. Projected deadline for organizing: 2 weeks prior to speaker’s arrival.

◊ Advise them that due to foreign currency restrictions through the Reserve Bank of Zimbabwe, any honorariums payable will be paid in local Zimbabwe dollars, as they are not remittable in foreign currency. We will endeavour to do what we can to pay in forex, but they need to be aware of the possibility of it being paid in Zim $.

◊ Contact details for any visa they may have to get to enter Zimbabwe are: Rev T Deuschle

Page 7

162 Swan Drive Borrowdale West Harare

◊ Advise cost of visa at airport/border crossing and whether change is given if large notes used

◊ Please note that all persons travelling, including the speaker should state that they are Conference Delegates on any documentation they complete for Immigration Purposes and not Speakers (otherwise they may be asked for a work permit) if coming for a Conference and on holiday for any other reason.

◊ If the speaker is bringing any product that needs to be imported/sold have them liase with the Manager of WordWide Bookstore directly for importation etc. Advise them that there is a specific contract that they will be required to sign and adhere to directly with WordWide. Give them contact details for World Wide Manager.

◊ Should they require video-tapes/dvd’s of their speaking sessions (or any other meetings/services) to please communicate this to the Guest Relations Manager in advance giving all details of format required and quantities etc. Should this situation arise consult with Senior Pastors as to whether the guest will pay for this or if Celebration Ministries will bless them with these. Direct liaison with Duplication Department on procurement of these should be made in writing in advance of departure.

PROPHETIC WORD FOR ZIMBABWE

GIVEN BY CINDY JACOBS 30/10/98

GUATEMALA

The river is going to flow through Zimbabwe and I see a powerful torrent of water, a mighty rushing torrent, and many fish. I see that there are strongholds in the church, of division and the accuser of the brethren is active to discourage souls. An army of women with the Deborah anointing will march across the land. They will be like a net all over Zimbabwe with prayer. With a powerful anointing, the women first and men following. I see ancient thrones coming down, reconciliation between black and white, the spirit of racism which goes back further down to the tribes. I will use Zimbabwe like a jewel, she will help feed the world with beautiful produce. God will break the curse that came through civil war - the curse will be broken. (I know nothing about Zimbabwe.) The land will produce beautiful beef. New factories will be built. Zimbabwe has the ministry of reconciliation that will reunite the African people. The anointing of reconciliation will be all over Zimbabwe. Do not be afraid of the change, although it looks like you are going backwards.

I have a plan for you. Satan thinks he is advancing, but I will expose

wickedness at high levels. Do not be afraid. Satan will try to bring war; this

prayer army will be used to stop war and bloodshed. A treaty will be written

with other nations. Zimbabwe will be like Switzerland to bring the healing of

nations - to break ancient things. Your nation came through trickery but God

will restore it.

You will be given a piece of land - a beautiful place to pray. You will build a place to watch and pray. It will be like a compound with a place to sleep. The Anna’s will give their lives for intercession. Senior citizens will have places to stay and give their time to pray day and night.
