1. Develop and implement a Contact Details List

a. Create 2 list -, 1 for Steering Committee and Whanau contacts and the other for those external parties that will provide support to the event.

2. Develop / Implement Kumeroa Whanau Reunion Cashbook

a. Establish costs associated with the whanau reunion and place into spreadsheet to monitor and manage Has been developed for implementation / use - Chris Kumeroa

3. Funding Applications

a. Applications for Funding – Erina Day, Chris, Cherale and Cecelia They would include but not exclusive to:

- Appendix 1 - Ati Hau Corporation – Chris

- Appendix 2 - Murikau Corporation - Chris

- Appendix 3 - Nga Tangata Tiaki o Whaganui – Cecelia and Cherale

- Appendix 4 – Whanau Ora - Erina

- Appendix 5 – TPK – Erina

Asses host criteria before applying and seek clarification on the required documentation (what are the provisions).

- Bank account

- Track record of management meetings

- Cost forecast and income coming in

- What is the purpose of the event and how will this help, Marae, Hapu and Iwi

- Understand the requirements for each application – fit for purpose

- May need to inform to each agency that we are seeking funding elsewhere to ensure transparency (ie inform Ati Hau that we will be applying to Murikau etc).

4. Whanau Bank Account

a. The name is Te Whango Kumeroa, Westpac and 2 signatories are in place to access funds, the account details are: 03-0791-0509646-25, Whanganui.

- Only James and Aunty Tweeny are signatories, may need to add Cecelia as backup. - Cecelia / James / Victoria to double check - The account is $900 and requires another $5600 (we need to reassess this amount) to meet the

required costs of food and accom etc. Must get copy of all transactions to monitor and manage – also keep all informed on our status

5. General Fund Raising

a. James and Tori (plus heaps of whanau) have been doing shearing with the family involved for free and the proceeds have been put into the Te Whaango account - awesome.

Shearing contracts – note: (whanau donations) except those that have provided support to the shearing work with James and Tori (this is completely optional), so if they still wish to donate the required $50 per family then they can do so.

Whanau Donations - $50 per whanau of our generation and can make exceptions to those younger generations if they to wish to donate (the old people are optional, but would be considered as free of charge).

Sausage sizzles Raffles Hangis sales etc Website – Cecelia to donate a portion of the cash.

6. Reunion Events Schedule

a. Visit Old People (Urupa), Aramoho and WaakaKumeroa Whanau Reunion: 1-3 Jan 2016

b. Story Telling, the Aunties and Uncles: record for archivingc. Go over Marae, River protocol, traditions, Haka, Waiata – perhaps secure the likes of the Green whanau from Nga Paerangi to facilitate karanga etc. Early warning to secure their time, build in contingency if required. d. Teach/Learn how to put a Hangi down, weaving etce. Eeling, hunting, fishingf. Giving something back to the Marae from our Whanaug. Talent Questh. Sports Day – touch, netball, swimming. i. Medical Check-ups, Rongoa Maori Massagej. Iwi leaders address to talk about iwi development and where we fit in.

Challenges of securing someone like Ken Mair and Gerard Albert over this New Year period. May need early warning to secure their time.

7. Tohu / Clothing / Carvings

a. Design and make a T-Shirt for the reunion Consider concepts and designs from whanau – Cecelia to manage and confirm the design Sort costs – budget of $25 per T-shirt – Candice to manage cash into our whanau account Quality of garment – Harlem and Chris through Pakistan contact Consider costs / look to reduce where practical

b. Carvings for the oll people – Hoe for all whanau – Dennis. Hoe Patu Taiaha

8. Reunion Book

a. What do we want in it?? Our whakapapa / family tree Pictures of the oll people

b. Decided that this should be done on completion of the Reunion and uploaded onto the Kumeroa website for those that wish to print can do so at their leisure.c. Erina get a copy of the How Chow version as a framework for ours. We can pre-set the design and the look at the reunion etc.

9. Drinking and smoking during the reunion

a. Do we want people to give up during this period. We think this may create issues and also prevent people from coming.b. One aunty said she won’t come if this is enforced. c. Select periods during the event when this can be conducted to cater for all. d. Designate areas of drinking and smoking – look to promote a smoke free environment for our tamariki

10. Kumeroa Whanau Website

a. Cecelia has developed a whanau website for all to view: Karakia Gallery News Whanau Maps of Marae Recent Posts Upload all our reunion admin docs for all to see and give feedback where required.
