    1. INTRODUCTION

    This document will walk you the through process of acquiring and/or activating a license for SAP Visual Enterprise Author 7.0 (released March 2012). We will refer to SAP Visual Enterprise Author as VE-Author below. SAP sells Visual Enterprise Author per-user. License Activation is required for a user to operate Author on any particular computer after the 30 day temporary period.

    Technical Licensing models

    There are two basic models for licensing:

    Served licenses also called Network License.

    You have a network license server on your local network. SAP provides a single license file with

    licenses for all users. This is suitable for larger installations with many users. Administering a

    license server is simpler than managing licenses on each user machine. The system administrator

    will need to install and configure the license server, obtain and install a single license file to activate

    all the served licenses.

    Fixed Licenses also called Standalone or Un-served licenses.

    Each user has to obtain and activate a license on his/her machine. There are two methods to get

    the License key. They are described later in this document.

    These models are illustrated in the following diagrams. If you are using VE-Author in a corporate environment, typically the system administrator will decide which licensing model is preferred.

    It is useful to see the License screen in VE-Author to help understand the licensing options and how to get and implement your licenses. If you have already installed VE-Author, you can run it, and then click on HelpActivate SAP Visual Enterprise Author.

    Pre-requisites to obtaining your Licenses

    In general, SAP software and licenses are delivered via the SAP Service Marketplace (SMP) http://www.service.sap.com. If you have purchased SAP software, one or more people in your organization will be set up as a user on SMP. If you purchased through a partner, then that partner might obtain your licenses for you. The licenses are available through a license self-service page on the portal http://service.sap.com/licensekeys. You or your system administrator will need to be able to log into the SMP to get license keys in some situations. This document assumes you know how to download software from SMP and already have the VE-Author download package.

    2. ACTIVATING A NETWORK LICENSE SERVER

    Read this section to license a License Server, which will deliver licenses to the users on an internal network.

    Summary of steps

    1. Download the VE Author package from SMP

    2. Extract the License Server software from the download

    3. Select your target license server machine

    4. Install the License Server software

    5. Use the Host ID utility to determine the hosted for the server machine

    6. Log into SMP license keys area. Follow detailed steps below to enter Host ID and obtain license key

    for the selected host

    7. Install the license key on the host

    8. Setup all named users in the options file on the license server

    9. Go to a client machine, install Author, configure it to point to the license server, and test the

    installation

    Detailed steps

    We assume you have already performed steps 1 through 4 above. This document is about licensing the software. Obtaining your Host-ID Host id of the server a customer may find by running Host ID tool from the start menu.

    The output of this utility tool will look like:

    Log into the SMP and select the appropriate installation.

    If you do not know how to find an installation or if you cannot log in to SMP, you should contact the SAP Customer Interaction Center (CIC), or the partner which supplied the VE-Author product to you.

    The next step is to edit an existing system, or to create a new one.

    Then fill in the fields required.

    In both cases (creating a new system, or editing existing) you will end up in the first Product Data

    screen. This lists your product order entitlements how many licenses are available. Choose what

    you want to license, then click on Select to Generate to go to the next screen, where you choose

    your Licensing Model or Method.

    Now choose your Licensing Model.

    Select Served License and Click Next.

    Define the number of licenses to serve on this License Server.

    Then, a customer should fill in all the required information about his/her server (machine name,

    machine host id) and optional information. You can find more information in the documentation

    delivered within the license server software installation.

    Click the Generate button.

    You will get the license file.

    Download this file to the location of license server software. It will look like this:

    This concludes the procedure to obtain a license key for a License Server.

    Installing the License file on your license server Please refer to the documentation that was delivered with the license server. This will also help you set up your options file with all the named users in it.

    End-user configuration of VE-Author

    The user should start VE-Author and open the Activation screen from the help menu.

    The user should select the tab labeled Concurrent License. The user should enter the Server Name or IP address and Port Number of the License server.

    These must be supplied by the system administrator.

    We recommend you test the connection using the button supplied.

    If all is well, click OK. The system will save the settings to the registry. VE-Author is now licensed.

    Your computer will need access to the license server each time you run VE-Author.

    3. STANDALONE LICENSES ALSO CALLED FIXED OR UNSERVED LICENSES

    In this licensing scenario, you must obtain and install a license key specific to each users workstation.

    Summary of steps

    1. To get a license key for each workstation, you will first need an Activation Code. This is used to

    generate the specific key you need.

    The Activation Code will either be supplied to you by your partner or it will be available for download

    in the Service Marketplace next to VE Author product in a separate document.

    2. Once you have the Activation Code, there are two ways to get license keys:

    Automatic: Use this if each end-user can connect to the Internet.

    The user enters the activation code into VE-Author and obtains a license key automatically from

    an Internet Activation Server.

    Manual: If a user cannot connect to the internet (perhaps because of firewalls or security policy),

    then there is a backup manual way to obtain a license key and install it. There are actually two

    options:

    o An administrator or end-user logs in to SMP to obtain the license keys manually. You will

    need to know the Host ID of the particular workstation to obtain the license key.

    o Or e-mail Support with the computer Host ID to obtain a license key

    Detailed steps - Automatic

    This describes the process of automatically obtaining a license key using an activation code.

    Start VE-Author

    Open the Licensing screen: Menu Activate SAP Visual Enterprise Author

    Enter your activation code in the space provided and Click Activate

    If successful, you will see a license key appear in the box at the bottom. If so, Click OK and you are

    done.

    If this fails for example because of a firewall or no access to the internet, you will have to either fix

    the internet connectivity, or you will need to use the Manual method of license activation. There will

    be a dialog to alert you if there is an error.

    Detailed Steps Manual

    This describes manually obtaining and entering a license key using Host ID. There are two manual options:

    (a) Obtain the License key from SMP

    (b) Request a key from support

    In both cases you will need to know the computers Host ID. Finding the Host ID

    From the License screen in VE-Author, click on the radio button to enable E-mail activation.

    Then click on the button labeled Send E-mail.

    An E-mail form will pop-up containing the Activation code and the Host-ID.

    If you are going to obtain the license key from SMP yourself, you will need to note the Host ID. If

    you are going to ask your system administrator to do it, you can send this email to him or her.

    If you want to get the key from Support, the preferred method is to open a support ticket in the SAP

    customer support system. You can also send the email directly to the default address shown

    above, but this may take longer.

    Obtaining the license key from Support

    You can open a support ticket under component: CA-VE-VEA. An SAP support employee will check

    your entitlements manually and send you back a license key by email. This may take 1 to 3 days.

    Obtaining the license key from the Service Marketplace (preferred way)

    Rather than wait for Support, you or your system administrator can obtain the license key directly

    from the license self-serve area in SMP.

    Log into SMP. http://service.sap.com/licensekeys.

    Select an appropriate installation.

    The next step is to edit an existing system, or to create a new one.

    If creating a new system, the first step is to generate System ID. You can include all of your

    workstations grouped under this one System ID.

    Then fill in the required fields. Select SAP Visual Enterprise Author from the drop down list of

    products.

    If it is not available, there is a problem with the order or the entitlement. You will need to talk to your

    Account Executive, or your supplier or Partner, or raise a ticket with Support.

    In both cases (creating a new system, or editing existing) user will end up in the license generating

    screen.

    Select the entitlement the set of available licenses you want to use and click Select to Generate.

    This will not generate the keys immediately there are a couple of more steps yet.

    This screen offers you the choice between served and Un-served. Select Un-served which is also

    known as Standalone or fixed licensing.

    This takes you to the License Quantity screen.

    Enter quantity. You can generate up to 10 keys at a time. Click Next.

    This takes you to the screen where you have to enter the Host ID for each relevant system.

    Enter the host ID you determined earlier. Also, for convenience, provide a name for each machine.

    This is not used in the licensing it is just for convenience.

    Click on Generate.

    The system will generate the required number of license key(s) in the following format:

    Entering the License into VE-Author

    Now that you have a license key for each machine, you need to paste it into the dialog we used

    earlier, and click OK

    The System should now be licensed. You are done.

    4. CHECKING IN LICENSES

    For both Served and Un-served Licensing Models, there is an option to return the license no longer needed. To do this, a customer should log into SMP to edit the system he/she created/edited previously, and click the Check In button.

    Check in licenses can also be used when an end-user application or a license server is going to be re-hosted. In this case a customer should check in the license(s), re-host the application/server, and then check the new license(s) out following the workflow described above.
