It is the contractors responsibility to notify the production facility the day before material is being requested.

Change Orders:
When the District starts a change order the unsigned change order should be forwarded to the Area Materials Engineer. The AME will then manually input the bid items into the Materials Management System. The contractor will then be able to start sourcing the necessary materials .
Populating the project Item List:Once the Notice of Award has been received by the Materials Management Division (MMD) the project will be set up in the Materials Management System(MMS). Unfortunately, a lot of the times MMD is not able to load the bid items. It usually takes 1-2 weeks after the Notice of Award for MMD to be able to upload the bid items. If you do not see your bid items there, please email your AME.
LPA’s:LPA’s – Must supply the AME with the bid tabs in Excel format. The AME can supply a blank spreadsheet. Please make sure there are no formulas in the spreadsheet.
Design Build Projects:With Design Build projects, Per the Design Build Manual, the Prime Contractor is required to supply a bid tab breakdown. This also will be in excel format for import to the MMS.
