Working with text

                               

If you're new to Microsoft Word, you'll need to learn the basics of working with text so you can type, reorganize, and edit text quickly and easily.

You'll need to know how to insert, delete, and move text, as well as how to find and replace specific words or phrases.

To insert text:

1.Move your mouse to the location where you wish text to appear in the document.

2. Click the mouse. The insertion point appears.

3.Type the text you wish to appear.

To select text:

• Clicking and dragging the insertion point over the text is the standard way to do it, but there are many other quicker ways.

• Double-clicking on word will select the entire word.

• Triple-clicking on a word will select the entire sentence or paragraph.

• CTRL A is a keyboard shortcut will select an entire document. This can save a lot of time.

• Holding CTRL as you double-click will allow you to make many selections at a time.

To delete text:

Place the insertion point next to the text you wish to delete.

Press the Backspace key on your keyboard to delete text to the left of the insertion point.

Press the Delete key on your keyboard to delete text to the right of the insertion point.

To move text:

• The quick drag and drop method.• Select the text you wish to copy.• Click and drag the text to the location where

you want it to appear. (The cursor will have a rectangle under it to indicate that you are moving text.)

To cut, copy, and paste text:• Select the text you wish to move or copy using the quickest method for

selecting text.• Click the Cut command on the Home tab to move the text to another location.

• Click the Copy command on the Home tab to copy the text to another location.

• Place your insertion point where you wish the text to appear.

• Click the Paste command on the Home tab. The text will appear.

• You can also cut, copy, and paste by right-clicking your document and choosing from the jump-list.

• When you use this method to paste, you can choose from three options that determine how the text will be formatted: Keep Source Formatting, Merge Formatting, and Keep Text Only.

• You can hover the mouse over each icon to see what it will look like before clicking on it.

• Do you know the difference between cutting and copying?

• Remember, Cut when you want to move text entirely.

• Copy when you need a duplicate of the original.

Keyboard shortcuts for cut, copy, paste:

• These shortcuts are useful when you want to take information from a web page and put it in your document.• Memorize them!!!• Cut = CTRL X• Copy = CTRL C• Paste = CTRL V

Find and replace textWhen you're working with longer documents, it can be difficult and time consuming to locate a specific word or phrase. Word can automatically search your document using the Find feature, and it even allows you to change words or phrases using Replace.

To find text:1.From the Home tab, click the Find command. The Navigation pane will appear on the left side of the screen 2.Type the text you wish to find in the field at the top of the Navigation pane.

To replace text:1.From the Home tab, click the Replace command. The Find and Replace dialog box will appear. 2.Type the text you wish to find in the Find what field.3.Type the text you wish to replace it with in the Replace with field.4.Click Find Next and then Replace to replace text. You can also click Replace All to replace all instances within the document.

IMPORTANT

• You are about to complete a challenge that involves many steps.

• You must read each step slowly and carefully or it may be confusing for you.

• Highlighting each step as you go is a good strategy for keeping your place.

• Use the snap feature of Windows to have the PowerPoint on one side and the Word document on the other side,

• You may prefer to use a printed class copy of the PowerPoint, but please try the snap feature first as this saves paper and ink.

• Get good at doing this, you will be doing a lot of these types of challenges.

Challenge 3Part 1: Practice inserting, selecting, and deleting text.

1.Open a blank document in Word.

2.Put a heading on it: Last Name, First Name, Period

3.On the next line type Part 1 and hit ENTER

4.On the next line type the following sentence: The fox jumps over the lazy dog.

5.Insert the words quick brown in front of the word fox.

6.Practice selecting words using the double-click selection method.

7.Practice selecting the entire sentence using the triple-click selection method.

8.Practice selecting every other word by holding CTRL as you double-click.

9.Now paste a copy of the sentence directly after the first one so you have two.

10.On the second sentence, delete the words quick brown using the BACKSPACE key and replace them with the words slow black

11.Also on the second sentence, delete the words lazy dog using the DELETE key and replace it with the word happy cat.

12.If you have done this correctly you should have two sentences that read as follows:

The quick brown fox jumps over the lazy dog. The slow black fox jumps over the happy cat.

13.If you didn’t get it right, clear everything off of the page and try again. You will be tested on this.

14.Once it’s right Save As: Last Name, First Name Challenge 3. And go on to Part 2.

Remember to name your files exactly as instructed and make sure they are saved into your N: TSDE Classwork Folder.

Challenge 3Part 2: Practice cutting, copying, and moving text.

1.On the same document as Part 1, hit ENTER a couple of times for some extra space and type Part 2.

2. Copy and paste the two finished sentences from Part 1 into Part 2.

3.Repeat pasting the sentences three more times. You should now have eight sentences total.

4.Using the cut and paste commands or the select and drag method, move all of The quick brown fox jumps over the lazy dog sentences around so they are first, and move the slow black fox jumps over the happy cat sentences around so they are last

5. Part 2 should now look something like this:

The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The slow black fox jumps over the happy cat. The slow black fox jumps over the happy cat. The slow black fox jumps over the happy cat. The slow black fox jumps over the happy cat.

6. If you didn’t get it right the first time clear everything in Part 2 out and try again. You will be tested on this.

7. When done, hit Save to update the file and go on to Part 3.

Challenge 3Part 3: Practice finding and replacing text using the find and replace commands.

1.On the same document as the first two parts hit ENTER a couple of times for some extra space and type Part 3.

2. Copy and paste the finished sentences from Part 2 into Part 3.

3. Using the Replace command (hint: Home Tab>Editing Group) replace all of the words slow with the word quick.

4. Then, replace all of the words black with the word brown.

5. Part 3 should now look something like this, eight matching sentences:

The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog. The quick brown fox jumps over the lazy dog.

6. If you didn’t get it right, clear out Part 3 and try again. You will be tested on this.

7. When done, Make sure your heading is on it correctly (see part 1) and Save.

8. Print a hard copy and turn in to the tray.
