Overview The Milwaukee County Learning Management System (LMS) is the cloud-based training and tracking system for Milwaukee County. The LMS allows you to track your or your employees’ training, register for classes, complete online courses, and run reports. This handout will cover the following topics:

Accessing and Logging In to the LMS

To access and log in to the Learning Management System, please complete the following steps:

Step Action

1 Double-click the Learning & Development shortcut on your desktop. If you do not have this icon, open Internet Explorer and go to the site: https://milwaukeelearning.csod.com

Result: The Learning Management System (LMS) will open.

Step Action

2 On the Login screen, enter your clock number and password.

Note: If you have never logged in to the LMS before, your default password is: P4ssw0rd (with a zero, not the letter O). If you cannot remember your password, you can contact your LMS department administrator, or Learning and Development. You can view your LMS department administrators by going to Milwaukee County’s Human Resources page and then navigating to Learning & Development and then LMS Department and Master Administrators.

3 Click the Enter key. Result: You will see the home page. You can return to the home page anytime you want from any page in the LMS by clicking the Milwaukee County logo in the top left-hand corner, or by hovering your mouse over Home in the main menu and then clicking Welcome.

Viewing Your Team

To view your team, including your universal profile, please complete the following steps:

Step Action

1 On the home page, hover your mouse over My Team in the main menu and then click My Team in the drop-down menu. To navigate any part of the main menu, please first hover your mouse over the menu option in blue, and then select from the drop-down menu. Please do not click the blue menu items, as nothing will happen.

Result: Your team page will display.

2 Scroll down to see the employees that are part of your team, or click the View Team button in the upper right-hand corner of the page.

Note: You can take actions on your employees by clicking on their names, such as viewing their transcripts, assigning training, etc.

Viewing Reports There are several reports you can find under Reports and Standard Reports. Two helpful reports

are the Training Progress Pie Chart report and the Past Due report.

2 On the home page, hover your mouse over Reports in the main menu and then click Standard Reports in the drop-down menu.

3 Click Training Progress Pie Chart to see the report for all your employees’ training.

4 You can click the Search button with no parameters selected.

Note: You can enter parameters if you would like, but it will change your report results. The standard settings are often the best.

5 Scroll down to see the pie chart with the data below it. You can click the Printable Version (read-only) or the Export to Excel link.

Note: Scroll down to the bottom to see all training statuses. There may be more than one page. Also, please note that anything not Complete is essentially Incomplete.

6 You can also click Past Due to see past due training for your employees.

Note: You can click any of the tabs across the top (Track Employees, ILT, or Training) and then choose any report. These two reports shown in this section will help you get the information that is often the most requested (status of training for all your employees, and past due status for all employees). If you would like specific reports regarding mandatory/compliance or safety training, please contact your LMS department administrator or master administrator.

7 For the Past Due report, select a date range from the Date Criteria drop-down menu (e.g., This Year). You can also put in specific From and To dates in those fields.

Assigning Training to Employees

To assign training to your employees, please complete the following steps:

Step Action

1 If you know the training title you want to assign, type all or part of the title in the Search field in the upper right-hand corner on the home page, and then click the magnifying glass icon.

If you don’t have a specific training to assign, but you want to see what’s available, click the Browse for Training button on the home page.

Result: A page with a list of all available training will appear.

2 Click the title of the training you want to assign. A glossary of what the icons mean will appear in the last section of this document.

Note: If the training is an instructor-led/classroom, you will need to select a specific session. If it is for any other type of training (material, online, etc.), you do not need to select a session.

4 For instructor-led/classroom training, click the drop-down button next to Request for the session you want to assign, and then click Assign.

5 A screen will appear with your employees at the bottom. Either click your employees’ names individually, or click the checkbox at the top to the left of Direct Subordinates to select all your employees.

Note: Managers can add a due date by clicking the Due Date field at the top and selecting a due date.

6 Click the Submit button. Note: Your employee(s) will receive an email regarding the assignment of training, if that training is set up to send emails. If your employees do not have Milwaukee County email addresses, or do not frequently check their emails, please communicate the assignment to them verbally.

If you need to assign more than one training module to a specific employee, or to a group of employees, contact

your LMS department administrator for assistance. If you do not have an LMS department administrator, please contact Learning and Development for assistance.

Viewing Employee Transcripts

To view the transcripts of your employees, complete the following steps:

1 On the home page, hover your mouse over My Team in the main menu and then click My Team in the drop-down menu.

Result: Your team page will display.

2 Scroll down and click the name of the employee whose transcript you would like to view.

Result: Your employee’s page will display. Note: You can also click the View Team button at the top right-hand corner of your Profile page, and select the employee’s name from there.

4 Your employee’s transcript will open. The default view is Active training, which means all training that is currently assigned or has been requested but not completed by the employee.

Note: If you do not see anything under Active training, your employee does not have any training to complete. If you would like to see all Completed training for an employee, click the Active button and select Completed, which will show you all training that your employee has completed.

5 To see details for any training, select Open Curriculum and then View Training Details to the right of any training you want to view.

Result: The Training Details page will display.

6 If you do not see anything under Active training, your employee does not have any training to complete. If you would like to see all Completed training for an employee, click the Active button and select Completed, which will show you all training that your employee has completed.

7 When you click Completed, you will see all Completed training.

Approving and Denying Training

Your employees can request training. For most instructor-led training courses and some online courses, you will need to approve the request before your employee can register for or attend training. Part of your responsibility as a manager is to approve training requests. You will receive training requests via email in Outlook, and then you must log in to the LMS and go into your Inbox in the LMS to see the requests. To approve or deny training requests, complete the following steps:

1 On the home page under Your Inbox, you will see how many training requests you need to approve or deny. Click the Approve training link.

Result: The View Pending Requests page will display.

Step Action

2 If there are any pending requests, you will see the requests, with your employee’s name to the left, followed by the name of and information about the course, and finally a green checkmark and a red x under Options.

3 Determine if you are going to approve or deny training, usually based on coverage, purpose, and necessity.

If… Then

You want to approve the training request Continue to the next step.

You want to deny the training request Skip to Step 6.

4 To approve the request, click the green checkmark to the right of the course request you want to approve.

Result: The Approve Request page will display.

5 You can enter a comment if you wish in the text field, but to complete the approval, click the Submit button.

Result: The request will disappear from the page, and your employee will receive an email letting him/her know that the request has been approved. Note: If your employee does not have email access, it is your responsibility to inform your employee of your decision.

6 To deny the request, click the red x to the right of the course request you want to deny.

7 You can enter a comment in the field. For example, you can suggest another quarter or month, another class, or another session. You can also leave this field blank. Then click the Submit button.

Result: The request will disappear from the page, and your employee will receive an email letting him/her know that the request has been denied. Note: If your employee does not have email access, it is your responsibility to inform your employee of your decision.

Using Support and Resources

If you need assistance with the Learning Management System, you can contact your LMS department administrator or Learning and Development. To see a list of LMS department administrators, please follow the steps below.

1 Open Internet Explorer and go to the site: http://county.milwaukee.gov or use the method you use to get to Milwaukee County’s website.

2 Click the Human Resources link on the left-hand side.

Understanding Icons and Statuses

Below are the icons you will most commonly see in Cornerstone when you search for training or look at your transcript.

Icon Learning Object

Instructor-Led Training – These are the items you think of when you traditionally think of as training: an instructor and participants meeting together in person or online. Each course you see is called an Event, and each time the course is offered it is an individual Session. Events can be found in Browse for Training or using the Search tool. Sessions can be found by opening an Event or looking at the Training Calendar.

Online Course – A computer-based class. You can find these using Browse for Training or the Search tool.

Curriculum – Curricula are trainings, tests, external trainings, online courses, evaluations, etc. that are assigned as a unit. If you are assigned a curriculum, it will appear on your transcript and you will need to complete each item in the curriculum.

Material – This is a way to assign specific non-training items to you such as policies, training guides, activities, etc. Materials may be assigned to you independently or as pre-work or post-work for a course.

Test – You may be required to take a test in the Milwaukee County Training and Development Center. Tests may be assigned to you independently, as part of a curriculum, or as pre-work or post-work for a course.

Status Description Your Options

Acknowledge The training is complete, but you have not yet completed the required acknowledgement form.

Click the Acknowledge button in order to complete tasks related to the training.

Approved The training was approved by your supervisor. Note: This may be a Session or Event that your supervisor assigned to you rather than a Session you requested.

For a Session, in this status, you will need to click on the Register option to actually be confirmed for a seat at the training. For an Event, you will need to click on the Select Session option to choose a session you want to take.

Cancelled The Session was cancelled. You can use the Select Session option to request a different session of the Event.

Completed You have completed all requirements. For Online courses, you may have the option to Launch the course again.

Denied Your supervisor denied your request for the training.

You can use the Select Session option to request a different Session of the Event, or to request the same Session again, per your supervisor’s directions.

Exception Requested

You requested a training for which you do not meet the prerequisite(s) or which was not made available to you. The Instructor of the training/your Supervisor will decide whether or not to grant your request to bypass the requirements.

If you change your mind about requesting the training, you can click the Withdraw option.

In Progress For a Session, the Roster Manager is waiting for you to complete any required pre/post work. For other items, you have started but not completed the item.

Click Manage in order to complete tasks related to the training.

Incomplete You either attended the training but did not pass or did not complete all of the parts of the training.

Complete the training or click the Withdraw option to withdraw from the course if you cannot complete it. Speak with your supervisor before withdrawing from a course.

No Show You did not attend the Session. You can use the Select Session option to request a different Session of the Event.

Past Due You were assigned to complete training by a certain date and you did not do so. This status is always accompanied by another status, e.g., Approved- Past Due.

You will have the options that are available with the status accompanying Past Due. For example, with Approved – Past Due you will see the Approved options.

Pending Acknowledgement

Training has been completed, however an electronic signature/acknowledgement of understanding is required for full completion.

Click the Acknowledge button.

Status Description Your Options

Pending Approval You have requested the training and are waiting for approval from your supervisor.

If you change your mind about the request you can click the Withdraw link.

Pending Completion Signature

Training has been completed, however an electronic signature/acknowledgement of understanding is required for full completion.

Click the Mark Complete button and then the Sign button.

Pending Evaluation The training is complete, but you have not yet completed the required evaluation.

Click Evaluate to complete the online evaluation and move your status to Completed.

Pending Prerequisite

A prerequisite is required for the course you want to complete.

Request the prerequisite by clicking the Activate link. If you change your mind about the request, you can click the Withdraw link.

Registered You are registered for the training. For a Session of an instructor-led training, you can click the Withdraw option before the start date. If there is Pre-Work, such as training request forms, etc., associated with the training, you will also have a Manage option, which you can click in order complete tasks related to the Session.

Registration Pending

You are on the waitlist for a Session and a seat has opened.

You will receive notification when you are registered for the course.

Waitlist Expired You were on the waitlist for a Session but the waitlist is no longer active.

You can use the Select Session option to request a different Session of the Event.

Waitlisted You requested a Session with no available seats or an online course for which there are no available licenses. You have been placed on the waitlist and will be notified if a seat/license becomes available.

If you change your mind about the request you can click the Withdraw option.

Withdrawn You or the Instructor withdrew you from the training.

You can use the Select Session option to request a different Session of the Event.
