Definitions• Units Sold – An electronic count of the number of each item sold on a

given day. This is tracked and viewed via InstReports.

• Physical Count – A hand count of all inventory at a given location. Leads will conduct a physical count at satellite locations nightly.

• Prints – An electronic count of the number of photos that can be printed by a given printer before its media must be replaced. This is tracked and viewed on the printer itself by cycling through the menu display options.

• Media – Refers to both the ribbon and paper used in printers. This media is labeled according to the type of printer (4x6, 5x7, 8x10, etc.).

• Damaged Goods – Goods are considered damaged when they are either unable to be sold, are comped, or are used in the creation of new displays. Leads must keep track of goods that are lost to this category at satellite locations.

Satellite Inventory1. After authorization is given to close a satellite location, the lead in

charge should begin to count inventory at that location. 1. Note: Inventory MUST be counted by a member of management, not

employees.

2. The lead should create a written list of all products at the location and their quantities to submit to the closing supervisor. This will serve as a back-up copy in case electronic submission of inventory fails.

3. After all inventory is counted, the lead should enter the list into the appropriate spreadsheet. Ensure the file is saved.

4. Return to the main location after remaining closing procedures are completed and submit written inventory and list of damaged goods to the closing supervisor.

Inventory Tracking1. Approach the computer and open the report titled “Detail by

Item Number” (found under POS Reports). A document should appear showing many four-digit codes followed by numbers, as well as a separate section detailing paper usage.

2. Begin with the four-digit codes, reading the last two digits followed by the number to the right as the closing supervisor requests.

3. Once this is completed, read the bottom-left number from each set of paper types as the closing supervisor requests.

Product Tracking1. Approach the computer and open the report titled “Detail by

Product Name” (found under POS Reports). A document should appear showing many items titles followed by numbers. These item titles should be recognizable from the “All Items” page on sales.

2. Begin by reading the item title, followed by the numbers as the closing supervisor requests.

3. Some of these items can be omitted. If you do not recognize an item title from the “All Items” page, it should not be read. The total for “CYO Special” does not need to be read either.

Damaged Goods• Recall that “Damaged Goods” are:

▫ Goods that are unable to be sold (due to brokenness)▫ Goods that are comped to replace unsatisfactory or other damaged product▫ Goods that are used to create new displays

• It is your responsibility as a lead to keep track of the amount of damaged goods at the satellite location to which you are assigned throughout your shift. Your list should make a distinction between broken items and items comped to customers.

• If an item of inventory is added to your Damaged Goods List because it is broken, you must place this item in the Damaged Goods Receptacle. Do not throw away broken product yourself! The senior supervisor will verify damaged goods counts as part of his week ending inventory on Sunday.
