!Introduction to the procedure

This part of the booklet serves to give a clear overview on the formal procedure of Executive Board Elections in AIESEC NUM. If you have any questions left after reading this booklet, please contact the current LCP and LCPe. !Voting rights and reaching quorum Every member of AIESEC NUM who has required minimum standart of TMP has voting rights. In order to be able to proceed with the election a quorum of more than 50% of all members has to be reached. If only 50% or less of the members are present for Election General Meeting, the elections cannot be held at that time and have to be adjourned. Therefore it is very important that all members attend Election General Meeting! !The Flow of EB Election

• Applications will be submitted on mail and every member is expected to read the applications prior to the LCVP Election.

• The LCVP Candidates will be given a vote of confidence during LCVP Election • After the Vote of Confidence, the LCPe will with the help of Selection

Committee (current EB team) select her team out of the the LCVP Candidates that got confidence.

• Based on the need defined in the Selection Committee, the LCPe will have individual talks with those candidates for further evaluation.

• The decision of the EB Team 2014|2015 will made on the Election day and will be announced on Election day.

Confidence vote for LCVP The role of a confidence vote is to decide whether the candidates have the right skills, knowledge and ability to be an Executive Board member. The vote is not aimed at choosing the candidates directly, but merely to decide whether the candidate is trusted to be competent enough to possibly become part of the EB. The Selection Committee will then decide on the composition of the best team for the EB out of those candidates. !Selection Committee The Selection Committee will meet after Confidence Voting and is composed of:

• The Local Committee President • The Local Committee President Elect • Local Committee Vice Presidents • 1-2 Local Committee members as an external observer appointed by the

Executive Board 2013|2014 !The decision of the Selection Committee cannot be appealed against. LCVP candidates who have not been selected may approach the LCP for any inquiries, be it general questions, criticism, or for getting feedback. !Application, election and selection dates

• Application deadline for LCVP applicants: Friday 11st April 2014, at 23:59 (No late submissions will be accepted)

• LCVP Election (Confidence Voting): Saturday 12nd April, at 12:00

About the term The term is 12 months, running from 1st June 2014 to 31st May 2015. The work of any EB elect will start with the transition, then taking over office 1st June, but still having some pre-set guidelines and help from the old EB. !Transition April 2014 through May 2015 is reserved for Executive Board transition, which will consist of EB elect meetings, EB current to EB elect transitional meetings as well as individual transition meetings. The current LCP will be in charge of planning and tracking EB to EB transition in general, whereas the individual transition is shaped based and totally dependent on each pair’s expectations and needs. A proper transition and preparation is of utmost importance, which is why each applicant is expected to plan for it accordingly. Along the on-going transition, following three events will mark important corner stones:

1. Local transition weekend: April 2014 2. Local transition follow-up days: May !

Application Period During the period while applications are open you are more than welcome to reach out to the current executive board for more information, advice, insights on the position etc. To ask for an individual talk or meeting is possible, but will always depend on the time schedule of the board member you want to have a talk/meeting with. !Remember that a successful application does not solely depend on the written document. During elections every applicant is expected to hold a speech and answer questions from the audience. Ensure to put some time aside to prepare your speech!

Overview for the position LCVP OGX is the final responsible for OGX product development, sales, and delivery of the OGX process in AIESEC NUM for both oGCDP and oGIP. She/he will be developing marketing and sales strategies for different student segments, and is responsible for the quantity and quality of exchange experiences delivered by the LC. Working together with the whole Executive Board and the MC VP OGX this is a creative job, which enables others to have a life-changing experience. !Key Responsibilities 1. To ensure the alignment of oGCDP to the AIESEC Way and its relevance within

Mongolian society and being accountable to the LCP, and the national plenary. 2. To exponentially grow oGCDP (in current and new markets) towards AIESEC

2015 while optimizing the development of every single one of its participants and turning them into promoters of AIESEC NUM.

3. To streamline and innovate upon our internal business processes for oGCDP to deliver the best possible experience to every customer.

4. Make oGCDP the main resource of incoming cash flow of AIESEC NUM. 5. To manage national partnerships to deliver maximum value to oGCDP. !Skills and qualifications Candidate must be able to demonstrate competencies of being proactive, openness, responsibility, honesty, maturity, critical thinking, presentation and communication skills. Candidate must be able to demonstrate qualities of strategic thinking & analysis, networking, coaching, event planning & facilitation, customer-centricity, market awareness and organizational understanding.

Overview for the position LCVP ICX is responsible for ICX sales and delivery of the ICX process in AIESEC NUM. He/she will be developing marketing and sales strategies for different cooperate segments, and develop and package products accordingly. LCVP ICX is also responsible for ICX sales education in the LC, as well as taking part in recruitment planning and execution of potential core performers and star sellers. LCVP ICX also is responsible for intern management and you will be managing the cultural integration of the intern in the LC. !Key Responsibilities 1. To ensure the alignment of iGIP to the AIESEC Way and its relevance within

Mongolian society and being accountable to the LCP and national plenary 2. To exponentially grow iGIP (in current and new markets) towards AIESEC 2015

while optimizing the development of every single one of its participants (TN takers and interns) and turning them into promoters of AIESEC NUM.

3. To streamline and innovate upon our internal business processes for iGIP to deliver the best possible experience to every customer and partner.

4. To turn iGIP into AIESEC NUM’s main star product. 5. To manage both national and international partnerships so as to deliver maximum

Overview for the position LCVP FiG Coordinator is in charge of all the cash inflow and outflow within AIESEC NUM for the financial side, as well as the management of partnerships with internal partners within the university and external partnerships for the legal administration. Also he/she is responsible for lead, plan, execute, control and evaluate based in the national strategic plan, national compendium, national and international policies; in order to guarantee the sustainability in all the activities generating continuity in the national level and capacity to deliver more high quality AIESEC Experience. !Key Responsibilities 1. To ensure the integrity and transparency of all financial activities and being

accountable to the LCP and national plenary. 2. To safeguard the assets of the organization and its sustainable future through a long

term financial strategy. 3. To oversee the smart investment of our financial resources so as to optimize the

development of our organization and its products (in current and new markets). 4. To streamline and innovate upon our internal financial processes for Exchange

programmes for maximum efficiency and effectiveness. 5. To ensure all our activities are completely compliant to Mongolian law. 6. Overview for the position LCVP TM makes sure that AIESEC Lund is functioning and developing as an organization. He/she will have the task of planning and executing all the processes that TM is responsible for including recruitment and selection of new members and the new Executive Board, but also educating and developing AIESEC members. LCVP TM needs to oversee these processes to ensure that they are executed appropriately and at an adequate time frame. He/she will be expected to set goals and schedule these processes as well as monitor the progress of tasks to ensure success. It is your responsibility to delegate tasks and coordinate your team in order to achieve goals. He/she will have the possibility to set up your own projects and execute them. These projects can involve member development, social events, training for members, among others. Key Responsibilities 1. To ensure the alignment of TMP and TLP to the AIESEC Way and their relevance

within Mongolian society and being accountable to the LCP and national plenary. 2. To exponentially grow the membership base of AIESEC in Mongolia (in current

and new markets) towards 2015. 3. To streamline, innovate and gamify our membership experiences and internal

business processes. 4. To ensure the financial sustainability of TMP and TLP. 5. To manage national partnerships so as to deliver maximum value to TMP and TLP.

Overview for the position LCVP COM is responsible for the overall perception of AIESEC NUM, the non-personal marketing on several channels and, the planning and realization of the EP- and member recruitment as his/her main task. Also LC internal communication and information management are an important part of his/her job. The main intention is to raise awareness of AIESEC as an attractive brand for committed young students to take part of our TMP/TLP programs. A well established communications team cooperates with the interfacing teams very well and by that increases the overall performance. Therefore LCVP COM has to make sure clearly defined planning and fields of competence are communicated with every interface very early.

Key Responsibilities 1. To ensure the alignment of all marketing activities with the AIESEC Way and the

AIESEC brand and to be accountable to the LCP and national plenary. 2. To exponentially grow the number of visitors to our physical and virtual platforms

(both current and new markets) towards 2015 while delivering the best possible to experience to all of them.

3. To maximize the conversion rate of our visitors through innovating and streamlining our internal business practices.

4. To ensure the financial sustainability of EwA activities and open up new avenues of revenue generation.

5. To manage all national and oversee all local marketing & PR activities.

• If you aren’t sure what the question is asking, ask. We’re here to help you.

• Remember that english is a tool for communication. Be simple and clear. Graphics will definitely help but shouldn’t be the only content.

• No late submission will be accepted, no matter what the excuse might be. All applicants are highly advised to start completing the application as early as possible. Please do not wait until the very last minutes to send your application.

• If you submit the application well before the deadline, in case certain documents are missing or certain points in your application are unclear, you’ll be notified and asked for clarification.

• The purpose of this application is not meant to only assess the ability and suitability of each candidate for the position; it’s also meant as a tool to prepare each applicant for the role, through their intense thinking process and research efforts to live up to what is expected of this application.
