After log-in, kindly practice with any Railway user(s) to get experience of this Application. 1. Kindly go through this guide before starting use of Microsoft Teams. After log-in, kindly practice with any Railway user(s) to get experience of this Application.

1. Railway Board has decided to adopt Microsoft Teams (free for 6 months with Office 365 w.e.f 15.06.2020) under main domain @indianrail.onmicrosoft.com offered by Microsoft India for Indian Railways, as an IT application for team communication & collaboration, to support effective physical distancing in office premises, restrict travel requirements & work-from-home in the present COVID-19 outbreak. (Annexure I)

2. The user IDs have been emailed to [at]gov[dot]in / [at]nic[dot]in email IDs of the Railway users shown in the list of the concerned ZRs, PUs & other Railway Units ( List is also available at http://cert-rail.railnet.gov.in : a Railway website hosted on railnet for internal use only.). Kindly use Forget Password option for log-in because Self Setting Password option is enabled using registered email ID or Mobile Number.

3. Log-In : 3.1 For Laptop & Desktop PC :

3.1.1 First connect to the Internet and use Google Chrome browser. ( Annexure-III)

3.1.2 Go to https://aka.ms/getteams. Sign In.

3.1.3 Enter User ID ([email protected]), which has been emailed

to [at]gov[dot]in / [at]nic[dot]in email ID of the Railway user. Here, abc is

first part of official email ID of [at]gov[dot]in / [at]nic[dot]in, xyz is sub-

domain as per Organization Layout of Indian Railways and

@indianrail.onmicrosoft.com is the main domain for Indian Railways. This

architecture of sub-domain of ZRs & PUs under main domain will facilitate

IR to work as a Single Organization in Teams Application. (Annexure II).

3.1.4 Use Forgot my password option. The user will get Email and Mobile Phone Options. Kindly select anyone and proceed. Kindly enter the Verification Code (There may be time delay of few minutes to get it if email option is used). Dialogue box for new password will appear. Kindly enter password.

3.1.5 Teams App Window will open up as shown below (It will be blank).

A video for Quick Walk through of Microsoft Teams will be displayed to

play.

3.2 For Smart Mobile Phone :

3.2.1 Download “Microsoft Teams” App from “Play Store” or “iOS App Store”

3.2.2 Give Permission to the App to access call, camera, photo, media and files.

3.2.3 Provide log in credential as per item 3.1.3 above.

3.2.4 Teams App will open up in Mobile as shown:

3.3 Railway Users can also leverage http://teams.microsoft.com/ to access Teams on Web.

4.0 Profile Setting :

4.1 Click on Profile Tab [1] as shown in the Laptop & Mobile View Pictures.

4.2 Set Profile Picture and Status Message, if desired.

4.3 Other details of User Profile i.e. Name, Designation, Email ID, Mobile Number, Deptt, Place of Posting and State have been fed centrally for Railway Users using SPARROW database. These details will be visible to the users when they click of Profile Icon. This feature will help in identifying the intended user for communication through Teams.

4.4 These details can be modified by User Admins of the respective ZR & PU or by Global Admin at RB Level.

5.0 Create Team: Team is collection of users, conversation, files & tools – all in one place. Teams can be separated out by project, program, department, initiative and any other group of people that work together. Any user can create Teams. Channels are private sub-groups of a Team. For example- if “HR” is a team, then group of users of this team involved in different sub-activities like “Pay-Roll Section, Recruitment Section , Gaz Section, NG Section, D&AR Section” etc may be Channels under HR Team. Since organizing meeting & working under Channels require experience of this application, it will not be used in IR for initial few months. The guidelines for team formation are given in Annexure V.

5.1 Click on Join or Create Team Tab [2] as shown in the Laptop & Mobile View Pictures.

5.2 Then, Create Team Build a Team from scratch Private Team Name Description of Team Name or Display Name or email ID of Members Add Make some members as “Owner” to manage this team. Team is created. Along with a Team, a channel “General” is automatically created.

5.3 Use Icon adjacent to Team’s Name to Manage, Edit, Delete etc. this Team.

5.4 Any member added to any Teams will have access to full content of that Team including previous to his/her addition in the Teams. So, New member can more quickly get geared up. Since Teams is a cloud based application, the content may take few hrs to reflect for new member.

6.0 Work with Team’s Functionality : 6.1 ‘Conversation Box’ will appear at the bottom of the Dialog Box of Team View.

The Teams view is where we can access and collaborate with all the different work groups that we are a part of. Messages: Delete options, emoji, GIF are disabled at present. Necessary modification will be done in future based on feedback of Railway Users.

6.2 The Post Tab is where we can communicate in a group.

6.3 The Files Tab acts as a shared folder for the team to access and work on files.

6.4 The Wiki Tab lets us quickly access and take shared written content.

7.0 Chat View: The Chat view generally is used for 1:1 or 1: many conversations. As per Global setting, chats cannot be deleted by any members & emoji & GIF are disabled. This setting may be reviewed later on.

7.1 Click on Chat Tab [3] as shown in the Laptop & Mobile View Pictures.

7.2 Chat View as shown below will open up.

7.3 The Chat View displays all the private chats you have with one or more

internal colleagues.

7.4 Click on [New Chat Icon] to start new chat. 7.5 Enter the name of users for private conversation. Assign Group Name for

identifiction of the Chat Group.

7.6 Click on Filter Icon to filter all your chats.

7.7 Click on Video, Audiocall&Screen Sharing Icon to start meeting with members of the chat group and screen sharing during the meeting.

7.8 Click on Add Member Icon to add members in the chat group.

8.0 Activity View :The Activity View is used to view Feed/Notifications and all the activities of the user.

8.1 Click on Activity Tab [4] as shown in the above picture. 8.2 The Activity View displays all Feed/Notofications to the user.

8.3 The Activity View displys all the activities of the user.

8.4 Use Filter Icon to filter all your feed/notofications.

9.0 Calender View :The Calender View is synchronised with the user’s Outlook Calender. This view is used for Scheduling Meeting, Getting Meeting Invitation and Joining the scheduled meeting. Any user can schedule A/V meetings.

9.1 Schedule Meeting :

9.1.1 Click on New Meeting Tab

9.1.2 Following window will be displayed :

9.1.3 Please enter Title of the Meeting

9.1.4 Add Attendees of Railway Units. The outside Railway users may also be invited as Guest participants in the meeting using their any email IDs eg. Gmail, yahoo, etc.). A Team can also be invited for meeting using email ID of the Team. Every Team in Microsoft Teams is being allotted unique email ID. Get this email

address by clicking on General of the Team Get email address Copy

The select the <email address> part.

Paste this email address in Add Attendees box.

9.1.5 Set Date & Timing of the meeting. Initially, keep meeting end time with additional margin of one Hour. If the meeting is daily at the same time on all working days of a week, enable Daily/Weekday, as the case may be.The periodicity of the meeting for the same timings can also be managed from

box. Add Channel of the Team from drop-down option.

9.1.6 Type the agenda of the meeting in the text box below

9.1.7 Click on at the Top to see the engagement of the participants within the Railway Unit.

9.1.8 Click on Send to schedule this meeting.

9.1.9 Meeting of a Team can also be initiated instantly using Call Now Fearture

available in the Teams Conversation Section at the bottom in Teams View.

9.2 Getting Meeting Invitation :

9.2.1 The meeting Invitation as scheduled above will appear on Teams View of that particular Team.

9.2.2

The user can join meeting by clicking on this Meeting Invitation.

9.2.3 If the meeting is at later date, the same can be got reflected on the Calender View of the user for better management of scheduled meetings. On Clicking

on tab of Meeting Invitation, View meeting details option displayed. Now Accept the meeting and the same will be synchronised with Calender View of the user.

9.2.4 The Guest users will get Meeting Invitation in their email used to invite them during schedule of meeting. They have to accept the meeting invitation.

9.3 Joining VC Meeting :

9.3.1 The attendee can join the meeting by clicking on the meeting invitation in Teams View of that particular team. The Virtual meeting etiquettes must be followed as given in Annexure IV

9.3.2 The attendee can join the meeting through his/her Calender View. Since the Calender View is always set on current date & time, he/she may need to scroll up/down to see the meeting invitation.

9.3.3 Railway User may also be invited to join meeting during the course of any

meeting using Show Participants Icon and entering the name or email ID of the Railway User in Invite Box.

9.3.4 The Guest User can join the meeting by clicking on meeting invitation received in his/her email and join through Web Browser ( Preferably Google Chrome.Safari is not supported at present. Please see Annexure Section for further detail).

9.3.5 A meeting Control Panel will appear at the Middle of the screen as shown below:

9.3.6 From Left to Right, they are: Meeting Duration, Video – On/Off Icon, Audio – Mute/Un-mute Icon, Share Screen Icon, More Actions Icon, Raise Your Hand Icon, Show Conversation Icon, Show Participants Icon and Hang Up (Leave Meeting) Icon.

9.3.7 As per Global Setting, the Guset User will be waiting in the lobby and any present Railawy User may let him/her in the meeting. All Railway Users can directly join the meeting.

9.3.8 Attendance of the meeting can be taken by clicking the Icon

9.3.9 Use More Action Iconto set Background Effects, Recording, Turn on Live Captions, Device Setting etc.

9.3.10 It is strongly recommended that all attendees must check their Internet Connection, Camera, Speaker & Mic before joining any meeting. Otherwise, there will be inconvenience & chaos at the meeting forum.

9.3.11 Quality of Internet Connection of the main Speaker or Presenter is very important to keep alive the meeting.

10.0 Files View :

10.1 Click on File Tab to see all files shared across all of your Teams.

10.2 At the end of any File, Icon is available. The user can edit file using this Icon and various options available.

10.3 It is recommended that minor corrections can be done using Edit in Teams or Open in Desktop App options. And use Download for major modification.

10.4 Microsoft Teams is a Cloud based application and co-authoring of any document is allowed, so it is recommended that the team members can edit the file and inform the same to all other team members by writing the message in Team Conversation Section.

10.5 File editing is also similar in any Teams View or Chat View.

11 Help: Click on Help Icon at the bottom left of the App.

Search may be done by using Commond Box [5] as shown in Laptop View.

users through phone call on their numbers.

13 Microsoft Teams has other important features like – Live Events (to conduct webinar), Virtual Rounding, Walky-Talky in Chat, White Board, Apps (including social media Apps like Twitter, Face book etc). Use of these features will be done after getting experience of Teams App.

Annexure –I

About Microsoft Teams Application

1. The Microsoft Teams Application is a collaborative & Team working Application. It is bundled with Office 365 (MS Word,

MS Excel & Power Point). It is a cloud based application.

2. Indian Railways is using Enterprise Grade version of the Application with six months free subscription under main

Domain “indianrail.onmicrosoft.com” from 15.06.2020 to 14.12.2020.

3. Any user can create/manage Team.

4. Any user can create/manage Channel within a Team. A Channel is a private group within the Team. If “HR” is a team

then “Payroll Section” and “Recruitment Section” etc can be its channel. This facility will be used by IR after few

months of experience of Teams App.

5. Any user can Schedule/Organize meeting with any other user, his/her Team, his/her Chat Group, Guest Users (outside

the Organization of Indian Railway using his/her email ID) and combination of these. Any meeting can be organized with

maximum 250 users at a time.

6. Any user can share documents in MS Word, MS Excel & Power Point with any other user, his/her Team & is/her Chat

Group. The Guest user can access the shared documents only during the meeting. The shared document will not be

available to the Guest Users once the meeting is over.

7. Microsoft Teams has other important features like – Live Events (to conduct webinar), Virtual Rounding, Walky-Talky

in Chat, White Board, Apps (including social media Apps like Twitter, Face book etc), Productivity & Activity

monitoring of Teams, Shifts to assign duty and MIS reports etc. Use of these features will be done after getting

experience of Teams App.

Annexure –II

User ID and Password for Railway Users

1. The user ID of all Railway users of Teams Application under main Domain “indianrail.onmicrosoft.com” is/will be

emailed to their @gov.in / @nic.in email IDs. The sub-domain will be ZRs-wise & PUs-wise as per Organizational layout

of Indian Railways. The Railway user will get his/her Password using Forget Password option since Self Setting Password

feature is enabled. The user may get Verification Code using his registered email ID or Mobile Number.

2. The user will sign-in using his/her user ID and Password. Kindly use minimum eight character password with

combination of Upper & Lower case of Alphabets, Numeric Digits & Special Characters.

3. The first part of the user ID is taken from the user’s @gov.in / @nic.in email ID to make it unique for life cycle

management & easy to remember his/her user ID. This user ID will remain unchanged in case of transfer and promotion

of the Railway user within Indian Railways including Railway Board. It will require only change of sub-domain for the

user in case of transfer outside RB or ZR or PU etc. The user ID will be deleted when the user leaves Railway

Organization on superannuation, resignation, deputation outside Indian Railways including Railway PSUs or on

requirement of Railway Administration.

4. After getting User ID & Password, the user can easily manage his/her account using “Desktop &/or Mobile” version of

Teams App. The user can use his account on multiple devices i.e Laptop, Desktop, Smart Mobile Phones etc.

5. The Global Admin is at Railway Board level and minimum two Admins each for “User Admin” & “Helpdesk Admin” will

be nominated by ZRs, PUs and other Railway Units preferably Railway officials having @gov.in / @nic.in email ID. The

same will be communicated by DGM(G) of the concerned ZR & PU within a week time at [email protected] email

ID.

Annexure –III

Compatibility of Devices, Web Browsers and Hardware requirement

1. All Railway users are requested to down load “Microsoft Teams’ app for Desktop/Laptop and Smart Mobile Phones. 2. The app can be downloaded from “Play Store/iOS App Store” in smart mobile phones (Android 9 & above). While installing

the App, it is required to give permission for the App to access Phone Calls, Photos & Documents for proper installation of

the App for further use.

3. At present, this Application is not running in “Safari” browser. Microsoft will inform about any development on this matter

over a period of time.

4. The app can be downloaded in Smart Mobile Phones, Laptop and Desktop i.e. multiple devices. The user can use upto

four devices with one ID and all devices remain synchronized for all contents. It is recommended to download the App in

Desktop, Laptop & Mobile Phones. Mobile Phones are very handy to “Activity”, “Chat” , “Teams Conversation” and

attending A/V meeting while away from Workplace or Home.

5. Every user gets Ten GB of storage with his/her ID.

6. All computing devices with inbuilt front camera, Speaker & Mic like Laptop, Tablet, All in one PC, Smart Phone etc can be

directly used for Audio/Video meetings & conferences. Conventional Desktop PCs will require Web Camera & Mic with

Head Phone for Video Meeting. Audio meeting is still possible without Web Camera.

7. Internet connection is required for Audio/Video meetings & conferences and document sharing.

8. If any Laptop has an already running instance of Teams Application for other purpose (online classes of Children, etc), kindly

create another User Account in the Laptop and install Teams app with your log-in credentials as Railway user.

9. Teams fully supports the following Internet browsers, with noted exceptions for calling and meetings. This table applies

to operating systems running on desktop computers.

Annexure –IV

Virtual Meeting Etiquettes

1. VC Meeting Etiquettes:- The user is required to check his/her Web Camera/Front Camera and Audio before Joining any

meeting. After joining the meeting, he/she should put off his Video and mute Audio. Only Organizer should keep his/her

Video & Audio on for best results. He/she should start the meeting. Other members of the meeting should enable his/her

Video & Audio as per requirement and after that disable them again. Keeping many Video & Audio on during any meeting

might create a lot of disturbance in the meeting.

2. To avoid “Echo” during the meeting, two users must sit at least few meters apart and if any user is using more than one

device for meeting, he/she must mute one of his/her devices.

3. All members should be active & engaged.

4. All members should be kind & supportive.

5. Kindly dress appropriately.

6. Kindly check your surroundings.

Annexure –V

Guidelines for Team Formations and Chat Groups

1. Team is collection of users, conversation, files & tools – all in one place. Teams can be separated out by project,

program, department, initiative and any other group of people that work together. In a Team, maximum 10000 users

can be part of it. It may be crossed departments & geographically distributed.

2. Team is well structured & goal orientated for timely execution of assigned task. It is relatively permanent in nature till

accomplishment of the assignment.

3. In present Architecture of Railway Organization in MS Teams, Teams can be formed with members belonging to

different sub-domains.

4. Interaction with Railway PSUs using Teams Application like- RITES, DFCC & CRIS etc will be possible after integration of

their domains with domain of Indian Railways.

5. Caution: The over-engagement of any member should be avoided. Therefore, the only few members should not be

part of majority of the Teams. The work should be distributed as far as possible.

6. Chat Groups can be formed based on Topics. It is not as well structured as team. It is for relatively smaller groups not

more than 20 and for collaboration relatively shorter period.

Sr No Team Scenario Chat Group Scenario 1 In Railway Board, every Directorate should have Team comprising

of all members for Team Collaboration to achieve the targets of the Dte. Relatively, Big Dtes should have Team branch/section wise.

Chat Group can be formed for finalization of any JPO, MOU etc.

2 In Railway Board, cross Dte Teams should be formed Project-wise and Special Assignment-wise.

Chat group can be formed for specific assignment to be completed in relatively short period like implementation of “e-sign” service for e-office.

3 In Railway Board, Teams can be formed with concerned users of ZR/PU & Divisions.

4 In Divisions, Teams can be formed for Branch Officers Meeting, Standing TC Committees, Exchange of Morning Positions, Material Planning, Branch Officer & his sub-division Team etc.

Chat group can be formed for finalization of JPO, SOP, any Enquiry etc.

5 In ZR Head Office, Teams can be formed within Department as well as cross department. Teams can be formed with Divisions for organizing routine meetings to avoid physical movement of officers.

Training on e-office can be organized for group of officials.

6 In Workshops, teams can be formed for Out-turn Monitoring, Material Planning (within Unit as well as other ZRs & PUs), Safety & Maintenance work etc.

7 In Hospitals, teams can be formed for Patient Management, Medicine Availability, tele-medicine etc.

Helpdesk and Proforma for Communication

1. Email ID of the central helpdesk is [email protected]

2. Kindly mention Railway & Request Type on the subject line of all email to above HelpDesk. For example : Central Railway,

User Creation.

3. The success of this application depends on proper management of users across IR with their true credentials and timely

support if case of any help required. Further, if Railway Administration decides to implement this Application after

completion of Trial period, we must have controlled database of Railway Users for whom provision of this Application will

be made. The procurement of subscription will be done from GeM Portal as mandated by the latest GFR.

4. Therefore, all communication (except for Technical Support) like – User Creation, Modification of User details etc will be

entertained when sent from DGM(G) of the respective ZR & PU.

5. The Standard Proforma for various Service Requests is given below. Kindly send in Word or Excel file.
