KENTUCKY RACEWAY MINISTRIES VOLUNTEER TRAINING
Thank you for your interest in serving as a volunteer with Kentucky Raceway Ministries. As you go through this training, please feel free to make notes of any questions you have. If your questions have not been answered by the end of this training, please feel free to email us at [email protected]. We want to make sure your experience as a KRM volunteer is a great one! Please contact us at any time with questions.
We will begin this training with a brief description of each ministry team under the umbrella of Kentucky Raceway Ministries.
When you complete your volunteer registration form, you will rank the teams (top three) you would like to serve on. A Team Leader will contact you to discuss scheduling and availability.
GUEST SERVICESGuest Service volunteers work in booths throughout Kentucky Speedway property giving out information , answering questions, distributing child ID bracelets and assisting fans in any way needed. While this area is very fast paced, volunteers will have the opportunity to meet many people, distribute Bibles and other evangelistic material provided by KRM.
Guest Services volunteers also assist with the organization of post-race ADA transportation. While volunteers will not be transporting guests, they will make sure fans needing assistance are provided transportation in an efficient manner.
TRAUMA RESPONSETrauma Response Chaplains are used in the Fan Care Centers and Grandstands. Chaplains are on hand to assist families and friends of individuals that may find themselves in a crisis situation (due to illness, accidents or other traumatic experience) while attending an event at Kentucky Speedway.
If you are interested in serving as a chaplain, please contact us at [email protected]. This team has certain requirements and specialized training that must be completed prior to becoming a KRM chaplain.
EVANGELISM TEAMThe Evangelism Team is the “Door to Door Visitation” team of Kentucky Raceway Ministries. The Evangelism Team was formed and given the specific task of intentional one on one evangelism in the campgrounds, parking lots and anywhere fans gather during events. This team begins early in the day in the campgrounds talking with fans, distributing Bibles, praying and sharing the message of salvation through Jesus Christ with the folks they meet. As the day progresses they move through the parking lot tailgate parties and into the vendor’s area in the hours leading up to the green flag.
KID ZONE
The Kid Zone is a family friendly area designed just for kids. Kid Zone volunteers help families complete crafts, play games, get in and out of show cars, race hot wheels and play on inflatables. For the artistic volunteer, we are always in need of face painters, Creative Ministries, Street Entertainers, Magic, Music, Comedy, etc. for the Kid Zone! Volunteers also have the opportunity to pass out Bibles, free gifts for children and other evangelistic material provided by KRM.
EMPLOYEE WELFAREThe Employee Welfare Team volunteers drive golf carts to designated areas on Speedway property to check on employees as well as provide water, snacks and sunscreen. This team begins mid-morning and will run until about halfway through the race.
All volunteers on this team have the opportunity to distribute Bibles and other evangelistic materials provided by KRM as well as pray with the employees.
CAMPGROUND MINISTRYKRM has ministry sites located in each of the following campgrounds: Ponderosa, Hawk’s Landing, Bourbon Street, Millionaire’s Row and the Infield. Volunteers will greet fans as they come to the ministry tent, serve food, distribute Bibles, cookies, water and other evangelistic materials provided by KRM. Volunteers will also go through the campground on foot or by golf cart distributing information and meeting fans. Some volunteers may be used to expand ministry into other areas of the campground or provide ministry in campgrounds that do not currently have a ministry team in place. Each campground has a worship service on Saturday morning and volunteers are encouraged to attend and be available to pray and talk with anyone that may have a need.
ADA TRANSPORTATIONADA Transportation volunteers provide golf cart rides for fans that are unable to walk long distances to and from the parking lots and gates. Volunteers also transport fans that have been treated for illnesses in the Fan Care Centers to their vehicles. Each ADA Transportation volunteer is assigned a golf cart, radio, gate number, Care Center and ADA Transport Tent in the parking lot. The drivers will run a continuous loop to and from the designated Gate, Care Center and Tent.
ADA Transportation volunteers also assist with post-race transportation.
ADA Drivers have the opportunity to distribute Bibles and pray with the Fans they are transporting on their carts.
SPEEDWAY CHILDREN’S CHARITIESSpeedway Children’s Charities volunteers assist with fundraising events during race week. The clay shoot event is held on Wednesday of race week in Owenton. Volunteers for this event will assist Kentucky Speedway SCC representatives as needed and requested. The Cornhole Tournament is hosted by KRM volunteers on Friday and Saturday of race week in the campgrounds. A set schedule is promoted throughout the week in each campground. Volunteers will set up and run the tournament in each campground as well as the finals round on Saturday afternoon. Volunteers also have the opportunity to assist at auctions and other events throughout the weekend.

because we have to bring in extra equipment
• Lodging available at Glencoe Baptist - cots/air mattresses in Sunday School Rooms • Shower trailer onsite
• No charge for any of these options – we do encourage you to leave a donation in the offering plate at Glencoe to cover electric and water increases

KRM CHAIN OF COMMANDWhile volunteering with KRM, there will be times that you have questions, concerns or need help with a situation or question you do not know the answer to. In those times, please refer to the KRM Chain of Command for help. If someone in your chain is not available, please feel free to contact the nearest Team Leader, the KRM Command Center or Dawna Clark, Wayne Mayers and JT Marsh.
Always keep in mind that any 911 emergency should be reported straight to Kentucky Speedway Command Center – channel 1 on the radio. As soon as you can, please report the incident to your Team Leader and/or the KRM Command Center.

KENTUCKY SPEEDWAY EXPECTATIONS

ARRIVING AT KENTUCKY SPEEDWAY• Arrive at the time your Team Leader tells you to be there
• Park at Ponderosa Campground (use exit 55 - see map)
• Sign in at Volunteer Check In – located on the road between Ponderosa
Campground and Hawk’s Landing Campground
• Bag Check – Due to security concerns, all bags that will be going through the
gates or near the gates must be checked and tagged each day.
• Wristband – You will receive a different wristband each day. This will verify that
you have been through check in and are ready to volunteer.
• After check in you will be given directions to your ministry team. You will utilize
Speedway busses and trams or KRM shuttle vans to move to your location. You
may also be asked to walk to your ministry area.
PREPARATIONS• Pray – for the work of KRM, the ministry teams, the fans, the employees and for Divine Appointments
• Walk – start taking a walk each day to prepare yourself for any walking you may do (to and from
ministry sites, around campgrounds, standing and walking on concrete surfaces, etc.). This will also
help you prepare for the heat and being outside long periods of time.
• Read – Check out the Kentucky Speedway website. You will be seen as an information source.
• Wear comfortable walking shoes. NO open toe sandals or flip flops – this is for your safety.
• Wear your KRM shirt – please do not alter your KRM shirt in any way.
• Wear pants or shorts that are cool and comfortable – maintain professionalism and modesty.
• Sunscreen, sunscreen, sunscreen!
• Hat and/or sunglasses (no logos on hat)
• Prepare yourself to serve where needed
EVANGELISM• Look for opportunities to share your story with someone
• Have you prepared a “five minute testimony”? You may not have a lot of time.
• Think of some of the people you may meet at the track – how will you start a conversation with them?
• Erase the thought “That’s what the Evangelism Team is for” from your mind. Every KRM volunteer is in a
unique position to share Jesus with someone.
• Follow-up – after talking with someone ask them if they’d be willing to give you their contact
information so you or someone from KRM can follow up with them after the race.
• Servant Evangelism – most of the ministry of KRM is done through serving others – make sure you are
serving others in a Christ-like manner.
• Share Christ through love instead of cornering someone and thumping them with the Bible until they
run away from you.
RADIOS & GOLF CARTS• Team Leaders will assign radios and golf carts to volunteers that need them – not every
volunteer will get/need a radio or golf cart • Radios and golf carts are on loan from Kentucky Speedway – please take care of this
equipment. Do not leave radios or golf carts unattended • If you are assigned a radio or golf cart you must sign it in and out each day with your Team
Leader • Your radio should always be on the KRM Channel (Channel 11) Transportation (Channel 6) • Channel 1 is the Kentucky Speedway Command Center and should only be used for 911
emergencies • Hold the call button down 2-3 seconds before speaking • Always identify yourself and speak slowly with short, exact information – know your location • Never discuss confidential information over the radio • Remember the KRM chain of command-involve your team leader first if possible • Watch for pedestrians when driving a golf cart – they do NOT watch for you • Do not overload your golf cart – most carts can only carry 4 people • Always operate your golf cart in a safe manner • Don’t forget to refuel – especially on Saturday!
LOST KIDS (AND ADULTS TOO)All Guest Service booths provide free bracelets for kids that contain contact information to
find the parents (seat #, cell #). Encourage parents to take advantage of this service. **Encourage parents to take a picture of their child on their cell phone** • If a lost child comes to you:
▪ Notify Speedway command on channel 1 ▪ Notify the closest law enforcement officer ▪ Take child to Secure Area for Law Enforcement ▪ Turn child over to Law Enforcement ONLY ▪ Notify KRM Command Center ▪ Notify Team Leader
• If someone tells you that a child has been lost: ▪ Notify Speedway command on channel 1 ▪ Notify the closest law enforcement officer ▪ Notify KRM Command Center ▪ Notify Team Leader
Never return a child to an adult. This is the job of a Law Enforcement Officer.
PLEASE REMEMBER…• Don’t expect to see the race • Your credential is not a race ticket • Don’t ask Speedway employees or Vendors for anything • You are at the Speedway to serve, not be served • Don’t misuse credentials – stay out of restricted areas • Fans and employees are the ministry – not the drivers • We are guests of Kentucky Speedway • Take care of yourself and your teammate first • Don’t make up answers to questions – ask other volunteers to help you
find the correct answer • Never enter a camper • Always work in pairs • Make sure your Team Leader knows where you are • Be willing to serve where you are needed
