First, THANK YOU! for agreeing to help us make the 14th annual Steps for Students

a HUGE success for our Catholic schools! YOUR role in the success of Steps for

Students is critical as you will set the tone for how people respond to the possibilities

that exist with this event, and you have the potential to make Steps for Students

the BEST event for your school this year! Steps for Students is not only the largest

community event hosted by Catholics in the city of Houston, it is also the BEST event

for our students to see how the community supports them and their schools . The unity

that is felt for this effort and the solidarity that is built at the actual event is completely

and totally AMAZING!

Steps for Students is near and dear to my heart as it is the largest event that publicly

supports Catholic education in our state, and maybe even the nation! It is because we love our Catholic schools

and want to help transform our students into disciples of Jesus Christ that the enormity of this event has such an

incredible impact on the community . With over 12,000 supporters last year and hopefully more this year, the ability

for us to evangelize and promote the diversity of our schools to those attending and those observing is awesome .

Secondly, keep the goal in mind! Our goal is that every school participates with enthusiasm and gusto in Steps for

Students! This training packet will provide you with everything you need to gain a better understanding of how the

event works and how to make the most of this event within your community . Getting the students, their families,

parishioners, and friends to participate is all that it takes, and the funds go directly back to your school!

I hope that you will encourage more families to attend the event this year so that we can show our pride in our

Catholic faith and Catholic schools! I look forward to seeing you there!

What is Steps For Students?It is a community event raising awareness and much needed funds for Catholic schools in the Archdiocese of Galveston-Houston .

Schools encourage their communities to register for the race, join the school team and if desired, to solicit donations for their school .

• Registration: September 2018 – January 31, 2019 - $20

• Late Registration: February 1, 2019 – February 15, 2019, 7 pm - $30

• Online registrations and donations are subject to a processing fee of 4 .45% + $0 .30 which can be covered by the person making the payment . In addition, the Archdiocese will also subtract $2 .00 per registrant from the school total before funds are distributed . This is to help offset some of the costs of the race .

• Funds are distributed to the school by the end of March

Principal’s Checklist

Assign a Steps for Students School Representative (Steps Rep) to lead your team’s effort and notify the Development Department of your participation

Determine and publicize school registration/fundraising goals and activities

Register for the race and create a fundraising page

Rally your community to participate

If your school is parish-based, partner with your pastor

Sign up your school to cover a volunteer need

Confirm that offline donations are posted to your school team fundraising page or your personal fundraising page and tracked on the pledge ledger

Coordinate participation in Steps T-Shirt contest and Catholic School Village and submit all required information to the Development Department

If desired, produce a school video to promote the race and after approved, share with your community (see page 12 for official rules)

FAQsWhat happens if it rains on race day? Steps for Students is an all-weather race and unless there is an immediate safety concern, we will run . IF the weather is severe, we urge you to watch our Facebook page and the Steps for Students website as these are the communication vehicles we will use to announce a delayed start or cancellation the morning of the race .

Can we bring pets to the race? NO .

What if our school is an independent or regional school (I.E. NOT A PARISH-BASED SCHOOL) and doesn’t have a pastor? We have seen great success from schools that are independent who have asked a Priest, Sister, or seminarian from a neighboring parish (without a school) to join their team in support of Catholic education .

What do other schools do with their Steps for Students funds? Some schools use their funds to provide additional tuition assistance to families at their school, some use funds to revamp their technology program with SMART boards and Chrome books . Some schools realize they have been blessed and choose to share their blessings by ‘adopting’ a school in need and give their funds to that school .

Registration fee There are several types of registrations available for the 2019 race . They are: • Timed Registration - $20 • Untimed Registration - $18 • Registration for 4 or more people - $18 per person (all will be timed) • Hit the Snooze for Students - $18 (does not include timing chip or bib) • Sponsor a Runner - $20

As of February 1, 2019 all registration fees will increase by $10 . School team designated registration will directly benefit the selected school .

Share your team info The best way to ensure people join and donate to your team is to put a link to the Steps website on your school’s website home page . Also be sure to share your team page with your community via email or Facebook .

catholicschool villageThe Catholic School Village provides an opportunity for all school communities to come together to celebrate and share their school spirit on race day. It is located adjacent to the Downtown Chancery at the intersection of Fannin and Pease. Space is available for schools who meet the request deadline to set up a booth for their families to socialize, enjoy refreshments, play games etc.

The rules of the Catholic School Village are as follows:

Space is extremely limited. Requests must be received by December 14, 2018 and will be accepted in the order they are received.

Setup takes place between 5:30am – 6:30am on race day. Tents, tables and chairs are to be provided by the team directly. The Archdiocese will not provide these items.

All tents MUST be weighted down with sandbags. Staking the tent is not allowed.

If food is being prepared onsite, all adjacent areas to which sparks or heat might spread must be at least 25 ft away from combustible structures and inspected at least 30 minutes after the event is over. A fire extinguisher must be present at all times.

Each school team is responsible for the clean-up and proper disposal of all garbage in their space and this must be complete by 12pm on race day.

ALCOHOL IS NOT PERMITTED AT STEPS FOR STUDENTS.

A space reservation request form will be distributed electronically in the Fall. Each school who would like space in the Catholic School Village is asked to complete the electronic form no later than December 14, 2018.

New this year! Awards will be given out on race day to schools participating in the Catholic School Village! Information about the award categories will be available prior to race day. Be creative and showcase what is special about your school!

VolunteerInformationVolunteers are a vital part of the success of the race! Race day takes over 300 volunteers working together to ensure a safe and memorable event for all . It is an expectation that each school community will provide at least 10 volunteers to assist with either pre-race or race day activities . A list of volunteer opportunities will be available in November at steps4students.org/info/volunteer .

Service Hour Commitments Validation for student service hour commitments is provided at the time of volunteer service . It is the student-volunteer’s responsibility to bring the necessary forms required by their credit-granting organization . For certain volunteer positions, double service hours are awarded .

Steps high TopsSteps for Students is a great opportunity to raise awareness and fellowship among our Catholic School communities . All schools in the network of Catholic Schools in the Archdiocese have the opportunity to participate in Steps, fundraise for their school, and are able to designate the funds raised to meet their unique school needs . Some schools have used funds for tuition assistance, purchased improved technology and updated campus facilities . Schools have raised $4 .78 million since 2006 through this event .

Promotional Materials Every school will be given posters, postcards & yard signs to distribute throughout your campus . Make sure they are in a heavy traffic area! (ex . school’s front doors, on Church’s message board)

Get Social Use your school’s communication tools to your advantage . YOU know how your school community likes to get their news . Maybe it is the Tuesday folder home, maybe it’s on your school’s Facebook page . Whatever the method of communication—USE IT! Don’t forget to share your team’s fundraising page to promote your efforts! Using the hashtag of #Steps4Students in your social media posts allows for the pictures shared and all posts to be automatically grouped together on social media platforms . Please share your Steps memories and activities by including #Steps4Students .

CREATE A PROMOTIONAL VIDEO

Steps for Students videos are easy to produce - you can do it with just a smartphone - but can have a huge effect on motivating your team and getting them revved up for race day! We’ve seen some pretty awesome videos that rallied their schools on to greatness! Check out our previous team videos on steps4students .org .

Official Rules for Videos • ALL Steps for Students school videos MUST be approved by the Archdiocesan Office of Communications BEFORE they are shared or posted on any website—parish, personal, school, etc . This is in accordance with the Social Media Policy of the Archdiocese and there are no exceptions to this rule . Failure to have a video approved may result in school disqualification from awards .

• When you are uploading your video to YouTube or another service, it must be done so as PRIVATE and UNLISTED until has been approved .

• Send the private link for your video to [email protected] for review and you will be notified of its approval . This generally happens within 24 hours, but if longer we will notify you .

Donation CollectionProcedure

Overview:

Steps for Students 5K Run/Walk is an amazing opportunity for school communities to raise unrestricted funds for their unique needs . Team registration fees, and donations are returned to each school . School communities are responsible for tracking offline donations to their Steps for Students campaign and reporting totals to their communities and the Archdiocese .

Types of Donations:

Online:Online registrations and donations are subject to a processing fee of 4 .45% + $0 .30 which can be covered by the person making the payment . Online registrants can create and personalize a fundraising page during or after the registration process until February 15, 2019 at 7pm . It is important to remind your community to join your school team when they register . Once a page is created and personalized, a link to the page can be emailed to friends and family members, who can then click to donate by credit/debit card . The main school page will automatically display the pledge total for individual pages linked to the school team .

Offline:Donations to your team can be made by check or cash in person or by mail to your school . Each donation must be listed on the pledge ledger and added to the school’s fundraising page as an offline donation .

How are Donations Collected?

Online:All donations made online are sorted by school team and deposited monthly via electronic transfer to the Archdiocese . All funds will be distributed to schools by the end of March .

Offline:Each school community can decide upon the collection process for offline donations that works best with their existing processes . However, every offline donation must be recorded on the pledge ledger and reported .

How are Donations Recorded and Tracked?

Online:Online donations will show up on personal fundraising pages and the total is displayed on the team page .

Offline:It is the responsibility of each school to track and report all funds received. A pledge ledger is included at the back of this manual . Please distribute a copy to the person assigned to track and report donations for your school . Each offline donation should be entered on the ledger and a running total of donations kept for your school . Enter offline donations to the school’s fundraising page to show all teams an accurate fundraising total for your school . Please mail a copy of the final ledger to the Archdiocese by February 22, 2019 .

Depositing Funds:

Donations by check:

• Checks should be made to the Archdiocese of Galveston-Houston with a note in the memo line “Steps– (your school name)” . If the school has a common name, example “St . Anne”, please include the city where the school is located as in “St . Anne-Tomball” .

• Record pledges made by check on the ledger .

• Make a copy of the donation form and check for your records .

• Please mail original donation forms and checks made out to the Archdiocese along with a copy of the ledger to:

• If a check is written to your school, deposit it into account 4500 .81 .120 .09SCH-MFR-Other-Steps for Students (per PAS) and record it on the pledge ledger .

• Mail the original donation forms with an accounting of the deposited funds and a copy of the final ledger by February 22, 2019 to:

HELP RAISE FUNDS AND AWARENESS FOR CATHOLIC EDUCATION! WHAT IS STEPS FOR STUDENTS? Steps for Students consists of a Sunrise Mass, Catholic School Village, 5K USA Track and Field Association sanctioned race and a post-race party.

HOW WILL STEPS FOR STUDENTS HELP RAISE AWARENESS AND FUNDS FOR CATHOLIC SCHOOLS? • Any registration fees and donations collected by individual runners/walkers may be designated to benefit the Catholic school of their choice.

• All funds left undesignated by participants will directly benefit the Archdiocesan Tuition Assistance Program, which helps to make Catholic education affordable and accessible for all students.
