Q = What is Jobman? A = Is a browser based, centralised database management system allowing real time data management specifically built for companies that are involved in manufacturing with multiple processes and materials.

Note: Browser Based means that the operating system is a web browser like Google’s “Chrome”, Mozilla’s “Firefox” or Apples “Safari”. The data and the program can be hosted on your companies’ server or a http://jobman.com.au/jobman-products/server-option/ or a hosted solution where the data and program is on a remote server which is referred to as “the cloud”.

Top 20 reasons why Web Apps are superior to Desktop Apps. Never installed

Browser based software never requires installation processes or hard drive space. It lives in a virtual cloud in the Internet or on your server and this means that whenever you launch it, it always has the latest version. Ajax and Ext2 has made it possible to deliver Desktop-like look & feel, and functionality, with no loss of performance!

Updates are seamless

Instead of having to patch each and every individual user, the patches/upgrades are applied to the server and each user received the updated version the next time they log in.

No legacy

This is a big issue for traditional software vendors. Users who purchase previous versions of a software almost always will result in legacy versions lying around which need support (which is costly). The problems relating to legacy software are almost limitless, and often are not efficient for both the vendor and the customer.

Job Sheet • Take full control of your job data regardless of industry. • With Jobman it is possible to add, view and report on any job detail you wish. • Predefined fields allow that your departments know exactly what information they should fill in.

From within this page you can access any job related detail.

• Job Correspondence • Work orders are a job within a job inheriting many of its parent’s specifications it gains a .1 and .2 and so on to

deal with larger types of works that might have different in stall dates. • Job Operations. See how this job is progressing. • Job Extras. Here we can place special orders for the job not predefined in the availability chart • Job Specifications (Ability to have preconfigured questions for your staff to fill in) • Raw Material (order straight from available stock or order straight from your supplier’s availability charts) • Job Appliance is another trade sheet that is trade specific but may be altered to suit your requirements • Job Variations are an essential part to keep everyone informed of what they are and to make sure the

customer gets billed accordingly. • Purchase Orders allow you to order and keep track of orders that are job specific. • Job Files is a place that you can see all other files pertaining to this particular job when you have Jobman

installed on your server, such as quotes. • Alerts will allow to see all Alerts raised for this Job where you can print related Alerts and associated pictures. • Invoices can be raised from the Job directly then controlled from the main page to see all other invoices and

related information. • Change Log is a history of who made what changes to this job and when. • If this Job was automatically created from a Lead then this is a hyper link to that Lead.

Check Lists Check Lists are one of the most important procedural practices a business of any type can setup. The dates are automatically generated from the Lead Times component of Jobman and can be modified and updated on the fly or set by different Job Types. This sheet is updated by the Time Sheets or Touch Screen or Target Calendar components of Jobman. You can drive your dates from anywhere.

Set your Target Dates forward or backward or both. After a target date is set a pop-up box will appear asking whether you want to populate dates after before or after the one you have just set. This allows for you to set an install date for example in the future and it will pre-populate according to your Target Lead Times.

Stock Control Warehouse items Stock Control is divided into two parts.

• Items that you have in stock • Items that you need to order in to stock either for a job or consumables from the availability chart • We also cater for orders not delivered complete. (Back Order)

Stock Control Availability Chart • The availability chart is a definable list of your supplier’s goods that you purchase. • It is possible to export records to a CSV file for multiple record entries from your suppliers and also re-import

them once the modifications have taken place. • You can also import your hardware from Cabinet Vision into Jobman for keeping Jobman and Cabinet Vision’s

data synchronised ready for automatic population or Raw Materials ready for purchase ordering. Details here.

Financial • Save double data entry and export your job data to MYOB. • We have configured these reports to be MYOB friendly in a CVS format that MYOB accepts. This is a new

and exciting feature that has many benefits.

Xero integration To see more click here.

Invoicing Invoices can be created from a job. These will be based on the accepted quote for that job. There are several types of invoice, including “Deposit Invoice”, “Progress Invoice” and “Final Invoice”.

“Deposit Invoices” and “Progress Invoices” will contain only a few free-form line items (able to be edited), with it easy to be able to select the percentage of the final total. “Final Invoices” will automatically import all the line items from the accepted quote, as well as negative amounts for already paid invoices.

Invoices in Jobman will automatically update their paid status based on whether they are marked as paid in Xero.

Invoices created in Jobman will automatically be transferred to Xero, and will be set as “Draft” state for approval by an administrator.

Invoices created in Jobman will also be able to have various statuses (eg. Draft, Active), and only invoices that are in the Active state will be sent across to Xero.

Purchase Orders When a Purchase Order is marked as “Delivered”, the purchase order will be pushed into the Purchases area in Xero (in draft state). This will include all the items in the purchase order.

Contact Synchronisation The Jobman application will periodically synchronise the contact lists between Xero and Jobman. This means that there is a reduced chance of double ups occurring in either application.

Time Sheets Timesheets will be periodically pushed from Jobman to Xero. If a staff member is present in Jobman, but not in Xero, then that staff member will be created in Xero. All staff times will be put into the “Salary” earnings rate, and only the daily totals will be brought across.

Target Calendar • With an Outlook Calendar interface, you can see at a glance what has, is and should be happening so that

you always have your finger on the pulse. • It is also possible to drag appointments around on this page to suit your schedule. • Filters have been added to refine the data you need to see. • You can also change views to see day view so that you can see times operations have taken.

Reports • The best thing about a powerful database like Jobman is its reports. One of the main points of recording data

is so that you can report on it. • Powerful and custom reports can be generated without the knowledge of reporting software. • Have reports that only people with correct access can view like Stock Value, Time and Attendance. • At a glance, gather crucial information that is vital to the success of your business.

Time Sheets See members of your staff and what they are currently working on. Higher security levels can look at same or lower levels. Designed for managers and admin for adjustment of users of touchscreens and entering comments against jobs. Possibly one of the best interfaces written for Time and Attendance systems out there, with a very useful and intuitive interface! Drag and drop functionality with the ability to modify lower level staff’s times.

Mobile Interface With the advancement of smart phones and their ability to run browsers Jobman culminates these latest of technologies so that you can…

Staff Attendance Maps Jobman has incorporated Google Maps so that your staff’s onsite location of what they are doing can be recorded via their smart phones which automatically records it into their Time Sheet (above). The ability to filter Staff member (‘s) name and date ranges is also very powerful. This feature solves many issues related to staff being on the road and recording of their time on Jobs.

Activity Sheets A great screen to see who is logged in (or isn’t) what Job they are working on and how much time they have left on that Job.

Time and Attendance module also deals with

• Overtime rates and reporting. • Public Holidays • Leave Types like Annual, Sick, Non-paid. Create others simply and easily.

Staff Admin The ability to add your Staff, Staff Type and limit Staff Operations and set their access levels as a level 5 user yourself will make for easy control of all your staffing requirements.

Agenda Screens The ability for staff to see the next job that they are expected to work on either via a tablet or connected TV (pictured right) via mini HDMI cable can remove staff wondering around looking for their line manager for the next Job. Also messages can be recorded so that the person commencing the operation can be informed of special instructions. Agenda Screen functionality allows as many screens as you wish to create within your organisation reporting on as many scenarios as you wish. Once the operation has been completed 100% then it will disappear from this screen and appear on the next if this is setup. Agenda Screen succession can be setup to run many facets of your organisation. You can also prioritise Jobs and Leads by going into Production Specs on the Lead or Job and set value closer to 1 to raise its priority.

Job Bar Chart • At a glance it is possible to see how your jobs are proceeding and if steps have been missed.

Purchase Ordering • Jobman allows batch purchase ordering to eliminate multiple delivery charges. • This functionality also allows you to see what was ordered for what job by who and when. • You can also add orders from the availability chart for any particular job on the fly and also at the same time

see all other orders. • If stock control has been purchased, then it only makes sense that items of stock are queried first. Jobman

makes this task easy and simple searches make sure that your stock is used first prior to ordering new items.

Using the Export CSV button will create a CSV also stripping anything pre# and create a .csv ready for importing into your suppliers online ordering system.

Printed order can look like this from Jobman.

Design Specification Intelligent room schedule specifications can be created from client enquiry or added to as the job intensifies. Having the ability to create your own Headings and sub Headings with predetermined drop-down answers allow for faster selection and also increase job transparency while reducing errors and missing information.

Customising your own Job Specifications is quite simple using two Admin tables that allow for new Headings and Question types and selectable answers.

Alerts If your company suffers from people leaving their work station to report a problem, then Alerts is a very powerful feature designed to prevent this. By following 3 simple steps you can eliminate associated down time with people just wondering about.

1. Create the Alert Status. 3 are provided and can be colour coded.

Create a list of alerts and who they are to notify.

3. Alerts can be entered from the shop floor via the Touch Screens or your smart

Smart Phone Alerts “A photo can be better than a thousand words”. Alerts can also be raised from your smart phone from the dropdown menu. These photos are then visable to everyone instantly from the main Alerts menu in Jobman and this record is permantly kept against the job. Onsite reporting of issues as they arise and automatically emailing the correct person to deal with raised issue is paramount to the problem solving. Mulitple photos can be taken per Alert to best describe the situation. Other uses include:

• Damaged stock • Factory hazard reporting • Factory accident reporting • Drafting errors • Job status reports

Quoting Assemblies and Creating ORD files The ability to quote from your Cabinet Vision Library and Create ORD files for Cabinet Vision is now possible.

Firstly, if you have Cabinet Vision you may import your Cabinet Vision library then export it to a CSV to add and modify pricing then re-import.

Creating Quote Pre-sets. Quote Pre-sets located under Admin allow for quick and easy creation of quotes that can be added to a quote and filled out accordingly. ORD From the quote, you can create an ORD file for Cabinet Vision Solid. This will ask you where you would like to save the ORD file which is an executable file which can be imported via the Reports feature of Cabinet Vision under Utilities or double clicked on to open up Cabinet Vison. Assemblies Without clicking an extra button Jobman can monitor your Cabinet Vision files for changes and populate Jobman automatically. Your Cabinet assemblies are now visible via the Assemblies Tab in the Job.

With the aid of a tablet you can simply check off said items as they are processed. Also, if there is an Alert with a Cabinet this will show on this page at the top.

Simply scan your Cabinet Label for automatic check list ticking. If you are too far for the scanner to record your data, it will hold it until it is docked in its cradle. A full history of that cabinet and who checked what off can be seen by simply double clicking on that assembly.

Overhead %: Working out your predetermined overheads into your charge out rate can take a bit of work. Once established these can be a variable according to Pay Rate.
