Team description

The Systems Team is one of two teams within the Performance and Insight Department. Working in close

collaboration with its Insight counterpart, the team is focused on ensuring that WaterAid UK adopts an insight-led

and data-driven approach to maximising return on investment in fundraising and campaigning activity

Job purpose

The Database Systems Team is responsible for the day-to-day running of WaterAid’s CRM and Integration Hub.

This responsibility requires that the team manage the input of data from external sources (import files from

multiple agencies) via the Integration Hub and for the output of key financial process such as the Gift Aid and

Direct Debit claims while ensuring that the systems are always available to end users and that security and access

are managed in accordance with best practice. The team also hosts the Engagement System support function,

providing resolution to most Database Systems related cases and allocating cases to other members of the wider

department where appropriate.

The Senior Database System Integration Officer is responsible for overseeing the effective and accurate running of

WaterAid’s Integration Hub. They will be responsible for ensuring that both automated and manual data imports

are accurately imported to CRM. The role holder will use their SQL skills to develop resources to monitor the

transformation of supporter data via the integration hub, ensuring that all information is recorded on CRM. The

role holder will work closely with their colleagues in Systems Development to find solutions to known issues. The

role holder will use their knowledge of the SQL Server Management Studio and SSIS to facilitate training for the

wider Database Systems team, ensuring the team are using best practice in their solutions.

Team and programme management

• Work with the Systems Development Team to brief and deliver CRM and Integration Hub enhancements.

• To provide technical training and mentoring to the Database Systems Officers

• Work with the UK Finance Team to carry out monthly reconciliation of income

• Deputise, as appropriate, for the Database Systems Manager;

Key responsibilities

• Responsible for investigating any issues in CRM, the Data Warehouse and in the SSIS automated data transfer

hub to identify the source of the issue. Responsible for triaging the issues to understand the cause and to

work with the System Development Officers to identify the solution;

• To administer the CRM system to ensure that it operates efficiently on a day to day basis. This includes the

management of CRM’s marketing code structures, the supervision of new user set-up and the assignment of

suitable access rights as well as the control of table maintenance and system rules;

• Working closely with the IS Team, responsible for ensuring users are able to access the CRM system, data

warehouse and automated data transfer hub 24/7. Work with the appropriate member of the IS team to

resolve any issues that are identified;

• To assist the Database Systems Manager in seeking opportunities for expanding the use of CRM in the wider

organisation, and to adopt an insight led and data driven approach;

• To manage a regular programme of work designed to enhance and validate the integrity and accuracy of the

data held within the CRM system; to promote and implement best practice data-related systems, techniques

and use of data to maintain data integrity throughout the organisation;

• Ensure that strong relationships are built at all levels of the organisation to ensure an excellent support

function exists;

• Work closely with the Systems Development Team to ensure the efficient running of the Integration Hub.

• Work with the Compliance Team to ensure CRM and the teams processes comply with all relevant legislation

• Work closely with the IS Team to ensure that ES requirements are embedded in the wider information

architecture development strategy;

Essential

• Proven experience of using SQL Server 2012 and SSIS

• Extensive experience of using relational database packages and working with large and complex data sets

• Excellent problem solving and communication skills

• Degree or equivalent qualification or experience

• Proven ability to work to a high standard and with an eye for detail, working under own initiative and managing multiple projects simultaneously

• Strong project management and team-working skills

• Advanced MS Excel and Access skills;

• Excellent problem solving and communication skills;

• Excellent verbal communications skills;

• Commitment to WaterAid’s values and a working style that reflects these.

Desirable

• A good working knowledge of the architecture and functionality of Microsoft Dynamics CRM 2015;

• Experience of managing a support function;

• Knowledge and experience of data warehousing;

• Qualifications in Information Technology related subjects;

• Empathy with overseas development issues;

• Knowledge of API technology;

• A strong understanding of fundraising methods and related regulations

• An understanding of Gift Aid
