A Challenge

1.1 The InspecTrend Concept

Have you ever heard thermographers say that they enjoy filling out paperwork and doing reports or that they really didn’t have enough paperwork to do? No? We didn’t think so! In fact, it is usually just the opposite, and in discussions we have every day with working thermographers we hear things like – I’m spending 2, 3, even 4 hours or more per 8 hours of scanning just doing tasks like data re-entry from the field and creating reports that are then utilized by others for the purposes of repair and management tasks.

Now add to these tasks the time it takes you to prepare for inspections – that is, the effort you spend to gather data from past inspections on the route that you’ll be doing today. How long does that take you? Is it a simple task or does it require digging through many files that you haven’t referenced for months or years? Can you easily find this vital information? Do you know at a glance, what you tested, what you didn’t test and why? InspecTrend answers all these questions by providing you with a powerful IR PdM inspection management tool. This will enable you to reference problem histories, review currently open and past problems at the location and equipment levels, track and trend critical pieces of equipment and developing thermal anomalies, record new problems and re-record still existing problems quickly and easily. Then as soon as the thermograms and digital images are dropped into the image folder of InspecTrend, you can generate reports.

1.2 Introduction to InspecTrend: InspecTrend Synopsis InspecTrend’s primary purpose is to automate the thermographer’s labor-intensive process of recording and reporting information from an infrared inspection. Through assistance from computers and automation, thermographers can do more thermography and less paperwork by using InspecTrend. With this in mind, we focus on several basic principles:

1. Keep it simple and user friendly. 2. Enter once, use over and over again. 3. Information at your fingertips.

By focusing on these principles, InspecTrend has grown into a world-class predictive maintenance software solution that is automating companies from small infrared inspection firms to large fortune 100 companies. InspecTrend infrared PdM inspection management system runs on tablet computers, desktops and laptops using a SQL database. The system manages everything from inspection inventory, scheduling, problem tracking and trending to report generation. Information obtained from thermal anomalies as well as verification of the test status of each piece of equipment can be entered directly into the database during inspections. Reports and results can be shared via Web browser, email, CMMS, or other PdM programs. Equipment inventory can be easily entered in the system or imported from an existing database. Bar coding allows for fast identification and data retrieval on equipment. InspecTrend can also record multiple voice comments and create drawings or diagrams and store them directly into the database during inspections. The program includes one-button report generation and an electronic document management system that lets users view documents in any Windows-based program. Below are some examples some of the 30+ reports that can be quickly and easily printed into Adobe Acrobat (.pdf) format. You, the end user, can customize all of these reports.

Why should you be enthusiastic about InspecTrend? Because InspecTrend will make your job as a thermographer more organized, focused and effective. It will allow you to more easily focus your IR program (or create one for the first time) to fully realize the benefits of predictive maintenance as you easily track and trend problems and create reports [Fig 102] that will save equipment before failure.

Now, couple these gains with the ability to show the cost benefit of what you’re doing to your clients inspection after inspection – whether those clients are internal customers (like your management team that holds the purse strings for your department) or external customers and you can begin to see that InspecTrend will give you tools that will really affect your infrared program where it counts. Your customers will understand on an ongoing basis the kind of superior value that you and your thermography efforts are bringing to the table. Please also know that InspecTrend is a database program. As such it can interact with other databases. The initial implementation time of InspecTrend is greatly reduced by the ability to import huge amounts of equipment inventory from spreadsheets or existing computerized maintenance management systems (CMMS) like Maximo, Cascade, SAP, Indus and DataStream products, etc. Your company and clients may also benefit from this sort of data integration.

1.4 Installing InspecTrend

There are 4 primary software packages that are provided to run InspecTrend on your desktop or laptop computer. Call Logos InspecTrend support at 206-217-0577 if you have any questions or problems.

1. InspecTrend client software 2. MSSQL – Microsoft’s SQL program 3. Win2Pdf – Adobe Acrobat writer used to print reports in Adobe Acrobat format. (.pdf) 4. Microsoft Access Runtime, which is used to print your reports. Note on Training: While InspecTrend is intuitive and user friendly, training is a vital part of ramping up with the software and realizing the best practices and quickest Return on Investment (ROI). A number of training options are available from authorized InspecTrend instructors from online training to full onsite training classes for multiple personnel. Please contact Logos for options.

1.5 Starting Microsoft SQL Server

Double click on this SQL icon above lets you select “MS SQL Server - Start.”

1.6 Starting InspecTrend Next, start InspecTrend by double clicking on the “magnifying glass” icon on your

desktop. [Fig. 108] and you are ready to logon.

You will see the InspecTrend ‘Splash Page’ appear [Fig. 109] and then the main

InspecTrend screen. [Fig. 110] If this is your first time starting InspecTrend, your screen will be blank, which means there is no inspection loaded in the InspecTrend client.

When starting out for the first time, you will need to go to either “Inspection Administrator” or “Web Manager”, to create a new Customer, a new Site, schedule a new Inspection and “Get Inspection” to start populating inventory into the InspecTrend client screen. [Please see Section 2.2, or Chapter 7 for more details on this process.]

If this is not your first time starting InspecTrend, it will load the last inspection outfile

you were working on. [Fig. 111]

When the logon is completed, the main screen view of the InspecTrend will appear

[Fig. 111]. You can now enter inventory data, document problems or print reports. All the key information is at your fingertips!

1.7 Other Applications and InspecTrend When doing your inspection with InspecTrend, it is advised that you only run

InspecTrend and no other program during the inspection to eliminate the potential memory resource shortages. It is in the context of that sort of additional processor load and RAM memory load that the topic of ‘how much it too much’ comes up in regard to peak performance for InspecTrend.

Here we see an example of close to approximately 20 different applications running simultaneously with InspecTrend [Fig. 112]!!! What is the impact on the processor? This is an illustration in which the processor resources have been reduced to approximately 32%. This can slow the response time for InspecTrend and all the other programs fighting for memory space. (RAM) InspecTrend is graphics and database intensive and the more processor and RAM memory resources you have, the better it runs.

THEREFORE, Logos recommends running only InspecTrend related applications on

your tablet computer while doing in-the-field inspections. This allows processor resources to stay available and ready for attachments, sound files, AutoCAD drawings and any other computing directly related to the inspection. As you become comfortable and experienced with the capabilities of InspecTrend and see dramatic timesavings through improved report generation and other features, understand that this solution performance is based upon the recommended approach of running only the relevant

This diagram shows the workflow process of doing inspections, testing equipment, documenting problems, reconciling problems, and printing reports. The diagram on the next page shows the actual data flow of each inspection. The numbers on the workflow diagram relate to the numbered “Basic Steps” instructions detailing each step of the process.

The Master Database – All customers, sites and inspections are stored here. For InspecTrend “Standalone” installations, this resides on your computer under “Inspection Administration”. For web clients, this master database will reside on a server machine and will be accessed by using the InspecTrend Web Manager and Internet Explorer. InspecTrend Client – 1 Customer, 1 Site and all current and historical inspections for this site are downloaded from the Master Database. The thermographer can do the inspection, print the reports, and return the inspection data back to the master database. InspecTrend client software can run on a desktop, laptop, or tablet PC computer running MS windows XP or higher. 2.2 InspecTrend Standalone – Getting Started – Basic Steps

Note: For Enterprise or Web Client users, please see Chapter 7, “Web Manager”.

1. Start InspecTrend client and choose “File”, “Inspection Administration”. [Fig. 203]

2. In “Inspection Administration” screen, click on “Customer

icon” and click the yellow “Add” button to add a new customer. Only the customer name is required. Click “OK” at the bottom of the screen.

3. Click “Site icon” and click the yellow “Add”

button to add a new site for this customer. Only the site name is required. Click “OK” at the bottom of the screen.

4. Click “Inspection icon” and click the yellow “Add” button to schedule a new inspection for this site. Choose your customer, site, inspection dates, thermographer and click “OK”.

5. Click on the

inspection listing to highlight it [Fig. 204] and click “Get Inspection”

to get this inspection outfile.

Click “Yes” to get this inspection. [Fig. 205] Choose “Read Write” [Fig. 206] 6. The inspection loaded successfully.

Click “YES” to Start InspecTrend. [Fig. 207]

InspecTrend creates 2 directories to store your inspection data – Select “OK”. [Figs 208, 209] 7. If you have an inventory list, you can “Add” new inventory manually or import it through

the Excel import feature [See steps 2 and beyond].

8. Copy images from your infrared camera and digital camera to the Image directory for this inspection.

9. Review images and print “Reports”.

10. Click “Inspection Settings” and change the inspection status from “In Progress” to “Closed”.

11. Return inspection outfile to the Master Database by clicking “File”, “Inspection

Administration”, highlight the inspection you want to return and click the “Return

Inspection” button. For your next inspection for this customer and site, go back to step 4 and repeat.

2.3 The InspecTrend Folder Organization and Structure

The following are the folder paths on your desktop, laptop or tablet PC computer created by InspecTrend and what data is stored and organized there.

C:\ _workfolder – This area stores all site and inspection specific

attachments, images and reports on your hard drive through the InspecTrend interface. An example of a site folder structure is as follows:

Starbux_Seattle -- This is an example of one of the client/site folders underneath “_Work Folder.” “Starbux” is the first seven characters of the customer (client) name. The next part of the file name comes from the site name and can be up to 100 characters. This file is auto-generated by InspecTrend based on customer defined inspection outfile data. 1005 – (Inspection #) This is an example of a specific inspection folder.

Attachments – These are inspection specific attachments such as you might see in the Problem Detail form. Export – This is where the inspection outfile is

stored when it is “unloaded/backed up”. Fig 211

Images - These are infrared images and digital images taken during this inspection.

Reports - These are .pdf reports for this inspection. Attachments – attachments for this site, locations, and equipment that do not change between inspections are stored here. For example: a site map or a drawing of the plant. Equipment Photos - These are digital images taken of equipment that does not change between inspections. For example: a photo of a water pump motor.

. 2.4 Backing up and Restoring InspecTrend Databases

You should backup your InspecTrend database FREQUENTLY. To backup the database, follow the next 6 steps.

1. Click on “Utility” button, in the top row, 6th button from the left.

2. Be sure “Backup Database” is selected and click “OK.”

3. Click anywhere in the line where “demo/demo” is located.

4. When you select the demo/demo line, the next two fields fill in data.

6. Make sure “Append to existing media” is selected and click “OK”, “OK” then “Close”.

You should restore an InspecTrend database only if you are absolutely certain that you want to overwrite data that currently exists within the program – for example if you wish to revert back to a previous day, or if your computer crashes requiring you to reload all programs, etc. In that case, follow the next six (6) steps.

2.5 Adding or Importing Inventory into InspecTrend from Excel

1. Follow the Excel Inventory template instructions to prepare your inventory list(s) for import into InspecTrend. These instructions can be found on your computer at C:\Program Files\Inspectrend\Support\Utility\InventoryImportTemplate.xls.

2. Create a Customer/Site combination in InspecTrend and download and open the Inspection outfile you just created.

3. Once you get to this InspecTrend Explorer screen, you’ll be ready to import your data.

4. Select “Import from Excel” from the Tools drop down menu on the top left of the InspecTrend Explorer Screen.

3 InspecTrend Screens 3.1 Understanding the InspecTrend Screen Layouts

InspecTrend Explorer Screen (Main Screen) – This is the view of InspecTrend that appears when the application first opens. Status Bar – a featured part of the second row toolbar, this feature allows you to update the test status of equipment being viewed in the Location/Equipment portion of the Explorer Screen by simply checking the box next to the equipment or location. Tree View [Fig. 306] – the top left-hand pane of the Explorer Screen. This view

allows you to see the site, locations, sub-locations and all equipment to be inspected at a glance. You can expand or collapse the various levels of the tree to assist you in navigating around the facility.

Also, the list of locations and equipment in the Tree View is color-coded by test status [Fig. 307] so that you can see which equipment and locations have been tested, have not been tested and why. Bold black means the equipment is untested or the location has at least one piece of equipment left untested. Once equipment is designated tested the bold black will change to gray for that equipment. Once a room or location has been entirely tested the name of the room itself will also turn gray. If other test statuses are selected like “not tested no load” (NTNL) the color for that equipment or room/location will appear red. Using color-coding InspecTrend can help thermographers to see at a glance where they’ve left off and what remains to be tested and why. This can be especially helpful when there are multiple thermographers working as a team (various shifts/various routes or alternating routes).

It works in conjunction with the Tree View and is the detail of whatever location is selected in the Tree View (upper left-hand pane). Problem List View – [Fig. 309] This is the bottom pane below the red line that lists all the problems and summarizes various important fields to be viewed at a glance. Important features of this area include to ability to filter thermal problems based on “open, past”, “open, current”, “open, all”, “closed” and “all.” For one thing, this allows for accountability in reviewing past findings to ensure that the problem has been either fixed and closed or is re-documented. Problems are also filtered here based on which module they belong to: Industrial Commercial Electrical, Transmission Distribution Electrical, Mechanical, Visual, et al. Beyond this initial sorting the user can also order the resulting records by any of a number of column fields. These are from left to right: Problem Number, Date, Inspection Number and Type, Problem Status (open or closed – this designation is also represented by a smiling face icon (to the far left of this screen) for closed (fixed) problems and a frowning face for open problems), chronic status (yes or no), temperature or delta temperature, severity, attachment, component name and problem comment.

Double clicking on any of the problems in the Problem List will open the problem up in Problem Detail Form view. Selecting a problem and clicking on the “Detail” button will also do this.

Other features of this pane include the four buttons to the right of the pane (again just under the red line.) These include “New Prob”, “Work Order”, “Close Prob” and “Detail.” When you desire to document a new problem, clicking on the “New Prob” button while a piece of equipment is highlighted in the Location / Equipment pane will allow you to work through the InspecTrend Problem Wizard [more on the Problem Wizard later] to add a problem. “Work Order” allows you to generate an InspecTrend Work Order for a thermal anomaly. “Close Prob” allows you to quickly designate problems on the list as closed (repaired) as this feedback comes to you.

1. Select the parent location (if you have no inventory or locations in the site just

select the site name)

4. If you’re adding equipment, be sure to check the box on the Location/Equipment Detail form after the question: “Is equipment?”

5. The location or equipment will be added to the tree under the parent that you

selected before. If you need to move your addition elsewhere you can do so easily by highlighting (drag the cursor across the text), dragging (select the highlighted text and drag with the cursor to the desired location) and dropping it into your desired destination.

6. If you want to cut or copy and paste a series of similar locations or equipment

you can do so easily using the scissors (cut), letters (copy) and clipboard (paste) icons in the Tool Bar. [Fig. 403] Fig. 403

7. You will need to rename the pasted locations/equipment (right click and select

“rename” and then click on the onscreen keyboard icon in the bottom right hand tray.) If you are in the office these task can be done via keyboard/mouse.

Omitting and Deleting Locations and Equipment – You can omit locations and

equipment from the inspection lists if, for example, a piece of equipment is taken out of service but you anticipate it may return. Omitted equipment (or locations) will not be included in the tree views unless you select them to be viewed with the other equipment (locations). This can be done by going to the Drop Down Menu Bar, “View” and selecting “Show Omitted.” [Fig.404] This same process applies to deleted locations/equipment, however, though you can view deleted items, you cannot bring them back into inventory as you can omitted items.

Bringing Omitted Locations and Equipment back into the Inventory List –

1. Select the “omitted item” (you can only see omitted items if you select “Show Omitted” from the “View” drop down menu – see Fig.404) and bring up the detail for that item by clicking on the “Detail Button” above Location / Equipment View (above top, right pane.)

2. In the form view for the location or equipment de-select the checked box just after “Omitted?” [Fig. 406] Save and close this form and the omitted item is now back in the regular inventory list.

Equipment Test Status - InspecTrend allows you to select a status for the equipment you’re testing. [Fig. 407] The test status defines the color-coding of equipment in the Tree View so that you can see which equipment and locations have been tested, which have not been tested and why. Please refer to the discussion associated with Fig. 307 in Chapter 3 for more details on color-coding.

4.2 Documenting Problems During an Inspection

Smart Wizards and Working with InspecTrend Modules

1. InspecTrend uses a “Smart Wizard” to assist you in documenting thermal anomalies. From the Location/Equipment Detail Screen (the right hand screen in the InspecTrend Explorer Screen) select the “equipment” on which you’ve found the problem.

2. Next go below the red line, in the middle of the Explorer Screen and select the

“New Prob” button.

3. The “New Problem Smart Wizard” will pop up. Select the module in which the problem will be recorded. Click “Next.”

4. For example, if this is an industrial commercial electrical equipment item select I/C Electrical.

I/C Electrical is generally indoor electrical equipment. T/D Electrical is for documenting outdoor equipment, power

generation and distribution. Mechanical is for motors, rotating equipment, and other equipment

that does not need to record phases, only temperatures. Visual is for visual problems and have nothing to do with infrared.

You can insert 2 digital images and document problems for safety, OSHA, fire hazard, water hazard, etc.

5. Step 1 of the problem wizard will appear [Fig. 410]. Fill in all the required

fields where you see double asterisks. Use the number pads for temperatures and numeric entries. Many fields have drop down menus allowing you to select from a list and you can use the “Add” feature to expand that list, if needed. The only required fields in I/C electrical are problem temperature and phase, and reference temperature and phase. Click “Next” to show the second screen

20. The Images Tab is where you review your infrared and digital images for this

problem. Click the browse button to find or line up your images in the image folder.

21. InspecTrend requires the conversion of all proprietary radiometric image

formats into standard .jpg, .jpeg, .bmp and .tiff formats. The reason InspecTrend utilizes standard image formats is to create a portability of reporting. With standard images InspecTrend will create reports with all temperature, temperature deltas, amp loads, estimated deltas at various amp loads, etc. in a format (.pdf) that can be viewed through Acrobat Reader on any computer anywhere in your company or organization. The ability to create a report that can be shared broadly is highly valuable for maximum impact IR predictive maintenance and for implementing repairs. If you have FLIR, Inframetrics or Agema thermal cameras the IRWIN Explorer FLIR explorer 99, or FLIR Quickview “freeware” will convert the proprietary .img images to .bmp. Mikron and Indigo thermal cameras will convert the proprietary thermogram images into standard image files with their camera software. The recommended process is to save the radiometric image in proprietary format (for future reference) and then convert to a standard image format for use with InspecTrend Advanced Reporting. This entire process can be done using the InspecTrend Field Unit. The best way to transfer images onto the InspecTrend Field Unit is by USB flash drive.

22. Click the Estimate to Repair tab and this screen [Fig. 424] will appear. The

4.3 Working with Attachments Electronic Documents Management Systems (EDMS)/Attachments

The last tab on the Problem Details Screen is EDMS/Attachments. At various levels; site, inspection, location, sub-location, equipment and problem (inspection) levels InspecTrend’s Electronic Documents Management System (EDMS) allows the attachment of any kind of electronic document from any Windows-based program. For example this can include AutoCAD drawings, electrical schematics, floor plans, IEEE manuals, emmissivity charts or oil and vibration reports from the same equipment that the IR scan is being done on. The ability to attach all kinds of supporting documents and information allows thermographers to make more informed diagnoses and prognoses of vital equipment.

Attachments can be added at the various levels for the purpose of bringing forward attachments from inspection to inspection that are pertinent to each level. Attachments at the site level may include digital photos of the site, general information about the site, relevant contact information, etc. Attachments at the location level can show floor plans, schematics, specific instructions pertaining to specific areas, etc. Attachments at the equipment level can include schematics, cutaways, AutoCAD drawings, other predictive maintenance technologies reports, etc. Problem (inspection) level attachments can include specific drawings or recordings at the time of inspection. Paint, voice recording and notepad file attachments, as well as any other Windows

based attachment can be added at the inspection level to augment the findings of the Thermal camera and the notations of the thermographer.

How to add Attachments to Various InspecTrend Levels

InspecTrend utilizes a similar EDMS tab (see figure below) at the Site, Inspection, Location, Equipment and Problem levels. Site, Location, Equipment, and Problem attachments will go forward from one inspection to the next as long as the entire directory for that Site is available to the InspecTrend application to draw from. If you only have the directory for the current inspection, for instance, all your historical attachments and images will not be available. This will be an issue as you archive data – just know that whatever inspections are archived will not have images and attachments available in the current inspection. Inspection Level attachments will not go forward to the next inspection; therefore, only attachments relevant to only that inspection should be attached there. For example, you may want to add attachments regarding travel or other items only pertinent to that inspection.

At the Site level you’ll add attachments by going to “Site Defaults” on the Navigation Bar and then to the “EDMS/Attachment” tab. At the inspection level add attachments through the “Inspection Properties” button on the Navigation Bar and then to the “EDMS/Attachment” tab. For Location find the “EDMS/Attachment” tab in the “Location / Equipment Detail” form. For Problem level attachments go the “EDMS/Attachment” tab on the “Problem Detail” form.

You will notice there are standard attachments you can add through the icon buttons. Using these buttons you can add notepad, .wav (sound), or MS Paint (drawing) files.

2. Select the file to attach to the location or problem with the

“ browse button” then double click the “file” to you want to attach.

Beyond these standard attachments you can also use the “Add Attachment” button to

attach any file from a Windows-based program. For example you can attach any proprietary thermal camera image to the EDMS/Attachment tab of the Problem Detail form and when you launch the attachment later the image will open in the camera’s image analysis software (if it is loaded on your computer and associated with these files.) Simply use the steps from above to browse and

attach any eligible file. 4.4 Assessment Form

If you requested the

assessment form feature the “Assessment Button” will show on the Problem Detail screen. Click the Assessment Button [Fig. 427] to add data to form.

For the Assessment Form, check the boxes that apply to the problem, or choose from the drop down box for “Increase Priority To”. You can also add comments in the ”Why?” Box and select “OK”

If you want to modify the entry, click “Assessment” tab and enter the new data, and click “OK” to save your changes.

information if correct. This data is now available in reports when combined with thermograms and digital images dropped into the proper inspection image folder.

4.5 Documenting a Recurring (Chronic) Problem from previous inspections

If you have a prior open (chronic) problem that has been re-scanned and needs to be re-documented follow these steps.

Bring up the problem in the Problem Detail form view by double clicking on it in the

“Problem List” pane.

In the Problem Detail form, select the yellow “Add” button. . This will re-document all the details for that prior problem on this equipment and allow you to enter new temperature readings and add any notes from the rescan that you wish. Subsequently the new thermogram(s) can be dropped into the re-documented problem

and new reports generated. By carrying over all the detail from the prior scan, the process of re-documenting an existing or chronic problem is very simple and fast.

Once the re-documentation is finished, click on “Save” and “Close.”

4.6 Benchmark & Baseline Trending

How to Benchmark and Baseline Trend Equipment – Thermographers don’t record thermograms for every piece of equipment they scan. In fact often thermographers only take thermograms of equipment anomalies that they uncover in the course of a scan. There are many situations that call for tracking and trending vital pieces of equipment against baseline or benchmark measures. InspecTrend allows this to sort of tracking and trending to happen easily and comprehensively. Each piece of equipment and problems on equipment can be tracked and compared over time. The promise of predictive IR maintenance can be better realized through this process of analyzing equipment over time to find patterns of increasing heat and helping with diagnostics and prognostics in reference to preventing vital pieces of equipment from failing.

Both equipment level measurements and thermal problems can be trended in InspecTrend.

InspecTrend Baseline/Benchmark Trending requires that you add a Threshold (Maximum) and an Ambient Reference Temperature against which to measure and create graphing. Go to the “Benchmark/Baseline Trending” tab on the Location / Equipment Detail form. You’ll notice from this view you can see either thermal images or charts across time telling the trending story. Click on “Add” to the left, below the red line to start the process.

Fill in the appropriate fields and make notations as needed. Click “OK” to add the

Trending entry.

4.7 InspecTrend Image Analysis The first step in using InspecTrends image

analysis tools is to select the correct format in InspecTrend Explorer\Site Settings\Camera File Type. Then “Save” and “Close.”. Also all inspection images should be placed in the current Image folder, ie C:\_Workfolder\Customer_Site name\ Inspection number\Image folder.

Flir Image Analyzer 1. When documenting the first problem in the field, you should enter the IR File name just as it shows on the Flir camera. You can leave it as an .img image or you can change it to .jpg. For the digital photo name you should enter it as the camera designates. If these are entered correctly on the first problem, all the problems entered after that will auto increment by one and be ready for printing the reports.

2. To edit or analyze Flir images in InspecTrend, go to the Problem Detail page and Click on the “Edit Flir Image” button.

3. The “Load Image” button will let you find and load another image. 4. The “Add Area” or “Add Spot” button allows you to add areas or spots. To access other functions, right Click on the image and choose your desired function. 5. The “Show/Hide Temp Scale” button will show the temperature scale on the side of the image. Click it again and it will hide the temperature scale. 6. The Save As allows you to save the image to your hard drive. 7. If you don’t want to save your edits, choose the “Cancel” button. 8. Once you are done with your edits or analysis, choose “Save and Close” to save the image and return to InspecTrend.

9. To set your span and scan automatically, right click on the image and choose “Auto Adjust”. You can also manually set the span by right clicking on the image and choose “Settings”. Here you can change your Max and Min temperature scale values and many other image settings

4. You will then be asked which folder to convert and which folder to put the files. If it does not show the Image Folder for the current inspection, correct it so it does. Select the 3 options shown, and Click Convert Now. After completion, Click OK and Exit.

6. You will then see this screen. Click the “Refresh IR” button. And the IR and digital images both show. Any time you want to change anything on the image you can Click the “Edit Fluke Image” button, make the changes, save, and Click “Refresh IR” to show the changes

Note: You can also just enter the .sit image number as the first IR image. The auto increment will assign the remainder of the images to the subsequent problems. Prior to printing you can

go to the image tab, click on the “ browse button” for the IR image, select the sit image and click OK. This will convert the IR and digital images to .jpg and show them in the program ready to be printed. This would have to be done for each problem.

5 Routes 5.1 Routes Overview Routes are a way to break up large sites into smaller inspection routes. Inspection routes can be created many different ways, such as electrical and mechanical or by location or by process. Routes can be created on the Web Manager or on the InspecTrend desktop client. Below are the directions to create a route on the InspecTrend client.

1. From the InspecTrend main screen, choose “Tools”, “Routes”, “Create Route”.

2. A small route name dialogue box will appear. Enter the route name.

3. Now that your route is created you can see the route file under the Routes tab on the

bottom left corner of the InspecTrend client. Click on the Routes tab to view the

routes. (Shown in Figure 501) You can now drag inventory locations and equipment into it from the master list. To do this:

the selected locations children or details in the location/equipment details screen to the right. Next click on the location again and drag it over to the route you want to include it in and drop it. That location and all the sub-locations and equipment underneath it will be dragged into that route.

2. Select the Site and Route name. 3. You can view the route by equipment list or location list, and add or remove

equipment or locations from the selected route. To Add a route, click on the “Add” button and fill in the new route name. We will create a new route called Route 2.

4. You can view the inventory list by Equipment as shown below. To add equipment to the route, highlight the equipment on the bottom “Not Included” screen and click the “^Add^”.

5. You can view the inventory list by Location as shown below. To add locations to the route, highlight the locations on the bottom “Not Included” screen and click the “^Add^”. You can “Remove” locations and equipment by highlighting the equipment in the “Included” top section and click “V Remove V”.

6. Create a new inspection for Route 2 by choosing “Routes” in the Include section of “Schedule Inspection”, highlight Route 2 and click “Submit”.

6.1 How to Generate Hard Copy Reports

After you’ve placed your thermograms and digital images within the C:\_Workfolder under the inspection you are working on, you are ready to generate any of a full suite of reports available in InspecTrend (see the next section for descriptions of the various reports available).

1. Open InspecTrend. 2. Select the “Reports” icon from the “Navigation Bar” to the left. 3. Select the report that you wish to print, select “Print” and InspecTrend will print

the selected report to .pdf format and save it in the “Reports” folder under the particular inspection that you are working in (see IT Folder Organization and Structure, Section 2.3).

Cover Page Report – This is the summary of the current inspection at a site or customer level plus the identification of the thermography firm or department and thermographer. This report shows you the numbers of problems found by priority and the problem priority trend from the last two inspections. It also breaks down the number of new problems, the number of recurring problems and prior problems testing normal in the current inspection.

Cost Benefit Analysis Report – This report allows the customer to view their

inspection through the unique lens of the amount of money they save by fixing problems before components/equipment fail vs. fixing them after failure. The numbers can include parts, labor and loss to revenue estimates. The numbers can be supplied by the customer/department in question so that they are “their numbers” and allow the customer to perceive the value of each inspection done.

Documentation Page(s) - Thermographic Problem Reports – This is the detailed

view of each problem. It includes side-by-side shots of the thermogram and digital image of the component/equipment, location/equipment information, summary of the problem, problem temperature delta over reference, maximum allowable temperature if available, graph of problem temperature trended over time vs. reference and estimates at 50 and 100% loads.

Work Order Report – This report has similar information to the Problem

Documentation Report except that a work order area is included with feedback from the discovered problem including estimated costs before and after failure if wanted to help in the prioritization of repairs.

Prioritized List By Temperature Report – This report lists all problems

prioritized by temperature delta over reference.

List of Findings Alphabetically by Location Report

List of All Open Problems Report – This report includes operation priority, inspection and problem number, temperature rise, load %, problem severity and current inspection test status

List of All Closed Problems During This Inspection

Web Clients (non-Standalone): 1. Take a company logo image file, in .bmp or .jpg format, with an 8-character file name

(or less), and place it into the c:\Program Files\InspecTrend\bin folder. 2. In the InspecTrend Explorer, go to File/Provider/Edit and browse by clicking the

browse button (with 3 dots) for the logo image file you placed in c:\Program Files\InspecTrend\bin folder.

3. Highlight that logo image file and click “Open.” 4. Then click “Submit.” 5. If you have not entered a “Provider Name” the program will prompt you to do so.

Limit your “Provider Name” to 8 characters of less. 6. The logo will appear on all subsequent inspections after it has been “set” on an outfile

as discussed above and that outfile has been returned to the web server. All outfiles obtained from the server after the “set logo” has been returned, will display the company logo.

7 Web Manager

7.1 InspecTrend Data WorkFlow

Introduction to the InspecTrend Data Flow Model between the Server, Desktop, and a tablet computer (in-the-field data collectors) collect inspection data exported from the server where your InspecTrend Master Database resides.

This diagram shows the logical workflow process of doing inspections, testing equipment, documenting problems, reconciling problems, and printing reports. The diagram on the next page shows the actual data flow from the Web Manager to the desktop and back to the Web Manger for each inspection. The numbers on the workflow diagram relate to the numbered “Basic Steps” instructions detailing each step of the process.

The Master Database – All customers, sites and inspections are stored here. For InspecTrend Enterprise installations, the Master Database resides on a server hosted by your IT department or remote host. You can view and get inspection data by using the InspecTrend Web Manager and Internet Explorer 5.5 or later. InspecTrend Client – This software can run on a desktop, laptop, or tablet PC computer running MS Windows XP or higher. An inspection outfile downloaded from the Master Database through the Web Manager includes 1 Customer, 1 Site and all current and historical inspections for this site. The thermographer can do the inspection, print the

7.2 InspecTrend Web Manager – Getting Started – Basic Steps Note: For Standalone users, please see Chapter 2, “InspecTrend Workflow”.

1. Start your Internet Explorer and

login to the Web Manager. Enter your company name or ID, user name, and password, and then click “Login”.

If you have already created a customer and site, then continue. If you need to handle administrative duties like create a new customer and/or new site, go to the main screen, click on Administration [Fig. 704] and then follow the instructions in Web Manager Functionality\Administration.

8. Once it is saved to your desktop

computer, click “Open” to open the inspection outfile in your InspecTrend Client on the desktop.

(Optional) If you have an inventory list, you can “Add” new inventory or import it through the “Import From Excel” dropdown. [Fig. 714]

10. Complete your inspection according to Chapter 4 In-the Field instructions. 11. After the inspection is complete, Copy images from your infrared camera and digital

camera to the Image folder for this inspection.

12. Review images and “print” reports.

13. Click “Inspection Settings” and change the inspection status from “In Progress” to “Closed”.

14. To package your reports and images and upload them to the Web Manager, you

must click the “Package Workfolder” icon. Choose the files you want to upload and click “package”. The twf package file will be placed in the C:\_ITData folder.

15. To Return the inspection outfile to the Master Database you must click the

“Backup/Unload” icon. Once the inspection outfile is backed up and unloaded onto your hard drive (C:\_workfolder\customer_sitename\inspection#\Export directory), it is ready to be loaded back to the master database through the Web Manager.

16. Run Internet Explorer and log into the Web Manager website. Click “Inspection”

tab then click the “Return Workfolder” button and click the “Browse” button to find the workfolder that you just packaged in the C:\_ITData folder. Once selected, click the “Upload to Server” button. Your workfolder files are now loaded onto the server.

17. For Outfile upload, Click “Return Outfile” button then “Browse” to find the

inspection outfile in the C:\_workfolder\customer_sitename\inspection#\Export folder. Once selected, click the “Upload to Server” button. Your inspection is now updated on the master database.

7.3 Web Manager Functionality The Web Manager Functions – This web management system allows you to do a number of tasks including view prior inspection results, schedule/order new inspection outfiles, search and edit inspection site information, view and manage your system’s Knowledge Base Library and manage web users of InspecTrend. Login Screen – Enter your company name or ID, user name, and password, and then click “Login”. You will see the main screen below. This screen will allow you to:

To Add or Schedule a new inspection

1. Click the “Add” button. [Fig. 718]

2. Choose the customer and site you want to schedule this inspection for. [Fig. 719]

Administration Menu Screen – At the bottom right of the Main Screen (Fig 717), click on Administration, then all functions and features can be accessed from this screen. Group, Customer, Sites, Schedule Inspection, Knowledge Base Library, User, and User Group can only be accessed from this screen. The remainder can be accessed from both Main [Fig. 704] and Administrative [Fig. 725] screens. Group Screen If you have a large company with many sites that you want to set up groupings of the sites, you can create a security group. For example: PdM Manager for the corporation needs access to all sites. West Coast regional manager should be able to see 16 sites in the West Coast. East Coast regional manager should be able to see their 25 sites in the East Coast. Plant manger for Seattle should be able to see his own plant.

Data filters available on this screen are: Active: views all users or only active or not active users. Note: Users who have inspection history cannot be deleted, but they can

be set to inactive and this will remove them from the active list. Record/Page: lets you set the number of records viewed per page.

To Add a new User Group 1. Click the “Add” button.

To add multiple site or screen permissions, you must hold down the “ctrl” key while adding additional views.

3. Click “Submit” at the bottom of the screen.

Note: Users can be added to the User Group on the User Group page or the individual user page.

Suggested Customer setup 1. Set up a general

customer view that has no specific customer, site, or group.

2. Then set up the customer and give them the permission to view the specific customer, site, group that applies to that customer.

3. Then give that user (customer) access to the user group Customer View and his specific customer permissions. See Fig 737, Add User screen at the bottom. This will limit access of each customer to only the data that is relevant to that user. See Figs. 740-743.

Logout – Log out of the Web Manager. Knowledge Base Library (KBL)– The Knowledge Base Library gives you a way to store common equipment, faults, possible root causes, and recommended repairs. Generic equipment groups like “Circuit Breakers”, “Transformers”, “Starters”, etc organize equipment. The concept of this Knowledge Base Library is to enter data once and use over and over again. This is a “learning” database, so every thermographer can use what is in the

database or add additional items to it as needed when they are documenting a new problem. The Knowledge Base Library is where the administrator can correct misspelled words, remove duplicate items, and set up a standard set of terms for the thermographer to use.

KnowledgeBase Library examples: Inspection Type Groups

Infrared or Visual Inspection Types for Infrared inspection group:

Industrial/Commercial (I/C) Electrical: Transmission/Distribution (T/D) Electrical: Mechanical

Equipment Groups for I/C Electrical Inspection Type: Bus, Capacitors, Circuit Breakers, Relays, Starters, Transformers, etc.

Equipment for Circuit Breaker Group: 50-amp circuit breaker, 100-amp circuit breaker, 150-amp circuit breaker, 200-amp circuit breaker, etc.

Faults for Circuit Breaker Group, 100-amp circuit breaker: internal problem, line side connection, load side connection

Possible Root Causes for line side connection fault: loose or corroded wire/lug

Recommended Repair for loose or corroded wire/lug: disassemble, clean, and retighten per manufacturers specifications.

To edit misspelling in the Knowledge Base Library – Click on the KBL and drill down to the item you want to edit. Click on the “Modify” button on the left of the item and edit the spelling, then click “Submit” button. To delete items in the Knowledge Base Library – If you have not used the item in the database, you can click on the KBL and drill down to the item you want to delete. Click on the “Remove” button on the left of the item then click “YES” when asked to confirm the deletion. If you cannot remove the item, it has been used in the database and you must use the “Associate” option. See the next item.

To delete items in the Knowledge Based Library that have been used in the database – you must click “Association” on this screen above. You must replace the item with another Knowledge Base Library entry before you can delete the item. For example, if you had 3 equipment selections for 100 Amp circuit breaker: 100A cir breaker 100AMP CBkr 100 Amp circuit breaker You could Associate both “100A cir breaker” and “100AMP CBkr” to “100 Amp circuit breaker.” By making these associations, you remove the duplicate entries and are left with only the one selection of “100 Amp circuit breaker” in the list. Note: you must have all inspection outfiles returned to the master database in order to administer and modify the knowledge base libraries like this.

InspecTrend® Glossary of Commonly Used Terms

Backing up and Restoring InspecTrend Databases – You will need to backup your database on a periodic basis, as frequently as you need to do assure data integrity and security.

Benchmark and Baseline Trending – Tracking and Trending – This

functionality in InspecTrend allows equipment and problems on equipment to be tracked and compared over time. The promise of predictive IR maintenance can be better realized through this process of analyzing equipment over time to find patterns of increasing heat. This process also assists diagnostics and prognostics in reference to preventing vital pieces of equipment from failing. Both equipment and thermal problems can be trended in InspecTrend.

Color-Coding of Inspection Inventory - The list of locations and

equipment in the Tree View is color-coded so that you can see which equipment and locations have been tested, which have not been tested and why. Bold black means the equipment is untested or the location has at least one piece of equipment left untested. Once equipment is designated tested the bold black will change to gray for that equipment. Once a room or location has been entirely tested the name of the room itself will also turn gray. If other test statuses are selected like “not tested, no load” (NTNL) the color for that equipment or room/location will appear red. Through InspecTrend color-coding thermographers can see at a glance where they’ve left off and what remains to be tested and why. This can be especially helpful when there are multiple thermographers working as a team (various shifts/various routes or alternating routes).

Besides “Tested” and TBT (“to be tested”) other test statuses are as follows: NTLO – not tested, locked out NTNA – not tested, not available NTNL – not tested, no load NTNS – not tested, not specified NTTC – not tested, time constraint NTUR – not tested, under repair NSFI – not scheduled for inspection

InspecTrend. This screen consists of the vertical Navigation Bar to the left, Tree View (the upper left pane), Location / Equipment Detail View (the upper right pane) and the Problem View (the pane beneath the red line.)

InspecTrend Glossary of Commonly Used Terms

Inspection Outfiles – These files are a slice of an InspecTrend Master Database used for conducting inspections and generating thermographic reports for a particular Customer/Site or Route (a particular portion of a site’s equipment inventory.) These outfiles are generated, used, and returned to the InspecTrend Master Database so the data can be updated and managed effectively.

InspecTrend – Predictive Maintenance (PdM) Inspection Management

Solution

InspecTrend Enterprise Edition Software - a software solution residing on a customer’s server that manages multiple sites (see “Sites”) or groups of sites, allows routes to be created within sites as well as managing multiple concurrent users and generating inspection files to be used by the customer’s InspecTrend field units. The designated server must meet the minimum hardware requirements to properly run InspecTrend.

InspecTrend Master Database – Customer database that contains all

fielded data for InspecTrend and from which inspection outfiles are generated for the InspecTrend Field Units.

InspecTrend Professional Edition – Inspection management and reporting

software loaded onto a pen computer (field unit) and used in conjunction with inspection outfiles to conduct inspections. Inspection outfiles are generated and synched back to the InspecTrend Data Center.

InspecTrend Synopsis - InspecTrend v6.0 infrared PdM inspection

management system runs on tablet computers, laptops and or desktop computers using a SQL database. The system manages everything from inspection inventory, scheduling, problem tracking and trending to instant report generation. Information obtained from thermal anomalies as well as verification of the test status of each piece of equipment can be entered directly into the database in the field during inspections. Reports and results can be shared via Web browser, email, CMMS, or other PdM programs. Equipment inventory can be easily entered in the system or imported from an existing database. Bar coding allows for fast identification and data retrieval on equipment. InspecTrend can also record multiple voice comments and create drawings or diagrams and store them directly into the database during inspections. The program includes one-button report generation and an electronic document management system that lets users view documents of any Windows-based program.

InspecTrend Glossary of Commonly Used Terms

InspecTrend Web-Based Management System – This system allows you

to do a number of management tasks including search prior inspections, order/create a new inspection outfiles, search and edit site information, view and manage your system’s Knowledge Base Library(ies), and manage web users of InspecTrend.

Location / Equipment View – This is the right hand, upper pane of the

Main View of InspecTrend. When items are selected in the Tree View (left hand upper pane of the Main View) the detail levels underneath the item are shown in this pane. Also a quick overview synopsis of the detail items can be seen with various columns including: Test Status, Presence of Inspection Notes, Attachments, Tracking and Trending, Equipment Priority, Manufacturer, Asset ID (CMMS), and Barcode Number.

Modules - Inspection Type – Current Modules available for InspecTrend

are Industrial Commercial Electrical, Transmission Distribution Electrical, Mechanical and Visual. See descriptions on page 4-6.

Navigation Bar – Vertical Bar on the left of the Explorer Screen that defaults to “Inspections” tab. This tab has “Inspection List”, “Reports”, “Site Defaults” and “Inspection Properties.” Also included in this bar are “Utilities” tab for exporting Inspection Outfiles and “Routes” tab for managing and using inspection routes.

PdM - Predictive Maintenance

Problem List View – This is the bottom half of the Explorer Screen. A red line separates this view from the Tree View and Location / Equipment View on the top of the Explorer Screen. The view includes all problems and can be filtered by: Module Type, All Problems, All Open Problems, Current Open Problems, Past Open Problems, Closed Problems. From this view new problems can be added and problems closed also.

Professional Services - Services associated with the implementation or

customization of InspecTrend. All such projects will have the scope defined with deliverables and timelines. Database management, customized reports, special integration with other computer programs (like CMMSs such as SAP and Maximo) and training are also available.

Redocumentation of an Existing Problem – problem discovered in a

previous inspection has not been repaired, you can open the problem detail, click the Add button, insert the current data, save and close to establish the problem as chronic in the problem history.

InspecTrend Glossary of Commonly Used Terms

Reports – Portfolio of reports include Inspection Summary, Problem Documentation, Work Orders, Prioritized List of Problems, Closed Problem List, Cost Benefit Analysis Per Inspection, Baseline Trending, and Inspection Inventory with Inspection Status.

Site - A division of inventory for inspection and reporting purposes. This

usually is a name or physical address of a plant. There can be more than one site per plant for large facilities with multiple buildings or areas. There can also be multiple physical locations grouped together as a single site for small plants. The site is a physical or functional division used in the InspecTrend database design to accommodate many different organizations and sizes of inventory and reporting needs. Some of the elements that go into site designation are geographic location, operational plant division, and reporting requirements.

.tde Inspection Files – File extensions for exported (.tde) InspecTrend

Inspection Outfiles, generally located in your C:\_workfolder\customer_sitename\inspection#\Export folder.

.tdf Inspection Files – File extensions for files that have been downloaded

from the web server to your _ITData folder.

Test Status – The “tested”, “TBT” (to be tested) or other status of a piece of equipment or component on an inspection list or route. Other test statuses are as follows:

NTLO – not tested, locked out NTNA – not tested, not available NTNL – not tested, no load NTNS – not tested, not specified NTTC – not tested, time constraint NTUR – not tested, under repair NSFI – not scheduled for inspection

Tree View – the top left-hand pane of the Explorer Screen. This view

allows you to see the site, locations, sub-locations and all equipment to be inspected at a glance. You can expand or collapse the various levels of the tree to assist you in navigating around the facility.

Also, the list of locations and equipment in the Tree View is color-coded by test status so that you can see which equipment and locations have been tested, have not been tested and why.
