1 General
Thank you for purchasing IPS-ENERGY™ Asset Performance Management Software.
This user documentation should introduce you to all necessary information to get best use out of this application.
IPS-ENERGY™ is programmed in a dynamic way which means that more (or less) features are available to you depending on configuration and licensing.
1.1 How to read the documentation
Texts written in italics indicate Names in the software (Windows, Fields, Tables, Columns, etc.).
Texts written in bold indicate Function in the software (Buttons, Menu Options, Tabs, anything you can click on).

2 Administration
2.1 Introduction
This module group is part of every IPS-ENERGY™ version. It is the last module group on the navigation bar on the left side of the application. Administration allows you to configure and manage user and user group accounts, including rights and accessibility.
There is an expert mode for advanced users only.
Major benefits are lower running costs through increased security, data consistency through supervision and rights control, and lower training costs through the adaptable user interface.
Administration consists of seven modules:

In the following sections we are looking at them in more detail.
NOTE: All settings and changes you do in this module group only apply after the effected user(s) log(s) back in again the next time.
2.2 User Management
Starting with the first module of Administration – the User Management – four options are provided as buttons at the top of the screen.
Below the user name is displayed along with the List of Available Groups to which the user belongs. The lower workspace shows the List of Available Functions. This list is the same for all IPS-ENERGY™ versions, and contains all functions provided by the application (currently 392 functions). With these functions you can basically configure or customize our application according to your needs.
2.2.1 Run Administration Module
Click module User Management > Run Administration Module to open the User Accounts window.

The Users tab displays the List of Available Users and their information such as the domain name, the user name and the user description. Here you can Add or Delete a user account, and assign or edit its Properties.

Create a new user account
Click Add to create a new user account. Enter a new user name and the domain and click Update to create a new user account.

The new user would not be a member of any group, or have any functions assigned. To do so you go to the tabs Groups and Functions in the User Accounts window (2.2.1.3 Tab Group and 2.2.1.4 Tab Functions).
NOTE: IPS-ENERGY™ application requires Domain information entered in CAPITAL letters.
Mark the entry which you want to delete in the List of Available Users, and click on Delete.

2.2.1.2 Users Info
You can also open the User Info window by double-clicking on a user entry (same as clicking on Properties). This window has 5 tabs:

General
On this tab you enter various information about the user such as a Personnel ID, a Contact Phone number, you can assign a Primary Role, select the Work Center or set up Mail Server connection for the user. Here you can also Reset the user’s Password. Click on Update to save your data.
NOTE: You can also reset your password on the main page far to the right next of the user name - just
click on the reset, enter a new password and confirm.

Groups
This tab shows you the user group level, e.g. field user, power user, etc. You cannot perform any changes here.
Functions
This is the place where you can assign functions to the user. All available functions are displayed, and by ticking them they will be available to the user.

Invisible Objects
The next tab shows if there are any settings in place indicating the visibility or invisibility of objects for a certain user.
In the screenshot below you see that the user, who belongs to the Power Users Group, cannot see the displayed Asset Attributes, or the displayed Locations. They are ticked as being invisible.

The other two entries which are not ticked indicate that the user can only see Protection Devices from the Asset Group, and Company 1 data but no other Work Center data.
In this view you cannot perform any changes (e.g. the context menu does not work, you cannot tick or untick the invisibility); this is just to look up the user information.
How to configure the visibility/invisibility of objects will be explained further down in 2.2.2 Object Visibility.

Competence
In the last tab you can see the assigned Competence of the user. Here you can also add a new entry, delete an old one or edit an entry. It is useful recording here per system user if some dedicated education that can be mandatory to accomplish this or that action/task is present and/or if any certification must be regularly renewed.

2.2.1.3 Tab Group
Moving on to the Groups tab you have the same options as for a single user but for groups:
You can add new groups, delete old ones, and set their properties by adding or removing members and functions.
Create a New Group
Use the Add button to set up a new group. You can enter a Group Name and Description, and click on Update to save your entries. A new group would have no members or functions assigned. You do this in the next step.
Adding Members to a Group
Select the group you want to add members to, and click on Properties (or double-click on the entry). The Groups window displays the Group Information, which is the description you entered earlier. The Domain is also displayed.
Move to the Members tab, where all users of the selected group will be displayed in the list. As mentioned before this would be empty in a new group.
Click on Add to open the Users list. Select the required User Name(s), e.g. the new user you have created earlier on, by ticking the box in the front. Click on OK to save your choice, and update the database.
NOTE: Just marking a row (User X) but not ticking the box does not assign the user to the group; the selection is done by ticking the box/-es.
In the Members tab you can also Remove members from the group.

NOTE: You can add a user to different user groups. This user receives all rights and available functions from the user groups he belongs to.
Adding a Function
Select the group you want to add functions to, and click on Properties (or double-click on the entry). The Groups window displays the Group Information, which is the description you entered earlier.
Move to the Functions tab, and click on Add to open the list of available functions. (A new group has by default no functions assigned.)

Select the desired function(s) by ticking the box in front of it, and click on OK and Update to save the changes to the database.
If you want to delete functions you need to select one by one, and click on Remove.

2.2.1.4 Tab Functions
This tab only provides an overview of all available functions, including their Short Name, Description, and Function ID. New user functions can be created and added by IPS in software updates.
NOTE: To provide you a better overview you can save or print out a list with all available functions of the IPS-ENERGY™ System; go to top menu bar of the application on View -> General Reports, and choose Functions List.

You also find a list of all available functions and their features/effects at the end of this document, see 3 List of available functions.
2.2.2 Object Visibility
The next option of the User Management module is the Object Visibility.
This is a very important option for an administrator as you can configure what is visible to a certain user group, and what stays hidden in the graphical user interface (GUI). By default all available objects are visible to the user.
The object visibility can work in two ways:
You can exclude the default view, and only select what should be visible (visible selection).
Or you can select separate entries to hide them from view but the remaining default object will all
be displayed (invisible selection).
There is also the option to make fields read-only to certain groups, so the information can be seen but not edited.
Click on the button to open the window in which you can see the User Groups and their associated Object Visibility Items.
In this bottom list you can Add, Edit and Delete object visibility items by using the context menu, and update your changes.

Add a new Object
Select the required group from the upper list. If there is no entry in the Object Visibility Items area in the lower part of the window, then no object has been set up for this group yet.
Open the context menu with a right-click in this lower space, and choose Add. A new window opens from where you can choose the Object Type, and if you want your selection to be visible or invisible:

NOTE: If you do not tick the Invisible box only your selection will be visible to the users of your group.
We are looking closer at the Object Type Location. To select your visible location(s) click on the ellipsis button … to open the Location Explorer. We have selected the location IPS DEMO.
Only this location with all its sub locations will be visible.

Click on OK to save your selection. It will be displayed in the list.

Here you see that the selected location is not an Invisible Object as otherwise it would be ticked. If you want to change this double-click the entry (or use the context menu Edit), and tick the Invisible box there.

We move to the next Object Type – Asset Group.

If you select Asset Group the Invisible option is greyed out. Click on the ellipsis button … to open the window where you can tick and choose the asset groups you want to be visible.
Click OK to save your choice. The new object(s) will also be displayed in the list.
Move to the next Object Type of the screenshot above – Work Center. The Invisible option is greyed out here too. Click on the ellipsis button … to open the window where you can tick and choose the Work Center you want to be visible. Click OK, and you see that the Object Visibility Items list is getting longer.
The next 2 option in the drop-down menu are Asset Attribute and Asset Attribute – Ability to Edit. As they are very similar we cover them in one section.

The main difference is:
Asset Attribute - the Invisible box is ticked by default; each item you select here will be made invisible (the reverse option is not possible.)

Asset Attribute – Ability to Edit – the default setting is Read Only, so the selection of those attributes will keep them visible to the users of your group but they cannot change them.

Click on the ellipsis button … to open the window where you have to select the Type Descriptor:

Asset
This option displays all the Audit Properties for Assets. They basically are the field names of the various windows and masks for assets as well as whole tabs (e.g. General tab, Device tab).
If e.g. the Internal Reference Number or the Bookkeeping Number should not be visible – or editable – for everyone you can select those in the list.
There is a second tab to manage the Memo attribute for assets. This is related with the Memo/User Data area available in Concept area (bottom of Maintenance Strategy dialog).

When you made your choice click on Select, then Add; the items will also appear in the Object Visibility Items list.
NOTE: There are, by default, items which cannot be made invisible because they are essential for the use of the application. They are
Asset Location (the location path)
Asset Name (mandatory for editing and identification)
Asset Type (mandatory data) as well as asset type related information like asset type name,
manufacturer, technology, asset group and asset type description (located in asset general and
device pages)
Memo (because for memo visibility we already added a specific user function /Asset/Memo)
Discard Date which appears in Discard Management only, and its visibility could be limited by
user function (hide the entire Discard Management module)
Device
If you choose Device you see all Audit Properties which manage analog devices. Make your selection of the associated attributes here, and in the second tab if required, and confirm your choice again with Select and Add.

Digital Device
If you want to choose the Audit Properties for digital devices you work with this option.
Configuration Item
This selection offers you attributes associated with configuration items.
Asset Group
And last but not least you can select Asset Group. A second list opens where you have to choose the required Asset Group first as each has its own Audit Properties.
Then you can proceed as described above with selecting the attributes you do not want to display from the Audit Properties list.
The screenshot below shows you the options for the asset group BUS. You can see that all entries are marked as Custom Property, that is because for this specific asset group, the data model is composed only of custom properties. In case an asset group has a relational data model (I.e. without custom properties), then the column will stay empty.

When you finish your selection, click on Select and Add to complete this process.

Going back to the drop-down menu the next Object Type is Report Object. The default for this option is Visible because the Invisible box is greyed out.

Click on the ellipsis button … to open the selection window for Report Objects. The top list displays all available reports, from where you can add the reports which should be visible for your group (context menu Add).
User Defined / Disabled boxes – Any user properly logged in will record configuration automatically as user-defined. This is the key principle for IPS GmbH to make distinction between data/configuration coming from customer/user and what is coming from IPS GmbH.
When you have finished your selection click on Add and OK to complete this process. The reports have been added to the list of Object Visibility Items. Here you see again that their status is Visible as the box is not ticked.
The last item of the drop-down menu is the Object Type Asset Owner. Here again the Invisible box cannot be ticked. Click on the ellipsis button … to open the selection list. Choose the Asset Owners which should be visible to your group, and click on OK and Add.
If you are done selecting all objects you want the users of your group to see, or not see or edit, you have to update the database to save your settings.
The next time a user of the group logs on these settings will apply.
2.2.3 Audit Trail Configuration
Click on the Audit Trail Configuration button to open the configuration window. Here you can set the Type Descriptor for the following:
Asset
Device
Digital Device
Configuration Item, and
Asset Group.
The Audit Trail for asset data which contain the above listed fields is fully configurable.
According to your choice the Audit Properties list below changes. Here you can set which entries should be Audited by manually selecting them, or Check all (context menu).
The Audit Trail Configuration allows to define which data change(s) you exactly want to track.

NOTE: Audit Trail is linked to the module group IPS-Report Studio™ in order to allow related report configurations. More information can be found in the Report Studio Manual.
2.2.4 License Management
Remark: this § is only relevant for customer running installation WITH licensing.
This is the 4th button in the User Management module. Click on it, and the IPS-ENERGY™ License Activation window opens. It shows three tabs:

On the Machine Activation tab the Machine Name and the Machine Key are displayed. The Machine Key is generated specifically according to the hardware specs of the PC on which you are running the IPS-ENERGY™ application.
You need to enter the Activation Code which should be delivered to you by the system administrator or IPS-ENERGY™ license manager. Next click on Activate.
The Machine Deactivation tab offers you the option to Deactivate the machine based license of the application from your computer.
On the Product Activation tab you have to enter the Activation code and the License File. Both should have been delivered to you by IPS. You must supply the above machine key for license generation.
Here you can also look up the Product and Machine Based Licenses, just click on the button View Licenses to see the details listed.
After the license activation IPS-ENERGY™ restarts automatically.

2.3 Report Management
In this module you manage the reports. In the Report Objects area you can Add reports, and set their context from a detailed list. You can also Edit or Delete existing reports, or edit their values.
There is a Search and a Filter function to easier find a certain report.
NOTE: Using these functions with a keyword and asterisks, e.g. *plan* brings up all entries where Plan
appears in the context.
Each report object can have one or more Report File(s) assigned.
In the workspace below you see the Report Fields.
2.4 Audit Trails
In this module you can select the assets according to their location, and get them listed in the work area on the right. If you double-click on a certain asset you can view all its details.
If the asset hat an Audit Data Trail assigned it will be listed in the bottom half of the screen. You can use the context menu here to have all data concerned by Audit Trail listed (regardless of asset selection) Audit Trail Data displayed.
Audit Trail is an internal control mechanism to record all changes made on specific data.
2.5 Quality Assurance (optional)
In this module you can administer quality assurance processes.
2.6 FAQ Tutorial (optional)
Location Explorer shows FAQs. This is the place you may define any customer-specific documentation in form of documents (MS Word, pdf, pictures …) to be viewed. The result of your FAQ Tutorial definition will be freely accessible (read-only) within Help menu.

This view is similar with Actions Overview that is available within Work Execution module group. It is listing all Actions-Tasks related with module QA.
