The Congress Scientific Program Committee reserves the right to approve Sponsored Symposia application. In order to ensure that Sponsored Symposia meet the scientific standards of the Congress, all Sponsored Symposia must:

• address issues directly or indirectly related to the context of the Congress Program • be evaluated by the Congress Scientific Program Committee on the basis of content,

speakers and overall quality • not include any brand names in the title.

Product Theatre Cost: 7.000€

Promotional activity for Company or Product presentation will take place in the exhibition area. It offers a high visibility to new products and treatment options, and allows companies to interact with attendees. The space will be AV equipped and will accommodate up to 150 attendees. The total price for the Symposia includes allocation of the room plus a number of services such as basic AV equipment i.e. Data Video Projector, screen, laptop PC, 1 wireless presenter, 2 wireless microphones for questions. Costs for speakers are not included (travel, accommodation and registration fee). The setup of the room will be in theatre style. The sponsor may choose a title and nominate speakers and chairpersons. The room will be accessible half an hour earlier, or as soon as the previous session ends. Directional signs will be positioned throughout the congress centre directing delegates to the various areas in use. Meeting Rooms Cost: On request

Organizers will offer a limited number of meeting rooms and business lounges to the companies taking part. Meeting rooms may be hired for small meetings, staff briefings, etc. , while business lounges will be more suitable for short breaks from the busy exhibition hall. Activities that compete with the congress’s scientific program are not allowed and these activities may not be promoted in any way prior to the congress. Invited Speakers’ Travel Grants Cost: 2.500€ each

The aforementioned cost is indicative and may be subject to variation according to the speakers’ travel needs. A list of invited speakers will be available to the sponsors for selection of names. The invited speaker will be notified that their travel and accommodation expenses are covered by the specific sponsor. Alternatively, following the finalization of the speaker’s travel arrangements, the sponsor may contact the speaker directly. Grant Awards / Scholarships Cost: On request

Young Investigators Grant Cost: On request

Grants awarded to the presenting author who has submitted an excellent abstract. The candidates should be INTERASMA members, aged 35 years, and cannot have previously won this award, or any other INTERASMA award or grant in the last two years.

Travel Grants Cost: On request

The author of the abstract may apply for a travel grant after having submitted the abstract. The application for the grant will be considered valid only after the GAA-INTERASMA secretariat has checked the membership status of the author and the abstract has been selected for presentation. Travel grants aim to cover a part of the costs of the applicants to attend the congress only if they are under 35 years of age. Criteria:

The applicant should be a GAA-INTERASMA Junior Member for the last four (4) years The applicant’s latest degree must be within the last 5 years or less

Best Oral Presentation Grant Cost: On request

Exhibition

An exhibition is an excellent medium that brings your potential customers to you, allows you to demonstrate products, answer questions, and meet your market face-to-face. The Congress will offer an unparalleled opportunity to both commercial and non-commercial organizations to showcase their products and services to the gathering of allergy professionals in the world. Delegates will include researchers, scientists, doctors and other health care professionals. The exhibition hall will host booths featuring both large and small multinational companies as well as local companies, providing a unique chance for them to interact with delegates from around the world. Exhibition Space Rental Cost: 800€/per sq.m The minimum exhibition space that can be rent is 9 sq.m

The rental is for bare floor space only and therefore does not include any wall

panels, carpet, furniture or installations. The corresponding invoices will be issued in EUR.

All stands can be either free built or shell scheme. Schell scheme is available to all stands and is charged as an additional cost.

Exhibition Space with Shell Scheme Cost: 850€/per sq.m The minimum exhibition space that can be rent is 9 sq.m. Shell schemes are fully set up and exhibitors need only decorate their booths. Shell scheme furniture and equipment depend on the size of the booth ordered, but normally include:

RESERVATIONS

1. Conditions of Payment

Conditions of payment mentioned on the invoice are valid100% of the total amount for Exhibition space fee will be invoiced. All payments must be made in EUR plus statutory sales tax according to the European regulations and must be received in full within 30 days of receipt of the invoice. No bank transfer fees will be accepted. Please refer to the floorplans and directions available on www.wca-2018.com under Exhibitions for the description of spaces. Certain areas have mandatory shell scheme packages. All prices are indicated in EUR and exclude taxes. 2. Refund and Cancellation Policy

If an Exhibition space has to be cancelled, the following conditions will apply: Until 30 June 201850% of the total amount. For Exhibition space cancelled after July 2018, there will be no refund granted. All cancellations must be made in writing to FREI S.A. 3. Assignment of Space/Eligibility for Exhibition

Organizations wishing to apply for Exhibition space must follow the standard criteria that only products and services in connection to the topic of the Congress are allowed to be presented. The distribution of promotional materials is limited to the exhibitor’s rented area. Signs and banners at booths have to be directly linked to the name of the exhibitor. It is strictly prohibited to distribute or place products and/or printed matters of a company that is not an exhibitor. The WCA-2018 Congress Organizers can interrupt any kind of promotion, which in their opinion could damage the Congress. Booths may be used only for exhibiting and advertising the exhibitor’s own products. Advertising materials may be distributed only within the booth area. The Congress accepts sales from booksellers and publishers within the field related to the Congress. All legal aspects for these sales must be handled individually. For the presentation of advertising lectures, advertising films, slide projection and for the distribution of samples, it is necessary to obtain written permission from FREI S.A. Companies that are not exhibitors may not advertise in any form in the Exhibition Hall, in the entrances to the Exhibition Hall, or anywhere else in the Congress venue.

Exhibitors are also advised to obtain the Japanese Code of Conduct and the EFPIA Japan for pharmaceutical companies and acquaint themselves with the rules and regulations of advertising and marketing in Tokyo. Medical device companies are in addition advised to follow the Eucomed Code of Ethical Business Practice. Companies are required to check and ensure their own compliance with the relevant codes and regulations about advertising in Spain and any other applicable rules and regulations from their home country. The Congress and its organizers will not accept any responsibility for non-compliance. All house rules at the venue will apply and be enforced. Exhibitors are fully liable for damages caused to third parties and property. All exhibitors are strongly recommended to have comprehensive third party liability insurance for their booths.

4. Setting Up of the Booths The Exhibitor will not damage any walls or floors or ceiling of the exhibition area in which the stand is located. The Exhibitor guarantees to pay for the repair of any damage caused by himself or his associates. Exhibitor’s Liability –Every Exhibitor accepts liability for all acts or omissions by himself, his servants, contractors, agents and visitors and undertakes to indemnify the Organizers and to keep the indemnified against all liability in respect there of and against all actions, suits, proceedings, claims, demands, costs and expenses what so ever, which may be taken or made against the Organizers or incurred or become payable by them. The Exhibitor’s liability shall include all losses, costs, damages, or expenses arising from, out of, or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its agents, employees and business invitees which arise from or out of the Exhibitor’s occupancy and use of the exhibition premises. EXHIBITION MANUAL

A technical manual and an exhibition plan with further general and technical information and full details about Venue, forwarders, constructors will be available to the exhibitors by September 2017.

5. Insurance and disclaimer The WCA 2018, the venue, and the Organizers accept no liability for injuries and /or losses of what ever nature incurred by participants and/ or accompanying persons, nor for loss or damage to their luggage and/or personal belongings. Please check the validity of your own insurance. 6. BadgesandPasses Exhibitors are entitled to receive 2 exhibitor badges for every 9 sqm, free of charge. Additional badges can be purchased at the special rate of 200€. The exhibitor badge does not allow access to the Scientific Sessions, and they can be collected at the Congress Secretariat. 7. Security The Organizers will provide security personnel, who will be responsible for keeping order and dealing with unexpected events, but will not be held responsible for thefts, robberies, personal injury, loss and/or damage to any property from any cause. Exhibitors who wish to contract private security for their booths are allowed to do so. 8. ForceMajeure In case of Force Majeure the Organizers reserve the right in unforeseen circumstances to amend or alter the exact site of the location of the stand and the Exhibitor undertakes to agree to any alteration to the site or the space reallocated by the Organizers. 9. Cleaning The Organizers are responsible for the cleaning of the aisles and public are as within the Exhibition on a daily basis. It is the responsibility of Exhibitors to have their booth space clean and tidy during the Exhibition. 10. Storage More information will be sent with the Exhibition Manual. 11. CateringServices Companies who are in charge of a Symposium and would like to organize a catering service for the attendees, kindly contact the P.C.O. at [email protected] 12. Meetings Exhibiting and non-exhibiting companies may not schedule meetings or events during the official dates of the Congress without the written consent of the Congress Secretariat. Requests for meeting space of company-sponsored sales meetings and other approved activities should be submitted in writing to the Congress Secretariat.

13.Relocations The Congress Secretariat reserves the right to adjust the floor plan at any time and relocate Exhibitors should it become necessary or advisable in the best judgment of WCA-2018. In the event that it is necessary to relocate an Exhibitor after a specific space assignment has been made, the Congress Secretariat will contact the Exhibitor. Every effort is made to reassign the Exhibitor to similar space. II. SPONSORSHIP ITEMS This sponsorship proposal is offered subject to availability and contract, with final approval by the Organizers. Should an item be cancelled, the sponsor will have the option of taking another item not already sponsored, or have the money refunded. 1 . 3 . Refund and Ca nc el lat ion P ol icy For items cancelled before 1July 2018, 50% of the total amount value of the order will be refunded. For items cancelled after 2 July 2018, there will be no refund granted. If the items have been sourced from external suppliers and a contract have been signed, the costs incurred plus the corresponding charge (based on the above dates) will be charged to the sponsor. All prices are indicated in EUR and exclude VAT, unless otherwise specified. All cancellations must be made in writing to FREI S.A
