1. About this Document

1.1. Overview

This document provides detailed information on how to:

enable and access Skava Inventory via stores

search and view bins associated with different stores and channels

search and view bin items and transaction details

create bins within a store, create bin items within a bin, and create transactions for the given bin

item

upload bulk inventory data

configure role-based access control

1.2. Intended Audience

This document is intended for the store manager or store admin with appropriate privileges who can

manage and monitor stocks by location or store using Skava Inventory.

2. About Inventory Skava’s Inventory service is similar to a physical store, which enables a store manager or store admin in managing and monitoring stocks by location or store. Inventory transactions can be performed, which impacts ATP and/or back ordered quantity for a bin item.

The Inventory contains a collection of bins where each bin is associated with a particular store. A bin is the container of bin items where each item is a product, which is identified by its SKU ID. For each bin item, you need to specify:

the quantity of a product actually available in a bin

threshold limit for a low stock

threshold limit for out of stock

When a user places an order using SkavaSTORE, the stock will be reduced in the given bin.

3. Enabling and Accessing Inventory You need to enable Inventory in SkavaADMIN for managing inventory.

To enable Inventory,

1. Go to the required campaign and click Settings in the left pane.

2. Click the PROPERTIES tab.

3. Click CUSTOMIZE CAMPAIGN and enable Inventory as shown below:

4. Click . Once saved, the Inventory appears in the left pane.

5. Click Inventory to open the Inventory service.

4. Inventory Home Page

4.1. Overview

In the left pane of the Inventory home page,

Click To

Store update the store settings

view all the bins available for a campaign

search bins by bin name or ID, a particular channel and/or store

create a new bin

Feed Upload bulk inventory data such as Bins and Bin Items into the Inventory microservice.

4.2. Accessing Inventory UI through Stores

You will be able to access inventory details through Stores in the Inventory home page. All stores will be listed in a hierarchical order in the Inventory homepage where you can click a store/geographical location and navigate to a particular store, view bins, or update the store settings. The list of stores is retrieved from PIM as per the privileges assigned to you. The store level can be a geographic location or specific to retail. For retrieving store information from PIM, see Store.

Note: A user having access only to a specific store will not be able to access other stores or parent stores.

4.3. Editing the Existing Store Settings

To update the threshold limit for a low stock and threshold limit for the out of stock,

1. In the Inventory home page, navigate to the required store.

5. Managing Inventory This section explains how to manage bins, manage bin items, and manage inventory transactions.

5.1. Managing Bins

A bin is the container of the products (SKUs) and is always mapped to a store. It is identified using the bin ID, which is system generated.

5.1.1. Viewing Bins

To view bins available under a particular store,

1. In the Inventory home page, navigate to the required store.

2. Click to view the list of available bins or add a new bin:

5.1.2. Creating a New Bin

You can create a new bin and associate it to a store for a given channel. While creating a new bin, you can also associate it to the parent bin; however, this is optional.

To create a new bin,

1. In the Inventory home page, navigate to the required store.

2. In the Bins page, click .

The Add Bin page appears:

3. Enter a name that describes the bin.

4. Enter a description for the new bin.

5. Enter the channel name for the bin.

6. To associate the bin ID to a parent bin, select the identifier from the drop-down list.

The Bin Detail page opens. Refer to the next section for more information.

5.1.3. Activating/Deactivating a Bin

To activate or deactivate a bin,

1. In the Inventory home page, click on the required bin name.

The following Bin Detail page appears:

2. In Bin Status, select:

Active – Only in the active bin, you will be able to add items to the bin and perform

transactions to the item for a given SKU.

Inactive – You will not be able to add products and add transactions to the bin.

3. Click .

Note: To associate items to the bin, click Bin Item in the left pane. For more information, see the next section.

5.2. Managing Bin Items

The contents (primarily the SKUs) of a bin are referred to as bin items. Once you create a bin, you need to assign items to it.

In the Bin Item page, you can:

View the details of the associated SKUs to the current bin items.

Add more bin items to the current bin when the bin status is active.

Search for an SKU within the bin.

5.2.1. Adding a Bin Item

To add an item to the current bin,

1. In the left pane, click Bin Item.

2. Click . You can see the bin identifier to which you will be adding an item.

3. Enter the SKU ID to associate the product to the bin.

4. Enter the quantity of a product actually available in a bin.

5. Enter the backorder quantity when the item is low stock or out of stock.

6. Enter the threshold limit for a low stock and threshold limit for the out of stock.

7. Click to associate the product item to the bin.

5.2.2. Bin Item Detail

In the Bin Item Detail page, you can set the status to active or inactive and search or manage transactions for the current SKU.

To activate or deactivate a bin item,

1. In the left pane, click Bin Item.

2. Click on the required bin item.

The following Bin Item Detail page appears:

3. In Bin Status, select:

Active – Only in the active bin, you will be able to add transactions to the item for a

given SKU.

Inactive – You will not be able to add transactions to the bin.

4. Click .

Note: To view the list of items associated with the bin, click Bin Item in the left pane.

5.3. Working with Inventory Transactions

5.3.1. About Inventory Transactions

Inventory handles the following transactions, which impacts ATP and/or back ordered quantity for a bin item:

adding quantities to the bin item

removing quantities from the bin item

transferring quantities from one bin item to another bin item

reconciling quantities if there is any discrepancy

5.3.2. Managing Inventory Transactions

To add, remove, transfer, or reconcile the differences in quantity,

1. In the left pane, click Bin Item.

2. Click on the required bin item. The Bin Item Detail page appears.

3. Click .

4. Select any one of the following:

Add – to add the quantities as specified in the ATP and/or Back Ordered quantity to the

current bin

Remove – to remove the quantities as specified in ATP and/or Back Ordered quantity

from the current bin

Transfer – to transfer the quantities as specified in the ATP and/or Back Ordered

quantity from one bin to another bin

Reconcile – to reconcile the quantities if there is a discrepancy between the actual

physical inventory count and Inventory service. The quantity entered here overrides the

available quantities.

5. In ATP Quantity, enter the quantity of a product actually available in the bin.

6. Enter the backorder quantity when the item is low stock or out of stock.

7. Enter the consignment cost of the transaction.

8. Enter the description of the transaction.

9. Click . The transaction details will be shown in the Bin Item Detail page:

6. Working with Feed

6.1. About Importing Inventory Details

The Feed option enables you to upload bulk inventory data (.xls or .xlsx format) such as Bins and Bin Items into the Inventory microservice.

6.2. Sample Import Spreadsheet

A sample sheet (File: INVENTORY_IMPORT_FEED.xlsx) is available where you can download and add the required bin and bin items details and then upload it to your Inventory microservice.

The downloaded sample sheet contains two sheets, namely, bin and bin item sheets. The following columns are available in the bin sheet:

Column Name Description

name A name that describes the bin.

description A description for the specified bin.

channel The channel name for the bin.

storied The store ID for the bin.

Column Name Description

parentbinid A parent bin identifier in which the bin identifier is associated.

status Signifies if a bin is Active or Inactive:

0 is Inactive

1 is Active

The following columns are available in the binitem sheet:

Column Name Description

binid Refers to bin identifier.

skuid Refers to SKU identifier.

status The status of a bin item where:

0 indicates the bin item is inactive

1 indicates the bin item is active

type Refers to the inventory transaction type where:

1 indicates adding quantities as specified in the ATP and/or Back Ordered quantity to the current bin item

2 indicates removing quantities as specified in ATP and/or Back Ordered quantity from the current bin item

3 indicates transfer quantities as specified in the ATP and/or Back Ordered quantity from one bin item to another bin item

4 indicates reconciling quantities if there is any discrepancy. The quantity entered here overrides the available quantities.

atpqty Specify the ATP quantity.

backorderedqty Specify the backorder quantity.

lowstockthreshold Specify the threshold limit for a low stock.

outofstockthreshold Specify the threshold limit for the out of stock. The out of stock threshold should be less than the low stock threshold.

binidfrom The source bin identifier for transferring the quantities as specified in the ATP and/or Back Ordered quantity.

binidto The target bin identifier for transferring the quantities as specified in the ATP and/or Back Ordered quantity.

notes The description of the transaction.

consignmentcost The consignment cost of the transaction.

displaystatus Signifies the display status such as IN STOCK, OUT OF STOCK, LOW STOCK, or BACKORDERED.

Note: This is applicable only for exporting inventory details to your local computer.

6.3. Uploading Inventory Details

To upload bulk inventory data,

1. In the Inventory home page, click Feed in the left pane.

The Import tab appears.

2. Select the import type:

Incremental type – to import bin and bin items and add to the existing data.

Full type – to import and add bin items completely. This option overwrites the existing

bin items and imports as per the data available in the sheet.

Note: For importing bins, only Incremental type is supported even if you select Full type.

3. Select the data to import:

Bin – To import bin details into Inventory microservice.

Bin Item – To import bin item details into Inventory microservice.

4. Click Browse and upload the excel spreadsheet.

5. Click , which uploads all the inventory details.
