Module 1: Plan International Travel

Welcome to the Apollo® system International Fare Quote (IFQ) class. Galileo 360o Fares provides quick and accurate pricing of international itineraries containing multiple air segments. The Galileo 360o™ Fares database is updated three times a day, Monday through Friday, (once a day Saturday and Sunday) with data from the Airline Tariff Publishing and once a day from SITA. Apollo provides you with the most up-to-date fares at all times.

This class provides you with tools to plan international travel for your customer, view international fares, and to create and price international PNRs. Hands on exercises and module reviews are based on international travel scenarios. Later, back in the office, you can refer to this Course Book to help you remember what you practiced in this class.

Upon completion of this class, you will be able to complete an international air booking using the following steps:

1. Plan international travel using Apollo tools such as maps and Timatic.

2. Display an international tariff to view fares that that meet your customer’s requirements for international travel.

3. Interpret international fare and rule information.

4. View international flight availability and schedules.

5. Sell international flights and create a PNR.

6. Price the itinerary and store the price in the PNR.

In addition, you will learn how to locate international formats and information in Apollo online HELP.

Throughout the course you can practice what you’ve learned directly in Apollo using hands-on exercises and module reviews.

IATA, the International Air Transport Association, is the membership association for international and domestic scheduled airlines. IATA standardizes rules, regulations, and interline procedures for the airline industry.

In this module we will identify IATA areas and online Apollo resources that will assist you in planning your customer’s international itinerary.

Module Objectives

Upon completion of this module you will be able to:

IATA Areas S*TLQ/INFO-IATA AREAS

For the purpose of international pricing, IATA divides the world into three distinct areas: Area 1, Area 2 and Area 3. Direction of travel through these areas can affect fare construction for an international airline ticket. In Apollo, the booking class table for an international fare may refer to these areas.

The following table lists the IATA areas.

This IATA area: Includes:

1 North, Central and South America, including Greenland, Hawaii, Caribbean islands, Bermuda, and Midway islands.

2 Iceland, all of Europe including Russian Federation west of the Ural Mountains, Africa, Middle East, Asia west of and including Iran. Dividing line between Area 2 and Area 3 is Ural Mountains.

3 Asia east of Ural Mountains, Australia and New Zealand, South Pacific Islands.

Online Map and Atlas Information HELP MAP

There may be an occasion when your customer’s destination is unfamiliar to you. In this situation you may want to refer to a map or atlas. Apollo provides easy access to country maps and atlas information. For instance, your customer needs to travel to Cameroon, and is unsure what airport to fly into or where Cameroon is located. Online maps in Apollo can help you answer your customer’s questions and plan their trip.

The function identifier to display map information is: S*MAP

The atlas helps you find an airport three-letter code and the correct spelling of an unfamiliar city.

To find the nearest airport, use the following format.

Passport, Visa, and Health Regulations HELP TIMATIC

International travelers usually need to show proof of citizenship when entering another country. Each country has its own governmental regulations concerning passports, visas, and health requirements.

Through Timatic, Apollo provides online access to these regulations. Timatic is an automated version of the Travel Information Manual. It is available to you through Apollo’s link to SITA (Société Internationale de Télécommunications Aéronautiques).

The function identifier for Timatic is: TI-

When a customer is traveling to a foreign destination, use Timatic to request passport, visa and health requirements.

To request visa and health information, use the following steps.

Fare Quote PlannerTM HELP FQP

Fare Quote PlannerTM is a tool that enables you to obtain a fare quote for a proposed international itinerary without selling flights. You can view a range of fares from the most expensive to the lowest.

Note: You can also use Fare Quote Planner (FQP) for North American itineraries. FQP does not display private fares.

It is important to remember that, since you are not booking any flights in Apollo®, Fare Quote Planner does not check for available classes of service.

This section covers the following topics:

• Galileo 360o Fares assumptions.

• Price an itinerary using Fare Quote Planner.

• Use Fare Quote Planner to find the lowest fare.

Note: Appendix H contains additional Fare Quote Planner functions.

Galileo 360o Fares Assumptions

When using Fare Quote Planner, Galileo 360o Fares assumes that:

• Travel is for today.

• All points are stopovers.

• All segments are in the same class of service.

• You are selling and issuing the ticket in the city of fare quote (assumed city).

• Both carrier specific and IATA fares are candidates for fare quotes.

Price an Itinerary

When you request fares for an itinerary using Fare Quote Planner, the following types of fares can appear: first class, business class, normal economy fare, Eurobudget, excursion, PEX, Super PEX, APEX, Super APEX, or the lowest fare.

Fare Quote Planner allows you to use a maximum of 16 city/airport codes or 15 segments in the format. If you use airport codes, Galileo 360o Fares includes airport fares for the fares quoted. If you use city codes, Galileo 360o Fares includes city fares for the fares quoted.

Note: If you use more than nine city/airport codes, you must also include booking codes in the format.

Galileo 360o Fares™ provides an international tariff that includes fares and rules. The Galileo 360o Fares database updates several times a day every day.

Module Objectives

Display International Fares HELP TARIFF

The Apollo® system makes several assumptions when you display an international tariff. You can override these assumptions by including qualifiers in your request to match your customer’s needs.

When you request an international tariff, Apollo displays:

• Adult normal and special fares.

• Fares open for sale on the current date.

• Fares valid for travel on the requested travel date with seasons validated.

• Fares in the currency of the origin city.

• Fares for all participating carriers in an unbiased order.

• Fares in low-to-high order based on round-trip totals.

• Fares for both one-way and round-trip.

• Fares for all global indicators.

If multiple carriers have the same fare value, the carriers appear in random order.

Note: The tariff display does not include taxes for international fares.

There are two types of tariff displays you can choose to meet your customer’s needs:

• Validated

• Basic

This section explains how to use both types of displays.

Validated Tariff HELP TARIFF-VALIDATED

A validated international tariff displays fares applicable only to the travel dates included in the request. When you display a validated tariff, you immediately eliminate fares that do not meet requirements, such as prohibited travel dates, seasonality, and minimum/maximum stay requirements.

The function identifier to display a validated tariff is: $DV

Display a validated tariff when you are shopping for fares in a given market for specific travel dates. You can request a validated tariff for either round-trip or one-way fares.

Round-trip validated tariff display

To display a round-trip validated tariff, type $DV followed by the travel dates and city pair.

Round-the-world is a fare category that allows travel in a continuous eastbound or westbound direction, commencing from and returning to the same point via both the Atlantic and Pacific oceans. These fares do not auto price in Apollo, but you can display them in a tariff display.

Use round-the-world fares for customers who travel over both the Atlantic and Pacific Oceans. For instance, your customer is traveling from New York to Brussels to Hong Kong and back to New York.

To request round-the-world fares in a basic tariff request, type $D followed by the date, city pair, and -RTW.

Booking Class Table

When booking an international itinerary, you frequently will sell more than one carrier. You will need to consider class, routing, and carriers. The booking class table indicates the class of service in which to sell flights that connect to the prime carrier.

Note: Prime carrier (or validating carrier) refers to the carrier that owns the fare.

When the carrier with the selected fare does not offer nonstop or direct service between the city pair, you can view the booking class table to determine the booking code for the carrier that flies the portion of the itinerary not flown by the prime carrier.

Mileage Fares

A mileage fare is a fare based on mileage and the traveler must stay within the maximum permitted mileage or surcharges of up to 25% apply. Maximum permitted mileage is calculated from origin to destination.

Mileage surcharge band

When you use a mileage fare, Galileo 360o Fares determines a maximum permitted mileage. If your customer wishes to make multiple stops or connections, they may go over the maximum permitted mileage.

A mileage surcharge is a percentage of the fare added to the fare when the total flown mileage exceeds the maximum permitted mileage. This amount can be in increments of 5 percent up to 25 percent of the mileage. For example, if your customer is 10% over the maximum permitted mileage, the fare will be 10 percent higher than the published fare.

Each time your customer makes a stop, Galileo 360o Fares recalculates the miles flown according to the traveler’s route. Neutral Units of Construction

Neutral Units of Construction are used when a journey requires the combination of local currency fares on the same ticket. Local currencies are converted to a Neutral Unit of Construction (NUC) by dividing the published local currency by the IATA Rate of Exchange (ROE). The ROE is based on an average rate of exchange to the U.S. Dollar and is established once every three months. The rate takes effect on January 1, April 1, July 1, and October 1 and remains in effect for a three-month period.

When you request a tariff, fares appear in the currency of the country of origin. If your customer is purchasing a ticket in another country, you convert the fare to the currency of the country where the customer is buying the ticket using the Bankers Selling Rate (BSR).

Display a Tariff in NUCs

When you display a fare for a city pair that is originating outside of the United States, fares appear in the originating country’s selling currency.

To request a NUC tariff display, type $D, outbound travel date, and city pair followed by :NUC.

Sell a Non-Link Carrier

When requesting availability on non-link carriers, Apollo does not show actual seat availability. When you sell a non-link carrier, the carrier does not send an unable message if the seat is not available. Sell these carriers on a need basis.

The absence of a symbol in Apollo availability indicates a non-link carrier. When requesting space on one of these carriers, do not issue the ticket until you have confirmed space.

To sell a flight on a non-link vendor use the following steps.

1. Sell the flight.

2. Change the segment status to need (NN).

3. End transact the PNR.

If the segment status changes to KK, you change the status to HK (holding confirmed).

If the segment status changes to UC (unable to confirm), rebook an alternate flight.

Many airlines have marketing alliances with other airlines to incorporate marketing agreements, frequent flyer programs, and shared airport resources such as airline clubs. Your customer may want to travel exclusively on one airline alliance to earn the maximum amount of frequent flyer miles. For example, your customer is a Premier member with United and plans extensive travel in Europe. He would like to travel only on airlines that are members of the Star Alliance.

Display Maximum Allowable Ground Time HELP MAGT

The Maximum Allowable Ground Time (MAGT) qualifier specifies the maximum amount of time allowed between flight connections.

• You can specify a minimum of 60 minutes to a maximum of 960 minutes.

• Apollo® adds the appropriate minimum connect time to the specified MAGT entered to ensure that all connections meet the established minimum time.

• For an origin and destination greater than 1000 miles, the default MAGT is 8 hours plus the minimum connecting time.

• For an origin and destination less than 1000 miles the default MAGT is 5 hours plus the minimum connecting time.

For example, your customer is planning to fly between Chicago and Johannesburg on British Airways, and the connecting time in London is 12 hours. You would use MAGT to display the connections in Apollo®.

You will want to use MAGT when your customers have a long connection or to view additional flight connections.

You may want to request availability using the MAGT qualifier, when you see the following availability response.

To use MAGT qualifier, type an availability format with the departure time followed by the connection point, number of additional minutes, end item (+), and the carrier code.

Because international carriers do not always fly between two cities daily or at the same time of day, you may want to see only flight frequency or schedules. For example, you might need to look at a schedule of flights between Cairo and Nairobi as many African cities have irregular carrier service.

You can display carrier schedules without availability and you can also display schedules using qualifiers.

Display Schedule without Availability

You can display a schedule or flight frequency without availability to see the schedule for the current date. The schedule will show direct flights only. Apollo® will not display connections.

Display a schedule from availability when you want to see the complete listing of flights between and origin and destination.

You sell international flights the same way you sell flights in North America. After checking availability, you can reference sell the flight you want.

To sell a nonstop or direct flight from a basic availability display, type the function identifier followed by number of passengers, class of service, and line number from basic availability.

The sell response appears with an agent alert to add APIS SSRs.

New industry-standard Advance Passenger Information Security (APIS) SSRs assist airlines with providing security information to customs and immigration officials. IATA requires airlines to provide this information.

Although you are not required to enter APIS SSRs, by entering this information in the PNR, you can save your customers time at airport check-in. The APIS SSR codes are: • DOCS for passport information
