OVERVIEW

The instructional material adoption process in the Canutillo Independent School District isteacher-driven.Itbeginsandendswithteachersdirectlyinvolvedinthedecisionmakingprocess.

Earlyintheschoolyear,teachersbegintheinstructionalmaterialadoptionprocess.TheCampusImprovementCommitteenominatesteacherstoserveontheInstructionalMaterialsAllotmentTeam(IMAT),selectsthecampus-votingdelegates,andalternates.

TheSuperintendentorhisdesigneeandtheWarehouseServicesCoordinatorselectsteachersandparentrepresentativestoserveontheIMAT.TheSuperintendentorhisdesigneeservesasthechairperson.TheExecutiveDirectorofC&IwillserveastheSuperintendent’sdesignee.TheSuperintendentworksonanas-neededbasis;thedesigneeconductstheday-to-dayoperation.

Voting delegates work closely with alternates so they are always prepared to step in whenrequired.Votingdelegateswillreceivetrainingandprovideittoalternatesandteachers.Bothwillworkwiththeprincipaltoformulatethecampusactionplan.Alternatesdonotserveatthedistrictvotingelectionunlessthedelegateisunabletoserve.

Beforethecampuselectiontodeterminetheirchoiceoftextbooksandresources(announcedbytheCIC),teachersshouldhaveseveralopportunitiestoviewandevaluatethenewinstructionalmaterial.Teachersarestronglyencouragedtodiscussthemeritsofthematerialsintheirgradelevel/subject level meetings. Throughout the process, instructional coaches or the subjectcurriculumcoordinatorinvolvedintheinstructionalmaterialadoptionprocesswillworkwiththeteachers.ThecampusanddistrictelectionisheldinJanuary.

PublisherssendsamplematerialstotheWarehouseCoordinatorfordistribution.TheWarehouseCoordinatorkeepstrackofallmaterialssenttoensureeveryschoolisgiventhesamematerialstoview.TheWarehouseCoordinatorwillensurethatpublisherssendenoughmaterialsforeveryschool to view. The votingdelegates and alternatesmaydistribute them for public viewing.Publishers are available during this period for various presentations including on-sitepresentations arranged through the campus principal. Campuses are encouraged to inviteparents to evaluate the instructionalmaterial andmake recommendations.The period fromJanuary 1 until the board approves the instructional material is a “no-contact” period forpublishers.

Nolaterthanthedaybeforethedistrictelection,thecampuselectionstakeplace.Teacherswillvoteattheirrespectiveschoolsandgivedirectiontotheirvotingdelegate.Atthedistrictelection,votingdelegatesvotefortheircampusteachers’choices.Thevotingdelegateoralternatemustbepresentatthedistrictelectionorthecampusvoteisforfeited.TheIMATmembersanddistrictcurriculum coordinator will then evaluate the top three selections through the district’sinstructionalmaterialevaluationprocessandthenrecommendstheinstructionalmaterialthat

meetsthestandard-basedcurriculumalignment.InFebruary,thelistofinstructionalmaterialssubmittedtotheBoardofTrusteesforapproval.

2. Willnotofferanygift,favor,orservicethatmightreasonablytendtoinfluenceorcompromiseacampusorschooldistrictrepresentativeintheofficialdischargeoftheirdutiesintheinstructionalmaterialsadoptionprocess

3. Shipssampleinstructionalmaterialstocentralwarehouseforcampusdistribution.4. Securesayearlyvendor’spermitfromthePurchasingDepartment5. Refrainsfromcontactwithanycampusemployeeduringthedistrict“closedperiod.”

The“closedperiod”isfromJanuary1throughtheratificationoftherecommendationsoftheIMATandcurriculumwritersataBoardmeetinginFebruary.

GuidelinesforPublishersCanutilloISDispleasedtoallowpublisherstoshowcasetheirmaterials.Pleasereviewthe

guidelinesforpublishersinitsentirety.

1. AllpublishersareinvitedtothePublishersFairscheduledattheCentralOfficeBoardRoom.2. PublishersmayONLYvisitcampusesbysettingupatimewiththecampusprincipal.These

scheduledvisitscantakeplaceduringlunch,PLCtime,orafterschool.3. ApublishermaynotenteraclassroomatANYtime.Anyinterruptionofinstructionaltimeis

strictlyforbidden.4. Allpublishereventsarestrictlytolearnmoreaboutinstructionalmaterialsbeingshowcased.5. PublishersmayONLYprovidealightsnackorboxlunchforteacherswhenvisitingschools.6. TeachersmayONLYvisitwithpublishersatthescheduledtimearrangedbythecampus

principalorIMATcampusadministrator.7. Teachersmayattendoff-campuspublishereventswhichmayincluderefreshmentsormeals.8. PublishersmaynotofferanyCanutilloemployeeacommissionorrebateonanyinstructionalmaterialsusedattheirschool.THISISACLASSBMISDEMEANOROFFENSE!

Whenappropriate,campuseswithasmallnumberofteacherswillbecombinedwithanearbyschooltoequalizetheweightofthecampusvote.Teachersfromthefollowingcampusesmustcontactthevotingdelegateattheappropriatecampusforscheduledactivities.

1. Selectandinformalleligibleteachersofthevotingdateandtime.(January)

2. Reviewthecampusvotingprocedureswithvotingteachers.

3. Arrangeforthealternativeand/orotherteacherstoassistwithhandingout,collecting,andtallyingtheballots.

4. Tallythevotesonthetallysheet.Totalthesumstodeterminetherankorder.

5. Teachersmustsignthebackofthetallysheet.

6. CompletetheCampusInstructionalMaterialsVotingDelegateReport.Allvotingteachersmustsignthisreport.Bringacopywithyoutothedistrictinstructionalmaterialselection.

7. Remindteacherstheymustrefrainfromanycontactwithapublisheroranagentofapublisherduringtheclosedperiod;January1throughtheratificationoftherecommendationsataboardmeetinginFebruary.ThevoteisconfidentialuntilactedonbytheBoardofTrustees.

8. ReturnallballotingmaterialstoWarehouseServices.

1. Ateacheriseligibletovoteifhe/sheiscurrentlyteachingthesubject/courseorifhe/shehastaughtthecourseinthelasttwoyears.

2. Ateachermustrefrainfromvotingifduringthelasttwoyearshe/shereceivedanymoneyfromanauthororpublishingcompanyifbooksareontheadoptionlist.

3. Allballotingdoneontheformsprovided,ballotsarenottobesigned.

4. Instructionalmaterialsaretoberankedontheballotbyranknumber(1,2,3etc.),withonebeingthehighest(firstchoice).Anyballotshowingthesamerankformorethanonebookcannotbecounted.Thenumberzeroisnotanoptionforranking.

5. Allballotsmustbetallied(counted)inthepresenceofthosevoting.Eachvotingteachermustsigneachtallysheetshowingtheresultsoftheballoting.

6. Tallythevotesonthetallysheet.Pleasetotalthesumstodeterminetherankorder.

7. Whenvotingiscompleted,allmaterialswillbesenttotheCurriculumandInstruction.

8. Thecampus-votingdelegateisobligatedtovotefortheinstructionalmaterialsrankedbythecampusaslongasthatinstructionalmaterialhasnotbeeneliminated.Ifthecampusnumberonerankedinstructionalmaterialshasbeeneliminatedthecampusvotemustbegrantedtothenumbertwochoice,etc.

9. Onthedistrict-votingday,thevotingdelegateoralternate(notboth)mustbepresenttocastthecampusvoteorthecampusvoteisforfeited.Ifthevotingdelegateoralternatecannotattendthedistrict’selectionanotherrepresentativefromthecampusmaycastthecampusvote.

1. Thecampusvotingdelegateisobligatedtovotefortheinstructionalmaterialsrankednumberonebythecampusaslongasthatinstructionalmaterialshasnotbeeneliminated.Ifthecampusnumberonerankedinstructionalmaterialshasbeeneliminatedthecampusvotemustbegrantedtothenumbertwochoice,etc.

2. Allballotingisdoneontheformsprovided.Ballotsarenottobesigned.

3. Instructionalmaterialsaretoberankedontheballotbyranknumber(1,2,3,etc.),withonebeingthehighest(firstchoice).Alltheinstructionalmaterialsmustberankorderedortheballotwillnotbecounted. (A zero does not count as a rank option.)

4. Anyballotshowingthesamerankformorethanonebookcannotbecounted.

5. Allballotsmustbetallied(counted)inthepresenceofthosevoting.Thesign-insheetwillbeusedtoverifythenumberofvotingdelegates

6. Instructionalmaterialsaretoberankedontheballotbyrankorder(1,2,3,etc.),withonebeingthehighest(firstchoice).Anyballotshowingthesamerankformorethanoneinstructionalmaterialcannotbecounted.

7. Whenvotingiscomplete,theIMATmemberwillplaceallvotingmaterialsinanenvelopeanddelivertothesubjectareacoordinatorortheWarehouseServicesCoordinator.

8. Onthedistrict-votingday,thevotingdelegateoralternate(notboth)mustbepresenttocastthecampusvoteorthecampusvoteisforfeited.Ifbothdelegatesattendthedistrictinstructionalmaterialsvotingforthesamesubjectarea,onlyonedelegatewillbepicked.Ifthevotingdelegateoralternatecannotattendthedistrict’selectionanotherrepresentativefromthecampusmaycastthecampusvote.
