NOTICE FOR SKYPE USERS: If you have Skype installed, you may have to disable a Skype feature prior to creating your e-mail signature. If you do not use Skype, you can skip the following instructions and begin creating your new e-mail signature. Open your browser and look for the blue Skype icon in the upper right-hand corner (icon should be blue with an "S" and "123" with a green phone image) Click on the Skype icon. A window will pop up asking you if want to "Turn number highlighting on". Uncheck the box to disable and click "OK". • At the top of your browser click “File” and then “Save As”

• The following alert (or a similar alert) may appear, if so, please click the “Yes” button to proceed.

• Navigate to your “My Documents” folder. Keep everything as shown below and click the “Save” button.

• Open Microsoft Outlook 2003 and click “Tools” and select “Options”

• Select the “Mail Format” tab • Under “Message Format” make sure that “HTML” is the selected option beside “Compose in this message

format” • If you choose, you may check off both options to use “Microsoft Office Word 2003…” but it is not required. • Click the “Internet Format” button

o Under “HTML Options” ensure the tick box is not checked beside the detail starting with “When an HTML message…”

o Select “Convert to HTML format” in the drop down box o Click the “OK” button.

• Under the “Signatures” section click on the “Signatures” button

• Enter a new name “IHS E-mail Signature” • Select the option to “Use this file as a template ” and click the “Browse ” button.

• Ensure that your new e-mail signature (IHS E-mail Signature) is the selected option beside “Signature for new messages”

• If you choose, you may also enable it in the drop-down beside “Signature for replies and forwards” Otherwise, the signature will only be active upon creating new e-mails.

• Click the “Apply” button

Your new e-mail signature has been created and is ready to use.

Create a new test e-mail message and send it to yourself. Please note: In some cases the formatting of your signature in the e-mail composition window may appear to have more space than intended. Please review the final copy when it arrives in your inbox. This will only happen in the e-mail composition window and will not have extra space once it has been sent. The sample in your inbox is how it will appear to your intended recipients. If you have any questions, please contact [email protected].
