CONFERENCE WITH A DIFFERENCENothing beats the high level of interaction and collaboration that comes with meeting face to face and o site. The opportunities to connect, engage and create that conferences oer promote teamwork, productivity and performance.

Since it was established in the 1980s, Sun International’s Sun City in the North West Province has been entrenched as a preferred destination for corporate conferencing. It’s not dicult to understand why. Only a 90-minute drive from Pretoria and two hours from Johannesburg, Sun City combines excellent accommodation, conferencing facilities, restaurants and leisure activities in an idyllic setting.

Sun City is a place that never sleeps, with an array of experiences available to delegates after hours which make conferencing at Sun City unique; from hot-air balloon rides and game drives at the nearby Pilanesberg National Park to beach parties at the Valley of Waves, socialising at the Shebeen, beer tasting at sunset at The Brew Monkey, dinner at the Wallow, gaming at the casino and reveling on the dance floor at the night club. When it comes to conferencing with a twist, Sun City is hard to match.

The resort has carefully crafted its facilities and services to meet today’s business travellers. Taking its conferencing and conventions oering to the

next level is the focus, as well as on providing consolidated conference experiences. Companies don't only have access to a range of well-equipped meeting rooms and conference venues, but they can also add morale-building and leisure activities to their bespoke conference packages. All the senses are catered for, from state-of-the-art technologies and facilities, to sporting and leisure activities. The choices are diverse; playing golf on two world-class golf courses; thrilling activities such as Drift Trikes, Hovercrafts and a 4x4 Grizzly Quad Challenge at the new Adrenaline Extreme; water sports at Waterworld; rejuvenating treatments at the spa and confidence-testing water rides at the Valley of Waves.

The iconic Entertainment Centre re-launched as Sun Central during November 2016, boasts an optimised convention centre on the upper level as well as a suite of other experiences.

“Our focus is on creating flexible and holistic conference packages, bolstered by new modern facilities, to ensure that Sun City retains its place as a premier convention destination in South Africa,” says Andrew Irumba, Sun City Marketing Manager.

DESTINATION AFRICA Africa is rising. We know this to

be true in the news we read, the conferences we attend and of course, the visitor numbers that are

published quarterly. That said, it is still a young player in the global business-events arena, with fewer rotating events than other, more developed, continents. The continent’s tourism possibilities are endless, and as a result there is a real focus on creating memorable incentives and unforgettable conference experiences.

Although still young in its meetings, incentives, conferences and exhibitions

offerings, it is consistently at the top of its game, with hubs in South, East and North Africa paving the way for new and exciting congresses in the region. Johannesburg is once again the most visited city in Africa for the fourth year running, according to the 2016 Mastercard Global Destinations Cities Index. Cape Town International Convention Centre continues to push boundaries, this year by generating R209-million in revenue – the highest in its 13-year history. The centre hosted 504 events, 39 of which were international conferences.

Africa in Numbers• Africa has 53 countries – more

countries than any other continent. It is also the second most populous and holds about 16% of the world’s population.

• Nollywood, Nigeria’s film sector, is the second-biggest movie industry in the world. Nigeria is also the 4th largest oil exporter in the world, and Africa’s biggest oil producer with about 2.2 million barrels daily.

• A third of Africa is covered in sand, bedrock and stone – and at 3.5 million km2, the Sahara is the largest desert in the world.

• The Atlas Mountains stretch for 2 400km, making it the continent’s longest mountain range. • Arabic is spoken by 170 million

people in Africa, followed by English (130 million), Swahili (100 million), French (115 million), Berber (50 million), Hausa (50 million), Portuguese (20 million) and Spanish (10 million).

• Africa has the largest reserves of precious metals: 40% of the world’s gold reserves, over 60% of the cobalt and 90% of the platinum reserves.

• Over 1 270 large dams have been built along the continent’s many rivers, and Lake Victoria is the largest lake in Africa and the second-largest freshwater late in the world.

• Over 85% of the world’s elephants and over 99% of the remaining lions are on the African continent.

• The Serengeti in Tanzania hosts the world’s largest wildlife migration on Earth with over 750 000 zebra and of 1.2 million wildebeest as they cross this amazing landscape.

• Johannesburg is the most visited city in Africa with 3.6 million visitors, followed by Cairo, Cape Town, Casablanca and Durban. (Mastercard Global Destinations Cities Index 2016)

Meetings Africa, brought to you by the South Africa National Convention Bureau (the SANCB), a business unit of South African Tourism, is the leading platform for African products and services to market themselves to the local and international business-events market. Meetings Africa showcases South Africa as a destination that hosts world-class conferences, exhibitions, meetings and incentives and also where business-event professionals share ideas and encourage innovation in the sector.

Investment in Africa’s hospitality is also on the rise, with the growth of towns and cities creating demand for high-quality commercial and residential real estate. Most of the world’s largest hotel groups – Hilton, Carlson Rezidor, and Marriott to name a few – are investing in four- and five-star hotels, many of which include conference venues. Cape Town, the green hub of Africa, is of course a top city for foreign direct investment and has been ranked 21st globally. Kigali, too has been climbing the ranks, and is close to becoming a smart city with sustainable solutions, which includes energy-saving initiatives, free public Wi-Fi and a host of ground-breaking ICT solutions.

We have much to be enthusiastic about in Africa, so let us continue to share our knowledge, collaborate and develop this continent into a business events powerhouse.

SOUTH AFRICA: FIRST-RATE VENUES AND PROFESSIONAL SERVICE

South Africa has consistently grown its business-events portfolio in the last decade to include larger, and more prestigious conferences.

This is evident in its strong ICCA ranking at 38th globally, having hosted 108 association conferences in the country during 2015/16. It cities regularly rank as popular holiday getaways and beautiful travel destinations, with Cape Town retaining its position as the number one convention destination in Africa for the last 19 years – welcoming 270 000 delegates since 2006, with an average of four conference days per event.

“Business tourism is huge and we’ve barely scratched the surface. If you just look at Sandton Convention Centre, CTICC, and Durban ICC, they’re usually busy throughout the year. There’s a wonderful term that was coined, ‘bleisure’, that is, business and leisure. People come here for a conference but

while they’re here they explore the country. Next, they want to come back with their family,” says SA Tourism CEO Sisa Ntshona.

In recent years, the country has seen much potential in its tourism offerings, and as such, Mr Ntshona will be turning his eye to unique packages and offerings in certain sectors. “Sports tourism has become something that we really want to focus on, both domestically and internationally. We’ve also got wonderful golf courses that are on par with any course around the world. We know Americans are crazy about golf; and South Asians as well. So it’s looking at how we use that as a magnet to get people to come to our golf courses.”

Business Event InfrastructureSouth Africa is easily the most popular destination for conferencing on the African

continent, with a wide range of venues and year-round natural beauty and attractions to entice conference goers. Cape Town is world-renowned for bringing international association congresses to its shores, particularly in the medical and business fields, with Cape Town International Convention Centre successfully hosting 39 international conferences in its 2015/16 financial year. Induced tourism generated by the CTICC resulted in approximately 603 000 international tourist days and net foreign exchange earnings of R619-million.

Durban, too, is a premier trade show destination, with the port city’s award-winning Durban International Convention Centre consistently attracting a range of high-profile events, including the World AIDS Congress with around 15 000 delegates in June 2016. The

The annual Tourism INDABA, a luxury tourism travel show, introduces internationals to the conference’s tourism offerings in Durban. It is the flagship exhibition for South African Tourism.

Johannesburg, also known as the City of Gold, has a steady stream of business events thanks to its position as one of Africa’s major commercial hubs. It offers a number of world-class conference venues including Sandton Convention Centre, CSIR International Convention Centre, the Johannesburg Expo Centre, Gallagher Convention Centre, Tshwane Events Centre and many more. Sandton Convention Centre is popular for attracting government conferences, lifestyle events and exhibitions, and is the annual host for Meetings Africa, the South Africa National Convention Bureau’s flagship trade show welcoming international business to the continent.

In addition to these business-events hubs, South Africa also offers ease of access through a number of international and connecting flights, car rentals, taxi services and a variety of star-graded hotels for business travellers. Other ICCs and events venues dot the country, including places such as Bloemfontein, Kimberley, Port Elizabeth, the Garden Route, and the South Coast. And, to sweeten the deal, the country has a number of highly qualified, internationally certified Professional Conference Organisers with years of experience putting on incredible events. SA’s vibrant association culture means that many of its professionals also contribute and are part of the leadership of associations such as UFI, AIPC, ICCA, IAEE, SITE and others.

For those hoping to create an unforgettable experience, South Africa has no limit to its incentive travel and pre- and post-event tour options. From the extremes like shark cage diving or bungee jumping from the Soweto Towers, to the more relaxing like a tour through the winelands or a visit to a Zulu cultural village, there’s something to tickle any personality’s fancy – with friendly service to match. SA Tourism CEO Sisa Ntshona sums it up nicely: “That’s the beauty of South Africa. It offers something for everyone, from a one-star camping tent to a six-star experience.”

1. Bidding Support

In the Bidding Support phase,

the SANCB can provide the following

support:

• Pre- and post-bid support such as bid

promotion and handling of requests for

proposals

• Independent advice when selecting a

destination for your event

• Bid materials to provide support to

members

• Government Letters of Support

• Bid Presentations

• Lobbying and promotional support

• Meeting planner support services such

• Coordinating requests for bidding

2. Site Inspection Support

Site inspections are a means to showcase the

elements included in the destination’s bid.

Site inspections are part of the SANCB’s

service offering. The SANCB, in conjunction

with the city and provincial convention

bureaux organises and facilitates

site inspections to assist Association Heads

with business-event decision makers by

introducing them to the event professionals

that will bring their meeting, conference,

event or incentive to life. The SANCB will

invite key decision makers to view options to

help confirm the conference offering including

pre and post-show opportunities. Site

Inspections are a crucial part of the

decision-making process for business events.

The venue must be conveniently situated

close to transport routes and important

amenities, and must boast the facilities and

luxuries that befit a business traveller and

conference delegate. The venue must be

secure and attractive, with state-of-the-art

infrastructure and technology, as well as

excellent cuisine and a wide-range of culinary

and beverage options. Site Inspections also

serve to reinforce positive aspects of hosting

a conference in South Africa, and dispel

negative preconceived notions. These

positive aspects are:

• South Africa is a cost-effective destination

with attractive exchange rates

• Reassurance that South Africa is a world-

class destination

• Delivery of world-class services and

experiences that are on time and bring the

WOW factor

• South Africa is a secure and harmonious

nation

• The opportunity to leave a lasting

impression

• Political/economic stability

• South Africa is an innovative and advanced

nation

• The South African people are warm,

welcoming and professional. Furthermore,

well-coordinated Site Inspections give

decision makers key insights into the

myriad venues available in the chosen city.

This allows decision makers to make their

choices based on the facilities and location

that best suit the conference attendees.

3. Convention Planning Support

The South Africa National Convention

Bureau, with the City and Provincial

Bureaus, are perfectly positioned to assist

with planning a congress, meeting, expo

or convention in South Africa. Their team

has effective working relationships with an

extensive database of local service providers.

The SANCB can also facilitate collateral

materials, government liaison and advice

on destination and local issues. Key services

during the Convention Planning stage:

a) Sourcing VenuesSouth Africa has myriad business-event

venues that cater for events of any size.

The SANCB understands that no two

events are the same, therefore they will

tailor-make a list of recommended venues

according to the specific needs of the

event. Whether it’s a conference for

2 000 in one of South Africa’s Centres of

Excellence, or a convention for 15 000

in the heart of Cape Town, Durban or

Johannesburg, the SANCB will find the

perfect venue. Durban International

Convention Centre has been named the

best conference centre in Africa more than

10 times, the Cape Town International

Convention Centre is undergoing a massive

expansion, and the year-old Century City

Conference Centre is booming, which further

highlights the diversity of South Africa’s venue

offering.

b) Locating SuppliersA well-planned conference requires the

co-ordinated efforts of numerous suppliers,

such as stand designers and builders, catering

companies, entertainment, translation

services, professional speakers, security,

transport, graphic designers, décor experts,

audiovisual experts and many other technical

suppliers. The SANCB works with City and

Provincial Convention Bureau to propose

recommended suppliers, and facilitate

business relationships.

c) Compiling Cost EstimatesConferences require complex budgets that

must be adhered to strictly. The SANCB

understands the importance of these

budgets, and will propose Professional

Conference Organisers that can assist with

budget-related matters. South Africa has

dozens of excellent PCOs that are skilled in all

aspects of conference organising, including

costings and budgets.

d) Submitting and Monitoring RFPsThe SANCB and the relevant local convention

bureau will ease the planning process by

submitting requests for proposals in-house,

and carefully monitoring the progression of

each.

e) Co-ordinating Site InspectionsSite inspections are an integral aspect

of the planning phase as they inform

decision makers on the locations,

facilities that will work best for the

conference. The SANCB works closely with

South Africa’s myriad venues, and is ideally

positioned to facilitate the inspection of

suitable venues.

f) Advising on Pre- and Post-Tour OpportunitiesSouth Africa has an abundance of pre

and post-tour opportunities. Conference

delegates will be able to see for themselves

what millions of travellers flock to see every

year on SA’s shores. From wine-tasting along

the world’s longest wine route, to exploring

Gauteng’s cultural precincts, to visiting the

country’s renowned Kruger National Park; the

SANCB can advise the organising committee

on the most rewarding destinations and

activities to consider for their delegates.

4. Delegate Boosting

The South Africa National Convention Bureau

can coordinate efforts to increase the number

of delegates attending a business event

in partnership with the association. It is in

the best interest of all involved to have the

maximum number of delegates attend an

event, which in turn boosts the success of

the event. The SANCB can assist associations

to promote and market a convention in a

number of key ways, including promotional

material, special services and cultural displays.

Delegate Boosting PackagesThe SANCB offers three packages

to assist with delegate boosting:

• The Standard Package

• The Standard Plus Package

• The Elite Package

The evaluations criteria for thesepackages include:• Being part of an international

association agenda

• Support provided in the bidding

phase

• Delegate numbers (and the

countries they are from)

• Seasonality

• Duration

• Economic development criteria

The Delegate Boosting packages include

myriad benefits, including tourism

information giveaways, branding,

electronic and print marketing material,

destination marketing material, and

(in the Elite package), VIP gifting, wine

and drinks activations and customised

marketing materials.

5. On-site Event Services

On-site event services are vital as they

add remarkable value to a delegate,

especially if the delegate is visiting

South Africa for the first-time.

On-site services are the little things that

can happen on-site that make a big

difference to the delegate’s experience.

The SANCB is proud to offer on-site

event services as part of its range of

support services. The objective of

this service offering is to enhance the

delegates experiences, and put into

perspective the value of the delegate’s

visit to our country, over and above

the value of attending the conference

programme itself.

What are On-site Event Services?

Some examples include:• Entertainment that is rooted in

local custom• Welcome stands and airport

transfers• Activity/local attraction bookings• Travel arrangements and activities

for accompanying persons• Personalised gifts

Amanda Kotze-Nhlapo, Chief Convention Bureau Officer at the South Africa National Convention Bureau, says “We have to make sure that all delegates have a fantastic time in our country. This will ensure that they tell their friends and families, which translates to further business.”

The welcome reception for the delegates of the IAPCO 2016 annual meeting was held on Table Mountain.

PCOs BRING WORLD-CLASS EVENTS TO YOUR DOORSTEP

According to a recent SA Tourism report, the SA National Convention Bureau has secured more than 180 international

conference bids over the next five years, which are expected to bring an estimated R3.5-billion into the economy. This is a clear demonstration of South Africa’s capability to not only host, but also to organise and create world-class trade shows and exhibitions with as much flair as their international counterparts.

Professional Conference Organisers in

South Africa are one of the most valuable assets this industry has, according to Pieter Swart, CMP, CMM, Business Events Strategist and MD of Conference Consultancy SA. The local industry has realised the importance thereof and in recent years has placed a focus on education, with bodies like the Exhibition and Events Association of Southern Africa (EXSA) and the Southern African Association for the Conference Industry (SAACI) both launching academies not only for their members to develop their

skills, but also to create a higher standard of quality in the organising of events. “We are employed for our knowledge and skills,” Swart said recently. “Qualifications and certifications serve as a validation thereof. We have a responsibility to fellow team members and duty of care to our clients.” Conference Consultancy had a successful 2016, working together with a number of local and international service providers to plan the International AIDS Conference in Durban last year. “Our experience, qualifications and certifications gave us

PCOs 21www.theevent.co.za

the confidence to participate around the planning tables as equals with our international peers. We spoke the same business-events language,” he says.

With many South Africans taking on lead roles in global associations – Nina Freysen-Pretorius (ICCA), Craig Newman (UFI), Julie-May Ellingson (AIPC) and Lindiwe Rakharebe (ICCA) to name a few – local PCOs are changing international perceptions of Africa and are bringing more conferences and events to the region. Local associations are also creating valuable growth opportunities through their platforms, with AAXO and EXSA joining forces for the first time this year to create an industry award for both exhibition organisers and exhibitors at some of the biggest events on the calendar.

Turners Conferences worked on a number of association meetings in 2016, ranging from 70 to 1 000 delegates. These include the 14th International Congress of the International Radiation Protection Association, the 6th International Conference on Community Psychology (ICCP 2016), the 10th Aesthetic Medicine Congress of South Africa (AMCSA 2016), the 1st SA Violence Conference, and the CFR Worldwide Alliance Meeting 2016.

The Conference Company, with Freysen-Pretorius at the helm, has secured a number of high-profile events for 2017 and beyond. These include the ICZ World Congress 2020, Financial Planning Institute in October 2017, the 6th IAPSIT International Sugar Conference in June 2017, and the 19th ASSITEJ World Congress in May 2017. Last year’s highlights include the World Society of Cardio Thoracic Surgeons 26th World Congress, WISA Biennial Conference & Exhibition 2016, and Graduate Women International Conference 2016.

South Africa’s talent pool of Professional Conference Organisers continues to grow, with a number of fresh faces gaining traction. On Show Solutions is celebrating 10 years of success in exhibition and event management. The company was recently named as the Exhibition Management Company for the Magical Kenya Travel Expo, the leading trade trade fair in East Africa. 2iC (Second in Command) has seen success in creating bespoke, lifestyle events of the highest calibre. Still others, like Riego Events Management, specialise in events for the literary and information services sectors, while Ilios Conferences, a division of the travel company of the

same name, provides a comprehensive range of logistical and infrastructural services for conference planners.

In terms of trends we can expect in this sector, Pieter Swart says that at the strategic level, more attention will be paid to the exploration, application and impact of neurosciences in events design. In fact, this is very evident already as the industry begins to rely more and more on big data and analytics to inform their decisions. “Expect to read and hear a lot more about this subject in the next five years,” he says.

Another trend that is highly likely to continue is the ever-growing world of social engagement and marketing. According to Simon Burton, Owner of Exposure Communications, in 2017 event organisers will begin to fully realise the opportunities to marry their live and digital communities. “Social will be at the heart of marketing campaigns for both audience acquisition and content amplification. This in turn will lead to greater personalisation of messages and content,” he explains.

CONFERENCE BUSINESS IN SAREMAINS STRONG

South Africa has truly led the continent by example when it comes to conferencing. Not only does the nation offer world-

class congress facilities, state-of-the-art technology and services, and impressive incentive and tourism getaways, but it is also one of the few countries in Africa with a dedicated National Convention Bureau and satellite regional bureaux contributing to the wellbeing and furthering of business events and relations.

This has seen an influx of high profile events to the country, and by extension, has opened inroads into holding the same calibre of events throughout the continent with hotspots in Nairobi, Lagos, Marrakech, Kigali, Arusha and Dar es Salaam.

“South Africa can, and does, deliver professional business events,” Amanda Kotze-Nhlapo, Chief Convention Bureau Officer at the SANCB says. “The destination offers value for money. It is economically and politically stable and has a proven

track record. South Africa also offers a safe, secure destination for business tourism delegates as well as an extremely capable and professional infrastructure.”

Association Conference Business2016 saw many of South Africa’s major conference and exhibition associations draw up strategic partnerships and offer education programmes to members and industry professionals alike. One of the

recent years include the World Congress of Basic and Clinical Pharmacology in Cape Town, the International Union of Architects in Durban, the World Congress of Paediatric Cardiology and Cardiac Surgery, the 17th International Conference of HIV/AIDS and STIs, the World Economic Forum on Africa, and the African Union Congress in Johannesburg. Most recently, the Western Cape secured the World Congress for the International Society for Prosthetics and Orthodontics

biggest successes is that of the country hosting the annual congress for UFI, the Global Association of the Exhibition Industry, in Johannesburg in 2017. Other conferences such as SAACI Congress, and the annual EXSA Conference have all reported favourable circumstances for the industry, with many collaborating to grow the local business events sector into a more recognised entity in the world arena.

Some of the notable association meetings that have taken place in SA in

in 2017, and the World Ophthalmology Congress in 2020 – which is expecting 15 000 delegates to attend over five conference days.

The Cape Town International Convention Centre (CTICC) has done extremely well in 2015/16, with a record-breaking year in 2015. The venue generated R209-million in revenue, the highest in its 13-year history, and it hosted 39 international conferences during that time.

The Industry in Numbers• Cape Town International

Convention Centre won 6 prestigious awards including Top500, Business Traveller Africa, and Lilizela awards.

• In 2015, South Africa hosted 140 international association meetings and conferences, attracting just under 80 000 delegates to the country.

• 108 of these conference met the International Congress and Convention Association’s (ICCA) ranking criteria.

• Wesgro secured 17 conference bids for the 2015/16 financial year, with an estimated delegate attendance of 28 280 and estimated economic impact of R374-million for the province.

• SA has already secured 66 international association conferences and meetings for the next five years starting in 2017.

• These events will contribute about R1.4-billion to the economy and attract 108 134 delegates over 311 event days.

• SA has 45 bids still pending as of September 2016, planned to take place in the years leading up to 2022.

• These events have the potential to attract 112 000 delegates over 216 days and can contribute R1.5-billion to the economy.

• The SA National Convention Bureau (the SANCB) generated 139 qualified leads through trade shows that could attract 92 000 delegates to the country.

Africa, and by extension its largest contributor to exhibitions, South Africa, has thrived in recent years, with industry growth reported

year on year. As SA’s exhibition and events industry has matured, so has the need for standardisation and formalisation, says Carol Weaving, Chair of the Association of African Exhibition Organisers. “The closer our interaction with our members, the more this need in the industry is emphasised. As an industry champion, we established the AAXO Badge of Approval which organisers can display.” The association has also identified representation and measurability of ROI as challenges for exhibition organisers and will be working to train, educate and negotiate in these respective fields. “To help cement exhibitions as a marketing channel and demonstrate its full impact, AAXO not only commissioned industry research from Grant Thornton early this year to understand the economic impact of exhibitions but we also established the compulsory ABC Audit demonstrating transparency and bringing credibility to AAXO members and their events.”

Despite the many challenges that come with organising a trade show of any kind, the industry has done well. South Africa has hosted a number of high-profile exhibitions such as World Travel Market Africa, Food & Hospitality Africa, African Utility Week, Securex, Markex, AfricaCom, Mediatech Africa, Decorex and of course SA Tourism’s flagship event, the INDABA travel show.

“In the next five to 10 years, the exhibitions and events industry could become one of the main economic contributors of this country. However, for this to happen we will need ease of access

and greater communication between the public sector, exhibition organisers, and venues.” says Craig Newman, Chief Executive Officer of the Joburg Expo Centre and UFI Africa Chapter Vice-Chair. “South Africa has excelled at delivering on true economic sector exhibitions that contribute to the broader economy, but we can still improve on the perception that is created in the marketplace on the value of exhibitions,

eventing and conferencing in 2017.” Some of the highlights we can expect at the Expo Centre in 2017 include Ultra South Africa, the Rand Show and IFAT Africa.

It’s not only the local business events sector that stands to gain from this growth and maturity, but the wider continent has much untapped potential in the MICE realm. As SA Tourism continues to market the country as a destination in other

African states, we will begin to see more collaboration between convention bureaux, exhibition planners and attendees on the continent. “Business tourism is huge and we’ve barely scratched the surface. If you just look at Sandton Convention Centre, CTICC, Durban ICC, they’re usually busy throughout the year. Another thing we’ve found is that business tourism brings numbers, which touches on other economic areas such as retail, restaurants, etc.,” says SA Tourism CEO Sisa Ntshona. As our exhibition industry helps lift the greater economy, we will see more and more leisure expos coming into play as many more consumers are able to experience and engage in events like these for themselves.

62 MEETINGS www.theevent.co.za

MEETINGS MAKE THE WORLD GO ROUND

Because of the constant need for meetings, conventions and congresses of all shapes and sizes, Africa has seen steady growth

in the number of venue spaces available to companies and associations who meet on a regular basis. These functions range from boardroom meetings, team building exercises, and networking events, to galas, conferences and banquets. Many hotels and accommodations now offer some sort of meeting space on their property, while others benefit from their location adjacent to conference venues.

2016 saw millions of dollars invested into Africa’s hospitality and meeting venues sectors. Hotel groups such as Marriott, Starwood and Sun International have grown their portfolios and, according to a study by the W Hospitality Group, the continent remains attractive to investors, with a 30% increase in hotel rooms in the pipeline compared to 2015. Many new venues have also opened their doors. Some of these include JSE Cape Town, bringing with it a touch of heritage, class and gravitas for small meetings. Others, like the Bulawayo Continental, offer

pure comfort for 130 delegates, while properties like the Fancourt, Protea, Spier and the President Hotel have all been upgraded to accommodate conferences and meetings more efficiently and flexibly.

Meeting spaces are integral to the knowledge economy in that they facilitate and encourage the discussion and sharing of ideas and innovations. According to CSIR, a well-known venue in Tshwane, Gauteng, last year was challenging in terms of new visa regulations and government policy on conference spending. “Having said that, the year has also been exceptionally

positive in terms of growth in the market,” says General Manager, Bronwen Cadle de Ponte. “The lesson here is that we are living in a rapidly changing world but, if you are proactive and positive regarding dealing with perceived negative changes the benefits can be far reaching. We all need to accept that globalisation means that we are living in an increasingly dangerous and legislated world where communication is rapid and major changes take place overnight. Instead of fighting this new world and wasting time bemoaning situations we need to work together to find proactive ways of putting solutions in place for the new problems we face every day.”

Flexibility is a huge drawcard for meeting venues. A great example of this is The President Hotel in Cape Town, which recently launched a newly refurbished conference centre. “Our conference and event facilities lend themselves to an almost inexhaustible range of adaptations to suit varying requisites, and the in-house events team is on hand to smooth organisation and preparation,” says General Manager Jeremy Clayton.

Carol Crozier, Manager of Company Services, Marketing and Corporate Affairs, says that the Johannesburg Stock Exchange’s presence in Cape Town was important because in our

fast-paced digital environment, engaging with clients face-to-face is becoming more valuable. “We believe that the location is what sets this venue apart. We have ensured that it is close to asset managers so that clients are able to attract guests without taking them out of their way. The space is also completely flexible and lends itself equally to networking events as well as full day conferences. A meaningful networking event where topical information is presented is still the best way to ensure that you are in the fore of your clients minds and we believe that the industry understands this and is striving towards presenting impactful events where value is derived from marketing spend.”

INCENTIVE TRAVEL SECTOR IN ROBUST HEALTH

A frican incentive travel has been in good health over the last twelve months, in accordance with global trends. The sector has been

shaped by some important trends recently, and many of those are set to continue into the New Year and beyond. According to a recent article in Incentive: What Motivates, Terri Hardin explains how today’s incentive travel options are much more bespoke and personalised than ever before. Customisation is hot, and corporates take themes, office culture and teambuilding into account in order to deliver more outstanding, memorable incentive rewards for their employees.

According to Robin Mcleod, Group

Marketing Manager at leading DMC Dragonfly Africa; travel programmes are shorter, but more impactful. He adds that guests are also extending on pre- and post-event tours, often in smaller subgroups. This is by and large as a result of Southern Africa’s new focus on bringing more business tourism into the region through the hosting of world-class conferences and exhibitions. “Whilst delegates do obviously enjoy the amazing incentive programmes planned for them, if they have the time, they are also looking for custom-made pre or post programmes which explore experiences that are of real interest to them personally. This is where we find that Dragonfly Africa and Green Route Africa really add amazing value

with our specialized leisure division,” he says. The company now covers 11 countries with a diverse range of options for clients. Their programme with the biggest growth has been the Tanzania safari and Zanzibar beach-break combo, while pre- and post-visits to Rwanda for Gorilla Trekking are also prevalent.

Ker and Downey Africa, another pioneer in the continent’s incentive opportunities, has seen a definite increase in incentive travel spend of late. “This is due to the more expensive nature of trips to more remote destinations; the increased cost as a result of an increase in the number of experiences or activities booked per trip; increasing group sizes (as organisational structures

have become more flat versus the purely hierarchical structures of yesteryear) as well as the continual need to outperform previous years’ incentives and incentive trips that competitors are offering to their employees” explains Nicholas Wright, Marketing Manager.

East Africa is on the rise, says Wright, thanks to Kenya’s rapidly growing safari industry, which offers more flexibility and exclusivity when compared with the more popular game reserves in South Africa. Adventure tourism is also becoming more significant as walking safaris, trail running and mountain biking take over. Millennials are driving trends in incentives today, Kevin M Hinton, CIS and CEO for the Society for Incentive Travel Excellence (SITE) said recently. “While incentive programmes extend to a diverse multigenerational workforce,

Millennials have a tremendous impact on what’s being offered…They enjoy the unknown and want to be challenged. It is important for planners to uncover Millennials’ distinctive passion points, and engage them in a way that speaks to their personal drivers.”

Corporate Social Responsibility and going for locally sourced – also known as Impact Travel – is fast becoming a norm. “Corporate Social Responsibility has and will continue to be an important trend for business events. Corporate clients want to give back to the local communities thereby leaving a legacy in the places they visit.” says Mcleod, who also encourages clients to incorporate elements of local culture and cuisine into the theming of your trip. Teambuilding and wellness travel are also beginning to surface as trends to watch as the industry progresses.

Top Incentive Destinations in Africa1. Cape Town has once again been

amongst the global destination trends for 2017. Its rich arts and culture scene combine perfectly with its natural beauty and tourism offerings to create an incredible, world-class experience.

2. Thanks to a conveniently close National Park and a vibrant city life, Nairobi is an East African hub for conferencing and tourism. It offers unparalleled natural beauty and of course, a trip to the Masai Mara or Mt Kilimanjaro is not to be scoffed at!

3. Tanzania and the island paradise of Zanzibar has long been renowned for their tourist opportunities, and the region has a number of incentive options from an idyllic beach holiday to a game drive in the Serengeti.

4. Botswana is one of the most exciting destinations for exploring wildlife in its natural state. Visitors are spoilt for choice when it comes to safaris, and the 11 700km2 Chobe National Park has one of the richest concentrations of game in Africa.

5. The majesty of Victoria Falls, situated between Zimbabwe and Zambia, will always be a must-see. The region boasts elephant interactions, steam train trips and fishing expeditions – while the brave few can take a walk on the wild side with the Vic Falls Anti-Poaching Unit.

66 ASSOCIATION BODIES IN SOUTH AFRICA www.theevent.co.za

ASSOCIATION BODIES IN SOUTHERN AFRICA

A frica has a host of active association bodies that not only bid for, rotate and grow business events on the continent, but also

assist in development and training in the industry. Southern Africa by far has some of the most well-known associations, many of whom have expanded in the last few years to include annual events, valuable and practical training, and new opportunities and partnerships for members to take advantage of. Here are some of the main associations in Southern Africa and what they’ve been involved in – and what lies ahead for 2017.

AAXOThe Association of African Exhibition Organisers was formed to provide a collective platform of address and representation for professional exhibition organisers throughout Africa. AAXO represents a range of different exhibition organisers and promotes the industry, encourages investment, and provides members with tools and resources.

In 2016, AAXO has focussed on standardisation and formalisation in the industry with the AAXO Badge of Approval. They have also represented the sector in negotiations with SARS regarding the CAT ruling, and have helped cement exhibitions as a marketing channel by measuring the economic impact and providing training focused on ROI.

EXSAThe Exhibitions and Events Association of Southern Africa serves the exhibition and events industry by growing and developing the sector through promotion, education and raising the profile of members including venues, organisers and suppliers. EXSA has seen many changes over the last 12 months including a new GM, Phumulani Hlatshwayo, the launch of the EXSA Academy, and a complete rebrand which took place in early November. EXSA also partnered with The Dubai Show and the Global Venue Forum, and championed technology and greening.

ICCAThe International Congress and Convention Association is the global community and knowledge hub for the association-meetings industry. It comprises over 1 000 member companies and organisations in over 90 countries worldwide and specialises in the international association meetings sector.

ICCA has been as busy as ever in 2016, not only creating valued partners in the industry, but launching a new Global Destination Sustainability Index – the first of its kind – which they hope will have over 100 cities benchmarking and collaborating together by 2020. ICCA also captured a record number of international association meetings in 2015 at 12 076 – including 571 additional meetings compared to 2014.

68 SPECIALIST SERVICES www.theevent.co.za

SA’S SPECIALIST SERVICES CONTINUE TO EXCEL

F rom furniture hire to exhibiti on freighti ng, from cleaning services to audio visual technology, South Africa truly has a well-rounded supplier

and specialist service base when it comes to business events. This is perhaps one of the main reasons why the country has conti nued growing its business-events off erings consistently over the last few years, and the excellent services rendered is just the ti p of the proverbial iceberg.

Despite its proven track record in delivering high-profi le events, fi rst-ti me meeti ng planners can be reluctant to trust the level of services that the country’s technical suppliers are able to provide, says Robyn D’Alessandro, Marketi ng Manager at Gearhouse Group. “It has therefore become part of our remit, as local providers, to conti nually innovate and develop our off ering to diff erenti ate the individual SA event experience for our clients. As a result, the country’s technical benchmark is very high and the standard amongst local suppliers is generally very good so live-events clients experience a level of service and technical capabiliti es that match – or exceed – that off ered anywhere else on the globe.”

Movements of NoteThe business-events industry’s service providers witnessed a number of movements in 2016, including the launch of the inaugural ROAR and Flagship EXSA-llence Awards – two industry awards ceremonies under one banner. A joint venture between the Exhibiti on and Event Associati on of Southern Africa (EXSA) and the Associati on of African Exhibiti on Organisers (AAXO), the awards aim at recognising and promoti ng excellence within the local and regional circles, whilst uniti ng the industry.

Translati ng these standards to the specialist service sector brings a greener, more sustainable event into being from the ground up – using eco-friendly suppliers, materials and waste-disposal opti ons.

Trends and Innovations in the SectorGreening and sustainability remains a focus as more and more event planners take stock of their impact on the environment and communiti es around them. Many stand designers have been using recyclable, reusable and upcycled supplies in their work for exhibiti ons, while trends such as the use of more LED lighti ng and less printed

material have conti nued. Printi ng on fabrics conti nues to gain popularity as a cost-eff ecti ve, reusable opti on for exhibiti ons.

-Sisa Ntshona, CEO of South African Tourism

Business tourism is huge and we’ve barely scratched the surface. If you just look at Sandton Conventi on Centre, CTICC, Durban ICC, they’re usually busy throughout the year. In fact there’s a wonderful term that was coined, ‘bleisure’, that is, business and leisure. People come here for a conference, but while they’re here they explore South Africa. Another thing we’ve found is that business tourism brings numbers. It keeps a healthy volume of feet walking through our country, and also touches on other economic areas such as retail and restaurants.

80 BUSINESS EVENTS MADE EASY | SOUTH AFRICA | JOHANNESBURG www.theevent.co.za

JOHANNESBURG THE CITY OF GOLD

Fondly known as the City of Gold, Johannesburg is renowned across the world as the commercial powerhouse of Africa.

Johannesburg is an international business hub with a range of nicknames including Joburg, Jozi and eGoli – the City of Gold. It is the largest city in South Africa, and one of the 50 largest urban developments globally. Originally established in 1886 following the discovery of gold in the region, it is a modern El Dorado; and in the 21st century has positioned itself as the gateway to the business-events industry in Africa.

As the most visited city on the continent, Joburg commands the tourism market with 3.6 million international overnight visitors. According to the 2016 Mastercard Global Destination Cities Index, international travellers’ estimated spend in Johannesburg was around the US$1.73-billion mark.

The City of Gold naturally has a strong business events and corporate meetings

market. The annual Meetings Africa show – an event hosted by the South Africa National Convention Bureau – takes place in Johannesburg each year, while a number of other exhibitions such as the Rand Show, Markex, and the upcoming UFI Congress will be held in the city, too.

Key VenuesIn addition to the following three main venues, Johannesburg also offers a range of unique conference and meeting venues within the city limits and in close proximity; for small, medium, and large events of world-class proportions.

Johannesburg Expo CentreThe award-winning Johannesburg Expo Centre (JEC) is SA’s largest purpose-built exhibition, conference convention and events venue – and one of the city’s best known landmarks. Its conference rooms span 4 000m2, and the venue offers 150 000m2 of space in total,

over 20 000 parking bays, and is 30 minutes from all major airports. www.expocentre.co.za

Sandton Convention CentreTsogo Sun’s Sandton Convention Centre is a leading event venue located in the heart of Sandton – a sophisticated business district in central Joburg. It has a total of 22 000m2 of flexible space, and can comfortably cater for up to 4 500 cocktail guests. It is the annual host of the prestigious Meetings Africa trade show. www.tsogosun.

MOROCCO: CONFERENCING POWERHOUSE

The Kingdom of Morocco has grown in leaps and bounds as a meetings, incentives, conference and exhibition destination.

Thanks to its comfortable location along the Mediterranean Sea it has always been a popular tourist destination for Europeans and Americans, but it is only recently that the government has seen the sector’s true potential and has focused on repositioning Morocco as one of the top 20 tourism destinations globally.

Many European and Middle Eastern congresses take place in Morocco annually, particularly for manufacturing, construction and similar industries. This has seen year-on-year growth in the country’s conferencing realm. In September 2016, Morocco approved US$1.43-billion for the construction of a convention and exhibition centre in the west-coast city of Agadir, according to Morocco

World News. Other projects in Agadir include an aqua park and an amusement park which will create direct employment for 750 people. Most recently, the country hosted its annual B2B event in Skhirat, Meetings Morocco, with almost 100 local meeting planners and 150 international hosted buyers in attendance.

Incentive Travel ProductsA country with a long history in tourism, Morocco has some unforgettable incentive programmes up its sleeve. Bringing Arabian inspiration and heritage together with a splash of Spanish, French and African culture, visits through the labyrinthine medina streets, colourful souks and pristine botanical gardens are a must. Saharan desert treks are also popular, with some DMCs offering adventure experiences

along the same paths of the annual Paris-Dakar Rally. Meet the local Berber people, rock the Kasbahs – quite literally – or opt for a beach vacation in one of the best surf spots in the world: Taghazout.

ClimateMorocco has a pleasant, subtropical climate, cooled by breezes off the Atlantic and Mediterranean. Temperatures in the interior are more extreme with fairly cold winters and hot summers.

RWANDA: RISING STAR IN AFRICA’S EVENTS SECTOR

In recent years, Rwanda has increasingly placed its focus on the opportunities and benefits of the meetings, incentives, conferencing and exhibitions industries,

and as such emerged in 2016 as another strong new player in Africa’s business events arena. In 2014, the Rwanda Development Board introduced Rwanda MICE Tourism at IMEX Frankfurt, with the Rwanda Convention Bureau reporting that the economic potential for the country was “immense”. Total revenues based on business tourism in 2013 were US$49-million, and was projected to triple to US$150-million in 2017.

The last twelve months have truly brought Rwanda to the forefront of the sector, ranking 7th in Africa according to the latest International Congress and Convention Association (ICCA) report. It has also successfully hosted some high-

profile conferences and events including the World Economic Forum on Africa, the Global Africa Investment Summit and the Africa Hotel Investment Forum in the capital of Kigali. According to Rwanda Development Board CEO, Ms. Belise Kariza, Rwanda’s connectivity and security make the country an attractive place for organisers and delegates alike while open visa policies facilitate the flow of incoming visitors.

Incentive Travel ProductsRwanda has placed the spotlight on conservation in recent years, particularly given its extraordinary natural surrounds and incredible gorilla population. The nation’s Volcanoes National Park, Akagera National Park and Ngyungwe Forest are protected ecosystems and many travel to see the world’s only habitat for mountain gorillas, as well as golden monkeys, chimpanzees and other savannah fauna.

Known as the Land of a Thousand Hills; remote, verdant, green lands abound in Rwanda. Places like Virunga Lodge offer exquisite panoramic views of gorillas in their natural habitat at Volcanoes National Park, while many other incentive opportunities – learning the history of tea and coffee, exploring some beautiful lakes, safaris off the beaten track – are just waiting to be snatched up.

ClimateRwanda has a temperate tropical highland climate, and a daily temperature range between 12 and 27 degrees Celsius with very little variation throughout the year. Best times for travel are June to September during the long dry season.

100 THE ICEBERG www.theevent.co.za

THE ICEBERG BUSINESS EVENTS BEYOND TOURISM

What is the Iceberg? Quite simply, it is the fact that the focus of our value proposition as an industry

has been shifting from one based on delegate and organiser spending to the value of what these events actually achieve for organisers, participants and host communities. As simple as it sounds, this in fact has huge implications, because it places us at the very centre of both the global economy and the underlying scientific, professional, academic, business and social advancements that drive it.

As an industry, we are all about facilitating the kinds of exchanges that are essential to knowledge transfer, innovation, collaboration and advancement that make the wheels of the world go around – and that today are proving to be even more important in the face of other forms of information delivery that require validation through face to face encounters.

The new collective view of the industry – and certainly those who actually develop and carry out these events – is that such outcomes are their real purpose and value, however attractive the related spending impacts may be. However, they are also the most challenging to quantify or monetize because they are often long term and based on things like the benefits of knowledge transfer and relationship-building that are hard to attribute to a single factor.

The fact that something may be difficult to precisely quantify doesn’t mean it should be ignored – yet that is precisely what we’ve been doing for decades by focusing on delegate and organiser spending and essentially ignoring what is actually being accomplished. Today’s challenge is shifting the spotlight onto those broader outcomes while still acknowledging the major financial benefits generated by the events we support.

We cannot possibly quantify the range of

benefits arising from every event that takes place around the world but equally obviously don’t need to. Instead, we can provide in-depth analyses of representative events that illustrate these, and use them to demonstrate the broader principles. The events that are documented in this manner will serve both to illustrate those elusive values and as examples of how others can perform similar value measurements in their own events.

At the same time, they will get a great deal of attention, which will bring appropriate credit to those who organised and delivered them.

The outputs and legacies to be identified and quantified in these studies will potentially cover a wide spectrum, from the value of networks and business transactions arising from an event to medical advancements like improved disease awareness, research and treatment practices. Also to be explored are the benefits that hosting events can deliver to the host community, including profiling a particular country or city in connection with key elements of their economic or social agenda or attracting new talent to key sectors.

And with the Iceberg, we have an industry-supported vehicle that is powerfully equipped to tell the story effectively – both as a source of information and resources to members engaged in advocacy and as a communications force with media networks that can open up new audiences.

We have all been hearing about good examples for many years – now is the time to get these on the table and capture these examples in ways that will enable us to demonstrate the broader values to the rest of the world. This is something that will benefit everyone in and around the industry for years to come – a way of securing our collective future by demonstrating to those whose support we need just how valuable our work really is, not just to this industry but in fact to global advancement on so many fronts.- Courtesy of Joachim Koenig, President - the Joint Meetings Industry Council

IntroductionThe South Africa National Convention Bureau (SANCB), a division of South African Tourism, has introduced the Tourism Incentive Programme (TIP). Part of the TIP strategy is to create international market access for South African business-event products and services. The SANCB has created a number of platforms across the world that are subsidised by the Department of Tourism to create business opportunities for destinations. Under the International Market Access Support Programme (IMASP), costs related to accessing new and existing markets through these platforms will be covered.

PurposeDoing business abroad can be costly for small- and medium-sized inbound tourism enterprises, and as such, the TIP will reduce the burden for the likes of accommodation providers, tour operators, attractions and experience providers when participating in predetermined international trade and consumer exhibitions and international marketing roadshows.

South Africa has a number of regional convention bureaux promoting and facilitating the events and exhibitions industry,

as well as the South Africa National Convention Bureau (SANCB), which oversees and facilitates the many business events flowing into the country.

There are three business-event hubs in South Africa, with a number of other regional emerging markets. The Western Cape and KwaZulu-Natal are by far the most popular destinations for mixing business events and leisure, while Gauteng is a natural haven for corporate meetings and exhibitions thanks to its commercial and academic hubs in Johannesburg and Tshwane.

South Africa has an excellent track record of international events including COP17, the 5th BRICS Summit, the 123rd International Olympic Committee Session, and the World Economic Forum. Few other destinations offer such a variety of meetings and incentive options, and it offers over 1 700 meeting venues, international convention centres, top-notch technology and more.

South Africa National Convention BureauHolding the country’s regional hubs together is the South Africa National Convention Bureau, headed up by Chief Convention Bureau Officer Amanda Kotze-Nhlapo. The SANCB has a variety of support services for meeting and event planners, and is able to assist in the bidding and facilitation process as well.

The body offers a number of ways in which to support business events including but not limited to pre- and post-bid support, independent advice for selecting an event destination, government documents, media and promotional support, access to industry and government contacts, convention planning support including site inspections, on-site services and familiarisation trips for buyers.

In late 2016, the SANCB unveiled the preliminary results of a three-year study of the country’s business-events industry at ibtm world in Barcelona. Findings show that approximately half of the delegates interviewed spent between six and ten days in SA, and about half of business delegates are accompanied by one other person on their trips.

“Whilst the business-events industry has a significant economic contribution, the impact thereof is way beyond that of tourism, with an even stronger effect on the knowledge economy. Through this industry, sharing and distribution of knowledge, as well as collaborations, South Africans attending these events gain new knowledge which generates new ideas that lead to innovation and further growth in our economy,” Kotze-Nhlapo said at the research’s initial unveiling.

Cape Town and Western Cape Convention BureauA division of Wesgro, Cape Town and Western Cape Convention Bureau is headed up by Corne Koch. The company promotes one of the most lucrative destinations for business events in SA – the Mother City, as it is fondly known. Last year saw the unit secured 17 bids resulting in an economic impact of almost R400-million. The destination has also retained its ranking as hosting the most international association events in Africa.

“During 2015, Century City Conference Centre opened its doors. Together with the Cape Town International Convention Centre, the Cape now has two world-class facilities which will draw in new business and accommodate more events,” says Corne. “A highlight of 2016 was securing the 2020 World Ophthalmology Congress. The congress will be held for the first time on the African continent. Expected to inject more than R200-million into the local economy, the destination will welcome 15 000 delegates to the convention centre precinct over five days.”

Durban KwaZulu-Natal Convention BureauDurban KwaZulu-Natal Convention Bureau is a partnership initiative of the KwaZulu-Natal Department of

Economic Development, Tourism and Environmental Affairs and the Ethekwini Municipality. The region offers distinctive, world-class experiences for conference delegates with eight main tourism areas for pre- and post-event tours.

In 2016, the International AIDS Conference at the Durban ICC attracted around 16 500 delegates and generated over R800-million for the region. The venue generated a net profit of R32-million in 2015, with a gross revenue figure of R157-million.

“The company contributed R4.6-billion to the national gross domestic product, showing a 47% growth in this figure from the previous fiscal year,” Lindiwe Rakherebe told IOL in early 2016. “The vast majority of this contribution benefited the KwaZulu-Natal economy directly, by adding R4.5 billion to the province’s gross geographic product whilst creating and sustaining 10 874 direct and indirect jobs for the country.”

Gauteng Convention and Events BureauThe Gauteng Convention and Events Bureau (GCEB) is a subsection of the Gauteng Tourism Authority and is headed up by Nonnie Kubeka. The region has seen increased growth in hosting business events, and will in 2017 host a number of high-profile events including the UFI Congress.

“Signature events in the province of Gauteng contribute to the economy in significant ways by attracting large numbers of visitors, thus supporting businesses and creating jobs,” Kubeka told Artslink late last year, and is committed to growing the region’s strength in bidding for world class conferences, association meetings and exhibitions.
