…Is Transforming the Way We Work
§ More than two thirds of information workers use a mobile device for work purposes today
§ Vast majority of corporate networks support employee-owned devices (BYOD) today
§ Majority of information workers collaborate with people outside their organization on a weekly basis
§ File sync and share is the most common use case for bring your own application (BYOA)

Portals and Collaboration/team sites have historically been the
leading use cases for SharePoint. Huge drop here!
FS&S Has High Value as a User Interface/ “System of Engagement”

But FS&S Does Not Address All Users’ (Content) Collaboration Needs § Users need seamless integration with productivity tools (e.g.
Microsoft Office)—especially on mobile devices § Information needs to be more “findable”—with relevant content
pushed or recommended to users in context (“content finds the user”) so users don’t need to search for it. (This helps with expert identification too, and knowledge management.)
§ Users need access to existing enterprise information • FS&S requires information to be uploaded to the cloud before it’s accessible • This means information workers are forced to use multiple UIs/applications
to find/access information

FS&S: Disconnected Content
© IDC Visit us at IDC.com and follow us on Twitter: @IDC 9
§ Content that’s uploaded to the FS&S cloud loses all of its context: • Links to enterprise applications (and other systems of record) • Metadata (when created/changed, by whom; when accessed, by whom; ranking/rating/
commenting and activity via social graph • Access rights • Triggers/workflows/notifications • Any business process context is lost
§ Cloud copy and original copy are two different and entirely unrelated files: • Storage duplication, bandwidth costs • Users are left to organize information to make it more findable using folder hierarchies and
file naming conventions • Users also have to essentially reimplement access rules on the content they upload • The cloud copy can’t be linked back to the original, so the audit trail on the original content
is broken
And FS&S Is Certainly Not a “System of Record”
§ Missing: • Governance and compliance • Metadata management • Workflow • Advanced security
§ Growing awareness of FS&S limitations: • About half of companies say FS&S solutions create new silos of information—
and fresh governance challenges • About half agree FS&S needs to be integrated with ECM systems • Information leakage stories in the press that demonstrate importance of
enterprise-grade security—and the difficulty of entrusting sharing rules entirely to users

Continuum of Content Collaboration Needs

Ad Hoc Semi-Structured Structured
• File sharing with internal/external stakeholders • File syncing—access to personal/team files • Analytics and visibility into file usage
• Secure collaboration • Team sites and business networks • Projects and task management • Analytics and visibility into collaboration
process
• Business process optimization, decisioning • Extending enterprise applications • Access to existing enterprise information
Changing Attitudes About Cloud on the ECM Side

Uuncomfortable storing enterprise content in SaaS or public cloud
Deploying/want to deploy ECM in private cloud
We're moving/want to move to a SaaS ECM solution
Hybrid ECM solution (cloud file sync/share with on-premise ECM) is very attractive
Proliferation of content on team sites is a compliance/governance challenge

ECC
Key Capabilities for an Enterprise Content Collaboration (ECC) Platform ü Ability to support ad hoc, semi-structured and structured collaboration ü High quality user experience that makes users maximally productive—
particularly on mobile devices ü Built-in/seamlessly integrated collaborative capabilities (viewing, authoring and
annotation tools; team site capabilities; tasks and notifications; content recommendations; integrations with social and other tools, etc.)
ü Support for governance and compliance, eDiscovery and legal hold, DLP, etc. ü Integration with enterprise content sources and applications—so companies
can leverage their existing investments and content assets (and in context!) ü Comprehensive analytics and monitoring ü World-class security, to ensure that the most sensitive and confidential
information is always protected—even when downloaded ü Performance, scalability and high availability

Essential Guidance
§ Reset your expectations to reflect broader ECC needs: • FS&S alone is just a point solution—and a new set of silos. As usage
grows, so will your governance and risk challenges. § Choose an ECC vendor that:
• Understands cloud and the convergence of content + collaboration • Can address the full continuum of content collaboration needs • Approaches from a platform perspective. Pick a vendor that provides a
horizontal solution that can be tailored for unique industry needs • Fosters a strong partner ecosystem, locking in future value
