OU Campus Icons Page 1 of 12 Icons Icons Overview The Icons page provides a list of all the icons in the system, their location and functionality. Note that the configuration options for OU Campus allow for great flexibility in the implementation of a site and the site settings including those for users, access, and content management. For example, in OU Campus v10 images can be managed either on the staging server or on the production server. Depending on this setting and others, the site may be configured to only edit pages, but by default, editing content includes page files as well as images that had previously been considered a binary file type. Navigation The Navigation icons can be used to view menus and navigate to specific areas within OU Campus. These icons are located on the top blue bar of the CMS. Not all navigation items are available to all user levels. Icon Description This icon indicates the Dashboard. Click Dashboard to show the Dashboard area, which provides access to the inbox and workflow messaging, and a view of any Dashboard gadgets that have been configured for the user. In the breadcrumb of the Pages list view, this icon indicates the site root, and can be clicked to navigate to the site root. This icon indicates the Content menu. Hover over Content to show the Content menu. Clicking Content shows the Pages list view at the site root. Clicking Content > Pages displays the last browsed-to location in the Pages list view. The items shown on the Content menu depend upon the user level: Pages (All Users), Assets (All Users), Snippets (Level 10) , RSS (Level 10), Find and Replace (Level 10). This icon indicates the Reports menu. Hover over Reports to show the Reports menu. The menu items are dependent upon the user level. Most items are available for Level 9 and 10 administrators: Required Actions, Checked Out Content, Checked Out Blog Content, Pending Approvals, Scheduled Actions, Site Check, Custom Reports, Recent Saves (all levels), and Recent Publishes (all levels). IconsIcons OverviewThe Icons page provides a list of all the icons in the system, their location and functionality. Icon Description

by an administrator. If an administrator has notconfigured Add-Ons, this navigation item is notvisible.

This icon indicates the Setup menu. Hover overSetup to show the Setup menu, which is furtherdelineated into Account Level and Site Levelsettings. Level 10 administrators have access tothe Setup menu.

This icon indicates the Help menu. Hover overHelp to show the OU Campus related supportitems: About, Support, Community, Feedback,and Report an Issue. Click Help to view the OUCampus Support Site.

Global

Icon Description

This indicates the File Navigation sidebar. It isavailable globally, on all main screens, at the topleft of the of the screen and shows or hides theview to navigate the directory structure of the site.

This can be used to hide the File Navigationsidebar.

The Keep Synced icon toggles the functionalityfor keeping the File Navigation sidebar and thePages list view on the same page. When enabled,navigating the directory structure is kept in sync inboth views.

Navigation breadcrumb for the site. This indicatesthe location within the system and content.

This is the icon for Sites. If an account has multiplesites, and a user has the proper permissions toaccess the other sites, this drop-down can be usedto change sites within an account.

This is the Filter field. Many of the screens thatprovide a list view can be filtered. Dependingupon the screen, the filter is pertinent to a specificcolumn or columns.

Pages List ViewThe icons at the top of the Pages list view by clicking Content or Content > Pages screen providefunctionality specific to pages and other content available within OU Campus.

Icon Description

This is the Home icon. While inside any of thedirectories within the file navigation, click Home toview the top level of the site file structure.

This is the icon for Quick Search.

This is the icon for Gadgets. Clicking on theGadgets icon to view the Gadgets sidebar.Gadgets can be setup by a Level 10 administrator.Users can choose which gadgets to show or hideon the sidebar, and on the Dashboard.

This is the New button. Click the New buttonto create new content. This lists the templatesavailable, such as for a new folder, section, orpage.

File Status IconsThese icons are located in the Status column. These icons indicate whether a page is checked inor out, where content is in workflow, or if there is a scheduled action. For more information aboutchecked out content, see:

Checked Out Content

Icon Description

An unlit light bulb indicates that content is checkedin and can be checked out for editing.

A lit light bulb indicates that content is checked outto the current user (the individual currently loggedinto, working in, and viewing OU Campus).

A red lock indicates that content is checked out toanother user. It is possible to hover over the lockand see to whom content is checked out.

A green calendar indicates that content is checkedout to the current user and has been scheduled topublish.

Icon Description

A red calendar indicates that content is checkedout to the another user and has been scheduled topublish.

The universal no sign, a red circle with a linecrossing through it, indicates that content ischecked out and is set for a scheduled expiration,which can be a delete, replace, or redirect.

A blue thumbs up icon indicates that content isawaiting the current user’s approval. The contentneeds to be approved by the current user to bepublished, or by members of the Publishers group,if so configured.

A blue person indicates that the content hasbeen sent by the current user to another user forapproval. The content is in the approval workflow.

File Type IconsThe file type icons are in the column with the Page icon. These icons indicate a generic type of file,such as an image or directory, or a specific file type as identified by extension.

Icon Description

A blank page with a blue box that reads PCF(publish control file) indicates a .pcf file type; i.e.,an editable page.

A blank page with a green box that reads TCF(template control file) indicates a .tcf file, whichhelps manufacture the .pcf page.

A blank page indicates the file type isa .tmpl, .inc, .dtd, .zip, or .html, among others.

A page with a W indicates a .doc, .docx, or otherWord file type.

A page with an X indicates a .xls or other Excel filetype.

A blank page with the source symbol indicates thefile is an .xsl or .xml file type.

Icon Description

A yellow folder indicates a folder or section, whichother files are contained within.

A blank page with braces indicates a .css, .js, .php,or other script file type.

A camcorder indicates a media file, such asan .mp4.

A landscape photo icon indicates the file is animage file, such as a .png or .jpg.

This icon indicates the file is a .pdf.

Edit IconsThe Edit icons are found in the Options column on the Edit menu. The Edit menu items aredependent upon content being checked out or checked in and authority level permissions.

Icon Description

This icon represents the Edit menu for the content.

This is the icon for Edit Page. Click the Edit Pageicon to enter into the Editable Regions view wherea user or administrator can access the editableregions, preview, and access the WYSIWYG

Icon Description

Editor. If content is not checked out, it can bechecked out to access the additional functionality.

This icon indicates Edit Source. Click the EditSource icon to use the Source Editor to edit the fullsource code of the page. Proper access privilegesare required to edit HTML using the Source Editor.The ability to edit using the Source Editor can berestricted for Level 9 administrators.

This icon also represents the Parameters availableunder the Properties in edit/preview mode.

This icon indicates Properties. Properties includethe page parameters such as page title, metadata, configuration parameters, and also providesaccess to MultiEdit Content, Access, and Log.Levels 5–10 have the ability to edit the functionalityavailable with Properties for areas to which theyhave access.

The key icon indicates Access Settings for content.Content can be restricted to a certain group forediting, a specific toolbar can be applied, anapprover set, and other options. Page accesssettings can be accessed from the Edit menu orthe Properties menu in edit/preview mode.

The alarm clock icon indicates Reminders. Ascheduled reminder or stale reminder can be seton content to help a user keep track of and receivea message about content that is time sensitive orneeds to be updated.

Review IconsThe Review icons are found in the Options column on the Review menu. The availability of theReview menu items are dependent upon content being checked out or checked in and authoritylevel permissions. The Review menu items allow a user to preview, compare, view the log, and runpage checks on the content before it is published.

Icon Description

This icon represents the Review menu for content.

This is the Preview icon. Preview allows usersto see content before it is edited and before it ispublished. It is possible to preview the content inall published formats, and as it appears in differentbrowsers across platforms.

This is the Page Check icon. If Page Check isenabled, a user can choose at any time to runscans to check for spelling, link, W3C validation,and accessibility issues. Page Check allows for allchecks to be run with a button click, or selectivelyinitiated. If more than one output type has beenconfigured for a page, then the output type can beselected. A custom dictionary based on languagecan be selected for the spell check.

This is the Save Version icon. Save Version allowsa user to save a version of the page, which maybe used to make comparisons for future versionsof a page, or to archive a version to which one canrevert.

This is the Versions icon. Versions are saved whena page is published, committed with Save Version,and with other actions such as a Find and Replace,and can be used to make comparisons and seethe changes that have been made against a priorpublished or saved version of the page.

This is the Log icon. The Log for a page allowsan administrator or user to view information aboutthe past saves, publishes, and other actionsperformed on a page. Log can also be found underthe Properties menu.

Publish IconsThe Publish icons are found in the Options column on the Publish menu. The availability of thePublish menu items are dependent upon content being checked out or checked in and authoritylevel permissions. The publish options allow a user to publish content and set certain objectives forthe publish target.

Icon Description

This is the Publish icon. Click Publish to publish apage or file, and perform or schedule other actionsassociated with publishing, including optionsfor posting to social media and for sending forapproval options.

This is the Schedule icon. Content can bescheduled for publish and if multi-target publishis enabled, a Publish Target can be chosen. Adate and time for a future publish can be set.Notifications can be set to send a user a notice ofpublish, and social media posts can be scheduledin conjunction with the scheduled publish.

This is the Submit for Approval icon. This open thedialog by which a user can submit the content to anapprover or user for review before publishing.

This is the Expire icon. Content can be scheduledto expire on a specific date and time. Contentscheduled to be expired can be deleted, replaced,or redirected. All levels with publishing rights canuse the Expire options.

File IconsThe File icons are found on the File menu in the Options column. File options give a user the abilityto modify the file name and location, as well as delete the content.

Icon Description

This is the Rename icon. Rename allows the file tobe renamed within the directory. User levels 8, 9,and 10 have the ability to rename a file or directory.

This is the Move icon. Move allows a file to bemoved to a new location within the site. Thefile navigation is displayed and the appropriatedirectory or subdirectory can be selected. UserLevels 8, 9, and 10 have the ability to move files ora directory.

This is the Copy icon. Copy allows content to becopied into the current or another directory. Thefile navigation is displayed and the appropriatedirectory or subdirectory can be selected. UserLevels 8, 9, and 10 have the ability to copy files ora directory.

If a recycle bin is enabled for the site, the icon islabeled Move to Recycle Bin. Recycled pages canbe recovered. If a recycle bin is not enabled for thesite, this is the Move to Trash icon. This deletes thecontent and all versions of the content and cannotbe recovered.

Content MenuThe availability of the Content menu items are dependent upon user level.

Icon Description

This is the Pages icon. Click the Pages icon tonavigate to the file structure of the site that waslast browsed to. Page files and other files can beaccessed.

This icon indicates Assets. Click the Assets iconto navigate to the Assets list view, where existingassets can be edited and new assets can becreated.

Icon Description

This is the Snippets icon. Click the Snippets iconto navigate to the Snippets list view, where existingsnippets can be edited and new snippets canbe created. Available to Level 9 and Level 10administrators.

This is the RSS icon. Click the RSS icon tonavigate to the RSS screen where new RSSfeeds can be configured and RSS groups canbe created. Available to Level 9 and Level 10administrators.

This is the icon for Find and Replace. Click Findand Replace to navigate to the global Find andReplace feature, which searches the site andincludes the ability to use regex. Searched wordsand phrases can be automatically replaced with anew word or phrase. Available to Level 9 and Level10 administrators.

The Trash icon indicates the availability ofthe recycle bin. Files that have been sent to therecycle bin can be viewed in a list, restored, orpermanently deleted, dependent on assignedpermissions.

ReportsThe Reports menu includes the items as listed in the table. Recent Saves and Recent Publishesare available to all levels; the rest of the menu items are available to Level 9 and Level 10administrators.

Icon Description

This is the icon for Required Actions, whichincludes lists of broken pages and out of syncpages.

This is the icon for Checked Out Content, whichlists checked out pages, files, and assets, andincludes status icons to indicate if a piece ofcontent is scheduled for an action or in theworkflow process.

This is the icon for Pending Approvals. Clickto view a list of pages that are in the approvalworkflow. Content can be reassigned to a newapprover from this report.

Icon Description

This is the icon for Scheduled Actions. Click toview a list of pages that have actions scheduled forthem, such as a scheduled publish or scheduledexpire. An administrator can change or cancel thetask from this report.

This is the icon for Site Check. Click to access thesite-wide report that can be run to check brokenlinks and W3C compliance.

This is the icon for Custom Reports. Click toaccess the Custom Reports section that includesa number of reports that can be configured toobtain information about users, directories, pages,dependencies, server, and so on, which cansorted, delimited by date, and exported to CSV.

This is the icon for Recent Saves. This report isavailable to all user levels. Click to view the recentsaves log and view information about the save,such as date and time of the save and the userwho made the change.

This is the icon for Recent Publishes. This report isavailable to all user levels. This report shows a listof recent publishes and includes the date and timeof publish and who made the publish.

Production Server Icons

Icon Description

This is the View icon. This is available for files onthe production server, and opens the file in a newwindow to view.

This is the Rename icon. Rename allows the fileto be renamed within the directory on the publishtarget. Note that if the corresponding staging fileis republished, the original name in use on stagingcontinues to be the file name. User levels 8, 9, and10 have the ability to rename a file or directory.

This is the Move icon. Move allows a file to bemoved to a new location within the site directory onthe publish target. The file navigation is displayedand the appropriate directory or subdirectory canbe selected. Note that if the corresponding stagingfile is republished, the original location in use onstaging continues to be the published to location.

Icon Description

User Levels 8, 9, and 10 have the ability to movefiles or a directory.

This is the Delete icon. Files deleted from a publishtarget are permanently deleted and cannot berestored.
