Preface

What is the Supply Portal?In the past, IBM Global Procurement guests had to keep track of a different userid, password and URL foreach of the Global Procurement applications they used. With new technology, guests can access all ofProcurement’s e-business applications through a specialized Web site called the Supply Portal. Guests canrequest access to the restricted applications they need and navigate to certain public access applications(applications that require no registration or approval) from the user interface provided in the Supply Portal.

From the Supply Portal new guests select Register to link to IBM Registration (IR), where they can obtain aWeb userid/password that enables them to register for any of the Global Procurement applications availableunder the Supply Portal.

When a guest user obtains a Web userid/password in IR, the guest information is stored in an IR DataStore.The guest can then register for restricted applications at the Supply Portal, where information is stored in aDB2 DataStore throughout an application’s approval cycle. That information is used by the portal toautomatically build a customized home page as the guest’s requests for access to applications getapproved. The personalized Supply Portal home page lists links to all of the applications for which thatparticular guest has been registered and authorized, therein enhancing ease of use for guests needing toaccess IBM Global Procurement restricted applications. Guests can invoke any of their applications bysimply clicking the link to the desired application. As long as the applications are in the same realm, guestsonly need to provide their userid/password once during the entire session.

When logging in at the Supply Portal the guest is prompted for a userid/password, which was obtained fromIR. Guests who have not yet obtained a userid/password can link directly to IR. The userid/passwordentered is authenticated against data stored in IR, then the Supply Portal keys on granted-accessinformation stored in the portal’s DB2 DataStore to display the guest’s personalized Supply Portal homepage.

Before an individual guest user can register for a restricted application, both the guest’s company and aguest coordinator within that company must be predefined and registered for the application. All applicationregistration is accomplished through the portal’s graphical user interface (GUI). Guests link to this GUI fromthe Supply Portal home page. The portal also includes a DB2 DataStore where user profiles, companyprofiles, access level definitions and application-specific information are saved.

Role definitionsGuest company. A company that uses the Supply Portal as an external customer (for example, a supplier,subcontractor or contract manufacturer).

Host company. The company that hosts the Supply Portal application and uses the Supply Portal as aninternal customer, in this case IBM.

GuestsVisitor. A Supply Portal user who has not yet obtained a userid and password from the IBM Registration(IR) site. A visitor can access public applications, but cannot access or request access to restrictedapplications.

New user. A Supply Portal user who has obtained a userid and password from the IBM Registration site,but has not enrolled for any of the Portal’s restricted applications.

Regular user. A Supply Portal user who has both obtained a userid and password from the IBMRegistration site, and enrolled for one or more of the Portal’s restricted applications.

Coordinator. A user in a guest company who has the authority to make requests relating to applicationaccess on behalf of users in the same company, as well as to process certain requests regardingapplication access for other users in that company. A coordinator can make and process such requestsonly concerning applications that the coordinator has enrolled.

The functions of the coordinator are discussed in detail in Chapter 3, Coordinator functions.

A word about approval cyclesEach type of request involving access to a restricted application requires approval by one or morecoordinators and/or administrators before the request can be finalized. This is called the approval cycle.

The application owner specifies the approval cycle for an application, thus allowing approval for applicationaccess to be dynamic and flexible. Each application predefines the user roles that must act as approvers inthe approval cycle as well as the order in which each approver reviews a request, according to the type ofrequest and the role of the person who made the request. For example, the owners of the ESI Commodityapplication may specify that these three roles must approve a guest coordinator’s request to enroll a newuser from the same company: the application administrator first, the guest coordinator second, and theportal administrator third.

Each access request generates a pending request that appears to one approver at a time; only the approverwhose turn it is to process the request will be able to see the request.

The approval cycle is transparent to the user who made the request until the final approver in the cycle hasapproved the request. At that time, the requester and the user on whose behalf the request was made (if thisperson was not the requester) are notified of the results by e-mail. If the request is rejected, then theapproval cycle does not continue to the next approver (if any) and an e-mail is sent notifying the requester ofthe rejection.

1.0 Access the Supply PortalTo access the Supply Portal, simply go to this URL on the Internet:

http://www.ibm.com/procurement/esi

This brings you to the Supply Portal Overview page, which is shown in Figure 1.0.

1.1 Access a public applicationSome of the applications under the Supply Portal do not require users to enroll for the application or obtain auserid and password from IBM Registration in order to gain access. These are public applications. Otherapplications require that the user obtain a userid and password and also enroll for the application. These arerestricted applications.

The restricted applications that you have enrolled for are accessed from your personalized My Portal page(see section 1.3, Access your personalized My Portal page). To access a public application, follow thesesteps:

1. Access the Supply Portal as described in section 1.0, Access the Supply Portal.

2. The Overview page appears. Click Public Portal (see Figure 1.0).

3. The Public Portal page appears. Click to open any of the public applications listed, as shown in Figure1.1.

Notes:

� You can also click the icon just to the left of the application name to display any news for theapplication.

� The public applications will also be listed on your personalized My Portal page once you have obtaineda userid and password from IBM Registration (see section 1.2, User IDs and passwords).

1.2 User IDs and passwordsBefore you can enroll for any of the restricted applications under the Supply Portal, you must go to the IBMRegistration (IR) site and obtain a userid and password. You can also change your password, reset yourpassword if you forgot it, and update your IR profile (including your challenge question and the answer tothat question) at this site.

1.2.1 Obtain a userid and password1. Access the Supply Portal Overview page as described in section 1.0, Access the Supply Portal.

2. Click Register (see Figure 1.0). This takes you to the Register page at the IBM Registration (IR) siteas shown in Figure 1.2.

3. In the Authentication settings section of the Register page complete the User ID and Passwordfields, then type the password again in the Verify password field. You can click Guidelines for UserIDs and Passwords to bring up the IBM Registration: Help resources and FAQ page for assistancein determining a suitable userid and password.

In the Challenge question field, type a challenge question that only you can answer. Then, type theanswer to the question in the Answer to challenge question field. Choose a question that is simple toanswer and easy to remember; you may be asked to furnish the answer occasionally to confirm youridentity.

Complete the remaining fields on the Register page. Most of the fields are self-explanatory. The fieldsdesignated in the registration form with an asterisk (*) are required to complete this transaction; otherfields are optional.

Tip: Some fields have an arrow you can click to open a drop-down menu of items to choose from. Thereis an alternate way to complete these fields. Instead of clicking the arrow to open the drop-down list, tabto the field then type the first letter of the item you want and the item will automatically appear. If theitem that appears begins with the letter you typed but is not the one you want, type the first letter againand the next item on the list beginning with that letter will appear. If the item that appears is still not theone you want, continue typing the first letter to progress through all of the items beginning with thatletter until you reach the one you want. Using the up and down arrow keys on your keyboard will takeyou forward and backward through the entire list.

4. When you have finished completing the Register page, click Continue at the bottom of the page. If youwant to clear all fields, click Reset instead. Clicking Cancel returns you to the Supply Portal homepage.

Note: The fields in the Address Information section are not required fields. However, if you completeonly the Country field in the Address Information section, you will be asked to complete the remainingfields in that section after you click Continue.

5. A new Register page appears displaying the information you entered on the registration form. Reviewthe information listed. If everything is accurate and complete, click Continue and you will return to theSupply Portal home page; your registration is complete. It may take up to 15 minutes for your useridand password to become active. If you wish to change or add anything, do not click Continue. Instead,click Change, which takes you to the Change Profile page where you can change any of the personalprofile information listed.

1.2.2 Change your passwordFollow these steps to change your password:

1. Access the Supply Portal Overview page as described in section 1.0, Access the Supply Portal.

2. Click Change Password (see Figure 1.0). This takes you to the Change Password page at the IBMRegistration (IR) site.

3. Type your user ID, current password and new password in the fields of the same name. Verify your newpassword by typing it again in the Verify new password field. The page provides brief guidelines forchoosing an acceptable password. If want to clear what you have typed, click Reset then type in theinformation you want.

4. Click Continue. Another Change Password page appears advising that you may now use your newpassword.

5. Click Continue to return to the Supply Portal Overview page.

1.2.3 Forgot your password?1. Access the Supply Portal Overview page as described in section 1.0, Access the Supply Portal.

2. Click Forgot Password (see Figure 1.0). This takes you to the Forgot Password page at the IBMRegistration (IR) site.

3. Type your user ID, then click Continue. Another Forgot Password page appears, listing your user IDand the challenge question you specified when you originally got your user ID and password.

4. Type the answer to your challenge question and your new password in the fields of the same name.Type your new password again in the Verify new password field.

5. Click Continue. Another Forgot Password page appears advising that you may now use your newpassword.

6. Click Continue to return to the Supply Portal Overview page.

1.2.4 Change your profile1. Access the Supply Portal Overview page as described in section 1.0, Access the Supply Portal.

2. Click Register, Change Password or Forgot Password (see Figure 1.0). This takes you to theRegister, Change Password or Forgot Password page at the IBM Registration (IR) site.

3. Click Change Profile in the navigator of whatever page you came to. The Change Profile pageappears.

4. Change your profile information as desired (for example, challenge question/answer, name, phonenumber, address), then click Continue. Another Change Profile page appears listing both the profileinformation you changed and the profile information that you did not change, and advising that yourchanges have been accepted.

5. Click Continue to return to the Supply Portal Overview page.

1.3 Access your personalized My Portal page1. Access the Supply Portal as described in section 1.0, Access the Supply Portal.

2. Click My Portal (see Figure 1.0).

3. A pop-up window appears prompting you for the userid and password that you obtained at the IR site.Type the userid that you obtained from IR in the User Name field. Type the password you obtainedthere in the Password field. Click OK or press Enter.

4. Your own personalized My Portal page appears, listing the functions you can use (under the UserFunctions heading), and the applications you are authorized to access (under the Applicationsheading). See Figure 1.3.

Note: Until you have enrolled for a restricted application, the only applications listed will be publicaccess applications, which require no enrollment or userid and password.

1.4 Display application newsYou can read news about any of the Supply Portal applications that your company is authorized to access.Follow these steps to display news for an application:

1. Access your personalized My Portal page as described in section 1.3, Access your personalized MyPortal page.

2. Click Search Display Application News under the User Functions heading.

3. A Display Application News page appears. Click in the box to open a drop-down list of applications.Select the desired application then click Display.

4. If the application has no child applications (“sub-applications”), another Display Application Newspage appears displaying any news about the application. If the application has child applications, thepage will display the name of the parent and child applications preceded by a small icon of an arrowinside a circle. Click the icon by the parent application to display news for the parent application, orclick the icon by a child application to display news only for that child.

Note: You can also access application news for public applications by clicking the icon just to the left of theapplication name on your My Portal page (see Figure 1.3) or on the Public Portal page (see Figure 1.1). Asmall icon of two overlapping rectangles preceding the application name means that the application has nochild applications. A small icon of an arrow inside a circle means that the application has child applications.

1.5 Enroll for a restricted application as a new userThere are two ways a guest user can enroll for access to a restricted application. The first and best way isfor the user to provide the guest coordinator with the userid obtained at the IR site, then let the guestcoordinator submit the enrollment request. The second way to enroll for an application is for the usercomplete and submit the enrollment request directly. If the user does not know who the guest coordinator is,the second way should be used.

Letting the guest coordinator submit the enrollment request is the preferred method because it gives theguest company greater control over its users’ access to Supply Portal applications, and the approval of therequest takes less time.

If you are a new guest user and do not know who your guest coordinator is, follow these steps to requestapplication enrollment:

1. Access your personalized My Portal page as described in section 1.3, Access your personalized MyPortal page.

2. Click User New User App. Enrollment as shown in Figure 1.3.

3. A Terms and Conditions page containing the IBM Portal Service Agreement appears. Review theterms of the service agreement. If you agree, click I Agree and proceed to the next step. If you do notagree, click I Disagree and you will link to the Public Portal page where you can access publicapplications (see section 1.1, Access a public application.

4. The New User Enrollment (continues...) page appears as shown in Figure 1.4. Click in the field toopen a drop-down list of restricted applications for which you can enroll. Select one of the applicationslisted then click Continue.

Note: If you don’t see the application you want in the drop-down list, it may be because theapplication’s approval cycle does not allow new users to request enrollment. In this case, ask yourcompany’s guest coordinator to request enrollment for you.

Notes:

� The fields on this page are the same regardless of the application for which access is beingrequested. Your selections on a given New User Enrollment page will determine the number ofsubsequent pages and the fields and/or choices in the fields on those pages.

� The role requested in the Desired portal role field may not be the role assigned. Likewise, thechoices selected or typed in other fields may not be the same as the choices you are assigned.The approvers of the request will make the final decision as to the role and other field choices youare assigned.

6. Depending on the application selected, a second and possibly more New User Enrollment(continues...) pages will appear, each with its own set of fields for which you must provide input. ClickContinue after completing each page.

Tip: Click on the blue, underlined text in the field name to open a field help window.

7. Once you have completed all of the New User Enrollment (continues) pages, the New User EnrollmentFinal Review page appears, displaying the selections you made on the previous New UserEnrollment pages. Review the information listed. If you need to make any changes, click yourbrowser’s Back button until you get to the applicable page, then continue from there until you get backto this step. If everything is correct, click Submit.

8. A final New User Enrollment page appears as shown in Figure 1.6. Make a note of the requestnumber, because having it handy will be helpful if you need to inquire about the status of your request.

You will be notified of the status of your request through the e-mail address you provided on the first NewUser Enrollment (continues...) page. If your request is approved, a link to the application will appear onyour personalized My Portal page.

5. The next New User Enrollment (continues...) page appears. See Figure 1.5. Complete any fields onthis page that have not been prefilled with user information from IR.

i. Type the name of your company in the Company name field.

ii. Click the arrow in the Desired portal role field to open a drop-down menu of roles. Select theappropriate role.

iii. The remaining fields are self-explanatory. Fields designated with an asterisk (*) are required fieldsand must be completed to finish the transaction; other fields are optional. When finished, clickContinue at the bottom of the page.

Chapter 2. Regular user functionsOnce a new user has successfully enrolled for one of the restricted applications under the Supply Portal,that new user becomes a regular user. In addition to having access to a restricted application, there aresubstantially more Supply Portal user functions available to a regular user, as you can see from Figure 2.0.These user functions are described in this chapter.

2.0 Access your personalized My Portal pageRegular users access their personalized My Portal page in exactly the same way as new users or guestcoordinators. Follow these steps to access your personalized My Portal page:

1. Access the Supply Portal as described in section 1.0, Access the Supply Portal.

2. Click My Portal (see Figure 1.0).

3. A pop-up window appears prompting you for the userid and password that you obtained at the IR site.Type the userid that you obtained from IR in the User Name field. Type the password you obtainedthere in the Password field. Click OK or press Enter.

4. If you have never before accepted the terms and conditions of the IBM Portal Service Agreement, or ifthe Ts and Cs have changed, a Terms and Conditions page containing the IBM Portal ServiceAgreement appears. Review the terms of the service agreement. If you agree, click I Agree and proceedto the next step. If you do not agree, click I Disagree and you will link to the Public Portal page whereyou can access public applications (see section 1.1, Access a public application).

5. Your own personalized My Portal page appears, listing the functions you can use (under the UserFunctions heading), and the applications you are authorized to access (under the Applicationsheading). See Figure 2.0.

2.1 Enroll for a restricted applicationYou can request access to any of the restricted applications that your company is authorized for. Followthese steps to enroll for a restricted application:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click User Request App. Access (see Figure 2.0).

3. The Request Application Access page appears. Open a drop-down list of the applications that yourcompany is authorized for, as shown in Figure 2.1. Click the application that you want to enroll for, thenclick Continue.

Note: If you don’t see the application you want in the drop-down list, it may be because theapplication’s approval cycle does not allow regular users to request enrollment. In this case, ask yourcompany’s guest coordinator to request enrollment for you.

4. Depending on the application selected, a second and possibly more Request Application Accesspages will appear, each with its own set of fields for which you must provide input. Click in the Desiredportal role field to open a drop-down list of roles you can choose from. Select the appropriate role.

2.2 Modify your access to an applicationYou can modify your access to an application for which you have previously enrolled. For example, you canask to change your Supply Portal user role.

Follow these steps to modify your access to an application:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click User Modify App Access.

3. The Modify Application Access page appears (this page is very similar to the Remove ApplicationAccess page shown in Figure 2.4). Click in the box to open a drop-down list of the Supply Portalapplications you are enrolled for. Select the desired application then click Continue.

4. Another Modify Application Access page appears. Depending on the application, this page mayinclude common fields, such as Desired portal role, and/or any application-specific fields. Refer toFigure 2.2 for an example of this page. Select or type a different choice in the field you want to modify,then click Continue.

5. Depending on the application, additional Modify Application Access pages may appear, each with itsown set of fields that you may choose to modify. Eventually you will come to a Modify ApplicationAccess page listing your selections on the previous pages. If they are correct, click Submit. If you needto make changes to your selections use your browser’s Back button, make your changes and proceeduntil you get back to this step. Tip: Click on the blue, underlined text in the field name to open a fieldhelp window.

6. A final Modify Application Access page appears listing your request number. Make a note of therequest number, because having it handy will be helpful if you need to inquire about the status of yourrequest.

Note: The role requested in the Desired portal role field may not be the role assigned. Likewise, thechoices selected or typed in other fields may not be the same as the choices you are assigned. Theapprovers of the request will make the final decision as to the role and other field choices assigned toyou.

Complete any other fields on the page and click Continue to proceed to the next page. Tip: Click onthe blue, underlined text in the field name to open a field help window.

5. Once all Request Application Access pages have been completed a verification page appears,displaying your selections from the previous pages. Review the information listed. If you need to makeany changes, click your browser’s Back button until you get to the applicable page and continue fromthere. When everything is correct, click Submit at the bottom of the page.

6. The final Request Application Access page appears (it is similar to the page shown in Figure 1.6).Make a note of the request number, because having it handy will be helpful if you need to inquire aboutthe status of your request.

Once your request is processed you will be notified by e-mail, if your e-mail address is available. If yourrequest is approved, a link to the application will appear on your personalized My Portal page.

2.3 Update your profileYou can easily change your user information that is stored in the Supply Portal. However, the user will haveto go to the IBM Registration (IR) site to change information that was entered there.

Follow these steps to change your user information:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click User Update Profile (see Figure 2.0).

3. The User Information Change page appears, as shown in Figure 2.3. Make any change to your userinformation then click Submit. A new User Information Change page appears confirming that thechanges have been updated successfully.

Note: If you don’t see the changes you made right away, you may first need to click the Reload button ifyour browser is Netscape, or the Refresh button if your browser is Internet Explorer. Closing your browserand then opening it again will also allow you to see the updated information.

2.4 Remove your access to an applicationFollow these steps to request the removal of your access to one of the restricted applications you areenrolled for:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click User Remove App. Access (see Figure 2.0).

3. The Remove Application Access page appears as shown in Figure 2.4. Click in the field to open adrop-down list of the applications you are enrolled for. Select the application you want to remove youraccess to then click Continue.

4. Depending on the application, you may get another Remove Application Access page where youmust make selections to properly identify the application to which access is to be removed. If this is thecase, make the appropriate choices and click Continue to proceed to the next page. Tip: Click on theblue, underlined text in a field name to open a field help window.

5. A second Remove Application Access page appears, listing the application you specified on theprevious page. If this is the application you want to remove your access to, click Submit. If it is not,click your browser’s Back button to repeat the previous step.

6. A final Remove Application Access page appears, thanking you for your request and listing yourrequest number. Make a note of the request number, because having it handy will be helpful if you needto inquire about the status of your request.

Once your request is processed you will be notified by e-mail, if your e-mail address is available.

2.5 Remove yourself from the Supply PortalYou can request that your access to all applications under the Supply Portal be removed. This should onlybe done if you are leaving the company or will never need to use the Portal again.

Follow these steps to request the removal of your access to all applications:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click User Remove User from Portal (see Figure 2.0).

3. The User Deletion from Portal page appears as shown in Figure 2.5. Click Delete .

4. The User Deletion from Portal Reconfirm page appears listing your userid, name and companyname. If you are sure that you want to delete your access to all applications under the Supply Portal,click Reconfirm.

5. A new User Deletion from Portal Status page appears confirming that you will be deleted from allSupply Portal applications shortly and listing your request number. Make a note of the request number,because having it handy will be helpful if you need to inquire about the status of your request.

2.6 Display application newsYou can read news about any of the Supply Portal applications. Follow these steps to display news for anapplication:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click Search Display Application News under the User Functions heading (see Figure 2.0).

3. A Display Application News page appears. Click in the box to open a drop-down list of applications.Select the desired application then click Display.

4. If the application has no child applications (“sub-applications”), another Display Application Newspage appears displaying any news about the application. If the application has child applications, thepage will display the name of the parent and child applications preceded by a small icon of an arrowinside a circle. Click the icon by the parent application to display news for the parent application, orclick the icon by a child application to display news only for that child.

Note: You can also access application news for the applications you have enrolled for and publicapplications by clicking the icon just to the left of the application name on your My Portal page (see Figure2.0). A small icon of two overlapping rectangles preceding the application name means that the applicationhas no child applications. A small icon of an arrow inside a circle means that the application has childapplications.

2.7 Search for a user in your companyYou can perform a search for any member of your company who is enrolled for one or more applicationunder the Supply Portal. Follow these steps to search for an established user in your company:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click Search User under the User Functions heading (see Figure 2.0).

3. The User Search page appears as shown in Figure 2.6. Type any part of the userid (in lower case only)or name of the user who you want to search for in the field under the User Search heading. This field iscase sensitive. Click Search or press Enter.

4. The User Search Results page appears, displaying the name, user contacts and company of eachuser whose name matches your search criteria. If present, click the Next, Previous, Last Page and

First Page buttons to navigate around the search results. These buttons will not appear if your searchresults can be displayed on one page.

2.8 Generate a reportAs a regular user you can generate these reports using the Report Generation function:

� User’s authorized applications (UAA) report� Application’s authorized users (AAU) report� Application’s pending requests (APR) report� Company’s authorized applications (CAA) report� Company’s authorized users (CAU) report� Company’s Pending Requests (CPR) report

This section provides general instructions for generating a generic report. Instructions for generating each ofthe reports listed above can be found in Appendix A, Reports.

Follow these steps to generate a report:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click Search Report Generation (see Figure 2.0).

3. The Reports page appears as shown in Figure 2.7. You can generate any one of the reports above.Instructions for generating each report are provided in Appendix A, Reports.

4. Whichever report you generate, you can return to the first Reports page by clicking Return to: Reportsor your browser’s Back button.

3.0 Access your personalized My Portal pageGuest coordinators access their personalized My Portal page in exactly the same way as new users orregular users. Follow these steps to access your personalized My Portal page:

1. Access the Supply Portal as described in section 1.0, Access the Supply Portal.

2. Click My Portal (see Figure 1.0).

3. A pop-up window appears prompting you for the userid and password that you obtained at the IR site.Type the userid that you obtained from IR in the User Name field. Type the password you obtainedthere in the Password field. Click OK or press Enter.

4. Your own personalized My Portal page appears, listing the functions you can use (under the UserFunctions heading), and the applications you are authorized to access (under the Applicationsheading). See Figure 3.0.

3.1 Process pending requestsThe majority of pending requests that you will process as a guest coordinator will fall into one of thesecategories:

� Enroll a new user for an application (New User App. Enrollment)

� Enroll a regular user for an application (Request App. Access)

� Remove a user’s access to an application (Remove App. Access)

� Modify a user’s access to an application (Modify App Access)

These requests will only be for users in your own company and for applications that your company isauthorized for, that you are enrolled for as coordinator and for which your portal role is designated as thecurrent approver in the approval cycle. For more information on approval cycles see the section in thePreface of this document, A word about approval cycles.

When viewing your pending requests you can determine the type of request by the description in theFunction Requested column under the Pending Requests heading on your personalized My Portal page.The four types of pending requests are handled in basically the same manner, with some minor differencesthat are noted here.

Follow these steps to process a pending request:

1. Access your personalized My Portal page as described in section 3.0, Access your personalized MyPortal page.

2. Pending requests for user access to your application are listed under the Pending Requests heading.Scroll down until you reach this heading, or click x pending requests (where x is the number ofrequests pending your attention) as shown in Figure 3.0.

3. Identify the request you want to process and click the organization and user name (in underlined text) inthe Organization-User name column.

4. The Request Management page for that request appears as shown in Figure 3.1. This page includesthe following sections:

� Request Info: request ID; function requested; requester’s name; requester’s company name; andrequester’s role

� Requested User’s Data: user’s name; user’s company name; and the requested role (if therequest is for access to an application). If the request is for application access for a new user: fieldsto input the requested user’s name; e-mail address; job title; department name; phone number; andaddress.

� Request Data: the application and function requested (for example, New User App. Enrollment);application-specific fields (such as commodity) and the choices made in those fields; current portalrole (if any); requested portal role; assigned portal role; and a box for you to enter your comments

� History (if the request was approved in any previous steps in the approval cycle): the current stepnumber in the approval cycle; the role assigned in the previous step in the approval cycle; the e-mailaddress of the approvers of the request in prior steps; any comments made by those approvers; andthe date each prior approval was made

a. If the request is to add application access for a new user, you can complete any fields in theRequested User’s Data section that were not prefilled. Note: A request for application access froma new guest user (user role 105) must not have any “ibm.com” suffix in the user ID. While it ispossible to approve a request for a user ID with this suffix, the user will not be able to use theSupply Portal. Reject any such requests.

b. If the request is for access to an application, click in the Assigned portal role field to open adrop-down list of possible roles. Select the appropriate role (either regular user or coordinator). Thisfield does not appear if the request is to remove application access. Also, if you are rejecting orholding the pending request there is no need to complete this field.

c. If the pending request is for access to an application that requires the requester to make choices inapplication-specific fields, review the selections made by the requester or last approver (if any) andchange them if necessary. Tip: Click on the blue, underlined text in the field name to open a fieldhelp window

d. Add any relevant comments you may have in the Your comments field. If you reject or hold therequest, these comments will be forwarded to the requester and any previous approvers of therequest.

5. If you want to approve the request, click Approve. If you want to reject the request click Reject. If youdo not want to complete your processing of the request at this time, click Hold. A RequestManagement Status page appears, listing your step number in the approval cycle and the number ofthe next step, if any.

3.2 Enroll a new user for an applicationBefore you can enroll a user in your company for an application, the user must go to the IR site and obtain auserid and password. See section 1.2, User IDs and passwords, for help in obtaining a userid andpassword. You can only request that a user be enrolled for an application for which you yourself areenrolled.

Before requesting access to an application for a user, determine whether the user is a new user (has not yetenrolled for an application) or a regular user (has enrolled for at least one application). If the user does notknow, you can find out by generating a User’s Authorized Applications (UAA) report for the user (seeAppendix A, Reports). To learn how to enroll a regular user for an application see section 3.3, Enroll aregular user for an application. Follow these steps to request application enrollment for a new user:

5. Depending on the application selected, a third and possibly more Request Application Access pageswill appear, each with its own set of fields for which you must provide input. Click in the Desired role

2. Click User New User App. Enrollment as shown in Figure 3.0.

3. The New User Enrollment page appears. Type the userid to register and select an application asshown in Figure 3.2, then click Continue.

Some of the fields will be prefilled withinformation pulled from IBM Registration. Complete the remaining fields on the page, which areself-explanatory. Fields designated with an asterisk (*) are required fields and must be completed tofinish the transaction; other fields are optional. When finished, click Continue at the bottom of thepage.

Note: The fields on this page are the same regardless of the application for which access is beingrequested. Your selections on a given New User Enrollment page will determine the number ofsubsequent pages, and the fields and their valid choices on each page.

5. Depending on the application selected, a second and possibly more New User Enrollment(continues...) pages may appear, each with its own new set of fields for which you must provide input.Once all New User Enrollment (continues...) pages have been completed the New User EnrollmentFinal Review page appears, displaying the selections you made on the previous pages. Review theinformation listed. If you need to make any changes, click your browser’s Back button until you get tothe applicable page, then continue from there until you get back to this step. If everything is correct,click Submit at the bottom of the page.

6. A final New User Enrollment page appears, listing your request number. Your enrollment request iscomplete.

2. Click User Modify App Access.

3.5 Update a regular user’s profileYou can easily change the information for a user in your company that is stored in the Supply Portal.However, the user will have to go to the IBM Registration (IR) site to change information that was enteredthere.

Follow these steps to change the information of a user in your company:

1. Access your personalized My Portal page as described in section 3.0, Access your personalized MyPortal page.

2. Click User Update Profile (see Figure 3.0).

3. The User Information Change appears as shown in Figure 3.7. Open the drop-down list of the users inyour company. Select the user whose information you want to change, then click Continue.

4. A second User Information Change page appears. Make any change to the user information thenclick Submit.

5. A final User Information Change page appears confirming that the changes have been updatedsuccessfully.

Note: In order for you to see the changes you made you must first click the Reload button if your browseris Netscape, or the Refresh button if your browser is Internet Explorer. Closing your browser and thenopening it again will also allow you to see the updated information.

3.6 Remove a user’s access to an applicationYou can request that access to an application be removed for a user in your company. The application mustbe one for which you are also enrolled. The user will still have access to the application until the request hasgone through the approval cycle that the application owner has defined for removing user access.

Follow these steps to request the termination of a user’s access to an application:

1. Access your personalized My Portal page as described in section 3.0, Access your personalized MyPortal page.

2. Click User Remove App. Access (see Figure 3.0).

3. The Remove Application Access page appears as shown in Figure 3.8. Open a drop-down list of theusers in your company who are enrolled for at least one of the applications that you are enrolled for.Select the user whose access to the application you want to delete, then click Continue.

4. A second Remove Application Access page appears. Open a drop-down list of the applications thatboth you and the other user are enrolled for as shown in Figure 3.9. Select the application that you wantto delete the user’s access to, then click Continue.

5. Depending on the application, you may get another Remove Application Access page where youmust make selections to properly identify the application to which access is to be removed. If this is thecase, make the appropriate choices and click Continue to proceed to the next page. Tip: Click on theblue, underlined text in a field name to open a field help window.

6. A third Remove Application Access page appears listing the application name and the user that youspecified in the prior steps. If this information is correct, click Submit.

7. A final Remove Application Access page appears listing your request number.

3.7 Remove another user’s access to the SupplyPortalThe portal provides a feedback mechanism that allows you to send an e-mail message to the portaladministrator to request the deletion of another user’s access to all applications. You should do this if auser has left your company without first requesting to be removed from the portal. After removing the userfrom the portal, the portal administrator shall notify the application administrator for each application the userwas enrolled for so the appropriate action can be taken.

Should you need to have another user’s access to all Supply Portal applications deleted, contact the PortalAdministrator by following these steps:

1. Access your personalized My Portal page as described in section 3.0, Access your personalized MyPortal page.

2. Click Feed Back (see Figure 3.0).

3. A Feedback page appears which you will use to send an e-mail to the portal administrator requestingthe deletion of the user from the Supply Portal. The e-mail address of the portal administrator is providedon the page. Type your e-mail address, the subject of the message and a message specifying whichuser this request is for. Click Send E-Mail to send the message. If you typed incorrect information youcan instead clear the message by clicking Reset Form.

3.8 Remove yourself from the Supply PortalYou can request that your access to all applications under the Supply Portal be removed. You should dothis if you know that you are leaving your company. This function is also available to regular users.

Follow these steps to remove yourself from the Supply Portal:

1. Access your personalized My Portal page as described in section 3.0, Access your personalized MyPortal page.

2. Click User Remove User from Portal (see Figure 3.0).

3. The User Deletion from Portal page appears listing your userid, name and company name (this is thesame page that appears in Figure 2.5). Click Delete .

4. The User Deletion from Portal Reconfirm page appears. If you are sure that you want to delete youraccess to all applications under the Supply Portal, click Reconfirm.

5. A new User Deletion from Portal Status page appears confirming that you will be deleted from allSupply Portal applications shortly and listing your request number. Make a note of the request number,because having it handy will be helpful if you need to inquire about the status of your request.

3.9 Display application newsYou can read news about any of the Supply Portal applications that your company is authorized to access.Follow these steps to display news for an application:

1. Access your personalized My Portal page as described in section 2.0, Access your personalized MyPortal page.

2. Click Search Display Application News under the User Functions heading.

3. A Display Application News page appears. Click in the box to open a drop-down list of applications.Select the desired application then click Display.

4. If the application has no child applications (“sub-applications”), another Display Application Newspage appears displaying any news about the application. If the application has child applications, thepage will display the name of the parent and child applications preceded by a small icon of an arrowinside a circle. Click the icon by the parent application to display news for the parent application, orclick the icon by a child application to display news only for that child.

Note: You can also access application news for the applications you have enrolled for and publicapplications by clicking the icon just to the left of the application name on your My Portal page (see Figure3.0). A small icon of two overlapping rectangles preceding the application name means that the applicationhas no child applications. A small icon of an arrow inside a circle means that the application has childapplications.

3.10 Search for a userYou can perform a search for any member of your company who is enrolled for one or more applicationunder the Supply Portal. Follow these steps to search for an established user in your company:

1. Access your personalized My Portal page as described in section 3.0, Access your personalized MyPortal page.

2. Click Search User (see Figure 3.0).

3. The User Search page appears (this is the same page shown in Figure 2.6). Type any part of theuserid (lower case only) or name of the user you want to search for, then click Search or press Enter.This field is case sensitive.

4. The User Search Results page appears, displaying the name, user contacts and company of eachuser whose name matches your search criteria. If present, click the Next, Previous, Last Page andFirst Page buttons to navigate around the search results. However, these buttons will not appear if yourresults can be displayed on one page.

3.11 Generate a reportAs a regular user you can generate these reports using the Report Generation function:

� User’s authorized applications (UAA) report� Application’s authorized users (AAU) report� Application’s pending requests (APR) report� Company’s authorized applications (CAA) report� Company’s authorized users (CAU) report� Company’s Pending Requests (CPR) report

This section provides general instructions for generating a generic report. Instructions for generating each ofthe reports listed above can be found in Appendix A, Reports.

Follow these steps to generate a report:

1. Access your personalized My Portal page as described in section 3.0, Access your personalized MyPortal page.

2. Click Search Report Generation (see Figure 3.0).

Generate an AAU (application’s authorized users)ReportFollow these steps to create a report of an application’s authorized users:

1. Follow the steps outlined in section 2.8, Generate a report, to get to the Reports page.

2. Click in the Select an Application field to open a drop-down menu of applications that your companyis authorized to use. Select the application for which you want to create the report, then click CreateAAU Report.

3. If the application has no child applications (“sub-applications”), you will see the report of theapplication’s authorized users that is described in step 4. If the application has child applications, aninterim page appears where you must select a child application from another Select an Applicationfield. Select the applicable child application then click Create AAU Report.

4. Another Reports page appears listing users in your company who are enrolled for the application by name, role level, role name, e-mail address and office phone number.

Generate an APR (application’s pending requests)ReportFollow these steps to create a report a an application’s pending requests:

1. Follow the steps outlined in section 2.8, Generate a report, to get to the Reports page.

2. Click in the Select an Application field to open a drop-down menu of applications that your companyis authorized to use. Select the desired application, then click Create APR Report.

3. If the application has no child applications (“sub-applications”), you will see the report of theapplication’s pending requests that is described in step 4. If the application has child applications, an
