The purpose of this research was to design and develop an application for studentregistration, @urse regisfation and grading system on the internet. The Institute ofDevelopment Arts was chosen asi a case study. The Registration system is animportant system for any educational institute. At the present time the Institute ofDevelopment Arts uses a manual system. By computeinng the system the institutecan imFrove the accuracy of the system.
The developed systems can be divided into tnro sections: The applicationsofhnare and the web application.
The Application software, the Institute of Development Arts Registration System(DAR Application), consists of four main modules: New Student Registration,Course Registration, Report Generator and Edit Reference Information. The systemsalso enable users to edit the reference information to increase system flexibility.
The developed web-based application was used to enable other user --students,instructors, executives, and visitors-- to access information from IDAR's Database.
The IDAR Application was developed on MS Access 2000 plafform in bothgraphics user interface and DBMS. Only the Registrar and his staff were allowed toaccess the system. The web-based application was developed by using MacromediaDreamweaver Ultradev.
According to the result of the pilot group that consisted of 5 registrar's officers,L0 instructors and 20 sfudents, the systems enable the user to meet their requirements.
However, the system needs further the design and development in order toincrease its effrciency.

CHAPTER I
INTRODUCTION
l.l Background
Regishation system is important in educationat administration. The system
must give students their grades and bring the instructor and the institution the
instruction evaluation result, which identifies whether the instruction meets the target
or not. This information identifying what improvement needed for the instruction. It
grves the instructors and the institution the way to achieve effectiveness of education.
12 Case Studies: The Institute of DevelopmentArts'
The institute of Development Arts is an educational institute in The Fine Arts
Departmeng Ministry of Culture. It offers the cuniculum of bachelor degree (two
years) for vocational of music and dramatic art graduates. This institute first opens in
the educational year tggg-z}O}. Nowadays, there are 300 students in each year- In the
educational year 2000-2001 it will have 300 new students. The institute expects to
have students totallY 600.
There are three faculties in the institute: Faculty of The Fine Arts, Faculty of
Education Arts and Faculty of Arts of Performance. Students must register not less
than 48 credits to graduate. They are 15 credits of core subject and 33 credits for

selective subjects. Moreover, studenB must write a thesis in the last semester before
graduation. Their result of grade point average must be not less than 2.00 or if they
cannot pass any core subjec! they must amend before register the thesis subject.
Currently, the Institute of Development Arts keeps information of students by
using manual system. Result of study is stored in a Microsoft Excel 97 file and
recorded in diskette size 3.5 inches. Nowadays the computers of the institute is rather
modernized (cpu 550 MHz.) It is a stand alone Pc. The institute does not have the
policy and budget for computer network because they will be relocated into Salaya
district, Nakompratom province in the next few years.
Besides, there is a very limited human resource for the regishation and grade
report system. The only one staff is assigned. The data collecting and grade report
cannot be on time.
LJ Detail of Problem
o13.1lhe Current SYstemts Problem
- The registration system and the grade report system are not
cooperative because the student biography and grade are recorded separately.
- The regisfiar's offrce does not keep student biography. It is not easy
to get the student information.
The instructors do not have their subject's grading information, such
oas subject code, credit and grading system.

132 Grading Problem
- The registrar takes time in grading because he needs all grade report
from each instructor.
- The registrar must find student's name from each subject's gfade
report. Some reports maY lose.
- The registrar has to amend the grade result if it is not clear, for
example, the instructor miss some students in his grade report or the student get an'I"
instead of the calculable grade.
- The core subjects of each major are not similar. They cannot be
calculated in the same method.
1.4 Objectives
To design and develop regishation system in order to reorganize and
computerize the information and documentation of the current registration system

This literature review begins from The Institute of Development Arts' s
history, theory and principle in analysis and designing system for development the
database and related technology, principle of web-designing, and related research,
which had the following details:
2.l Background of the Institute of DevelopmentArts.
The Institute of Development Arts is a higher educational institute of The Fine
Arts Departmen! Ministry of Culture. It organizes bachelor degree in Thai Arts,
Dramatic Arts, Thai and international Musical Arts. The Departuent of Fine Arts
wanted to improve the special professional education since L978. As a resulg the Act
of the Institute of Development Arts was announced in 1998.
The objectives of establishing the institute are:
1. to train Fine Arts, Performance Arts and Musical Arts professional
teachers, artists, academics and administrator.
2. to develop graduate's potential toward personality, Virtue academic and
cultural characteristics.

3. to improve the system of instruction, research which create to the
excellence of art.
4. to improve the administrative system effrciency into the international
standard.
5. to give coordination, social service which be useful to the society and
country.
The Institute of DevelopmentArts is divided into two campuses. One is the
Rector offrce, faculty of Arts of Performance and faculty of Educational Arts located
within Dramatic Arts College, The Fine Arts Deparmen! Rachini road, Pranakorn
dishict, Bangkok 12000. The other is faculty of Fine Arts, which located at area of
Thai futs College The Fine Arts Deparmen! Luangprot Pittayapayat road,
I*adgrabang disrict, Bangkok.
The Institute of Development Arts organized the studying with dual system
and divided into two semesters in one academic year. For one semester, there are 18
weeks including time for examination. Moreover, summer may be opened in 6-9
weeks.
For admission, the vocational graduates inArts Education, Fine Arts and
Performance Arts are selected to admit into these following faculties:
The Faculty Fine Arts has three divisions and subdivisions. There are 78
credits of two-year curriculum. They will receive Bachelor of Fine Arts (B.FA.).

There are fino divisions in the Faculty of Performance Arts. The curriculum
takes two years with 80 credits. The graduates receive the Bachelor of Fine Arts
(B.FA).
There are 4 divisions in the Faculty of Arts Education. The curriculum takes
two years with 84 credits. The graduates receive the Bachelor of Arts Education
(B.Ed.).
Credit system is used in educational evaluation every semester. Registered
students must attend not less thaa SOVo of each class before final examination.
Before their graduation, students must pass their entire subject in their
curriculum structure within the limited t'me. Besides, they must obtain their grade
point average and major core subject grade average not less than 2.00.
22 System Development Process.
Every work system in any field, such as business system or educational
system, is usually complicated and needs cooperation from others. As a resulg the
system development must be organized according to the standard. This is to reduce
complication and mistake in system development.
System Development Life Cycle: SDLC are applied into the system
development as the following steps:
a
a

Puntipa Pochinda Literature Review/ L0
1. System Analysis
It is the step of studying the current system in order to find the current
system's problems and requirements. Situation is evaluated to solve the problems.
2. System Design
The step is to plan the structure of system in general and special characteristics
by explain clearly the detail of each work, for example procedure desigp, inpuVoutput
desrgn and process design.
3. System Development
The step is to develop the designed program as aprototype. The program must
be tested before use in order to prove that it works properly.
4. System Tmplementation
The step is to install the developed program for user. The user must be trained
to use the new systems correctly and effrciently.
5. System Maintenance.
The step comes after the system implementation. The developer must keep
gling advice to the user. The additional requirements and changes must be fulfilled.
The new system must be maintained and improved continuously.
After the requirement is changed, the system needs to improve. The analyst
must repeat the SDLC from the fust step as in the figure 1".

Figure 1 The System Development Life Cycle
According to the figures 1, the system development life cycle can be repeated
in any system development process.
23Database system.
23.l Defrnition
Duangkaew S (2) has defined meaning of "database" that
"... database is the structure of information which consisted of many entities and these
entities must relate together".
Sfuilak R (3) has given the meaning of database that "database is
composed of details of related data which using in many worts, such as the bankwill
keep daabase which concerning with deposit, credit or the hospital will set database
toward record of patients, expert doctor etc. These data will be systematic keep for
efEcient using and organizing.
a

a
Puntipa Pochinda Literature Review/ 1.2
lhe two psaning of these two scholars can be concluded that
database is many information which related together and keeping systematically for
using with efficient which help to:
1. Reduce complication of data.
2. Avoid some conflist of data.
3. Share information
4. Keep data in the same standard.
5. Provide data security system
6. Keep data validation
7. Maintain data integrity
For easily organizing database, Database Management Systems-
DBMS is invented to confiol the construction and calling data for report and adjust
structure of controlling, or it is a media between datq user and any application
progfirm.
232Database Model
Sirilak S(2) divides model of database into three categories:
L. Relational Database, which keeps the data of entity in two
dimensions of table model. There are rows il1d solrrmns.
The relationship of data between tables links by using atfiibute within
two tables.

2. Hierarchical Database
Sfructure of hierarchical database is the structure for keeping data
in the form of Parent and Child Relationship Type (PCR tJpe). This data is record,
which consists of field value in an entity.
3. Network Database
Network structure consisted of categories of record and data group
of record, which are the same as relational and hierarchical database. Relationship
between categories of record in database was called set type
Model of relationship database was selected in this research for
system development because this model is widely used. This concept is easy for the
researcher to understand.
o
o 2.4 Principle of VYeb Design
2.4.1 What is Hypertext or Hypemedia?
The name hypertext or hypermediq has been applied to networks of
nodes (also called articles, documents, files, cards, pages, frames, screens) containing
information (in texq graphics, video, sound, and so on) that are connected by links
(also called pointers, cross-references, citations). Hypertext is more commqnly
applied to text-only applications whereas hypermedia is used to convey the inclusion
of other media, especially sound and video. (4)
--ffi
o

a
Puntipa Pochinda Literature Review/ L4
The intrigue of hypertext is that it extends traditional linear text with
the opportunity for jumping to multiple related articles. Convenient backtracking,
clickable indexes and tables of contents, string searching, bookmarks, and other
navigation tools profoundly alter the reader's experience. Hypertext authors need to
choose appropriate projects, to organize their articles suitably, and to adjust their
vniting style to make the best use of this new medium.
2.4.2site design and navigation - Background theory
User interface navigation comes from the desrgn of the user interface
in a 'spatial" metaphor. With increasing size and range of content available, it quickly
becomes difEcult to clearly display all this information on a single computer screen at
any one time.
Content is therefore organized in groups viewed on a ntrmber of
different screens, which the user needs to move between. How the content is
organized, indexed and presented across screens is the main concern of site navigation
design.
2.43 User navigation process
Navigation is not necessarily straight-forward or intuitive, despite its
parallels with the real world. It involves a range of mental & physical tasks for users
including:
Understanding where you are,
Working out where you want to go,
Planning a "route" to get you there,
I
o
o

- Carrying out this plan, via interaction with the UI
- Evaluating the success of your navigation
- Is your new location where you expected to be ?
- Is this closer to your destination ?
- sites must be designed to effectively support ttrese user tasks. (5)
2.4.4 Screen Resolution and Size
Since the web can be used on multiple pladorms, with varying screen
resolutions (from 640 x 480 up to 1M8 x 760) and with color depths varying from
black and white all the way to 32bit color, a designer needs to be very careful in the
way they destgn their layout. There is some recommendation about resolution and
size:
- Design for the smallest standard screen which is:
- Macintosh size (Macintosh screen area is smaller than Wintel
machines) 595 pixels wide by 295 pixels high
- 14 inch monitor (640- x 480 pixel area)
- 256 colors
- Start your design in black and white to ensure readability for persons
with color deficiency
- Include ALT tags on all image files to ensure that people using text-
only browsers or special readers (ie blind or sight deficient users) are
still able to access the information provided in your pages. (6)

information service system for the registrar's ofEce, Faculty of Science, Mahidol
University. The information system was designed as a case study for the Student
Atrafus Unit's student evaluation system. The results of this research are a prototype
of the database system and intranet system. The program can perform efEcient
calculations and data processing. As for the intanet system, a service can be provided
to students for online access to sfudy results via the Internet as well as an electronic
registering form.(7)
25.2 Ampai Vanasint: 'A Development of Education Information
System via the Internet Case Study: Rajabhat Institute Surin'
This thesis was to develop information system for an education
institute. The system could be used via the Internet. The information consists of the
public information and the information of registration and grade announcement for
students. There is a checking system which verifies student status before the service
can be used. For the registration service, it can check the completeness of data and
record data on the database automatically. The system can reduce paper work,

Figure 2 workflow of the current system
The figure 2 describes that the staff receives the new student biography in
their admission. Studenb must give him their coursie registration information in each
semester. After the teacher gles his class evaluation result to the registration staff,
the students get their grade report in that semester. The staff also gives the
management some statistics of student and grade report conclusion.
As a result of this the staffmust keep all information apart. All information are
stored in document files. When the information volume increases, the staffmust work
harder to re-organize the files to keep it reachable.

DISCUSSION
The research has been developed in accordance with the objectives, the scope
of study, and the expected result. This chapter presents a discussion on the result of
this research in term of the research and relevant methodology, appropriation of the
tool, limitation of the new system, problem during the research and recommendations.
5.1The Result of The Research and Relevant Methodolory.
The selected methodology for this research is SDLC (Sofhnare Development
Life Cycle) that brings into these following results.
From system analysis, the researcher found that the process of work starts
from entering student admission information and ends at giving reports to the user.
After all student information is available in the system, the registrar can let students
register their courses. The grade result in each class is the last input into the process.
Grade report can be generated according to all of mentioned input.
The design step is divided into three parm: application design, web application
desrgn and database design. After the application and web pages, the
developer can design the database using relational database approach to support the
capability of designed applications.

In the implementation step, the process of work starts from preparing the
necessary reference information in the system. The stored information is migrated into
the new system and the additional information is added.
52 Appropriation of lhe Tools
52.1 Database and Application Tool: Microsoft Access 2000
The reason of using Microsoft Access 2000 as the DBMS of the systems
are as the following:
L. It is a famous DBMS. There are many tutorials and articles describe
how to use it.
2. It is developed in the pladorm of Mcrosoft Windows, the popular
Operating system that is widely used anywhere, especially in the
institute.
3. The cost is not expensive.
4. The database size is small that make it easy to store.
5. The preliminary graphic user interface tool is provided. The developer
does not need to develop the interface using any other tool.
6. The DBMS supports ADO so the further development is available.

t
Funtipa Pochinda Discusion / 52
' The disadvantages of the selected DBMS are:
1. It is not a free tool. The user must pay for software license.
2. T\e provided graphic user interface tool is not flexibte.
3. The size of the database is limited at a million records while the storage
record are eight thousand record a year. As a result, the database
cannot be use for a long time.
5 2.2 W eb Development Tool
The tool for web development is Macromedia Dreamweaver UltraDev.
The tool is flexible and allows developer to use ASP script and connect to the
database easily. As the resul! the web application can be linked ssamlsssly to the
database.
53 Limitation of lheApplication and YtlebApplication
The IDARApplication is developed using McrosoftAccess as the application
and database tool, so the reports from the systems must be in the limited format of MS
Access, which is not much flexible.
The web application must be nrn on the ASP-enable web server so the
database is accessible.
Both applications must be in the Microsoft Windows Pladorm.

5.4 Problem and Recommendations
1. The Institute of Development Arts is a new educational institution. The
@urse and the cuniculum structures were not complete so the referetrce
information could not be completed. According to this reason, the
development testing and implementation must be postponed.
2. The information teller could not gather all requirements. The authorized
Registrar and her staff did not agree in some process so the decisions were
late.
3. The reports of the system were not well defined, such as the student
transcript format. After designing and developing the reports, they must be
verified by the Institute Council, which takes a long time.
4. The date format in report is based on the computer's regional setting. If the
setting is changed, it may affect to the report.
5. The books described how to use Macromedia Dreamweaver Ultradev are
not good. The manual and Help of the tool is not well described. ASP
knowledge is required for further development.

6.1.2 The Web Application Evaluation ftom Usere
After using the Web Application, the pilot users (30 users) give the
following results.
Table 24Web Application Evaluation Result
Th9 result from table ?i,the pilot users of IDAR Application seem to be
satisfied on the application. However, they still need improvement for their work
efEciency.
In Table 24the most satisfied module for student is Grade Result, which
report the student's grade in a semester. The new student statistics for executive seem
to be unable to meet the user's satisfaction.
There are some modules that should be modified to fully meet user's
satisfaction.

6.2 Conclusion
The Application sofhrare, IDAR Application, @nsists of four main modules:
New Student Regishation, Course Registration, Report Generator and Reference
Information. The system enables user to edit the reference information to increase
system flexibility.
The developed web-based application enables the other user: students,
instructors, executives, and visitor to access the information from IDAR's Database.
The IDAR Application is developed on MS Access 2000 pladorm in both
graphics user interface and DBMS. Only the Registrar and his staffare allowed using
it. The web-based application is developed using Macromedia Dreamweaver
Ultradev.
The result of the pilot group consists of 5 registrar's ofEcers, 10 instructors
and 20 students. The systems enable the user to meet their requirements.
However, the system is able to further the design and development in order to
increase the efEciency of the systems.
