How to Use the Naming Tool – User Instruction Guide The ProjectWise Document Naming Tool is custom functionality, which enables a user to generate the correct name and description for a document by selecting key attributes. The tool also advises the user as to the correct PW folder to use and notes if it appears the document is being saved in the wrong location.
There are two main instances when the tool would be used: when creating a new document and when renaming an existing document.

Section 1 – New Document Creation Save your document and check it into ProjectWise normally. 1. At the Wizard selection screen,
choose the Advanced Wizard button.
2. Click the OK button. Note: If this screen does not appear, you have set a wizard to default. To change this setting, see Section 3 – Change a Document Wizard Default.

3. The Advanced Document
Creation Wizard opens. Click the Next button.

4. Select the target folder of where

6. Click the Classification down
arrow. 7. Select the Classification for the
document from the list.

8. Click the down arrow button for
the Discipline field and choose a discipline.
Note: For the Classifications which do not have other Disciplines or SubDisciplines, the “Discipline” and ”SubDiscipline” attributes will automatically be filled in with the same value as the “Classification” attribute but enclosed in brackets. 9. Click the down arrow button for
the SubDiscipline field and choose a subdiscipline.
10. The Project ID field will auto populate with key number based on pervious folder selection. Note: This can be modified for construction numbers or structures numbers as identified by the document list.
Note: The Classification, Discipline, and SubDiscipline fields are dynamic, which means selection in one field dictates available options in the next field. The fields must be completed in the order of Classification, Discipline, and SubDiscipline.

11. Click the date checkbox if a
document name requires a date. Note: For the documents which require a date in their names, the “Date” checkbox is automatically selected, and the “Suggested Document Name” value will automatically include today’s date.
12. Click the down arrow for the
Document Description field and choose from the list.
Note: The documents listed are available based on the type of subdiscipline selected. If a document is not listed check the PW_DocumentNameList.pdf, if the file does not exist use <Title> Miscellaneous Document <Add additional Info> and notify your Region Admin.

13. Click in the Suggested Document
Name field. A name based on field selections will be generated based on the document list.

14. The PW Folder field is automatically populated with the name of the folder where the document should be stored (based on the previous selection).
15. The Note field will prompt the user if the document is saved in the wrong folder.
Note: For documents showing the incorrect folder, use the Back button to correct and then complete steps.

16. To rename the document, right-
mouse click on the Suggested Document name field.
17. Select Copy from the list (or use the hot key CTRL+C).
18. Click the Next button twice.

19. Right-mouse click in the New
document name field. 20. Select Paste from the list (or use
the hot key CTRL+V). 21. Click the Back button twice and
repeat the steps to cut and paste the Description for the new document.

24. Click the Finish button. The document is now saved in ProjectWise with the correct name.

Section 2 – Existing Document Renaming 1. Select the document to be
renamed and right-mouse click on the document.
2. Select Properties from the menu.

3. The Properties window appears.
Click the Attributes tab.

the Classification field. 5. Choose a Classification from the
menu.

17. The newly generated document
name is now in the Name field. 18. Repeat the copy and paste steps
between the Attributes and General tab for the Description field. Always Save changes if prompted with a dialog box.
Note: Descriptions are mandatory and any text bracketed (i.e. <add more info >) requires the user to enter the correct text. Any additional description needed must be entered at the end of the existing description text.
