WelcomeHockey World League Antwerp 2015 cordially welcomes you as a volunteer.

This info-brochure will guide you through the organisation of this important top hockey

tournament and will shed a light on the relevant guidelines and arrangements.

The tournament will take place from 20 June to 5 July 2015 at KHC Dragons at Brasschaat.

It is not only the semi-finals of the World League 2015 but also a qualifying tournament

for the 2016 Rio Olympics.

You are indispensable to the success of this event and all worth your weight in GOLD.

We want to show our gratitude by offering you some advantages.

You will be able to watch the matches before and after your “working hours” you will

have free access to the Volunteer Stand.

You will also have free access to food and beverages while on duty.

On top of that you will receive a Volunteers Shirt and during spare time you will have

access to activities in the fringe of the tournament. And there is more to come ….

Access to tournament venue

• KHC Dragons is accessible by public transport, car, bike or foot. No cars are allowed in the

park surrounding the sports grounds.

• All information related to public transport, the exact locations of carparks and bike parking

facilities is available at http://www.road2rio.be.

• Car-pooling and cycling is highly recommended.

What to do at arrival

• Upon arrival at the tournament venue check-in at one of the ticket offices, you will receive a

personalised bracelet or badge which grants you access. Please note that this identification

tool is strictly personal, misuse can lead to expulsion from the tournament premises.

• After entering the tournament premises follow the signs leading you to the Volunteers Area

where you will receive all relevant information.

Volunteers Area

• Info Desk Here you will receive your Volunteers Shirt. While on duty you are expected to

wear it. Treat it with care during the whole event. You will receive detailed instructions

regarding your tasks as well as food and beverage tickets. We will verify whether

your signed volunteers agreement/contract is in our possession; if not the necessary

arrangements will be made on the spot.

• Time out The Volunteers Tent offers the possibility to relax, take a breath and have a

sandwich and drinks. Dressing rooms with lockers and sanitary facilities are available. Avoid

taking any valuables. In no event shall the organisation be liable for any damage.

• Meeting with team leader At the Volunteers Area you will be met by the person responsible

for the team which you are member of.

Volunteers Stand

• To the extent possible, with the exception of the finals, volunteers “off duty” can attend

matches using the Volunteers Stand, which is exclusively for their use. Please always

closely co-ordinate attendance with your team leader

Insurance

• Each volunteer is insured for his/her activities during the Hockey World League Antwerp

2015. In case of an incident please report immediately to the Info Desk at the volunteers

area or call 03 331 99 90 or mail [email protected]

What to do in case of illness or unforeseen circumstances?

• If you are not able to meet your commitments please immediately inform the Volunteers

General Guidelines National Anthems

• Be respectful when national anthems are played; face the national flags, remove your cap

and be silent.

Smoking/alcohol/drugs?

• We promote a smoke free event; while on duty refrain from smoking.

• Use of alcohol (and drugs) while on duty is strictly prohibited.

Dress code

• Each volunteer will receive a Volunteers Shirt which will be worn while on duty. The

organisation values and promotes a professional and uniform appearance and requests all

volunteers (to the extent possible) to adhere to that principle.

• Foot-ware: flat and closed

• Long trousers, Bermuda shorts or skirt: jeans (blue), white or beige.

• You can wear your Volunteers Shirt over a white or dark blue T-shirt or sweater.

• Jewelry: avoid wearing or carrying any valuables.

Identity cards

• Make sure you always have your ID card at hand at any time.

Press and media

• When approached by a member of the press, please direct him/her to the Press Centre.

Be flexible

• If the need arises you could be asked to perform other or additional tasks in which case we

would appreciate your understanding and co-operation to assure a flawless organisation of

the event.

Be friendly

• Volunteers are both the backbone and “face” of this event. Always be approachable, friendly

and helpful.

Be respectful towards athletes

• The participating hockey teams have gone through a tough preparation period and are keen

to perform at their best. Please respect the rest and focus of players and their support staff

at any time.

Be accurate

• Our organisation is built on the dedication of many volunteers. In order to assure a smooth

operation please always be diligent and accurate.

Be discrete

• During the whole event please handle internal information and personal footage discretely

Expenses

• You are not allowed to incur any cost on behalf of the organisation.

Health and safety FIRST AID

• You may be witness to an accident; it is important to know where the First Aid Post is

located (see map).

• First Aid Emergency number: ……………

• Accompany injured person to the First Aid Post.

• Call First Aid Emergency number for assistance if the injured person is immobile.

Safety

• Always be vigilant regarding you own safety and that of others.

• Be helpful and intervene when necessary and possible.

• Familiarise yourself with emergency exits and escape routes.

• In case of emergencies follow instructions.

Don’t turn your back. Your help is indispensable.

Before my first shift, I go through the following checklist:

• Am I fully familiar with my assignment and tasks?

• Have I filled out, signed and delivered the volunteers contract?

• As a non-resident in Belgium, have I registered with Limosa?

• Can I reach the event venue timely, what means of transport do I use?

• Do I have comfortable shoes?

• Do I know where to register and which documents are required?

• Do I know where I can relax between shifts and have a bite to eat?
