Heiler Business Catalog7.1 4
1 Heiler Business Catalog
1.1 Overview
These Release Notes describe the new features in Heiler Business Catalog 7.1, which are
a perfect complement to Heiler Enterprise Catalog Procurement 7.
This particular use of the enhancements contained in Heiler Business Catalog 7.1 warrants a
more simplified ordering process.
Fig. 1: Interaction of the new features in Heiler Enterprise Catalog Procurement
Heiler Business Catalog
Heiler Business Catalog7.1 5
Users can search all public catalogs without having to log into the system; they do not have
to log in until it is absolutely necessary to do so.
After login, the user placing the order can access not only public catalogs but also all
organization-specific catalogs, which contain specifically negotiated prices and the entire
range of functions. Some of the new features in Heiler Business Catalog 7.1 include the fast
entry function for item numbers, the upload and download functions for shopping carts,
and the PDF display function for shopping carts, item comparisons, and detail views.
If the user is not logged into the system, does not have any login data, and does not want
to receive such data, he or she is simply using Heiler Business Catalog to make inquiries.
Such users, known as inquiry users, can download the shopping carts or save them as PDF
documents.
If a user does not have any login data, he or she can complete and submit the registration
form. This is how a newly registered user requests login data. However, the relevant
administrators must first decide whether or not to accept this registration request. Then, the
next time the user logs in, he or she can upload the previously downloaded document
directly to the shopping cart.
In addition to an enhanced range of functions, a mobile version of Heiler Business Catalog
is available as of Heiler Business Catalog 7.1.
The new version of Heiler Business Catalog, Version 7.1, supports the latest database
versions from Microsoft and Oracle
as well as the latest Microsoft Internet Explorer, Mozilla Firefox, Google Chrome, and Apple
Safari browsers.
Detailed information can be found in the System requirements section.
1.2 Functional enhancements
This section summarizes the most important functional enhancements that have been
added to Heiler Business Catalog 7.1.
Please refer to the manuals for operating instructions for the individual features and
functional enhancements.
1.2.1 “Late login”
“The Amazonization of purchasing” continues to make its way into e-procurement. In large
market places, for example, it is common practice not to log in until you want to place an
Heiler Business Catalog
Heiler Business Catalog7.1 6
order. This option is now available in the new version of Heiler Business Catalog. The user
can browse all catalogs, products, and services, and obtain information without having to
log into the system.
As soon as a user wants to place an order, he or she can log into the system, or if the user
has not yet registered with the system, he or she can register first and then authenticate
himself or herself to the system.
Heiler Business Catalog can also run in “late login” mode. This means that users can search
public catalogs without first having to log into the system. A restricted version of Heiler
Business Catalog is available to the user for the duration of the anonymous search.
Its scope is restricted to those functions that are essential to the ordering process. The user
can search or browse for items and then add them to the shopping cart.
Fig. 2: “Late login”
As soon as the login data is known, the user can place the order directly from the shopping
cart.
1.2.2 Fast entry
Many users order the same items on a regular basis and therefore know their item numbers
by heart. Therefore, to accelerate the ordering process, a fast entry function is now
available in Heiler Business Catalog.
Heiler Business Catalog
Heiler Business Catalog7.1 7
The user enters the individual item numbers and the required quantities in the fast entry
form. While entering this information, the user immediately receives a status message for
each item:
» The short description is displayed for items that can be ordered.
» Item numbers with notes attached, which are marked with an exclamation mark,
can be revised on the Fast entry screen or later in the shopping cart. Examples
include:
» You need to select a storage location.
» You need to enter further information about a configurable item in a
separate form.
» Incorrect item numbers, which are marked with a red X, can be corrected
immediately. Furthermore, after the items are transferred to the shopping cart, you
have the option to search for all incorrect items.
Fig. 3: Fast entry
The collective entry function can be used for larger data packages. Such packages can be
inserted in a single step by copying all required item numbers and order quantities from a
document.
Individual item numbers are validated in the same way as before.
Heiler Business Catalog

Fig. 4: Collective entry
Irrespective of whether item numbers are entered using the fast entry or collective entry
function, all products that can be ordered and all item numbers with notes attached are
transferred to the shopping cart.
After the transfer, the user is told how many item numbers could not be transferred.
Heiler Business Catalog

Fig. 5: Message: item assignment
The user can decide how to deal with items that cannot be assigned:
» The assortment can be searched for these item numbers.
» Item numbers can be corrected on the Fast entry screen.
» Incorrect items are ignored and not added to the shopping cart.
1.2.3 Download and upload functions for shopping carts
The ordering process has been further simplified by the addition of download and upload
functions for shopping carts.
1.2.3.1 Download
In future, entire shopping carts can be downloaded as CSV files, which can be used to
simplify future ordering transactions.
1.2.3.2 Upload
Downloaded shopping carts or additional text files that contain item numbers and
quantities can be uploaded directly to the shopping cart.
Fig. 6: Uploading documents to the shopping cart
As is the case with fast entry, the item numbers are checked against validation rules and an
appropriate status message is displayed.

1.2.4 Option to save PDF documents
Having the option to save PDF documents in Heiler Business Catalog enables users to
quickly and easily forward information in a way that is already known to the user. This
information can be viewed on any computer, regardless of the operating system.
In Heiler Business Catalog, PDF documents can be created for detail views, item
comparisons, and shopping carts.
1.2.5 Single Sign-On for SAP
Single Sign-On is now even easier to use. In an SAP NetWeaver Portal, automatic
authentication saves the user from having to log into the system manually. Here, an SAP
Portal ticket is used to fully integrate automatic authentication into the existing corporate
landscape.
Fig. 7: Single Sign-On for SAP Portals
1.2.6 Interfaces
The redesigned Heiler Business Catalog interfaces are proof of how an increasing number of
B2C functions are being used in B2B.
Heiler Business Catalog

Detailed product descriptions, item attributes such as top sellers, and favorites marked with
an asterisk can be displayed in the results list with the purpose of making the greatest
amount of information available at a glance.
Fig. 8: Favorites in the search results list
Dwell times in the application can therefore be shortened further because a large amount
of relevant information is already concentrated and made available here.
1.2.6.1 New home page
The home page has a fresh new look, thus bringing Heiler Business Catalog one step nearer
to complete “Amazonization”.

1.2.6.2 New login screen
The new-look login screen contains several usability enhancements, with a particular focus
on security.

A telephone number and e-mail address can be provided under “Support” so that users can
receive answers to any questions they may have.
In addition to the password change option, users can now request a new password if
necessary.
1.2.6.2.1 Resetting your password
If a user wants to reset his or her password, this can be done by providing the following
information: user name, e-mail address, and organization. The user will then receive a link
that will enable him or her to specify a new password.
1.2.6.2.2 Registration
A user can register with the system by completing the registration form and agreeing to the
General Terms and Conditions.
Fig. 11: Registration form
The relevant administrator will then receive the registration request and can choose to
assign the user to an organization or to reject the user:
» If the user is assigned to an organization, he or she will receive an e-mail containing
the relevant login data for the system.
Heiler Business Catalog
Heiler Business Catalog7.1 14
» If a user is rejected, he or she will be informed by e-mail that they are not allowed
to access the system.
In “late login” mode, potential customers can search for the products they need and then
register with the system if they wish to place an order.
1.2.6.2.3 Password security
Security and compliance are key concerns of companies. Because Heiler Business Catalog
7.1 is in-house software, it guarantees a high level of password security.
However, it is the responsibility of the relevant administrators within a company to create
and enforce a password policy. Heiler Software AG simply provides some guidelines in
relation to such policies.
Below is a list of possible password requirements.
The password …
» must be changed after a defined period of time
» must contain a defined number of characters
» must be different across a defined number of generations
» will be locked after a defined number of failed logins
» must be changed after the user logs into the system for the first time
» must not be the user name
» must contain at least one uppercase letter
» must contain at least one digit
» must contain at least one special character
In the case of SAP SRM and SAP ERP organizations, password security continues to be the
responsibility of the connected SAP system.
1.2.7 Mobile Heiler Business Catalog
The ability to search, find, and order products on the move is becoming more and more
appealing to companies.
The latest version of Heiler Business Catalog has a platform-independent view that has been
optimized for tablets and smartphones, thus making it possible to order work-related
products from anywhere.
Heiler Business Catalog

Fig. 12: Mobile Business Catalog
Mobile Business Catalog contains a simplified version of the most important functions
within our procurement solution. Users can search for the items they need, navigate
through all available catalogs or comb through their favorites list as usual. Before they add
items to their shopping cart, they can view each item in the detail view, which contains all
known content relating to the item. All of this happens intuitively, without the need for any
additional training.

3 Heiler Catalog Intelligence
3.1 Overview
Heiler Catalog Intelligence is a brand new solution developed to provide transparent
evaluations and analyses in the area of indirect material procurement. This solution
facilitates clear processing of structured information as the basis for decision-making, with
the specific aim of minimizing business risks. Sound conclusions enable costs to be reduced,
bringing an immediate positive effect to both the department concerned and to the overall
operating profit.
Heiler Catalog Intelligence is aimed at strategic and operational purchasing and is an easy-
to-operate tool. Purchasing managers, buyers responsible for catalogs and product groups,
and content quality managers will all derive a clear business value from the application.
Fig. 13: Heiler Catalog Intelligence
The Dashboard provides a central overview of company-wide procurement processes,
which is particularly useful for purchasing managers. Employees' ordering behavior is made
transparent, enabling personnel resources to be managed more effectively, and cutting
purchase prices and process costs.
The Global Spend Map provides an overview of the system-wide purchasing behavior of all
parties involved and which departments, for example, have the most procurement activity.
This ensures the transparency of critical cost pools for different product groups and allows
full cost control of their procurement.
Heiler Catalog Intelligence
Heiler Business Catalog7.1 19
The Negotiation area supports buyers in preparing for negotiations with suppliers, thus
enabling them to focus on key product groups during their preparations. Important supplier
trends can be identified at an early stage, allowing preventive cost-cutting measures to be
implemented.
To increase confidence in the prices and assortments resulting from supplier negotiations,
the Simulation area can be used to compare actual procurement data with newly
negotiated prices and to simulate future procurement costs. The resulting knowledge of the
financial impact of price changes enables accurate budgets to be planned with confidence
and helps to minimize business risks in particular.
The Assortmentss area is designed to identify, on the basis of particular features, items that
have been procured from different suppliers and may be available at different prices. This
provides long-term support in ensuring optimally priced content. Supplier and assortment
comparisons also help to effectively minimize procurement costs.
The Content Score Card provides the content quality manager with information about the
integrity of the catalog and supplier data. Data quality monitoring cuts process times
effectively while significantly raising user acceptance.
The latest method for evaluating search statistics provides an accurate overview of the
company-wide search behavior of all users, which may cause buyers to make some
necessary adjustments to assortments, product groups or the catalog content itself.
With Heiler Catalog Intelligence, it is also possible to perform all evaluations and analyses
based on SAP. This enables you to unlock the full potential of the data contained in the
SAP Materials Management module (SAP MM), without having to run ABAP queries or
possess in-depth knowledge of SAP software. The centralized SAP reporting functions are
combined with user-controlled analyses based on QlikView to deliver instant results and
facilitate fast decision-making.
If the analyses and charts provided are not sufficient for your purposes, you can use the
Designer functions to create your own evaluations online. A wizard enables you to
quickly create custom charts that will display, in a transparent manner, all the information
you require.
The new version of Heiler Catalog Intelligence, Version 1.2, supports the latest Microsoft
Internet Explorer, Mozilla Firefox, Google Chrome, and Apple Safari browsers. For
more information, see the System requirements section below.
3.2 Functions
This section summarizes the most important new features in Heiler Catalog Intelligence 1.2.
For detailed operating instructions for the individual features and functional enhancements,
refer to the manual.
Heiler Catalog Intelligence
Heiler Business Catalog7.1 20
The basic functioning of the application is based on the principle that you can select a value
for a dimension and then view only the data associated with that value. A value for another
dimension can then be selected, to further narrow down the data displayed.
In Heiler Catalog Intelligence 1.2, the following dimensions are available for selection within
the search behavior function:
» Period
» Year, Quarter, Month, Day
» Organizations
It is possible to set bookmarks for common evaluations and to export analyses to Excel.
3.2.1 Search behavior
The search behavior function provides information about the search habits of employees,
and is particularly useful for purchasing managers. Each time a search is performed in Heiler
Business Catalog, a results log file is generated as the data basis.
Here, observations can be made, for example, in relation to the average search time or
products that could not be found. The user can immediately identify which catalogs are
browsed most often or least often within a company, thus making it possible to create
sound plans and identify key catalogs.
Furthermore, the search habits of employees are made transparent and, if necessary,
adjustments can be made to improve the quality of the assortment.

» Shows those searches that did not return any hits
» Performed searches
» Shows the number of search term searches performed and the lowest and
highest number of hits
» Used search type
» Shows how often a particular search type was used
» Top catalog navigation
» Shows those catalogs browsed most often
» Low catalog navigation
» Shows those catalogs browsed least often
» Search time per time interval
» Shows the length of time taken to perform each search, categorized into three
predefined intervals
» Time-based search analysis
» Shows the average search time in comparison to the search requests performed
Tips:
» Including synonyms in your search can make it easier to find products.
» Different search result sets may depend on different views. In other words, search result
sets may vary greatly depending on the view settings.
» The search time may vary slightly as a result of search requests performed in parallel.
» If the time needed to perform search requests becomes extremely long and the number
of search requests remains low, it may be necessary to extend the system environment.
3.2.2 Content Score Card
The enhanced Content Score Card provides the content quality manager with information
about the integrity of the catalog and supplier data from Heiler Business Catalog. It shows
key information about the catalogs and their quality at a glance. It can be used to quickly
identify which suppliers deliver perfect content, and whether frame contracts or individual
prices are still valid. Concentrated information is available down to item level. This supports
a preventive approach to ensuring optimum data and displaying such data in Heiler Business
Catalog. Data quality monitoring cuts process times effectively while significantly raising
user acceptance.

3.3 Heiler Catalog Intelligence & QlikView
Heiler Catalog Intelligence is based on Heiler Software AG’s experiences in procurement
solutions and the use of QlikView technology from QlikTech GmbH.
Fig. 16: Powered by QlikView
QlikView is a memory-based system that stores all analysis data in the main memory, thus
providing exceptional performance. This allows a series of different analyses to be
performed quickly without any need to change the actual data basis.
Another key feature of QlikView technology is its associative selection logic. When the user
makes a selection, the links between the data from different data sources are displayed
visually.
For example, you could select “Germany” as the value for the first dimension,
“Organization”. Only data that is associated with the value “Germany” for the
“Organization” dimension will then be displayed. For the second dimension, “Supplier”,
you could now select the supplier “Meier” to limit the data displayed to only the data
associated with the values “Germany” and “Meier”. This process can be continued to the
last dimension.
