Who can enter?

Open to event organisers, promoters, in-house teams, venues, hotels or industry suppliers.

Why Enter?

Judging

The awards will be judged by a panel of individuals with extensive experience within the events industry. It will be revealed at: www.scottisheventawards.net/judges

What/who is eligible to enter?

• Any event or event service delivered between 20 May 2016 and 23 June 2017.• Any event staged in Scotland regardless of who has organised it.• Any event staged outside Scotland provided the organiser is based in Scotland.

Entry Fees

The entry fee for the first entry is £145 + VAT and for eachadditional entry £80 + VAT. Please note: You will only receive the 2nd entry rate discount if you enter all your submissions at one.

Otherwise you will be charged the full amount each time. Leave your entries in your basket until you are sure they are all complete.

Students receive a 70% discount .Charity organisations receive a 30% discount.Contact [email protected] for your discount code.

Awards ceremony

The ceremony will take place on Wednesday 11 October 2017 at The Grand Central Hotel, Glasgow.

How to enter

• Log on to www.scottisheventawards.net• Click the “Register here” button if this is your first time

entering. Click ‘Sign in’ if you are a returning entrant.• Decide which categories you will be entering.• Upload your report (PDF/Word (.doc/.docx) max size

10mb) in the box provided.• Attach a leading image in the box provided to support

your report (Jpeg max size 10mb) Please note this image will go live in the event of your work being nominated.

• Upload up to 2 additional images in the boxes provided to support your entry (Jpeg max size 10mb).

• If you wish to include a short film to supplement your entry you may upload this in the box provided, please use an embed code from YouTube / Vimeo.

• If you wish to provide any physical material to support your entry e.g. brochures. Please send these to Hannah Docherty, 4th Floor, Mercat Building, 26 Gallowgate, Glasgow G1 5AB to arrive no later than the deadline. Please clearly mark these with your name, company and report title.

• Follow the onscreen instructions to submit your entry and make payment.• A confirmation email will be sent to you and a receipt will

be issued to you within a few days.• Please wait until all of your entries are ready then submit

3 Conference of the Year Open to any conference based around any topic or theme.

4 Corporate Event of the Year Open to events that are organised by companies for their staff, clients or stakeholders. These events can be for large audiences such as conventions and conferences, or smaller events such as, holiday parties or even award ceremonies.

Leisure/Consumer

5 Cultural Event of the Year e.g. music, literature, visual art, performance art.

6 Sports Event of the Year Open to any event involving a sporting activity whether it is a participating or spectator event.

Business to Business or Leisure/Consumer

7 Awards Scheme of the Year Open to any awards scheme.

8 Exhibition of the Year Open to any permanent or temporary showcase event ranging from the large and commercial to the small and artistic. These can include trade fairs, expos or gallery events.

9 In House Event of the Year Open to any event that has been organised by an in-house event team.

10 Product Launch of the Year Open to events that focus on a product’s debut to the consumer.

11 Large Event of the Year Open to any event that attracts 5,000 attendees or more.

12 Small Event of the Year Open to any event that attracts less than 5,000 attendees.

13 Festival of the Year Open to any festival of any size.

Supplier Awards

14 Large Venue of the Year Open to any venue with event facilities that can hold 400 delegates or more.

15 Small Venue of the Year Open to any venue with event facilities that can hold 399 delegates or less.

16 Unique Venue of the Year Open to any venue whether fixed or temporary that offers something different.

17 Event Caterer of the Year Open to in house or external caterers of any size or type.

18 AV/ Production Company of the Year Open to AV and other technical suppliers.

19 Event Services Supplier of the Year Open to any company that supplies a product or service to the events industry.

Event Marketing Skills Awards

20 Event Marketing/PR Strategy of the Year Open to organisers who can show an exemplary marketing/PR strategy across an event.

21 Events Sponsorship of the Year Open to organisers who can show an excellent use of sponsorship across an event.

Other

22 The Green Award Open to events and organisations that can demonstrate initiatives around waste, water, energy, transport and local buying.

23 Cause Related/Charity Event of the Year Open to any event that benefits a charity or cause with either money or recognition.

24 Educational Event of the Year Open to events that are based around education and its benefits or events organised by educational establishments.

25 Traditional Event of the Year Open to events that celebrate the roots and traditions of Scottish Culture.

26 Innovative Event of the Year Open to events demonstrating an original idea that’s big and brave.

27 Student Event of the Year Open to any event organised by students, either individually or as a group/team.

28 Customer Experience of the Year Open to events that produce an engaging consumer experience that help companies bring their products and services to life.

29 Best Use of Technology Open to events that show technological innovations or demonstrate how technology has been beneficial for the success of the event. This can include virtual events.

30 International Event of the Year Open to any international event.

WRITING YOUR REPORTStudent EntriesPlease contact Hannah Docherty on [email protected]. For the separate student brief which will be sent to you by email. You will need to follow this separate brief for your events entered into the category ‘Student Event of the Year’. Please upload as normal.

People• Your report should include an executive summary of

250 words. Include key information such as number of employees, annual turnover and key events delivered.

• Your full report must not exceed 1500 words. Points to include: KPIs/ Targets Company objectives and Strategy.Demonstrate the success of your company in the last year and how the team is responsible this success.

• Support material If you have any video footage, images or social media coverage please include. Please include client testimonials where possible.

Business to Business, Leisure, Consumer Categories and ‘Other’• Write one report for each entry.• Your report must include an executive summary of 250

words which gets across your key achievements. The job of the summary is to excite the judges and give them a flavour of your report.

• Your full report must not exceed 1500 words. Please include images to support your entry. These images must be of good quality as these give the judges a good picture of your entry. Do not include them in your report but upload in the box provided.

• If you have any video footage that would support your entry you may upload this where stated. Judges do prefer these so please insert where possible.

Your full report must cover all FOUR of the points opposite. If you exclude the points detailed, you reduce your chance of being nominated.

2. Objectives of Event• Attendance (e.g. growth in attendance figures or audience demographic).• Income (e.g. to grow revenue, increase market share etc.).• Expenditure (e.g. to reduce costs, secure partnerships etc.).• What else did you hope to achieve?

3. Organisation• What were your strategic aims for the event?• Describe the management structure and how you

effectively operated the team.• How did you plan operations, marketing and sponsorship (if applicable)?• What were the opportunities for Scottish trade/suppliers to get involved?

4. Results - Show clear results & figures• To what extent did you meet each of the objectives

outlined in section 2?• Please provide a summary of your feedback.• How did the event enhance the profile of Scotland or

Supplier Awards• Write one report for each entry• Your report must include an executive summary of 250

words which gets across your key achievements. The job of the summary is to excite the judges and give them a flavour of your report.

were they?• Did you win new clients throughout the year?• In what way did you improve your client service throughout

the period e.g. new products and services, customer• loyalty programmes, customer care programmes,

Results - Show clear results & figures in particular ROIWas the year successful? Please show examples of this.• What feedback did you get from your investments/events/

services in the past year?• How does your service enhance the profile of Scotland or

generate economic benefits for the region? will not be included in the word count – please attach them at the end of your report and refer to them in your report).

Judging CriteriaThe judges will use these guides when judging your entries. Please make sure you follow the four points as closely as possible paying attention to the sub points that are applicable to you.

Please note• When writing your report don’t assume the judges have

attended the event or know anything about the event. Give clear concise answers on the brief, the objectives and results.

• You may enter the same event into more than one category if it is appropriate.

• Events entered into more than one category will be treated as a completely separate entry and payment is required for each.

• Please ensure your entry is supplied in the specified format and complies with the word counts and requested information otherwise your entry may be discounted.

Submission formats

Report: Word (.doc/.docx) document or PDF not in excess of 10mb.

Images: One leading image (Please note: this will appear on the webiste to promote your entry if you are nominated) plus 2 other images as required. Jpeg max size 10mb.

Video footage: Please upload an embed code from YouTube or Vimeo.

Marketing material: If you wish to provide any physical material to support your entry e.g. brochures. GENERAL RULES1. All events must have taken place 20th May 2016 and the

23rd June 2017.

2. All entries must be uploaded in the specification stated in the submission formats.

3. All entries must be submitted online. Entries must be received no later than midnight Friday 23rd June 2017. Please note we cannot guarantee that entries received after this deadline will be considered.

4. The judges reserve the right to re-allocate entries which in their view, are incorrectly entered.

5. The organisers reserve the right to retain entries for subsequent publication\exhibition in connection with the awards.

6. No correspondence will be entered into regarding entries

7. The judges’ decision is final.

8. If you do not abide by the rules, which results in a cost to Carnyx Group Limited, then you are liable for those costs.
