Yours and your families’ health and wellbeing will continue to be our main focus. We are planning for Thatcham Research to be one of the Safest Places to be. We need to work together and take our personal responsibility seriously.

We will continue to listen to and follow the Government advice to ensure the latest information is informing our safe operating procedures.

The main countermeasures remain social distancing and sanitisation at all times, both at home and at work. We will put in place measures to support you, but we must all be responsible for maintaining this discipline.

For activities that must take place at our locations, we will perform thorough risk assessments and remove or mitigate risks to enable safe continuation of operations.

We are continuing to successfully deploy remote and agile working to ensure staff densities at our sites are kept to a minimum.

Checklist

Here is a summary of the key guidance you must follow:

Only visit one of our sites if you have been asked to do so by a Thatcham Research member of staff.

Wash your hands, or sanitise as soon as you arrive, whenever you change building and throughout the day.

Before you attend, you are required to complete a self-declaration form via Envoy, asking you to confirm you have no symptoms.

Maintain a safe social distance from other visitors and colleagues at all times.

There will be limited food and drink available to preorder from the Mezzio. The coffee bar is also open.

If specific tasks require a distance of less than 2m, follow the provided ‘Safe system of work’ for the specific operation.

Avoid shared transport wherever possible. If you develop symptoms at work, leave immediately, letting your Thatcham Research host know when it is safe to do so.

Ensure you understand your entry point to the building and follow marked one-way routes.

Most importantly, everyone must take personal responsibility for their behaviour, to keep themselves, their families, and colleagues safe.

Challenges

• COVID-19 is an invisible risk, with no known cure or vaccine. It is highly infectious and requires us all to take serious action to ensure we keep ourselves, families, and colleagues safe.

• The virus spread is difficult to detect, with some people carrying the virus asymptomatically. We all need to take personal responsibility to follow advice and take the threat seriously to ensure we control the risk.

• The risks will change the way we work, however by working together and following the guidelines we can successfully return operations to our office and test facilities ensuring Thatcham Research’s continued success.

Immediate action

You should not come to work. If you have symptoms you should self-isolate for at least 7 days. If somebody in your household has symptoms you should self-isolate for 14 days. If you have symptoms, you are eligible for COVID-19 testing, you can apply here:

Immediate action

• have had a bone marrow or stem cell transplant in the past 6 months, or are still taking immunosuppressant medicine

• have been told by a doctor they you have a severe lung condition (such as cystic fibrosis, severe asthma or severe COPD)

• have a condition that means they have a very high risk of getting infections (such as SCID or sickle cell)

• are taking medicine that makes them much more likely to get infections (such as high doses of steroids)

• have a serious heart condition and are pregnant

If you are, or if you live with somebody who is at high risk, please inform your host so that a specific workplace risk assessment can be completed for your role.

If you’re at high risk from Coronavirus you should have received a letter from the NHS. People at high risk include those who:

• have had an organ transplant

• are having chemotherapy or antibody treatment for cancer, including immunotherapy

• are having an intense course of radiotherapy (radical radiotherapy) for lung cancer

• are having targeted cancer treatments that can affect the immune system (such as protein kinase inhibitors or PARP inhibitors)

• have blood or bone marrow cancer (such as leukaemia, lymphoma or myeloma)

Symptom management on site

Avoid touching anything and only let a host know you are leaving if safe to do so. You must let us know as soon as it safe to do so, by contacting your host. You should then follow the self-isolation guidelines and contact medical assistance if required.

If there is a positive case identified at Thatcham Research , we will contact all staff and visitors affected and suggest colleagues self-isolate at home.

If you develop any of these symptoms whilst at Thatcham Research, you should return home immediately:

• A high temperature or fever

• A new persistent cough

• A change to, or loss of your sense of smell or taste

If you do visit our sites, you should consider the most appropriate form of transport, avoiding shared transport modes wherever possible.

Due to the reduced numbers on site, there will be plenty of parking available, however you should consider Social Distancing requirements when parking.

Ensure you have reviewed available site plans to understand the point of access for your work area, and ensure you always follow access and one-way signs.

Prior to your attendance at Thatcham Research, you will be sent an invite via Envoy, our visitor management system. This will ask you to complete a declaration stating you have had no symptoms.

Site access and travel to work

We are taking an activity and demand-led approach to returning to work, ensuring that we minimise the number of colleagues on site. As such, all sites remain closed to all, but those colleagues and visitors specifically asked to attend.

You should not visit our sites unless specifically invited.

Hand cleanliness

To make this as easy as possible we will make sure that:

• We provide suitable soap in all WCs, and check levels throughout the day.

• Provide hand sanitiser at the entrance points for all buildings.

• Provide hand sanitiser at suitable locations around the workplace.

One of the most effective lines of defence we have is keeping our hands clean throughout the day, therefore hand washing, and sanitisation is critical. You should:

• Wash your hands with soap and water often, do this for at least 20 seconds.

• Where soap and water are not available, use hand sanitiser.

• You should wash your hands when you arrive at work.

• You should wash or sanitise your hands whenever you leave and re-enter a building.

• Cover your mouth and nose with a tissue or your sleeve (not your hand) if you sneeze or cough.

• Put used tissues in the bin and wash or sanitise your hands immediately.

Social distancing

• Reducing movement around the building and restricting some areas to avoid contact points.

• Utilising Microsoft Teams to avoid face to face meetings.

• Staggering break times to reduce pressure on available areas to eat.

• Providing additional outside seating for people to have lunch.

You will see visual aids around the work areas reminding you of the social distancing advice, however you must take your responsibility to maintain this seriously, both at work and at other times.

The second most effective countermeasure is social distancing, the Government advice is that we should maintain a safe social distancing wherever possible, including while arriving at and departing from our sites, while at any of our sites, and when travelling between sites.

To facilitate this, we will

• Maintaining remote working wherever possible.

• Limiting the number of staff in the office to enable very low densities.

• Implementing one-way systems around the office to avoid contact points.

General advice

Use of masks/face coverings

The routine use of face coverings and shields is not considered to be an appropriate countermeasure outside of a clinical or healthcare setting; hand cleaning and social distancing should remain the primary countermeasures.

We may identify face coverings as appropriate PPE for some very specific tasks, if this is the case, they will be provided for you.

If you wish to wear your own face covering for whatever reason, this will be supported.

Risk-based approach

We will be taking a risk-based approach to all activities that need to be completed at one of our sites. Each risk will be reviewed, and the following approach taken:

• Where possible action will be taken to eliminate the risk, this could include not doing the activity or changing the way the operation is completed.

• If eliminating is not possible, ways of delivering the task whilst maintaining social distancing shall be implemented.

• If social distancing is not possible, further controls such as limiting the number of colleague contacts or fixed teams will be used with appropriate PPE.

You should not complete any work activity unless you have reviewed the risk assessments and safe systems of work.

General advice

Meetings

Where required for team touchpoint sessions, a few meeting rooms at our Colthorp site are open, please read the guidance for booking and using meeting rooms.

Visitors

Visitors should only come to our sites if they have been invited to do so by a Thatcham Research member of staff. All visitors will be required to self-certify via Envoy before accessing any of our sites, and there are specific safety measures in place for our Automotive Academy and our track in Upper Heyford. Please reach out to your relevant contact person for more information.

Cleaning

We have increased cleaning frequency during the day, and introduced deep desk cleaning every evening. Cleaning will focus on touch points (door handles, banisters, taps, toilets etc).

There are red and green signs on desks to ensure our cleaning partners know which desks required a deep clean. It is your responsibility to ensure you mark your desk as red at the end of the working day.

Food and drink

We have put controls in place to ensure water coolers and boiling water points are available to use; you must be responsible in use, ensuring your hands are clean and you maintain social distancing.

There will be limited food and drink available to preorder from the Mezzio. The coffee bar is also open. Please ask your host for more details. Alternatively, you are welcome to bring your own food and drink.
